1 Secure User Guide Receiving Secure from Merchants Bank Contents This document provides a brief, end-user overview of the Cisco Registered Envelope Service system which has been implemented by Merchants Bank. Why Secure ? When someone sends you an , the typically travels over the internet in order to be delivered. that travels over the internet is inherently unsecure. Consequently, it can be read fairly easily by someone other than you. When financial information, health care information, or other sensitive information travels by , interception by an unauthorized person may compromise your privacy, may violate the sending organization s internal security policies, and may violate state and federal privacy regulations. Because of these concerns, we are implementing a change in the way we deliver sensitive, private . This change will allow to be encrypted before it is sent over the internet so that only the intended recipient will be able to open the message. What s Will Be Encrypted? The sender of the will make the decision to encrypt the before sending it to you. The sender may know that either the or an attachment contains sensitive information and thus requires encryption. Enrolling in Our Secure System The secure s we send are called Secure Envelopes. In order for a Secure Envelope to be created and read by you, you need to register with our secure system. The enrollment process will take under a minute. The first secure envelope you receive, and all future secure envelopes, will arrive as attachments to a regular in your Inbox. To open the secure envelope, one typically downloads and opens the attachment; note that the secure envelope attachment is called securedoc.html. 3 Registration The first time you open a Secure Envelope, you will be prompted to register with Cisco. The envelope will display a Register button, as follows: Clicking on the Register button will redirect you to the Cisco enrollment page. Our enrollment page will have our logo, but will look much like the example below. You will also be asked to provide the answer to provide a personal security phrase. If you ever forget your password, you ll be asked to repeat your personal security phrase in order to reset your password. You will only have to enroll once, no matter how many secure s you receive. Once you fill in all the information on the enrollment page, click the register button. You will be taken to this page: PostX User Guide: Envelope Recipients Page 3 of 8 Merchants Bank

4 Activation To ensure security, Cisco requires that newly registered accounts be activated. Cisco will send an activation to your account, which includes instructions on how to complete the activation process. Note that the Activation s are sent from Cisco, not from Merchants Bank. If you do not receive the Activation in a timely manner, please verify that your system to see if the Cisco Activation has been identified as spam. The is sent from [email protected]. To complete the activation process, simply click on the Click here to confirm this address link. You will then receive the following message. You can now begin to use the Cisco secure system. 5 How Do I Open a Secure ? When you receive a Secure , you will receive the following message: The will have an attachment, usually named securedoc.html. Open the Attachment When you receive the , double-click on the attachment. You will then be asked for your password on a web-page that looks something like this, except with the Merchants Bank logo. 6 Viewing the Message Once you open the Secure Envelope, you will see the contents of the original message, including any attachments. What you will see will look something like this: You can now read the message, and by clicking on the attachments (if there are any) you can open or save them. Replying to a Secure Envelope When you open your Secure Envelope, you will see the contents of the message and two reply buttons: Reply and Reply All. Simply click Reply (or Reply All) and you will be brought to a secure website where you can construct your secure reply. The page will look something like the image below. 7 Generating a Secure There may be an occasion when you want to generate or begin a secure . To do so, simply go to and click on the PXMail Login in the upper right-hand corner of the page. At the next screen, click on the User Login link; you must provide the appropriate username and password to continue. To create a secure , click on the Compose link; you will see a screen like this: Simply fill in the address of the person you wish to send your secure to, fill in your message, add an attachment if appropriate, and click on the Send button. 8 Other Common Questions When I send a Secure Reply, will it be in my Sent Items folder? No, because your Secure Reply is not sent using your system, it will not keep a copy in your Sent Items folder. What if I forget my password? If you forget your password, you can reset it by going to a web page for resetting passwords. A link to this page can normally be found on the that accompanies the Secure Envelope, or on the Secure Envelope itself. Do I need to install any software on my computer in order to open and read a Secure Envelope? No. All that is needed is a web browser such as Internet Explorer, Netscape, Firefox, or Safari. When I open the envelope, I see something like this. What is it? This is a message that most browsers display when you connect to a secure web-site; it allows you to confirm that the security certificate is valid.
