2 PROGRAMS & PROJECTS... Programs & Projects will be evaluated on overall concept, writing, design, editing, delivery phase and focus on stated goals. The committee reserves the right to reassign entries to different categories. Programs & Projects Pit Crew: Marjie Knust Dairy Farmers of America Programs & Projects Eligibility CCA s competitions are open to CCA members and non-members involved in cooperative communications. Entries must have been produced by, or for the benefit of, a cooperative organization. Entries must be submitted by the person or department that produced them. If work done by others is submitted and the creator is misrepresented, the entry will be disqualified. Failure to follow guidelines may result in disqualification. Programs or projects may be submitted in only one category, although individual pieces may be entered as part of a campaign in category 8. Entrants must include relevant information regarding budget, objectives and management of a specific project. Deadlines and Mailings Entries must be received by CCA no later than February 13, This is not a postmarked date. Please allow adequate time for mailing if you are not sending by overnight or guaranteed delivery. Late entries will be disqualified. Entries received by February 6, 2015, will receive an early bird discount of $5 off each entry. Additionally, Master Cooperative Communicators (MCC) receive a $5 discount per entry. Entries must have been produced for the benefit of a cooperative organization between March 1, 2014, and February 13, Entries completed (printed/published) after that time period should be saved for the 2016 CCA Contest. 3 Entry Forms Each entry should be submitted in a standard 8 ½ x 11-inch file folder. Staple a completed entry form to the front of the folder. Attach a copy of the entry form to the back page of each entry. For entries that require multiple issues, please attach an entry form to each issue. Only use binders where specified in category rules or if entry is too large for a standard file folder. (Please no report covers, etc.) Due to limited engraving space on the trophy, please only list the department name if more than three members of the same department are involved in producing the entry. The name on the entry form and payment form must match and be the name of the individual responsible for the entry. CCA uses the entrant name as a person of contact for any questions. Winners will be announced by the name listed on the trophy, which may either be the entrant name or the name of department. Contest entry and payment forms are available as Adobe PDF interactive files on CCA s website: Contest Fees There is a $35 fee for each CCA member entry. Non-members pay $65 per entry. Fees for entries in all categories should be totaled and sent as one payment. Entries received in the Business Office by February 6, 2015, will receive an early bird discount of $5 off each entry. Master Cooperative Communicators (MCC) receive $5 off each entry. Separate payment forms are available on CCA s website for Early Bird, Early Bird MCC, MCC, and regular contest deadline. Payment should be sent to the Business Office by March 6, Complete the payment form indicating in which categories you have submitted entries and determine the total amount due. Be sure to use the proper payment form. Each entrant must complete a payment form. If multiple people from the same cooperative are entering, one check or credit card payment can be submitted for the total amount of entry fees from that cooperative. Payment is made to the Business Office. Entry fees can be paid by credit card, by printing and faxing the payment form to the CCA Business Office, or mailing a check with the form to: Cooperative Communicators Association, 174 Crestview Drive, Bellefonte, PA Display your Winning Entries ( ing a PDF) Each year we share examples of winning work at the awards dinner and on CCA s website. If you are comfortable with the contest committee creating the image to display your entry, then there is no need to a PDF. Want to display an entry in a specific way? a single page PDF of the image to be displayed. (Entry forms and documents do not need to accompany the file.) PROGRAMS AND PROJECTS PDFs: programsandprojects@communicators.coop subject line must specify entrant name.
4 Label PDFs with: Category#_entry title (limit to 20 characters). Ex. 7Earthdayshirt If the file is too large, you may send the PDF via HighTail, WeTransfer, Dropbox or another file sharing source. If we don t get a PDF, you will not be contacted; category chairs will pick the best way to display your entry. Awards Contest results will be announced at the 2015 CCA Institute in Indianapolis, Indiana, on June 1. Awards may be presented for first, second and third places in each category. Honorable mention certificates may also be presented. On trophy inscriptions for space considerations, please use the department name when more than three members are involved in an entry. Best of Show Judges will select a Best of Show award recognizing the overall outstanding entry in the Programs & Projects contest. Each category winning entry is automatically entered for Best of Show. No separate entry is required. Evaluations All programs and projects entries will receive a brief written evaluation from judges via following the 2015 CCA Institute. Comments on winning entries and the judges overall impressions of contest divisions will appear in the CCA Communique and online following the Institute. Return of Entries If you are unable to attend the CCA Institute, you are responsible for finding a representative to pick up your entries. Otherwise, entries will be discarded. 1. Print Advertising Entries should inform or educate members, employees or the public about cooperative education, member or public services, product and/or institution information. Judges will consider writing, editing, graphics and design. Ads should have been produced for non-editorial placement. If entering ads from a campaign, submit separately. Submit a tear sheet. 2. Broadcast Advertising Paid radio and television ads not to exceed 60 seconds. Public service announcements and other free commentary ads do not qualify; please submit those entries in the Miscellaneous category. Submit a DVD or digital file. 3. Promotional Video Entries in this category must be an originally produced digital promotional video, usually a high production value film used to showcase the cooperative s image or brand. May also be used to promote a product,
5 business practice or service and will be evaluated on the ability to do one or more of these. Entries will be judged on overall quality of video production. Submit a DVD or digital file. 4. Documentary Video Entries in this category must be an originally produced digital documentary video. Videos should be instructional, journalistic or educational for viewers. Entries will be evaluated on overall quality and their ability to inform the intended audience. Submit a DVD or digital file. 5. Website This category includes all websites for use internally and externally for employees, members or public. The content should successfully represent the cooperative s image and brand. Entries will be judged live on the Internet. If the entry is an Intranet or Extranet site, supply access information with the entry. Include a high-resolution JPEG screen shot of the home page. 6. Miscellaneous Print This may include calendars, books, membership directories and other items not eligible under any other category. The audience may be members, employees, directors, cooperative customers or the general public. Entry pieces may be submitted as actual printed piece, and/or as hard copy or digitally on DVD or CD. Notebook or loose entries should be submitted in a notebook not to exceed 8 ½ x 11 inches or can be mounted on foam or other display boards. Photos not to exceed 8 ½ x 11 inches; mount on 9 x 12-inch board. 7. Miscellaneous Promotional Entries include all miscellaneous promotional items that are custom designed or branded products such as t-shirts, other clothing, tote bags, games, gadgets the possibilities are endless which are not entered in Category 6: Miscellaneous Print or Category 8: Campaigns and Programs. A grouping of promotional items should be entered under 8. Creativity is key; entries should go beyond using a logo/tagline. Include how the items were used, how they support your goals, and budget. 8. Campaigns and Programs This category includes campaigns and projects using a variety of media to promote an idea, issue, product or service to members, customers or employees. Campaigns may be either long-term or short-term and are typically one-time activities or programs focused on a single issue and having an identifiable beginning and end. Programs are characterized by their ongoing or permanent nature. Submit detailed description of the project, strategic goals, results and collateral material. Entries will be judged on how well they met stated objectives. Submit entry in a three-ring binder, not to exceed 8 ½ x 11 inches. 9. Small Shop Portfolio This award recognizes the overall portfolio of entrants with limited resources (communication departments with a maximum of one professional communicator and an assistant). Outside resources may be used in the
6 production of entries as long as the entrant was responsible for initiation of the project and had a significant role in project management or supervision of the entry s completion. The award will be based on overall communications achievement. Submit a three-ring binder (not to exceed 8 ½ x 11 inches) containing six examples of work representing categories in no less than three of the four divisions of the 2015 CCA Communications Contest (Writing, Photography, Programs & Projects, and Publications). 10. Illustration/Graphic Art Illustrations and graphic art may be drawn freehand, computer-generated (using programs such as Adobe Illustrator or Photoshop), or a combination. Entries should bring visual interest or improved understanding to an article. The entrant should either have created the artwork or developed the concept by directing a graphic artist in its creation (please specify which). Charts or statistical information that employ a strong graphic element and manipulations or artwork in the public domain are also eligible. Photos may be incorporated, but if the photo is the dominant element, enter in Photography Category 5: Photo Illustration. Submit a highresolution JPEG or high-resolution PDF if the art includes text; also include a PDF of the story layout showing how the art was used. 11. Cooperative Education This project or program must represent one or more of the seven cooperative principles and/or cooperative business philosophies. The entry can be any type of program or project listed above (except small shop portfolio) as well as any publication or written piece on cooperative education. Submit entries in hard-copy form or digitally on a CD or DVD if the entry is an electronic piece. 12. Social Media This category includes the use of social media platforms, such as Facebook, Twitter, YouTube, Pinterest, and others, and may illustrate the use of a single social media channel or across channels. Submit all social media profiles as one entry. Entries should engage the viewers by promoting the cooperative s image and brand, products and services; it may support the benefit of membership or involvement with the cooperative. Include screen shots of five specific social media messages and engagement examples, along with URLs and/ or path to current live content for judging purposes. Submit analytics screen shots that support or measure the effectiveness of specific examples. Include how the entry supports the cooperative s overall marketing and message goals. Optional: you may include a monthly social media planning calendar. Submit entry as PDF with screen shots included. Contest Questions?
