5 0.1 DRONE LOGBOOK OVERVIEW DroneLogbook is management platform that allows operators to track and manage flight data, equipment, locations, maintenance operations, incidents, documents and more. We help you manage your organization and pilots allowing data to be shared between your administrator and your pilots and authorized 3rd parties. Our solution is based on a cloud based infrastructure with secure data storage, online web application and mobile application with offline access and easy synchronization with your cloud account. 5
6 0.2 UPGRADING YOUR ACCOUNT 1. Navigate to the Drone Logbook user dashboard, located on the top right of the page click upgrade. 2. Select a plan that best suites your needs. 3. Select the number of seats your would like. Seats indicate how many users will be using your companies logbook. 4. After you select the number of seats select your billing option. DroneLogbook offers discounts for Quarterly and Annual payments. 5. Review your subscription summary, click buy now. 6. Once you have entered your payment information and process your transaction Drone Logbook premium services will be available. 6
7 0.3 RETRIEVING YOUR PASSWORD 1. Navigate to the sign in page and Click Lost Password 2. Enter the you used to create your Drone Logbook Account. 3. An will be sent to you with a temporary password to login. 0.4 CHANGING YOUR PASSWORD 1. Navigate to your profile dashboard, click on the profile icon on the top right of your dashboard screen. 2. Enter the your new desired password and click save. 7
8 0.5 MAIN DASHBOARD The main dashboard gives the user an overview of their activity and the organization s activity. The data in the blue shaded boxes represents the information from the user (who is logged in). The grey shaded boxes represent the data for the organization. The icons represent the same navigation as the tabs in the 2nd navigation bar. They are formatted to provide the user with additional information without having to drill down through each section. 8
9 1.6 PROFILE Drone Logbook Profile The profile section is organized into multiple parts. When you login you land at the Your Information page. Your Information This section is information about the individual (Operator/Pilot) that is also used at the Subscription This section displays the current status of your subscription, the number of seats, and the expiration date. Organization The Organization contains the information about the organization (vs the Your Information which refers to the operator). The information in this section is used to pre-populate forms and reports. The user can also attach documentation to their profile by using the blue buttons at the bottom of the screen. At this time you can attach a pilot s license and medical certificates. In the future additional documentation can be uploaded. Organization The Organization tab allows the user to provide information about the organization. Like the user profile this information is used to pre-populate forms and reports. At the bottom of the page the user can attach documents that are assigned to the organization. These include compliance documents (government licenses and insurance documents) with additional document types to be added in the future. Organization Token The organization token allows the user to add other users to the organization. When a new user is created they will be asked if they are part of an organization. If they insert the organization token shown in your organization profile that user will become part of your organization. They will be allowed to enter equipment, flights and create reports. 9
10 2.0 DRONES/UAVS 2.1 Dashboard This dashboard allows the user to add a photo to their drone while also providing an overview of the flight history of each drone. To add a photo click on the photo icon on the far left and upload your preferred image. 2.2 Add A Drone To add a new drone find the Drone/UAV tab on the second (Grey) navigation bar and click the tab. When you arrive at the drone dashboard page. Find the Add Drone button and click it. Once you have clicked Add Drone a page will pop up that allows you to enter information regarding your drone. Name The name you assign your drone (eg.red Drone #4) Identification Tail number if required by a government agency Retired This tab is used to retire a drone from operations. The data is retained but hidden from current operations. Brand and Model The manufacturer and model number Purchase Date The date you purchased the drone Serial number The manufacturer serial number for that unit Notes User input notes regarding the drone 10
11 DRONES/UAVS 2.3 Edit Existing Drone To edit information on an existing drone. Go to the Drone/UAV tab. When you click the tab the drone dashboard will appear. Click the blue pencil icon next to Flights. This will open up the drone tab and allow you to edit the information for that specific drone. 11
12 3.0 BATTERIES 3.1 Dashboard The battery dashboard allows the user to gain an overview of all the batteries in inventory. The dashboard displays the following information. Name This displays the total hoursv used in the blue highlighted area Equipment Type (For Batteries they will all display battery) in the grey highlighted area. The final items is the name of the battery as input by the user Flights This displays the number of flights flown (This will become Battery Cycles) For Drone This field indicates if a battery is as signed to a specific drone or for all drones Purchase Date Date the battery was purchased Serial Number Serial number as assigned by the manufacturer or bar code generated by the user 3.2 Add A Battery To add a new battery find the Batteries tab on the second (Grey) navigation bar and click the tab. When you arrive at the battery dashboard page. Find the Add Battery button and click it. A battery contains the following attributes: Name This is the name assigned to the battery Retired This allows the user to retire a battery from inventory. All data will be retained. Purchase Date Date the battery was purchased Serial # - Manufacturer serial number For Drone If the battery is dedicated to a drone you can assign it Cell Count Battery cell count Capacity Total capacity (mah) Initial Charge Count Number of battery (re)charge cycles Notes User notes regarding the battery company: used to share item across all company pilot accounts. Once you have clicked Add battery a page will pop up that allows you to enter information regarding your battery. 12
13 BATTERIES 3.3 Edit Existing Batteries To edit information on an existing battery. Click the blue pencil icon next to Flights. This will open up the battery tab and allow you to edit the information for that specific battery information. 3.4 Charge There are two ways to add a battery charge to the system. The first is to add a charge when you are conducting flight operations and the second is to add a charge between flight operations (projects). If the user conducted a charge in the field and wants to attach it to a flight they would add the charge when entering the flight information into the system. Add Flight On the Edit Flight Details page scroll down and find the Add Battery Charge button. This procedure would add a battery charge and attach it to a flight. To add a battery charge not associated directly with a flight: Click Batteries tab on the 2nd navigation bar Find your battery on the dashboard Click Charges tab Click Add Charge 13
14 4.0 EQUIPMENT 4.1 Dashboard The equipment dashboard allows the user to gain an overview of all the equipment in inventory. The dashboard displays the following information. When you arrive at the drone dashboard page. Find the Add Battery button and click it. Once you have clicked Add Equipment a page will pop up that allows you to enter information regarding your drone. Equipment accessories attached to the drone; camera, gimbal, battery, controller...etc Equipment has the following information: Name This is the name assigned to a piece of equipment Retired This allows the user to retire equipment from inventory. All data will be retained. Purchase Date Date the battery was purchased Serial # - Manufacturer serial number For Drone If the equipment is dedicated to a drone you can assign it Type Equipment Type (Camera, Gimbal) Notes User notes regarding the battery Above the dashboard is a Show Retired button. This switch will toggle between currently active equipment and all equipment in the system (retired and active). 14
15 EQUIPMENT 4.3 Edit Equipment To edit information on an existing equipment. Click the blue pencil icon. This will open up the equipment tab and allow you to edit the information for that specific equipment. 15
16 5.0 CUSTOMERS 5.1 Dashboard DroneLogbook s customer section allows the user to store basic information about customers. The data captured in the fields is used to populate sections of our growing Preflight Forms section, saving the user time. In future versions of DroneLogbook the user will be able to sync with external CRM systems. This service is only available in Enterprise plan. 5.2 Add A Customer To add a customer to the system, click the Add A Customer icon. After the icon is clicked you will see a form with the customer details to be entered. Once you have clicked Add a customer a page will pop up that allows you to enter information regarding your customer. 16
17 6.0 LOCATIONS 6.1 Dashboard The Location section is where the user manages their location. All locations consist of a name given to the location and a latitude and longitude for compliance reporting. 6.2 Add A Location To add a location click the Add Location button. Once you have clicked Add location a page will pop up that allows you to enter information regarding your location. Name This is the name given to the location by the user Latitude / Longitude / Altitude Geolocation and altitude of the site Type- Type of flight at the location (Training, Inspection etc) Notes - Private note section (Private to the User) Public Information - Public notes (Public to the Organization) 17
18 LOCATIONS 6.3 Geolocation If the user does not know the locations latitude and longitude they can type in the closest known address in the Geolocation box and it will provide geo coordinates. These coordinates can then be used to create a location. 6.4 Edit Location To edit information on an existing locations. Click the blue pencil icon next to next to the blue button. This will open up the location tab and allow you to edit the information for that specific location. 18
19 7.0 FLIGHTS 7.1 Dashboard The Flights tab allows the user to enter and manage flights. The dashboard filters allow for the following: Free Text Search (for all flight content) Filter by Date Filter by Drone Filter by Customer and Job ID In addition to filters the user can select the Only My Flights button to filter out all flights not performed by the user. 7.2 Add a Flight There are three icons that allow a user to add a flight. Flights Tab on 2nd navigation bar Landings/Flights Icon Add a Flight button on the Dashboard On the following page select how you would like to import your flight. Add Flight Manual Entry Add Flight From Drone Log File Mass Import Flights 7.3 Add a Flight -Manual Entry To add a flight manually click the Add Flight - Manual entry button. 19

Once you have clicked Add Flight - Manual entry a page will pop up that allows you to enter information Name The name you assign to your flight Drone The drone assigned to the flight Project/Job Reference Client /Job Location Flight location Date Flight date Duration Total flight time Flight Type - Mapping, training, commercial...etc More Type Info- Field for additional data defined by user Equipment On Board List of equipment used on the flight Landings Number of landings for the flight Distance Traveled Distance covered during the flight Max Altitude Maximum flight altitude Notes User notes for the flight Add Info From Flightlog - All log data (latitude/long itude/altitude/speed, drone parameters) when flight has been imported. Battery Charge Any battery charges associated with this flight Pilots Flight Pilot and Operator Weather conditions- Detailed weather parameters: wind speed, temperature, cloud cover and humidity; can be auto-fill from a third-party web service. A weather conditions free text notes is also present. 20
21 FLIGHTS 7.4 Manual Entry - Add Info From Flight Log You can also import your flight log information from the following manufacturers the leading manufacturers like DJI. Click the blue Add info from flight log button on the right and follow the directions listed. 7.5 Manual Entry - Battery Cycle There are two ways to add a battery charge to the system. The first is to add a charge when you are conducting flight operations and the second is to add a charge between flight operations (projects). Fill out charge information in the dashboard that appears. 21
22 FLIGHTS 7.6 Manual Entry - Add Incident There are several ways to add an incident to a flight. The first is to add the incident at the time you add a flight to the system. When you add a new flight you arrive at the Edit Flight Details page. This is the page where you enter information for a new flight. On this page you will find an Add Incident button. The second way to enter an incident, if you did not enter it when you added a flight, is to enter it via your flight record. To do this, choose flights and scroll down to your flight. After you open your flight information scroll down to the section labeled Attachments. Choose Incidents and click Add Incident. When you save the incident it will be attached to your flight. 7.7 Manual Entry - Lost Link Events ( FAA Reported ) Lost Link Events are a requirement for FAA (USA) reporting and will appear on your monthly FAA report. The lost link events are entered when you enter your initial flight data on the Edit Flight Information form. 7.8 Manual Entry - Personnel Select your personnel from the pull down menus. 22
23 FLIGHTS 7. 9 Manual Entry - Weather DroneLogbook utilizes a 3rd party application to allow users to add weather data at anytime once a location and date have been entered. This 3rd party application will provide information on: Cloud Clover Temperature Windspeed Humidty In addition to the formatted data, users can also enter their weather notes as text in the Weather Conditions Notes section Add Flight - From Drone Log File DroneLogbook also provides the user with the ability to create flight records by importing flight logs from numerous manufacturers. Steps: Click Flights tab on the 2nd navigation bar When the page loads, click on Log Flight Analyser Click Addf flight from drone log file Choose your log file type from the list, upload the file, click analyze flight logo 7.11 Add Flight - Mass Import DroneLogbook allows you to migrate data and/or import flights with a comma separated value file (CSV). To import flights using this tool click on Mass Import Flights. There are instructions on the page and a file format the user can download to execute the mass upload. 23
24 FLIGHTS 7.12 Actions When viewing a flight that has been entered in DroneLogbook the user has four options when reviewing a flight. These are: View Flight Details This alows you to view the Flight Details Edit Flight Info The allows the user to edit a flights information from the Edit Flight Screen Edit Flight Media This allows the user to change the link to the sensor data (video ) Attach Documents This allows the user to attach documents to a flight 7.13 Actions - View Flight Details To view information for a flight that has already been created follow this procedure. Steps: Find the Flight tab on the 2nd navigation bar Find your flight by scrolling or using the filters Click the Actions button for that flight (3rd column) Find View Flight Info on the pull 24
25 FLIGHTS 7.14 Actions - Edit Flights To edit information for a flight that has already been created follow this procedure Find the Flight tab on the 2nd navigation bar Find your flight by scrolling or using the filters Click the Actions button for that flight (3rd column) Find Edit Flight Info on the pull down This procedure will open up the page to allow you to edit details of a specific flight. Once you have made the edits click Save 7.15 Actions - Edit Flight Media Edit Flight Media allows the user to change the link to the data collected from a drone flight (Video etc).dronelogbook does NOT store video on our server. This section allows you to link to another location NOT store the content Actions - Attach document The Attach Document link opens up the documents section from the flight chosen. This allows the user to attach existing documents to the flight. To attach a document to a flight the user needs to take the following steps. Choose your flight from the Flight section. (If you click on documents on the top navigation you will reach a list of documents but you will not be able to connect to a flight from this screen) Scroll down to the Attachments section Click Documents Click Attach Document After clicking Attach Document the user will be brought to the documents section. As the user came from a flight, that flight will be noted in a large green bar at the top of the screen. To attach a document to the flight the user would click the Attach to Flight icon. Please note- A document can be attached to more than one flight. 25
26 8.0 MAINTENANCE 8.1 Dashboard The Maintenance dashboard gives the user an overview of overdue maintenance and past maintenance. This is also the page where you can add/schedule future maintenance items. 8.2 Add a Maintenance The maintenance section allows the user to enter new maintenance items for drones and equipment. The dashboard consists of overdue maintenance and executed maintenance tasks. New versions will include upcoming maintenance. A maintenance event is a task performed on a drone or equipment. A maintenance event has the following information: Name - This is the name given to the event by the user Maintenance date - enter date Drone If the event is for a drone the user chooses the drone from the inventory list Equipment If the event is for equipment the user chooses the equipment from the inventory list Notes User input notes regarding the maintenance event Status - Maintenance completed, partially completed, postponed Expense Cost The user can track the cost associated with that maintenance event Expense Currency The user notes the currency (USD, Euro etc) Next Action On Creates a maintenance notice on the date entered for a new maintenance event Hours of Use Creates a maintenance after the drone has flown the number of hours entered 26
27 9.0 INCIDENTS 9.1 Dashboard The incident section allows users to view incidents entered into the system and find the flights associated with them. 9.2 Add an Incident There are several ways to add an incident to a flight. The first is to add the incident at the time you add a flight the system. When you add a new flight you arrive at the Edit Flight Details page. This is the page where you enter information for a new flight. On this page you will find an Add Incident button. 28 10.0 DOCUMENTS 10.1 Dashboard The Documents tab on the top navigation bar allows the user to create documents and preflight forms which can then be attached to flights (after a flight has been entered). This tab is ONLY for creating documents Add Document To attach a document to a flight the user would first need to choose their flight from the Flights tab, scroll down to the Attachments section, click Attach Existing Documents to get to the screen to attach documents. The Add Document button creates a form type with the content to be added later via uploading of an image or PDF. Title is what the user wants to call the document Document Type is a predefined field that defines the document category Document/Certificate Number allows the user to provide an identification number for the document Expiration Date allows an expiration date for the document Scope attached the document to a flight (Authorization Form etc), pilot (Medical Certificat etc) or organization (Government Approval etc) Customer (Enterprise Only) 28
29 DOCUMENTS 10.3 Add Preflight Forms Preflight Forms are electronic forms provided in a digital format that allows the user to operate without the need to import a hard copy. At this time there are 3 forms (listed below). The forms are in two sections. The top of the form (grey area) has content that is pre-populated from other sections to help minimize data entry. This information is used to fill out parts of the form in white. Any change to the text in the grey area will change text in the white area of the form. Once a form has been created it is put into the document list. To print a form click the File Action button on the right of the page and click View/Print file Add Photograph & Video Release The Photograph and Video Release form is used to document authorization to film individuals Add Authorization from Property Representative This form is used to document authorization from the property over which the operator will be flying. 29
30 DOCUMENTS 10.6 Add Plan Of Activity The Plan of Activity form is used to notify the local aviation authorities regarding your flight plans. 30
31 11.0 REPORTS 11.1 Dashboard DroneLogbook provides several reporting levels for our Pro and Enterprise Customers Compliance Reporting (Pro and Enterprise) Custom Reporting (Enterprise Only) 11.2 Creating a Compliance Report To create a compliance report: Choose regulatory agency from the pull down Choose date range from the calendar Create report This will create a PDF with the key metrics required to satisfy most regulatory agencies Creating a Custom Report (Enterprise Only) Customs Operations Reports are segmented into two sections. The first section is the Operations report. Operations reports are reports that entail an activity such as flights, maintenance, incidents and battery charges. These activities can be filtered by date, pilot, drone and customer. The second section is the Custom Inventory report. The reports generated in this section list the assets in inventory such as drones, batteries, equipment, locations, customers and personnel. 31
32 GLOSSARY Flights The flight section allows the user to track and append information related to flights A flight can be entered: Manually (on the web and mobile app) Imported: drone log file is uploaded on the website and analyzed.
