2 View and download information in a variety of ways: Create your own custom reports using the Report Wizard List attendees in your preferred order(s) alphabetical, by city, by country, by company, etc Track registrants who responded to specific ads or promotions Manage invitees who did not register nor respond Track people who registered but did not attend All reports on rsvpbook are downloadable and import easily into any spreadsheet program Share your reports with 3rd parties - login is NOT REQUIRED to view shared reports - all reports are upto-the-minute accurate; send to the caterer, the hotel, the shuttle company, colleagues and managers GROUP REGISTRAION GROUP WIZARD With the Group Registration Wizard enabled, your event can function in 3 modes: Register as an Individual Register as a Group Leader Register as a Group Member Group registrants can select a Group Code or create a new Group Code Group Codes can be Public (visible and menu selectable) or PRIVATE (must be typed) Set the maximum number of groups allowed to register Set the maximum number of registrants allowed per group The first member to create a Group Code becomes the Group Leader and is responsible for payment The Group Leader can be reassigned The group leader can pay for his entire group at any time in one transaction New registrants can register as a group member AFTER payment has been made for their group (a straggler) The group leader can return after paying for a group to again pay for straggler registrants The group leader can select various methods of payment on a per-registrant basis GROUP DISCOUNTS Set up any number of Group Discounts which have the following attributes: Define a Discount ID (displayed on the registrant collateral for audit purposes) Set the number of group members who must register to get the discount (called the Trigger) Select to whom the discount can be applied: Set a limit to the number of group members who can receive this discount Set the type and amount of discount: percent or dollar discount amount GROUP SALES Define different sales items for purchase by the 3 different registration modes: Individual - set up sales items with prices Group Leader - set up different sales items with different prices for the Group Leader Group Member - set up different sales items with different prices for Group Members rsvpbook.com How It Works v3.0 Page 2 of 9
3 GROUP CAPTURE INFORMATION Capture different sets of personal information for the 3 different registration modes: Individual - set up a set of questions to be answered by the Individual Group Leader - set up a different set of questions for the Group Leader Group Member - set up a different set of questions for the Group Member GROUP MESSAGES messages are sent: A registration confirmation is automatically sent to each registrant, whether individual or group Each time a registration is received for a group, the Group Leader receives an message that includes the new registrant's name as well as the list of all group registrants so far If a group member registers AFTER the group member has paid for the group, the Group Leader will receive an message notifying him to return and pay for the new registrant(s) (the stragglers) The Group Leader's confirmation contains the following information: the Group Code, a list of all current Group Members and a link to the payment page The Group Leader's confirmation contains a link that sends the group code to group members SESSIONS, TRACKS AND LOCATIONS SESSION WIZARD Set up an unlimited number of sessions, workshops, classes, tracks or locations Session Groups can be collapsed to minimize screen space; registrant can "spin down" the session list Specify whether or not attendance is required Easily specify all session details (topic and description, speaker, location, room, dates, times, audience) Organize sessions into Groups to set up attendee choices by time (1:30-3:30), day (Monday, Tuesday), location (Boston, New York) or any other division Connect the display of sessions to a question response - useful for setting up registrant types and then displaying only certain sessions for each registrant type Specify required attendance by group or session Hide the date and time for each session individually Send reminders to session attendees Set maximum number of attendees for each or any session, with automatic wait-lists Turn ON or OFF the display of remaining session slots on the registration page Be notified when registrants are approaching session attendance limits Easily move wait-listed attendees to attendee list when an opening arises and automatically notify attendee Move attendees from one session to another and let them know with an automatic confirmation Print out personalized session itineraries, one page per registrant include them in their conference packets or hand them out at the door rsvpbook.com How It Works v3.0 Page 3 of 9
