4 Introduction This workbook has been prepared to help users who wish to create and edit web pages in the Silva Content Management System (CMS). It is aimed at those who are reasonably confident in using IT. An understanding of basic Web design would also be helpful. This guide can be used as a reference or tutorial document. To assist your learning, a series of practical tasks are available in a separate document. For any support related to Silva, please silva-support@ucl.ac.uk Document No. IS-130 October 2011
5 What is Silva? The Silva Content Management System (CMS) provides a way of maintaining and editing your website through a Web browser (e.g. Firefox, Chrome, Safari). No additional software is needed. It makes it possible for editors to concentrate on the maintenance of simple content as the system provides templating, auto-menus and breadcrumb trails. For more detailed technical advice, please contact silva-support@ucl.ac.uk Requesting a website / Web page(s) in Silva Once it has been decided that Silva will be used for your website / Web page(s), silva-support@ucl.ac.uk to discuss how to proceed. Alternatively, visit Building the site and making it live Once the site has been set up by Web & Mobile Services (WAMS), the person(s) responsible for building the site will be sent the URL and made Chief Editor for the site. Whilst building, the URL for the site will be e.g.: Throughout the site-building process, the URL will remain the same and it is not until the site has been thoroughly tested and approved by the Chief Editor and Web Services that an request must be sent to silva-support@ucl.ac.uk to ask for the site to go live. For technical reasons, we will need to be informed at least 5 working days in advance about a site going live and we don t make sites live in the weeks leading up to Xmas and Easter. You will be informed by when the site is ready for public viewing and you will need to set time aside for testing the live site before announcing its existence to the wider world! Access in Silva Silva allows for different roles. Web Services are Administrators, with overall responsibility for Silva. The following roles can be created in Silva: Chief Editor This role is generally only given to the person in charge of the website. Apart from being able to edit and publish content, a Chief Editor can also assign roles and permissions to Editors and Authors, restrict access to a site, change the look of the website using the attributes object, work with style-sheets, configure the Silva news service etc. Editor This role is more restricted. It allows the user to edit and publish material as well as manage subscriptions, but an Editor cannot assign roles and permissions. Author An Author is able to make changes to an existing site, but cannot publish, i.e. make the content live. When the page(s) the Author has worked on is (are) ready, a request for approval of the work needs to be sent to the Editor. You can see which role(s) you have in Silva in the bottom right-hand corner of the screen when you are logged into Silva. If you want your role changed or a new user added to the system, you should first speak to the site's Chief Editor. If you are not sure who this is, silva-support@ucl.ac.uk and state the URL of the site. UCL Information Systems 1 What is Silva?
6 Good practice Please avoid using the browser Internet Explorer when editing in Silva. Users can view the pages using any of the common browsers available, such as Chrome, Internet Explorer, Firefox, Safari etc. Logging on In order to login to Silva, ensure you navigate to the relevant page in your Web browser and scroll down, if necessary: 1. Click on the grey cross icon at the bottom right-hand corner of the webpage. You may need to scroll down the page to see the grey cross. 2. Log in, using your UCL username and password. 3. Click on OK. 4. You will now see the Contents screen of your website. Alternatively, you can type /edit at the end of the URL and press Enter to bring up the login box. Logging off To log out of Silva, scroll to the very bottom of the page you are in and click on logoutreader/editor etc. at the bottom right-hand side of the page and follow the instructions given. 7 User settings When you access Silva for the first time, we urge you set your user settings, allowing Web Services to contact you by in case of upgrades, outages etc. It also allows you to set up Silva for easy editing in the Kupu 1 Editor. Note: you only have to do this once for each website. To set user settings: 5. Log on to the Silva site and make sure you are in the Contents screen. 6. Scroll to the bottom and click on user settings at the bottom-left of the page: 7. Put in your address. 8. Choose Kupu for your preferred editor. 9. Click on Save then Close. Layout The look of a website in Silva is controlled by its template. Normally, a page will consist of either two or three columns. The column to the far left will contain the site's table of contents and is used for navigation. We are currently recommending the Corporate Identity Template. The middle column will contain the main content, whereas the column to the right can be used for extra information, either pertaining to the site as a whole, or, where relevant, to one or more individual pages. Once you are in the Contents screen in Silva, the homepage will always be called index. If you decide to add a separate right-hand column, that will need to be called index_right.. You are likely to have a number of folders as well. Each folder comes with an index page automatically created inside it. Files and folders will be placed above a thin grey horizontal line whereas extras, such as the UCL attributes modifier and CSS style sheets will automatically be placed below this line. We recommend you place images in a specially created folder, called Images. NB It is vital that you plan the structure of your website on paper first, and that the first thing you do when starting a new site is create all the necessary folders and pages to set up the structure of the site. 1 Kupu is Maori for word, statement or remark, and kupu-kupu means 'butterfly' in Indonesian, hence the blue butterfly logo used by Kupu. 8 Useful features Adding spaces in lists You will be familiar with using bullets or numbers for lists. Often users would like to create a space between items or use outline numbering. Both of these features are possible in the Silva CMS. Adding a space between bullets or numbers of an existing list To add a space between an existing bulleted or numbered list: 1. Ensure you click at the end of the item after which you want to insert the space 2. Press Shift + Enter 3. Save and preview the page. Note: It is not until you have saved the page that you can see the result! 4. If you are happy with the result, click on the browser s back button to return to your page to publish and view the page. Add a space between bullets or numbers in a new list To add a space between a list of bullets or numbers: 1. Ensure you click at the end of the item after which you want to insert the space. 2. Press Shift + Enter. 3. Press Enter again to get to the next bullet or number. 4. Continue this process until you have added all the spaces. To delete an existing space between bullets or numbers in a list To remove a space, use Shift + Backspace. Adding an link with prescribed Subject line If you receive a large amount of s, and are putting an link on a web page providing users with the opportunity to make enquiries, for example, you could set up a rule in your client, allowing you to filter all s with enquiries and have these sent to a particular mailbox. In Silva, you can set the Subject line so that users do not need to complete this themselves. When a user clicks on the link, their client will open automatically, and the Subject line will already be completed for them. To provide a Subject line in s: (the example here is Enquiry about Admissions ) 1. Ensure you are in the relevant page. 2. Select the text you want to make into an link. 3. Expand the Link tab if necessary. 4. Type mailto:joe.smith@ucl.ac.uk?subject=enquiry about Admissions Helpful hint: Follow the normal address immediately by:?subject=where you write the subject line. 10 Reducing the length of a Folder Title Sometimes the Title of a Folder, which becomes the navigation in the left-hand column, as well as the navigation in the breadcrumb-trail is too long. You can create a shorter version to replace the longer title so as to fit better in the left-hand column and the breadcrumb-trail. To reduce the length of a Folder Title: 5. Ensure you are in the relevant Folder in Silva. 6. Click on the Properties tab. 7. At the top, type a shorter version for the Title. 8. Click on Save. The link in the left-hand navigation column should now have been replaced by the shorter version as well as the breadcrumb-trail link. Applying password protection In Silva you can apply password protection to a Folder/Page, allowing only e.g. UCL staff to access the contents of the Folder/Page. To apply password protection: 9. Log on to the relevant site in Silva. 10. Ensure you are in the Contents tab. 11. Click on the Folder/Page you would like to password protect. 12. Click on the Access tab at the top. 13. Scroll right down the page until you see the UCL LDAP Groups panel to the right. 14. Select UCL Staff from the list of possible groups. 15. From the dropdown menu, directly below that list, select Viewer and click on Assign. 16. Scroll right down the page again until you see the Public View Access Restriction For panel. 17. Set the restriction from the dropdown menu to Viewer and click on set restriction. From now on, only UCL staff can view the contents of this Folder/Page after logging in with their UCL userid and password. Useful features 6 UCL Information Systems
11 Adding extra features The Silva CMS allows you to add a variety of things to your basic Web page. These extras can be found to the right-hand side of an active Silva page and can be accessed by clicking on the arrow pointing to the right for each feature: Adding an image (Silva Image) It may be necessary or desirable to add images to your website. We recommend you prepare your image for the page in advance i.e. decide on its size etc., using software like IrfanView, Photoshop Elements or PaintShopPro. The image should always be less than 500kb. When adding an image to your website, remember that you first need to upload the image to your Silva site before you can add it to the relevant Web. We highly recommend that you always create an Images folder to contain any images you would like to add to the website. If you have many different folders, it is good practice to create an Images folder for each separate folder. Due to unforeseen circumstances, your job may suddenly have to be done by someone else: one reason why we recommend clear file management. Important information about images The average size for a large image is 80Kb. There are almost no circumstances where your images should exceed 500 Kb resizing them inside Silva will make them smaller, but the original size still counts and will make downloading the web page slower for the user conclusion: resize images BEFORE uploading them to Silva. You can decrease image dimensions in Silva, but never increase dimensions, as image will become blurry and pixelated. The width of the middle column is 502 pixels. The width of each of the left and right columns is roughly 200 pixels, but do play around with the width of an image to get the best result. You will need appropriate permissions for each and every image you put on a web page that includes images taken from Google Image Search! You can buy images, but first check UCL s large and free(!) 12 You can attend Photoshop courses through ISD s IT Training department: If you don't have access to or don't know how to use PhotoShop, there are many free online tools to resize and crop photos. e.g. Web & Mobile Services can help with images. Any questions, silva-support@ucl.ac.uk You MUST give each image a simple and clear title this is called Alt text ; not giving images alt text will influence your ranking in Search Engines. It also is required for reasons of accessibility as users with a visual impairment may listen to a Web page and will thus need an explanation of each image. Q.: Where do I put the alt text in Silva? A: When you upload an image, you are asked to give the image a title - this becomes the 'Alt text'. Finally, it makes sense to take an overall view of your website and suggest standard sizes for different types of images on your site, so that the overall look is clean and professional. Adding an image to the website To add an image to the website: 1. Ensure you are in the Contents screen. 2. Open the Images folder that is to contain the image. 3. Click on the drop-down menu next to new and choose Silva Image. 4. Browse for the image on your computer. 5. Select the image and click on Open. The file-path is now visible to the left of the Browse button. 6. Fill in the title. This is important as the title is used by screen readers to become the Alt 2 text of the image. 7. Click on save in the bottom right-hand corner. 8. The image is now visible in the Contents screen, either in the Images folder chosen or below the horizontal line. 2 Alt text provides alternative text when the image cannot be displayed; it can also be read out by screen readers. 13 Adding an image to the Web page To add an image to the Web page: 1. Ensure you are in the Contents screen. 2. Ensure the image is already saved in a relevant place in the Silva website. 3. Click on the page where you wish to add the image. 4. Click on new version if the page has previously been published. 5. Place the cursor where you wish to place the image. 6. Expand the image tab, if necessary. 7. Click on the get image reference button. 8. Put a tick next to the relevant image. The image is now placed on the relevant page. 9. Click on the save icon. Aligning an image It may be necessary or desirable to align an image on the Web page. To align an image: 1. Ensure your image is selected. 2. Expand the image tab, if necessary. 3. Click on the drop-down menu next to image alignment to choose the alignment. 4. Click on update image. 5. Save and publish the page to see the result. Editing an image 1. You may want to edit the image to the right number of pixels. 2. Ensure you select the relevant image first. 3. Click on edit image a new tab opens 4. You have 3 options to indicate height and width: a. Choose a percentage of the current image size e.g.50% or b. Type in the exact pixels for height and width c. Let Silva work out either height or width by typing only pixel width x* or *x pixel height 5. Click on change 6. Close the tab and save and preview before you publish. 14 Adding a table There are four types of table in Silva: plain, plain-grey, grid and datagrid. If you are thinking of a very basic layout, i.e. the left-hand side of the page for text and the right-hand side for an image, then using a table is acceptable from an accessibility point of view. However, for a more complex layout, please contact silva-support@ucl.ac.uk Adding a table for data 1. Ensure you are in the relevant page. 2. Decide how many rows and columns you wish to add. 3. Expand the table tab, if necessary. 4. Next to rows, type the number of rows required e.g Next to columns, type the number of columns required, e.g Tick the box next to heading and give your table a heading (for accessibility reasons!) This heading will be read out by screen reader software for people with a visual impairment so please use this! 7. Click on add table. The table will now appear on the Web page. 8. 15 Adding a file (Silva File) preferably a pdf It may be necessary to add a link to a file on your website. Just as with images, you first need to add the file in question to the website before you can make a link to it. We highly recommend using only PDFs. Adding a file to the website To add a file to the website: 1. Ensure you are in the Contents screen. 2. Open the folder that is to contain the file. 3. Click on the drop-down menu next to new and choose Silva File. 4. Browse for the file on your computer. 5. Select the file and click on Open. The file-path is now visible to the right of the Browse button. 6. Ensure you add an id including the file extension e.g. visitors.pdf 7. Click on save in the bottom right-hand corner. Adding a link to a file To add a link to a file on a web page: 8. Ensure you are in the page from where you want to make the link. 9. Select the text which will be the link to the file. 10. Ensure you add (pdf) after the file s name 11. Ensure you include the word (pdf) in the selection This is so that someone using a screen reader will hear it is a pdf! 12. Expand the link tab if necessary. 13. Click on get link reference. 14. Tick the relevant file in the Contents screen to place the file on the page. 15. Save and publish the page. 16 External Sources Adding external sources or widgets to your site The Content Management System (CMS) Silva is open-source which means that it is possible to develop code for the CMS as and when required. The current so-called external sources are extras, allowing users to add these to their site if they wish to do so. Examples of such extras are having images appear at random i.e. every time a page gets refreshed, a new image from the image-repository will be shown or a table with tabs, allowing the user to navigate easily between relevant pages. There are currently over forty external sources available to users and the number is growing steadily. NB DO NOT NEST EXTERNAL SOURCES i.e. use an accordion inside a tabbed box feature. Since most external sources are quite similar in the way they are set up, this manual will only highlight the most commonly used ones. For any further support, please contact silva-support@ucl.ac.uk Adding a horizontal rule to a page You may want to add a horizontal rule to a page to divide 2 specific areas. The rule is a thin line indicating to the reader to expect a change, something new etc. e.g.: NB: It is not possible to change the width or colour of the line, unless you apply CSS. 1. Ensure you are in the page where you want to create a horizontal rule. 2. Click on the space where you want to insert the horizontal rule. 3. To the right, click on external source to show the drop-down menu. 4. Click on the drop-down arrow to expand it and select HTML: add horizontal rule 5. Click on the green add external source button. 6. The phrase Silva Course Source: <<HTML: Add horizontal rule>> will appear in a yellow box, indicating that the code source is now inserted. 7. 17 Add related information You may want to bring some information to the attention of the user. The external source add related information allows you to create a box and align this right or left that makes its contents stand out. 1. Ensure you are in the page where you want to add related information. 2. Click on external source to show the drop-down menu. 3. Click on the drop-down menu to expand it and select Misc: add related information to show the following: 4. alignment: you can choose from float left, float right or none. heading: this will appear at the top of the box. body content: the information you want to provide. link text: if you provide a URL, you can make the link text a link to this URL. link url: the URL with further information Example of the Related Information external source: 5. Click on add external source, save, preview and publish now if you have the required result. Display quotation This works in the same way as Add related information in that you supply the Author, the Quote and if you would like to have a link from the Author s name, you provide the URL for that. 18 Add Silva documents into two columns You may want to divide a web page into 2 columns with separate headings, for example: To do this you are best advised to prepare the two separate pages in advance and ensure you name them appropriately so that when you link to the document in question, you know it is the document you would like to appear on the left. You could, for example, call the documents: news-left and research-right. 1. Ensure you are in the page where you want to add 2 columns. 2. Click on external source to show the drop-down menu. 3. Click on Includes: add Silva documents into two columns to show the following: 4. Click on the get reference button and navigate to the left document and ditto for the right one. 5. Make the remaining choices depending on your needs and click on add external source. 6. Save and preview and publish the page when ready. External Sources 14 UCL Information Systems
19 Add a tabbed box To allow a user to quickly find what they are looking for, a tabbed box can be a good solution. NB You can only have one tabbed box per page! Step 1 1. Create a Silva folder with no index page and call it Tabs. (ensure the id is in lowercase) 2. Inside the folder Tabs, create as many Silva documents as you want tabs. NB There is a limit to how many tabs you can have. Too many and they start wrapping. 3. Give the Silva documents short titles as the longer the title, the fewer tabs you can use. 4. Publish all the Silva documents (you can add text later). Step 2 5. Go the page where you would like the tabbed box to appear. 6. Click where you want the box. 7. Click on External source and choose Includes: add tabbed box 8. Click on add external source. 9. Save and preview the page. 10. Publish the page. NB It is not recommended to put too much text in each tabbed box. If you need a lot of text, maybe another solution would be better. E.g. headings with anchors. Add an accordion You may want to allow users to quickly distinguish between different options. E.g. you have 3 MScs on offer, but they have different modules each. By providing the user with an accordion, they can choose the MSc they are interested in, click on it and quickly scan the modules available. Step 1 1. Create a Silva folder with no index page and call it Accordion (ensure the id is in lowercase). 2. Create as many Silva documents as you need accordions inside the Silva Folder e.g. MSc in A, MSc in B, MSc in C. 3. Publish the Silva documents. Step 2 4. Go to the page where you would like to show the accordion. 5. Click on External source and choose: Includes: add an accordion. 6. Click on add external source. 7. Save and preview the page. 8. 20 Add a carousel slideshow You will need to add images to your website first. Step 1 1. Create an Images folder on your site and add the relevant images. Step 2 2. Go to the page where you would like to add the carousel slideshow. 3. Click on External Source and choose Images: add carousel slideshow. 4. Click on add external source. 5. Click on the get reference button at the top to add your Images folder. 6. You can adjust the width and height of the carousel as well as the width of the thumbnail strip. 7. You will need to provide the Filmstrip Frame Gap we suggest Make any other changes you see fit and click on add external source. 9. Save and preview the page. 10. Publish the page. Insert HTML code You may need to add some HTML code to your Silva page in order for a particular feature to work e.g. a YouTube video, a link to a Twitter feed etc. 1. Ensure you are in the page where you want to add the HTML code. 2. Click on external source to show the drop-down menu. 3. Click on the drop-down menu to expand it and select HTML: insert HTML code. 4. Click on add external source to open a box within which you add the relevant HTML. 5. Click on the green add external source button to insert the HTML. 6. Save and preview the page to see the result. 7. Publish the page. Adding Twitter Twitter allows you to create a so-called widget in Twitter itself. You need to have the account name and password and then find the instructions in Twitter under /Settings/Widgets. Once you ve created the widget, you need to copy the ID e.g This ID you require to add Twitter, using the External Code source: Social Media: Twitter, where you need to complete the TwitterUserID e.g. UCLISD and the Widget ID which is the large number. Add the external source and you will see the Tweets on the page where you pulled in the external code. External Sources 16 UCL Information Systems
21 Adding a link to IRIS You can visit the IRIS database at The IRIS database pulls in data from the HR database (Biography) and from RPS (Research publication service) and can be edited by the individual researcher. There are 3 types of links: 1. IRIS Department 2. IRIS Research Group 3. IRIS Researchers Profile Information on how to add a link to IRIS, can be found here: Adding a direct link to RPS (Research Publications Service) In Silva you can provide users with a link to their publications in the Research Publications Service. Adding a link to a user s publications: 1. Ensure you are on the correct web page. 2. Type the text from where you want to link e.g. J.Patel s publications 3. Select the text. 4. Click on external source. 5. Locate Includes: Research Publication Data. 6. Click add external source. 7. Add the user name(s) of the relevant person/people. 8. Tick the box if you d like publications in the press to show. 9. Click add external sources 10. Save and publish the page. The link will now show the person s publications. It is possible to link to a whole department s publications as well. UCL Information Systems 17 External Sources
22 Further extras Notifying an Editor of a change Anyone whose role is Author in Silva, cannot publish anything. An Author needs to notify an Editor or Chief Editor to get their change(s) published. Any changes made by an Author in Silva, when requested to publish, automatically trigger an to the relevant Editor to ask for the change to be published. The Author needs to save the page(s) in question, click on the Publish tab and write a message (not obligatory) to the Editor and click on request approval. If the Author would like to make another change at that stage, he/she can withdraw the request by clicking on the withdraw request button, make the change, save and request approval again. The Editor will receive an requesting approval and publish the page(s) if appropriate. Reducing the number of Addables (Chief Editor) You may want to make editing a Silva site as easy as possible for other Editors/Authors in your department / group etc.. One way in which you can make things easier is by reducing the number of things Editors/Authors can add from the dropdown menu in Silva contents. Rather than see everything you can possibly add, you can reduce the list and just show the necessary items e.g. Silva Document, Silva Folder, Silva Image, Silva File. To reduce the list of addables : 1. Click on the Properties tab. 2. Click on the Addables button (top-left) 3. Remove the ticks from the relevant boxes 4. Click on save addable settings (bottom-right) Adding a Back to Top link 1. Type Back to Top at the bottom-left of the relevant page. 2. Select Back to Top 3. Expand the Link tab, if necessary. 4. In the Link box, type #header 5. Click on add link. 6. Save and publish the page. NB The Back to Top link may not work in Preview mode. Further extras 18 UCL Information Systems
23 Adding an anchor You may want to provide users with a link to text further down a page, to avoid them having to scroll. This is called an anchor and creating such an anchor is a two-step process: Step 1 'drop the anchor' i.e. this is where you want the user to 'land' Step 2 'link the anchor' i.e. this is where you want the user to 'jump from' It is important to follow the steps in the order suggested above. To create an anchor (Step 1): 1. Ensure you are in the relevant page. 2. Go to a space ABOVE the word / phrase where you want the user to 'land'. NB Make sure it says plain in the style dropdown and not e.g. heading etc. 3. Click on the arrow next to anchor/index item to open it. 4. Click in the anchor name box and type a word which describes the anchor e.g. admission Be careful to type it with no spaces and in lowercase. 5. Click on add element. The selected word/phrase will become yellow with square brackets around it. To create a link to the anchor (Step 2): 1. At the top of the page, first type and then select the word / phrase you want the user to 'jump from'. 2. Expand the Link tab, if necessary. 3. Type a hash (#) followed by the anchor name. 24 Adding an index_right page You may want to add a right-hand column to your website. You could even have a different right-hand column for each folder, if required, by placing an index_right Silva document inside the relevant folder(s). This would override an existing right-hand column of your template. In preparation for adding a right-hand column to a folder, make sure you have a UCL attributes settings file. 1. To add such a file to the folder in question, click on the drop-down menu next to new and choose Silva UCL Attribute. 2. Open the UCL Attributes file and tick the box Allow Content in Right Column. To create an index_right column: 1. Ensure you are in the Contents screen. 2. Create a Silva document and save it as index_right (id) and give it a relevant Title, such as Quick Links, Resources etc. You can now add links, text and even small images to this column. 3. Save and publish the page. 4. You should now be able to see the right-hand column. Hint: If you would like to have a different right-hand column inside one or more of your folders, you will need to create an index_right inside the folder(s) in question first. 25 Style sheets In order to change the style of e.g. font, table etc. you can create a style sheet. You would need to know CSS to be able to do this and we must point out that CSS is NOT supported at UCL i.e. if you make changes and things start going wrong, we will not be able to help! Because of this we strongly recommend you first discuss any such changes with silva-support@ucl.ac.uk as there is always the danger that what one web editor achieves with CSS cannot be replicated if he/she leaves the job to someone else. If you want to create your own style sheet, you need to save it at the top level of your site for it to be automatically applied to any subpages/subfolders. Alternatively, you need to place it inside the relevant folder. To create a style sheet in Silva: 1. Ensure you are in the Contents screen. 2. Click on the dropdown menu next to new and choose Silva style sheet. 3. Click on Save. 4. Choose Custom CSS from the dropdown menu next to change. 5. Add your CSS. 6. Remove the CSS Prefix #centercontent 7. Click on save changes. The changes will now affect all the pages on the site.
