1 Portfolio ShowCase 8 ARTIST INSTRUCTIONS FOR EXHIBITING AT THE CENTER FOR FINE ART PHOTOGRAPHY Congratulations on being selected for exhibition at The Center for Fine Art Photography. In order for our scheduled exhibitions to run smoothly please adhere to the following deadlines. The Center greatly appreciates your timely cooperation. We look forward to exhibiting your work. IMPORTANT ARTIST PROCEDURES, DEADLINES & DATES February 13th February 13th March 17th Before April 17th Before April 17th May 1st June 5th June 6th June 20th July 8th 1. The Exhibitor s Information Form is due on this date. 2. Account Update Due- Your C4FAP account information is used to create your website image label. Please update it right away. 3. Artist Statement (recommended) is due by this date Exhibitor information form is required for all exhibiting artists. Link to all forms is available on the results page. 1. High Resolution Exhibition Print Files to be printed are due by this date. 2. High Resolution Book Files are due by this date. 3. Printing and Framing Form is due by this date. 4. Bio and Statement for Book due. all assets to using Dropbox, wetransfer.com or similar FTP service. Unframed Prints Due at The Center for Framing by this date. Framing Form needs to be submitted in order for us to proceed to framing. Our professional framer offers a center discount and uses archival materials. Framed Prints Must be Received at the Center by this date. 2 THE ARTIST S RESPONSIBILITIES Complete and submit Exhibitor s Information Form (EIF) in its entirety, by the deadline listed on the first page of this document. Complete the Framing Order Form at the same time if needed. Both forms are easily filled out and submitted online. The link to the forms is in the acceptance and on the Exhibition webpage below the image index. Update your C4FAP Account with complete and accurate information. We will use this information for the online web galleries. You are responsible for providing the correct information. Read and comply with C4FAP s Exhibition Polices stated in this form. Meet deadlines for paperwork and deliveries listed above. Provide an Artist Statement and Bio as listed below. Cost of printing if you use Fine Print s services. Cost of framing or mounting when it is requested. Cost of repacking image(s); we use a professional, please see repacking section below for details. Cost of return shipping from the Center. All artists requesting their work to be returned are responsible for a shipping fee. (Not applicable to pickups, accepted donations and sold images) ARTWORK DELIVERY OPTIONS: Getting your work to The Center The Center provides four options for delivering your photography to the Center for exhibition. 1. You may choose to send your high-resolution digital file to be printed locally by Fine Print Imaging. Please use wetransfer.com to send your high-resolution image file to for printing. Fine Print offers 30 years of experience working with professional photographers. Prints must be 300 pixels per inch for printing. Please specify the paper type and print size on the framing and printing form. You DO NOT need to give the printer your credit card, to obtain the Center discount, billing needs to be done through the Center for Fine Art Photography. Having images printed and framed here will save shipping costs. Please with the final print size needed for an estimate of printing and framing costs. Paper options can be seen on the Printing & Framing Form. 2. Send your unframed print directly to the Center for framing by the deadline. If you want the Center to have your work framed in Fort Collins, please complete the Framing Order Form, this will save shipping costs. Our trusted framer will professionally frame your images to your specifications using archival materials. Our framer also offers the Center exhibitors a discount. Please with the final print size and framing style description for an estimate of printing and/or framing cost. Our printing & framing form describes framing options. 3. Send the well packaged, professionally presented/framed, exhibition ready image to the Center before the deadline listed below. 3 ARTWORK DELIVERY OPTIONS CONTINUED SHIPPING ADDRESS The Center for Fine Art Photography 400 North College Avenue Fort Collins, CO Hand-deliver your framed work to the Center no later than the deadline listed below. Your image can be delivered Tuesday through Friday from 10am to 6pm and Saturdays from 11am to 5pm except during holidays. Please contact the Center if you need to arrange a different time to schedule a drop off of your artwork. Please arrange for pickup of your work within two weeks of the closing date. BOOK INFORMATION AND IMAGE FILES Due February 13, 2015 All book information is pulled from your exhibitor s information form and your C4FAP online account. Please make sure your name, address, phone and website are current. We need your correct website starting with in order to list it in the online gallery and results area. We cannot change the information once it has been handed to the book designer so please look closely at all details. 1. Send C4FAP a high-resolution print file for each image in your portfolio chosen by the Juror. Twelve Image files DUE 2/13 a. Image must have 300 Pixels Per Inch Resolution. b. Images must be sized at 12 inches on the long side. This is 3600 pixels. c. Do not modify from your preferred color space but make sure they are not in document RGB. d. Images need to be in 8 Bit color mode. e. Please save files flattened at the highest quality, tiff files or jpg. f. Images should be named as follows, LastName_Image#_PartialTitle_Book.jpg or tiff g. Images will be presented in the order they are numbered in file name. h. Send large image files through Wetransfer.com (free, no account needed) or Dropbox to 2. Please send a high-resolution photograph of the artist (you) for the exhibition catalog. DUE 2/13 a. Image of Artist, Size: 300 Pixels Per Inch, 6 inches on the long side, native color space, high quality.jpg file b. Images should be named as follows, LastName_Biophoto.jpg. 3. Please send an Artist Statement about the accepted work. DUE 2/13 a. The statement needs to be 250 Words or less. b. Please send in a Word document file format. Please no pdf files. 4. 4 SENDING YOUR IMAGE FILES FOR THE PS8 EXHIBITION All Exhibition Print files are due February 13, 2015 Four of your images will be chosen by C4FAP for Exhibition. Image size including the framing/mounting needs to be 30 inches or smaller on the long side. For oversize presentations, please call us to discuss options at Send C4FAP a high-resolution print file for each image accepted into the exhibition that will be printed in Fort Collins. Printing and framing services are optional. If you plan on having your work printed and/or framed with C4FAP, you must fill out the Printing and Framing Order Form as well. PRINTING: Exhibition Image Files are required to be 300 pixels per inch and use 8-bit color. Using.tiff files for your printing workflow is recommended. The size of the print is up to the artist; all prints over 40 inches in length must be pre-approved by C4FAP before exhibition. Image files should be named as follows, LastName_Image#_PartialTitle_Exhibition tiff. Send large image files through Wetransfer.com (free, no account needed) or Dropbox to. or call us for any questions. FRAMING: Our local framer uses archival materials and cuts each frame to custom fit your needs. PRINT HANGERS: We can also use print hangers to show your work. We have some print hangers to loan by reservation or you can purchase your own to fit your work. Contact for more information. PRINTING YOUR WORK IN FORT COLLINS C4FAP works with a professional framer to provide artists with framing services in Fort Collins. Frame styles and options can be selected on the printing and framing form. You may send prints to be framed or have the work both printed and framed in Fort Collins. The link to the forms was ed to you and a link can also be found on the jury results page for this exhibition. All frames are custom cut to your artwork; no artwork will ever be cropped or resized. The size of the framed print is up to the artist; all framed prints anticipated to be over 46 inches in length must be approved by C4FAP before exhibition. PRINT IMAGE FILES FOR EXHIBITION Print image files for images printed in Fort Collins should be the highest quality, largest file you have. Please send.tiff files if possible. Images should be 300 pixels per inch. Send files to the . Consider using Wetransfer.com, Dropbox or Hightail to send image files larger than 10mb. Please contact me with any questions or concerns. Please name files with your last name first and the name of the exhibition. QUALITY OF ARTWORK The Center reserves the right to disqualify work that does not meet the following requirements: if the printed image is of poor quality due to oversizing or any other issue, if the image has been noticeably altered from that submitted for jurying, or if the matting or framing is unprofessional or of poor quality. Using.tiff files produces a higher quality print than.jpg files.

5 SIGNING YOUR ARTWORK If you wish to sign your work, please sign it in pencil on the back or the front, making sure to not press hard enough to damage the print. Do not sign your artwork in anything other than pencil or black ink. Never sign a print in marker or colorful ink. Signed artwork does increase sales. FRAMING REQUIREMENTS All exhibited images must be professionally printed and professionally framed or mounted. Neutral black or white frames only. All exceptions must be approved ahead of time. The Center recognizes that some work is non-traditional and that framing/mounting can be an integral part of the presentation of the work. Please no color mats, color frames, color frame accents, or natural wood frames; black or white frames and mats only unless approved prior to exhibition. Frames or glazing that are damaged or have extensive scratches and wear will not be exhibited. If you have any questions about framing, please contact the Center before shipping your work. We work with local professional framers who can provide you with any desired frame look. If your image is being sent for framing, please fill out the framing options form, and submit it. SAFE PACKING OF IMAGES Unframed Images: When mailing prints it is safer to flat mail them. Please protect the print surface with print tissue, secure it within the layers, and use at least two layers of foam core or stronger material on each side (a total of four layers) to prevent bending. Using only cardboard or marking do not bend does not sufficiently protect your print. Please wrap the package in a strong shipping style paper or protective envelope. Your local printer or framer will be able to help if you wish to purchase professional print packing boxes or print tissue paper. FedEx has a float system print box that can be purchased as well. FRAMED SHIPMENTS Send your framed images in a heavy-duty cardboard or wooden container with at least 3 inches of impact resistant packing on each side of the frame. Pay close attention to wrapping the corners of the frame. Use only standard shipping materials, such as large bubble wrap. Art placed in a box, which is then placed in a larger box with three inches of space for packing materials is highly recommended. Otherwise large size bubble wrap around the print provides good protection. After packing, shake your box. Your framed image should not shift within the box. RETURN SHIPPING POLICIES The Center will ship work(s) to the provided address at the end of the show if not sold or donated. It is the artist s responsibility to pay for shipping costs and the repacking fee. The Center will ship with UPS or FedEx. Pre-paid shipping labels are accepted from UPS and FedEx. These labels must have a barcode that can be scanned on them. Note: Please do not send any shipping labels, checks or paperwork in with your framed image; them to or send them separately in the mail. It is the artist s responsibility to research the shipping terms and conditions of any shipping company that they select to ship with. We recommend insuring your image; the insurance amount can be specified on the Exhibitors Information paperwork. Boxes over 46 inches long are subject to higher freight shipping costs.

6 REPACKING COST The repacking charge is not the same as shipping cost. It is a separate charge. These charges are the same for any shipping company you select. Tim, a fine art shipping professional, does our packing and the charge includes his services and packing materials. The Center will reuse undamaged boxes whenever possible. The Center will not reuse damaged or Uninsurable boxes to return works. Interior packing materials can rarely be reused. Reusable Box total repacking fee $15 undamaged boxes will be reused. New Box if box is smaller than 20x30 - total repacking fee $20 New Boxes if box is larger than 20x30 - total repacking fee $25 COLLECTION AND DONATIONS TO THE CENTER If your work does not sell during exhibition, the artist can donate their artwork to the Center. When the artwork is accepted as a donation, the image may be exhibited again, donated to another organization, destroyed or sold to benefit the Center. If the image is sold from the collection the Center retains all profits of the sale. All images left as unclaimed after 60 days are considered donations and may be destroyed or added to the collection. USE RIGHTS Each artist retains all copyrights to their own images. By submission for jurying, artists whose submissions are chosen for the exhibition grant The Center for Fine Art Photography the right to use their images for the purpose of promoting exhibitions, promoting the artist, promoting the Center s programs and for display on the Center s website of current and past exhibitions. Images may also be placed on our social media for promotion of the exhibition and for artist promotion and features. Artists grant the use of their image(s) as stated without further contact or compensation from the Center. Artist s recognition is provided with any use. SALE OF ARTWORK The Center encourages sales during the exhibition and retains a 40% commission on all work sold (prints included). The artist receives 60% of the sale price. If a print is sold it will be ordered from the artist at the time of sale. Print only prices need to include the price of shipping the print to the center. QUESTIONS?
