4 Basics for all users What is Kaizen? Kaizen is the brand name of the product the new RCPCH eportfolio is built on. This system has been developed by Fry IT in collaboration with RCPCH. The system will continue to be known as RCPCH eportfolio but you will see the Kaizen branding on the website and in s. What is the website address for the new eportfolio? Please use to access the website. How to register for an RCPCH eportfolio account Trainees including those not in run through training: Please visit the trainee registration page and follow the instructions to register for training. Your account will be set up by RCPCH staff and we will you with your details when the system is ready. Assessors: You will need to be invited by a trainee to complete assessments. You will receive an with a link when you are invited. If you already have an account please just click the link and sign in as normal. However if you do not already have an account you will need to register and provide a GMC, NMC or Allied Health Professional number. 3
5 LETB/Deanery Administrators/Supervisors/ College Tutors/Heads of School: LETB/Deanery administrators will no longer be able to add these roles for users. If you need one of these roles please and provide your RCPCH number and the role you require. If you are a Supervisor you must ask your College Tutor to confirm you need this role. College Tutors should fill in the Change of tutor form from this page of our website and follow the instructions. Single Sign On (SSO) The new eportfolio will use the RCPCH single sign on. This means you can use the same password and username for eportfolio, the RCPCH website, our Compass learning system and PCO. SSO is not compatible with some operating systems such as Windows XP. SSO does not work on some browsers such as IE8. If you are using IE8 please ask your IT dept. to upgrade to IE10/11 or Chrome/Firefox. Alternatively, there is also an exe file that can be run in the browser by clicking on the outdated browser link where you should see the following screen: Please click on DOWNLOAD EXE FILE. You should then see the following screen, where you should click run as below: 4
6 At this point you should reach the log in page. If you do not, or are still having issue accessing SSO or running the exe file please contact your IT department for support. On reaching the login page, you will see a button saying Log in with RCPCH. Please click this, do not use the local account log in, which are the boxes in pale yellow. 5
7 You will be automatically re-directed to eportfolio. How to reset your password Go to Add the address you have registered with RCPCH Your password reset will be sent to that address If you re unable to access the that you have registered with us please My Profile To the left of the screen you will find your profile which contains the following information: 6
8 Roles on eportfolio Training programme Hospital and LETB Supervisors To edit your profile Dashboard All users will have a dashboard. Currently this is only active for those with the RCPCH trainee role. The dashboard will allow you to make a quick draft to add to your timeline. This can be accessed later and turned into a full event. Using the dashboard customisation feature: You can customise your dashboard to only show the items (widgets) you d like to see. You can also change the names of items and their positions. To do so: 1. Click the pencil icon on the right hand side of the dashboard. 2. The icons below will appear at the top of the dashboard. To add new widget: 1. Click the blue plus symbol 7
9 2. Click the blue text on the left to add a new widget of that type. To edit the dashboard: 1. To change the name of your dashboard click the on the cog. 2. As below and type your new Dashboard title. Click close to save this. To Save/Undo changes: 1. To save your changes click the disc icon. 2. To undo changes and revert to your previously saved dashboard click the x. You can also edit widgets when you click the pencil icon: The following icons will appear at the top of each widget when you click the pencil icon. 8
10 To change the name of a widget: Click the cog icon above the widget you want to change and click into title to add a new title. Click apply to change the name or cancel to cancel changes. To remove a widget: Click the bin icon to remove a widget. You can add this back by clicking the cross at the top of the dashboard. To move a widget: 1. Click the following icon: Dashed grey lines will appear to show the grid that widgets can be displayed within. You can move a widget by clicking the move icon and dragging the widget to another grey dashed box. Timeline The timeline is a list of all the events in chronological order. It can be filtered to bring up a specific item. Only trainees can add items directly to their own timelines. Assessors and Supervisors will see a list of events that they have created for others on their timeline. To create an event for another user, for example an ETSR, you find them in the list of users and click create event. This will be explained in further detail in the Supervisor part of the manual. 9
11 Events Events are any item displayed on the timeline. This replaces the forms terminology that was used in ASSET and eportfolio. To look at an event click on the title and it will open. To look at the audit log/see the dates for the event click Show/Hide Audit Log Preview an Event To quickly view the details of an event on your timeline, click on PREVIEW next to the relevant event. The pop up box (pictured below) will then show details of the event. To exit the event, click on the grey cross in the right hand corner of the pop up box. 10
12 Filtering If you wish to filter the timeline or user list at any time please click the magnifying glass at the top of the page The To Do list The bell at the top of the website will turn red and give a number of notifications that need to be completed. Click the bell to bring up the To Do list. This is explained in further detail in the Supervisor part of the manual. Adding supervisors Trainees can now add their own supervisors. College Tutors can either continue to add this, or can their trainees with their new supervisor name so they can add this information themselves. Supervisors can be added by: 1. Clicking on NEW EVENT - which is found in the Timeline 2. There is then a drop down list under Event type where the Add a [educational/clinical] supervisor event should be selected. This replaces 11
13 the need to add a supervisor through your Post event as with the old eportfolio system. A separate event is needed for each supervisor. This event allows access to the Timeline of a trainee for the duration of the dates in the event. We recommend adding at least 2 months extra time beyond the end of the trainee s post to allow time to fill in any extra forms. Permissions The permissions for eportfolio have changed. If you require a specific role you must contact the College. The role will be time bound and allow you access as e.g. a Training Programme Director for a number of years. When this runs out please contact [email protected] to renew 12
14 Trainees guide Adding an Event In the new eportfolio, almost everything you enter will be added as an event. You can add WPBAs, Skills log, Development log and PDP entries, Curriculum comments/links, attach Educational or Clinical Supervisors to your posts and sign Declarations and Agreements. Each of these events are different, so more detailed guidance on completing types of events is included further on in this guide. To add an event: 1. Click on Timeline at the top of the screen. 2. Click on New Event in the top right corner. 3. Under Event Type select the type of event you want to add. All of the forms from eportfolio and ASSET can be found here. 4. Enter the start-end dates and a description of the entry. 13
15 5. Complete all the required fields for the event. 6. Attach any files by clicking on the Attach files link at the bottom of the page. You can then drag and drop desired files. 7. Click on SUBMIT at the top of the screen to complete the event. 14
16 8. Alternatively, you can SAVE AS DRAFT. Please note that draft events remain private (viewable only by you) until publication. Linking files to events Each event you make on your timeline allows you to attach files by clicking on Attach Files at the bottom of the screen. It is encouraged that you upload files to events to avoid having to upload them to Documents and then link them to events. Attaching files will also help when you tag events to curriculum entries. Public/Private Documents and files You can save documents and files as either public or private. At the moment the functionality for documentation is being worked on. You can clearly see if an item is private as it will be marked as such in red. When documents are uploaded, the default position is that of private. If you would like to make your document public: 1. Locate the document through clicking on Documents at the top of the screen and selecting the document from the relevant folder. 2. Select MORE and you will see the following screen: 15
17 3. Click MOVE TO SHARED and the document will be become public 4. The document is now shared/public Please note the following: Anyone who has access to your profile will be able to see public documents. Any documents entered as private can only be viewed by you. If attaching documents as part of an assessment, ensure that said documents are saved as public so that they can be viewed by the assessor. Documents copied over from the old eportfolio system will be marked as private. 16
18 How to search the eportfolio (see also filtering) You can search for items in 3 areas of your eportfolio: the Timeline; the Documents section; and in your To Do list (the bell icon). To remove all filters selected and start a new search click REMOVE ALL To exit the search - click on the magnifying glass at any time Searching via the Timeline. Click on the magnifying glass at the top of the screen. You then have four search options: full text search, event type search, blueprint search or date range search. You can use just one or a combination of the above to search for events in the Timeline. 1. Full text search 1. Type the name of your search in the full text search box 2. Click APPLY FILTER 3. Your results will appear below 17
19 2. Event type search 1. Click on the drop down list within the Show only this event type(s) box 2. Select the type of event from the drop down list, your search criteria will now appear within a grey box as shown below: 3. Multiple event type searches can be performed simultaneously by continuing to select event types from the drop down menu. 4. Click APPLY FILTER 5. Your results will appear below 6. To remove an individual filter, click on the x found on the right hand side of the grey search criteria box. When searching for an event type via the event type drop down, ensure that you check both ASSET and WPBA for the desired event type. 18
20 3. Blueprint search 1. Click the Select button located underneath Show only this blueprint 2. Select the green arrow to explore subitems from the Menu option, you will then see the screen below: 19
21 3. Choose the type of event you are looking for 4. As below, the item selected will then turn red and will have been successfully selected this is also evident from the Select button now having a number next to it. You can now press the x in the top right hand corner to exit 5. Press APPLY FILTERS and your results will appear below 6. To remove a selected filter, go back to type of item you are looking for within the Menu and de-select it (if successful the item will no longer be red and the number next to Select will decrease accordingly 20
22 4. Date range search 1. Click on the box underneath Show only events that have started after and select the required date from the calendar pop up 2. Repeat for the box below named Show only events that have completed before 3. Select APPLY FILTERS and your results will appear below 5. You can also search the timeline by item name via the search box situated towards the top of the screen (please see image below). 1. Type the item name into the box and click the green arrow. 2. To remove the search criteria, click the grey cross, as indicated below 21
23 6. There is also the function to search by tagged event. To search for all tagged events: 1. Click on the blue tick box to select all tagged events. 2. You will then see the below, demonstrating that all tagged events have been filtered. 3. To remove filters click Deselect all To search for specific tagged events: 1. Click on the Go to subitems button as indicated below. 2. Select the type of event that you would like to filter by clicking the blue tick box next to the relevant event type. 22
24 3. Upon selecting the relevant tagged event type, the blue tick box will turn red (as indicated below.) Your search results will also appear below. 4. To remove said filter, click on the now red box. Click home to remove the event subitem menu. 23
25 Searching via the Documents section 1. Select Documents from the top of the screen, here you will see all uploaded files and folders, initially all documents transferred from the old eportfolio system will be stored in the folder Library. 2. Click on the magnifying glass to search, you will then see the screen below: 3. Type the document name that you wish to search for and click APPLY FILTERS 4. Search results will appear below 24
26 Searching via TO DO section 1. Click on the bell in the top right hand side of the screen, this will take you to your To Do section 2. Click on the magnifying glass 3. You can now search/filter items on whether they are complete or overdue using the drop down menu 4. Click APPLY FILTERS and your results will appear below. How to add events (see also adding an event) WPBAs 1. Click on Timeline at the top of the screen. 2. Click on New Event in the top right corner. 3. Select the type of WPBA in Event Type. 4. Enter the start-end dates and a description of the WPBA. Ensure all relevant information is included; a strong description will make finding events on your Timeline easier. All events must have a start and end date. 25
27 5. Briefly summarise the WPBA in the Description section and attach any relevant files by clicking on Attach files at the bottom of the screen. 6. If your assessor is not with you, type your assessor s name into the Specify next responsible person field to bring them up (see image below) and click SUBMIT found in the top right hand corner. 7. If your assessor does not have an eportfolio account, enter their address in the Invite external user by field (see image below) and click on SUBMIT in the top right hand corner. 26
28 8. If your assessor is with you, under Fill in on same device, select Yes and hand over to your assessor for them to complete their section. 9. Once they have finished, click on SUBMIT in the top right hand corner. Please note that your assessor will need to sign this off by logging into their eportfolio and going to the To Do section. The event will not appear on your timeline until it has been signed off by your assessor 10. If the assessment requires reflection, the event will now be sent back to the trainee for said reflection to be completed. Assessments/events awaiting reflection will appear in you To-Do section. Ensure that you complete said reflection and click SUBMIT. Assessments/events requiring reflection will not appear as complete until the reflection has been completed and submitted. Retracting and reminding an event If you wish to retract an event from a supervisor: 27
29 1. Click on ACTIONS and then Retract on any awaiting response event (see below image) The event then goes back to draft on your timeline, and can be edited to send on to a new user by clicking edit and following the procedure for sending to a user. Send a reminder: You can send a reminder for any event that you are awaiting response for by clicking on said event, selecting ACTIONS and then REMIND (see below image). How to add entries for the Skills Log, Development Log and PDPs 1. Click on Timeline at the top of the screen. 2. Click on New Event in the top right corner. 3. Select the type of Skills Log, Development Log or PDP entry in Event Type. 4. Enter the start-end dates and a description of the entry. 5. Briefly summarise the entry, complete the relevant parts and attach any files by clicking on the link at the bottom of the screen. 28
30 6. You can save as draft at any time by clicking the SAVE AS DRAFT button; this will stay in your timeline and will be marked in orange as a draft. You can submit it at any time. Items in draft cannot be seen by your supervisor. 7. Click SUBMIT to complete the event. If you wish to change these events in future please save them as a draft. Only submit them once you are finished updating. Items that are in draft cannot be seen by other users, such as your supervisor. Editing own events Trainees are able to edit their own events once submitted. This applies to events initially added onto the new eportfolio system, not historical events carried over during data migration. Only skills logs, PDPs and development logs can be edited. To edit an event: 1. Locate the event on your timeline 2. Select ACTION 3. Select Edit 4. Make the desired changes and then select SAVE Adding a Supervisor (Clinical or Educational) 1. Click on Timeline at the top of the screen. 2. Click on New Event in the top right corner. 3. Under Event Type select Add A Clinical Supervisor or Add An Educational Supervisor accordingly. 4. Enter the start-end dates and a description of the relevant post. 29
31 5. Type the supervisors name into the box. After typing 3 letters names will appear. Choose the correct supervisor and click on them to add them. If they don t appear [email protected]. 6. You can save as draft at any time. When finished, click on SUBMIT in the top right hand corner. Link Items to the Curriculum (including SPIN) 1. Click on Timeline at the top of the screen. 2. Chose an event to link to the curriculum you will see only the curricula that you have access to. 3. Click tag event 4. If you wish to explore sub-items of the curriculum, click on Go to subitems 5. You can also search the curriculum by typing a specific search time within the search box at the top of the page. 6. Click on the blue tick box next to any relevant Curriculum item and this event will be linked to them. You can link one event to several curriculum items. 7. Click SUBMIT - Ensuring that you only tag your event with the Curriculum items section. Add a curriculum comment 1. Click on Timeline at the top of the screen. 2. Click on New Event in the top right corner. 3. Enter start-end dates and a description. Attach any files by clicking on Attach Files at the bottom of the screen. 30
32 4. In Event Type select Curriculum comment, you will then see the below: 5. Select the rating from the drop down 6. Add the parts of the curriculum this comment is relevant to via the green arrow for specific sub items or the blue tick box for the curriculum more generally. 7. To navigate back, click on the pathway or click on Home as indicated above. 8. Add your comment. 9. Click SUMBIT. You can also tag comments after they are published with extra curriculum items if required. Curriculum Items Coverage Report To run a report of your curriculum items coverage: 1. Select Dashboard from the top of the screen 2. You will see the My Curriculum widget (as indicated below). Here you can see an overview of total your events, the percentage of blueprint coverage and the number of tags are covered. 31
33 3. Click on View my curriculum you will then see the below: 4. On the left hand side you will see curricula, conditions and procedures assigned to you, including sub specialty curriculum and SPIN modules. On the right hand side you will see all your events. 5. To view all events which have been tagged to a particular curriculum item or blueprint, select Show events next to said curriculum item or blueprint. 32
34 6. On selecting Show events, the right hand side of the screen titled Events will filter to show you all events tagged with that blueprint. 7. To remove the filter click on the red Deselect box Alternatively you can search for more specifically tagged events within the curriculum blueprint by clicking Go to subitems until the desired blueprint item is found. Click Show events and the right hand side of the screen will then filter your events accordingly. You can also select curriculum blueprint tagged events by using the search bar (as indicated below). 1. Type the item name in the search bar e.g. procedures and click on the green arrow. 33
35 2. Select the appropriate curriculum item, and select Show events your events on the right hand side will filter accordingly. 3. To clear the filter, click the grey cross. Uploading Files and Documents To add a new folder: 1. Click on Documents at the top of the screen. 2. To add folders click on NEW FOLDER in the top right corner. 3. Click on Untitled Folder and enter the name of your folder then click Save. 34
36 4. To view the contents of a folder click on MORE to the right of the folder title (as indicated above) 5. Then click on Open. Click on Root to return to the main Documents page. To upload a file: 1. To upload a file click on Upload Document to the top right of the screen. 2. Drag your file into the drag and drop box. 3. Click on Documents and you ll see the new file has been uploaded. Click into the title to rename the file. Alternatively, documents can be uploaded directly into an event by going into said event and selecting ATTACH DOCUMENTS as below: Moving Files and Folders 1. Click on Documents at the top of the screen. 35
37 2. Click on Bulk Changes in the top right of the screen. 3. Use the tick box to the left of the files/folders to select those you want to move. 4. Click on MOVE in the top right hand corner. 5. Click on Select to the right of the folder you want to move files/folders to. 36
38 6. Click on Confirm to the top right of the screen to complete the move. 37
39 Assessors, LETB/Deanery staff, College Tutors, TPD, HoS, Supervisor Guide WPBAs (Trainee has initiated WPBA and alerted Supervisor) Trainees will usually initiate WPBAs and alert their supervisors to complete them. To see trainee-generated WPBAs awaiting your action: 1. Scroll down your Timeline or click on the bell icon (To Do list) at the top of your screen. 2. Click on VIEW FORM 3. Click on FILL IN at the top of the screen. 38
40 4. Complete all relevant and required parts of the WPBA, attaching any files at the bottom of the screen if necessary. 5. Click on SUMBIT at the top right of the screen to complete the operation, the event will then appear on the trainee timeline. Alternatively you can SAVE AS DRAFT. Please note that the operation is not complete and will not appear on the trainee timeline, or be removed from you To-Do list until published. Please note that once published by the assessor, if an assessment requires reflection by the trainee, it will be sent back to said trainee for this to be completed. The assessment will not be complete until the trainee has completed their reflection, 39
41 WPBAs (Assessor initiates WPBA) This will be available shortly. Searching for users 1. Click on Users - all users will then appear. 2. Click on the magnifying glass at the top of the screen to search/filter users, you will then see the screen below: A number of search options are then available: 40
42 You can type the trainees name under full text search or search via their GMC/RCPCH number by selecting the User field id 1 box and choosing the relevant user field (as demonstrated below) Next, fill in the box named User field value 1 with your chosen criteria To help narrow your search further, you can add additional user fields by clicking the ADD NEW FIELD button. 41
43 You can also search by training programme (to find CSAC trainees) and location Click the Select button located beneath Relation, this will bring up the box below. Then select Training programs via the green arrow, this will open the box below. 42
44 You can then select the type of programme in its entirety by selecting the blue tick box, or expand the programs further by selecting the green arrow. If you chose to expand further, chose your final selection via clicking the blue tick box. You can also search via the state of the user by clicking in the Show only users in these states box and selecting desired state from the drop down list. 3. Click on APPLY FILTERS to begin the search. How to add: Trainee Post Details 1. Click on Users at the top of the screen. 2. Scroll down and find the relevant trainee and then click on the MORE button to the right of the trainee s name. 3. Click on NEW EVENT. 4. Under Event Type select Training Post 5. Enter the start end dates of the trainee post and add a description, i.e. ST2 rotation. 6. Add the grade, location, Specialty and FT/LTFT status. 7. Click on SUBMIT at the top right of the screen to complete the operation. Supervisors to a Trainee 1. We recommend you ask your trainees to add their own supervisors, however College Tutors and LETB admins will still be able to add supervisors 2. Click on Users at the top of the screen. 3. Scroll down and find the relevant trainee and then click on the MORE button to the right of the trainee s name. 43
45 4. Click on NEW EVENT. 5. Under Event Type select Add an Educational or Clinical Supervisor. 6. Enter the start end dates of the trainee post and add a description. 7. Under Add your Educational or Clinical Supervisor, open the drop down and select the relevant supervisor. 8. Click on SUBMIT at the top right of the screen to complete the operation. Supervision forms (Induction, Supervision, Mid-point Review, Trainer s Report) 1. Click on Users at the top of the screen. 2. The name of your trainees should appear in the timeline. 3. Click on the ACTION button to the right of the relevant trainee. 4. Select New Event from the drop down menu 5. Under Event Type select the relevant supervision form 44
46 2. Complete all parts of the form, attaching any files if necessary, and then click on SUBMIT at the top right of the screen to complete the operation. Adding ARCP forms (Heads of School and LETB/Deanery staff only) There are two different versions of the ARCP event. The one part ARCP event is for deaneries where the whole event is created at the ARCP panel. The two part form is for LETBs where the Administrators create part of the form. These versions are referred to as ARCP (Annual Review Of Competence Progression) 2 part form and ARCP (Annual Review Of Competence Progression) on the new eportfolio system. As the new eportfolio saves drafts to your own timeline rather than in the trainees accounts the two step form allows administrators at LETBs/Deaneries to fill in the first part of the form and send to a panel member to fill in the outcome. Access for panel members Please contact [email protected] for access for your panel members with a start and end date they need access for. If the panel member is a HoS or TPD in the region they should not need panel access created for them as they ll already be able to create and edit ARCP forms. To create a new ARCP for any user 1. Filter the trainee list by clicking on the magnifying glass. 45
47 2. Click on ACTIONS next to the trainee s name 3. Click New event 4. Choose ARCP from the drop down 5. Fill in all required and relevant information and click SUBMIT. The description field The description field appears on the timeline and makes it easier to find this event. We strongly recommend that you fill this field in with information such as the grade of the trainee and any other information such as if this is a second ARCP at that grade for Outcome 5. For LETBs/Deanery s where the panel or a member of administration staff fills in the whole ARCP form Please fill in the ARCP (Annual review of competence progression) form. Click save as draft to save a version of the event to your timeline and click publish to publish to the trainee s timeline so they can access the event. You must fill in all the red starred fields in order to publish the form. For LETBs where a member of administration staff fills in the first part of the form and the panel fill in the rest Please note: this version of the ARCP form is for LETB and Deaneries where an admin fills in the first part of the form and then panel members fill in the outcome on the day of the ARCP. 1. Filter the trainee list by clicking on the magnifying glass. 46
48 2. Click on ACTIONS next to the trainee s name 3. Click New event 4. Select ARCP (Annual Review Of Competence Progression) 2 part form from the drop down 5. Fill in the first part of the form 6. Send onto the panel member by typing their name in the Specify next responsible person box (as indicated below) 7. Their name will appear in a drop down, please then click their name to add it to the box. Do not use the Invite external user by box. 8. Click SUBMIT to send this on to the panel member or save as draft if you wish to edit before sending on. 47
49 You can retract the ARCP if that panel member is unable to be there on the day, to do so: 1. Find the event on your own timeline. 2. Click ACTIONS 3. Click Retract, and select OK to the pop up message. 4. Click View 5. Click Fill in and then send on to a new panel member using the steps above. Approved clinical training gained during the period to be reviewed We are working on pulling through the trainee s posts as soon as possible. As an interim solution the above text box has been created to add the posts being reviewed to. Retracting and reminding ARCPs If you wish to retract an event from a supervisor click ACTIONS and then Retract on any awaiting response event. The event goes back to draft on your timeline and can be edited to send on to a new user by clicking edit and following the procedure for sending to a user. You can also send a reminder for any event that you are awaiting response for by clicking on said event, selecting ACTIONS and then REMIND (see below). 48
50 How to run a curriculum report for another user as a supervisor/hos/tpd/ct: 1. Open up the user list. 2. Click the ACTIONS button and choose view reports from the drop down. (If you are already viewing a trainee s account you can run the curriculum report by clicking on the user ACTIONS drop down) 3. You will see a list of reports that you can run against this user (at the moment this is only the curriculum overview but eventually you will have a list of reports you can run) click RUN REPORT to view the curriculum report. Navigating the curriculum report A list of available curricula will appear alongside a percentage of how many items are covered. Click Go to subitems to see the next level of the curriculum. 49

Do not click the back button on the browser as this will navigate away from the report.
