1 Request for Proposal February 5, 2013 Proposal Opening Date and Time: Friday, February 22, 2013 Proposal Name: Caswell Park National Tournament Custom Apparel Mail or Deliver to:: City of North Mankato Attn: Lynette Peterson 1001 Belgrade Avenue North Mankato, MN Phone: (507) Fax: (507) Scope of Proposal The City of North Mankato ( City ) is soliciting proposals for CUSTOM APPAREL per the specifications stated elsewhere in this solicitation. This is for ASA National Tournaments at Caswell Park, 1875 Howard Drive West, North Mankato, MN. The dates of the tournaments are: July 24-28, 2013 and August 1-4, The City will choose the Vendor that best meets their needs based on factors including, but not limited to price, availability and delivery. This proposal shall be for the two tournaments stated above. Special Conditions and Instructions 1.0 It is the intent of the City to enter into a contract for custom apparel which may include logo shirts, sweatshirts and other custom merchandise as proposed by the Vendor. The medium may be screen printing or embroidery. Screen printing and embroidery process, guaranteed 100% washable, with permanent paint or dye process. 1

2 2.0 Vendor will be responsible for art work and will work with the City to design desired apparel. 2.1 LOGOS AND EMBROIDERY The City and Vendor will work together to decide on final logo, colors, design, size and shape of logo and/or embroidery prior to the event. Some shirts and sweatshirts will have printing on front and back. 2.2 PRINTING Screen printing and embroidery process, guaranteed 100% washable, with permanent paint or dye process. Vendor will guarantee merchandise from manufacturing defects. If merchandise is defective, Vendor will replace. 2.3 PRICE QUOTATION All prices at the event shall be equal or less than the prices given in the awarded proposal. 2.4 MERCHANDISE Vendor will work with the City on picking out age-appropriate merchandise, i.e. sweatshirts, t-shirts, tie-dyed variations, for the event. 2.5 SAMPLES Vendor will provide samples of items for approval two weeks prior to the event. 2.6 ON-SITE DESIGN/CUSTOMIZATION Vendor may at his/her discretion provide on-site design/customization at the event. 2.7 STAFFING Vendor will provide staff to sell merchandise at the event one-hour prior to games starting and throughout the day until the final game of the day is completed. The City WILL NOT be selling the merchandise. Vendor is responsible for all sales at Caswell Park. 2.8 COMMISSION Vendor will pay the City 20% commission on all merchandise sold during the event. 2

3 Commission will be paid to City within 10 days of event ending. Vendor will turn in daily log sheets to the Tournament Director documenting number of items sold and sizes of each item sold. 3.0 Please complete the following questionnaire about your company and its capabilities and the offer form using current prices so a price comparison analysis can be conducted with all responding vendors. 4 What is your screen color limit: Embroidery Machine Smallest Logo Size: Largest Logo Size: Number of embroidered items that can be created at one time: How many colors can be used in an embroidered logo: Additional Charge for Logo Creation: Can you Create a Logo or T-Shirt Design from a Computer Image: If so, what format: What is your typical turnaround time: Do you have the capability of on-site printing/custom design: Responsibilities of Vendors 1.0 The responsibility for compliance with this solicitation and the subsequent contract shall be with the Vendor. 2.0 Vendors are responsible for submitting additional information including t-shirt prices, sweatshirt prices and other custom merchandise to be sold at the event. Please include several different options to compare including solid-color shirts and sweatshirts and tie-dyed shirts and sweatshirts. Also include 4

5 screen printing with one color versus multiple colors. Some shirts and sweatshirts will have printing on both front and back. Vendors may add additional styles and items at their discretion. 3.0 Vendors are expected to provide prompt service that is due under this contract including warranties. Past performance of vendors may be a factor in awarding future contracts. 4.0 Vendors are expected to deliver service(s)/product(s) per specifications. Awarded vendor(s) are expected to provide quotes to the City and are expected not to initiate any work prior to receiving authorization from the City. 5.0 The Vendor will provide staffing and complete all logs as indicated in the proposal. Vendor will also pay the City 20% commission within 10 days of the event ending. 6.0 Proposals must be received by 5 p.m. on Friday, February 22, Proposals will be opened, tabulated and compared to select Vendor for events. Vendors are encouraged to respond early to make sure proposal responses have reached the correct department. 7.0 Submit one (1) original including price list of shirts and sweatshirts as additional pages.
