1 Clancy Catholic College Outside Tutors & External Providers Policy Policy Statement The school acknowledges its responsibility to ensure overall responsibility for the safety and welfare of students undertaking a program with an outside tutor or an external provider. The safety and security of students at Clancy catholic College is paramount and as such all reasonable steps are taken to ensure the wellbeing of students at all time. All existing school policies continue to apply and are complimentary to this policy. Teachers employed by the school actively supervise students involved in any activity provided by outside tutors or external providers. Occasionally, students may have direct, unsupervised contact with a tutor for a particular activity, for example a music tutor. In this event, the tutor must provide evidence of child protection checks as required under the current Legislation. If this evidence is not provided, the tutor will not be engaged by the school. From May 2010, outside tutors must provide the Certificate Number for Self Employed People to the school principle to verify that they are not banned by law from working with children in a direct, unsupervised manner. Procedures The appointment of an outside tutor or external provider at Clancy catholic College involves the following steps: 1. Examination of the applicants qualifications and experience by the Principal (or delegate) to satisfy the applicant s ability to deliver a particular program. 2. Contact with the applicants referees as deemed necessary by the Principal (or delegate). 3. Completion of Child Protection Screening as per Commission for Children and Young People s Act 1998 and any relevant CEO child protection policies and procedures. 4. Written statements from the outside tutor that the course will be taught in accordance with the BOS Syllabuses and assessed according to the requirements of the ACE manual. All documentation for each outside tutor/external provider is maintained in school files. This documentation may include records of agreement, copies of qualifications, names of referees, receipts, details of any special arrangements.

2 Definitions (Reference: Registration Manual Section 5) An outside tutor is any person whom the school has approved to deliver courses of study derived from Board of Studies Syllabuses. An external provider is any organisation that the school has entered into an arrangement with to deliver courses of study from Board of Studies Syllabuses. The delivery of such a course may take place on or off school premises. Attachments 1. Table 1 provides a summary of outside tutors/external providers engaged by this school. 2. External Provider form: This document is provided to an external provider of a particular program and outlines the responsibilities of the school and the external provider. A copy is maintained in school files. 3. Outside Tutor form: This document is provided to an outside tutor of a particular program and outlines the responsibilities of the school and the outside tutor. A copy is maintained in school files.

[Insert company name] and the school has an agreement regarding respective responsibilities as outlined in the following table. Signed Contractor s Letter of Compliance -CEO Child Protection Guidelines, 9.7 attached.
