2 Minutes of November 15, 2015 Post Office Address: Area meeting held at: Greater New York Regional Service Office PMB # Christopher Street, Suite 1A (basement) 70-A Greenwich Avenue Next meeting December 20, 2015 at 2:00pm New York City Contact: Dave C, Area Secretary: Or Roland W, Area Chair: Steering Committee Minutes: Steering opened at 12:30, but secretary wasn t in attendance for Steering until 1:14. 1:00 RCM Steering Report Position open RCM from Manhattan: reported on upcoming events and filled out the GNYRSC Are Report 1:25 Treasurer s Steering Report $250 for Lit. Chair were not allocated from last month as the Motion was still outstanding Treasure would like to extend her sincere gratitude for the opportunity to serve. This is her last day as Secretary. New Treasurer will take on the duties moving forward. 1:30 Ad Hoc Birthday Committee Met with facility regarding the Marathon on April 2 nd, but it was not available. The next available date is April 9 th. It will be a $300 deposit that will be returned back the once the basement is cleared. It will run from 4:00pm to midnight, with one hour on either side reserved for setup and breakdown. There will be capacity for people with chairs and tables set up, 400+ if we do not set up tables. The cost will be $100 an hour for the event. We have the use of a podium with microphone, a loudspeaker, a small kitchen and wheelchair accessibility. 1:35 Literature Chair Steering Report We have the physical copy of the newly-approved literature form. It will be available on the website as well. Lit. Chair sent the Christmas flyer to the RSO and it is pending approval 1:35 Secretary Please note that the November Treasurer s Report went out prematurely with last month s minutes. s will receive it again this month for consistency. Registration forms are on the table outside Chair and Vice Chair did full inventory of storage unit for holiday marathons. Roland is working to finalize with manager at Catholic Charities. Roland will continue to work until the agreement for those dates is in place. de facto events coordinator compiled resources for Thanksgiving Marathon (turkey, etc.) Tuesday November 24th at 2:00 volunteers needed to move supplies from storage unit to Cardinal Spellman. Storage unit is at 220 South St. Went to St. Anthony s at 154 Sullivan St. to begin to prepare for the Birthday Bash. It will be $100/hr. for the facility. We will use 8 hours from 4-12, for which we have 1 hour to set up (3-4) and 1 hour to break down (12-1)
4 New tentative date is Saturday, April 9 th. If anyone would like to volunteer, give your information to Chair. The admin body will bring forth a financial motion in January to reserve $300 for the deposit, which will be returned when the basement is cleared. We only have 2 required events, according to policy. During Steering, a member suggested that we amend our Policy such that each month, beginning after our Birthday Bash, we start to set aside funds for the next Birthday Bash. One motion up for group discussion, presented by the Bleecker St. Group. Vice-Chair Report: Has been attempting to spearhead the PR/Events & Activites Subcommittee, but no one has shown up. Will not continue to wait for attendees until someone expresses interest to him. s should take this back to their groups. Contact at if there is interest in PR participation. Expressed real interest in the PR position, but he would like to research the position first. RCM Report: Region met yesterday All positions were voted on and filled. Ad Hoc Work Groups: o Road Service Work Group information, learning day, for other areas. Road Service will take care of the rent and will likely follow these events with a dance and some food. Their first stop is in Staten Island. They re planning an event and they put in a motion for $700 to fund it. o RSO Feasibility met to determine the business feasibility of the Regional Service Office. Due to high rent and low business conducted (re: literature, materials, etc.), it s necessary to run a cost-benefit analysis of running the RSO. Chair Report public information committee now has a YouTube account. The Drop Box was problematic Vice-Chair nothing to report Secretary would like for others to step up and consider the position Regional Delegate sent to represent New York Region at the Zonal Forum. He visited this conference and the USCC Conference. He was received well. Bob also volunteered to attend botht the Zonal Forum and the Service Conference. RD continued that the CAR will be out November 25 th. We will then circulate to the groups, who will make suggestions to be reviewed at Area and then reviewed at Region. Wondering if we should have a symposium because we are next in line to have a full weekend of conferences. RD will look into viability. Also traveling to Mid- Atlan H&I H&I Learning on the 23 rd. Joyce will be nominated for H&I Vice-Chair. Helpline most of the 24-hour day is covered due to high rate of volunteering. PI Chair holding a Learning Day. His concern is that the Region is giving a convention but PI was not contacted. Project Coordinator last report. Conducted Work Group for Traditions Working Guide. The final draft has been finished. He has flown to California to meet with 12 other addicts and return with a draft for this Working Guide, which will be presented and reviewed at MARLCNA. Outreach speaker exchanges between Suffolk, Brooklyn and the Bronx. There is now a committee that will answer letters from institutions. Next Outreach meeting will be held next Saturday at 4pm at 154 Christopher St. BOD having trouble getting the shopping cart online to work properly. Novelty items for sale (bookmarks, calendar, shades, etc). Gave out convention guidelines. The Chair has one now. Concerns from the RCMs that the Areas are being made to pay cash for their orders but are not getting what they ordered. They can now make a $10,000 literature order, so we should not expect items to be on backorder any longer. does a great job of keeping meeting lists up to date. Other areas are having trouble. You can now Web Chair at webchair@newyorkna.org when there are updates until someone fills this position. Motion to upgrade the website because on some computers the formatting is loading incorrectly. Site architecture is denying some users the ability to read events on the calendar. Motion: take 3 bids from a website professional to upgrade the website so that all users on all browsers can read the website the same. Treasurer final report: $4,091 in the bank, Areas voted to donate $1,000 toward rent for the facility because it s $1,200/month. Due to limited supplies, sales at the RSO are limited. Nominations & Elections: Robert W was nominated as the Regional Delegate Alternate and was immediately appointed to the position due the arrival of the CAR and necessity. RCM putting in a financial motion to attend MARLCNA, $300, in Lancaster, Pennsylvania. Areas look at the CAR motions and give feedback. MARLCNA is the 5 th, 6 th and 7 th of February.
5 Treasurer s Report: Has completed her commitment but could not attend the Area portion of today s meetings. She had to leave at the end of Steering. Working balance for Nov. $503.64, today s expenses $1,273.02, leaving -$769.38, so far group donations have numbered $565.43, leaving -$ This number will change by the end of the meeting. Final balance pending the end of the meeting. The prudent reserve is $2,000. Secretary: Note that the November Treasurer s Report went out prematurely. It will be circulated again with the November minutes for clarity. 3:00 Reports: Bleecker St,, meets Tues 8pm at 113 Baxter St. Everything good with meeting, good attendance. Have filed a motion for submission. No donation. Breaking the Chains,, meets Wed at 7:15pm. Nothing to report. Donating $38. Cover to Cover,, meets Monday 7pm. All is well, elections next month. Freedom Group,, meets Fri 7pm at 630 E 6 th St. We will be closed on Christmas and flyers about the marathon will be at the front desk of the facility. We will be tentatively open on New Year s Day. 6 Hospitals and Institutions: 20 people in attendance Now only one open commitment remaining, the alternate for the MDC commitment, but the Chair is currently covering this open commitment. The subcommittee voted on the H&I policy changes and approved them all the s will be requested to vote to approve. The Greater New York Region H&I Chair is re-running for the H&I Chair and was elected. The additional commitment at the VA Hospital on Saturdays has been tabled until Announcements for the Website: NYC Area H&I Subcommittee meets the 2 nd Saturday of every month at 1pm at 154 Christopher St, the Greater New York Region H&I Subcommittee will have a Learning Day on Saturday, January 23 rd at 12-4pm at 154 Christopher St. Helpline: We are looking into Google Calendar so that volunteers may sign up for shifts online. Our next meeting will be Mon Dec. 7 at 7pm at 154 Christopher St, and will be a quarterly meeting at which all volunteers are expected to attend in person or online. This will give potential volunteers a chance to talk to experienced volunteers about helpline. Point of information: if s see outdated meeting lists at more than one meeting, pull them, bring it up to the group, and replace them with new meeting lists. It s a simple courtesy that is easy to address to make sure that addicts in need have the appropriate information. 2 nd Point of Information: if there is a young meeting with few experienced members, it is the duty of more seasoned members to step in and provide guidance, potentially in the form of a service commitment.
