By installing, copying, downloading, accessing or otherwise using the SOFTWARE, you agree to be bound by the terms of this EULA. If you do not agree to the terms of this EULA, you may not use or copy the SOFTWARE, and you should promptly contact Keyscan Inc. for instructions on return of the unused product(s) in accordance with Keyscan's return policies. 1. SOFTWARE PRODUCT LICENSE The term "COMPUTER" as used herein shall mean the HARDWARE, if the HARDWARE is a single computer system, or shall mean the computer system with which the HARDWARE operates, if the HARDWARE is a computer system component. 1. 10 INTRODUCTION System VII is the dynamic software application that regulates and monitors entry points connected to the Keyscan access control panels. With an intuitively designed interface, System VII is packed with a rich array of features giving you all the tools and controls you'll need for effective management of your facilities and buildings. By setting up a comprehensive database of cardholders, access levels, and security clearances, you determine who has access to specific doors at specific times. System VII always keeps you in the picture. You're fully aware of who is entering your premises at all times and you're notified of any alarm conditions within seconds. The System VII software and access control units work together as a cohesive system to monitor your site around the clock 365 days a year. System VII Main Interface Screen About This Guide This guide is intended to provide you with the following information: Important introductory information such as product registration and how to access online help Software installation for the following configurations New installation on a single PC New installation on multiple PCs Upgrade installation on a single PC - System V to System VII Upgrade installation on multiple PCs System V to System VII Configuring multiple Communication Managers (optional) How to setup a site Keyscan recommends that you take a few moments to review the material in this guide. 3

Product Registration The System VII software modules must be registered within thirty (30) days after installation. As a registered user, you are eligible for Keyscan technical support and System VII software upgrades. You may have to register six possible modules depending on what you have purchased: System VII Software (includes 2 Concurrent Client Licenses & Active Mapping/Command Module K-CM) System VII Additional Client License K-CL (Optional) System VII CCTV Integration K-TV (Optional) System VII Photo Badging K- BADGE (Optional) System VII SDK K-SDK (Optional) System VII Visitor Management K-VIS (Optional) Refer to your invoice to verify which packages you have purchased before completing the registration screen. Registration instructions are outlined in the Client module's Help. Unless you receive the Serial Unlock Number(s) the System VII software will not function after 30 days. System VII Registration screen Alarm Monitoring System VII has an Alarm Monitoring panel that lists critical information in the event of an alarm. The Alarm Monitoring panel can be viewed by selecting it from the Keyscan System VII tab on Window's lower status bar. More information about alarms and alarm monitoring is available in the Client on-line help under Operate the System > Alarms. Alarm Monitoring Window 4

Online Help The System VII software modules have context-sensitive on-line help. Whenever you need assistance for setting up or operating the system, select either: the Help menu on the Client main screen press F1 on the keyboard - pressing the F1 key opens the help at the topic that relates to the screen you're viewing; it outlines the screen's purpose and the procedures to complete it. Context Sensitive On-line Help The Importance of Database Backups One of the most important and critical topics in the on-line-help is Schedule Automatic Database Backups outlined in the System VII Client On-line Help. We cannot stress enough the importance of backing up your System VII database at regularly scheduled intervals and periodically copying the data to a removable storage device, such as a writable CD, or to a network location for safe keeping. Setting up a site can entail a lot of man-hours to input all the data, especially for sites that have hundreds, if not thousands, of cardholders. If the site data is not backed up, in the event of a computer or hard disk failure, all your site information can be lost. Please be sure to read and follow the steps to backup your database. It s time well spent. Supplementary Documentation The Keyscan System VII Software Installation CD has a folder with supplementary documents. These supplementary documents can be found in the Keyscan Documents folder on the Software Installation CD. During the installation you can also access the folder by clicking on the Keyscan Documentation link on the Keyscan System VII Installation screen. You have 30 days to register the System VII software after installation. The software will not function after the 30 day limit if it is not registered. Registration instructions and phone numbers are outlined in the on-line help. Keyscan Registration Screen 53

Setup Communication Managers as an Application After installing the software, you must configure the Communication Manager to establish communication between the access control units and the system software. System VII has the provision to configure one or multiple Communication Managers depending on the number of access control units and readers. Keyscan recommends a ratio of 1 Communication Manager per 12 access control units or 100 readers. This chapter is divided into two sections: Single Communication Manager Multiple Communication Managers If your site has 12 or less access control units or 100 or less readers, refer to Single Communication Manager. If your site exceeds 12 access control units or 100 readers, refer to Configure Multiple Communication Managers. Operating Conditions For normal on-going system operation, please be sure to observe the following conditions: the PC with the SQL Server 2005 Express must be operating Communication Manager(s) must be running with the PC on The access control units will function independently if the computer software is off-line; however, they will only retain the last 6000 transactions. Single Communication Manager If the site consists of 12, or fewer access control units, or 100, or fewer readers, generally you only require a single Communication Manager, which you have already installed and set on auto-start. You are not required to perform any further configuration steps. However, you are strongly urged to read About the Communication Manager. About the Communication Manager The Communication Manager that you installed - Keyscan7CommWindow.exe - is the Main Communication. At the computer where it was installed, you should see the Communication Manager icon in the Windows tray at bottom of the screen. This indicates the application is running. Generally it runs minimized unless you have to open it to perform a diagnostic procedure. When setting up access control units in the Site Unit Setup form assign the panels to Main Communication only as shown in the example screen. Important When setting up panels in the Client s Site Unit Setup screen, ensure that the entry in the Communication Server Processing field is the name of the PC with the Communication Manager. You can verify the PC name from Windows System Properties > Computer Name. 54

Configure Multiple Communication Managers System VII provides the option of running up to 5 multiple Communication Managers on 1 PC. Running multiple Communication Managers is primarily for larger sites to optimize system performance. The following procedures review setting multiple Communication Managers as an application. Refer to the System VII Client's On-line Help for instructions for setting up Communication Managers as a service, if desired. Guidelines Keyscan's recommended ratio is 12 access control units (ACUs) or 100 readers per Communication Manager. However, please note this ratio is merely intended as a guide and is mitigated by reader/acu activity and ACU geographic locations. The maximum number of Communication Managers per PC is 5. The Keyscan7CommWindow.exe (Main Communication) is required for using the scheduled backup feature. It is strongly recommended that if 5 Communication Managers are installed on 1 PC, the PC should be dedicated as a communication server with no other software running. No two Communication Managers can be assigned to ACUs connected to the same NETCOM2. Running multiple Communication Managers is designed principally for network connectivity via NETCOM2s, however, if you use serial connections please note: each serially connected Communication Manager must have a separate serial port to its assigned ACUs. Install Communication Managers in ascending numeric sequence. Do not install more Communication Managers than required. The Communication Managers (application) are identified in the table. File Name Icon Name Panel Setup Keyscan7CommWindow.exe Comms Manager Main Communication Keyscan7CommWindow1.exe Comms Manager 1 Communication 1 Keyscan7CommWindow2.exe Comms Manager 2 Communication 2 Keyscan7CommWindow3.exe Comms Manager 3 Communication 3 Keyscan7CommWindow4.exe Comms Manager 4 Communication 4 When minimized, each Communication Manager has an individual icon in the tray as listed in the centre column. To identify the respective Communication Manager, move the mouse over the icon. Communication Manager Main Communication & the Keyscan Database If you are installing the Communication Manager Main on a separate server/pc from where the Keyscan database SQL Server Express 2005 resides, note the following important installation procedure. Regardless of whether configured as an application or as a service, install and run an additional Communication Manager Main on the server/pc where the Keyscan database SQL Server Express 2005 resides. On this same server/pc, enable Checking for Scheduled 55

Backups in the System Settings utility. This will ensure scheduled database backups occur and old backup files are removed. On any remote servers/pcs with the Communication Manager Main that performs the polling of ACU panels, disable Checking for Scheduled Backups in the System Settings utility. Refer to the table on the preceding page for the Communication Manager Main Communication for the file name. Setting up Multiple Communication Managers Setting up multiple Communication Managers is divided into 2 sets of procedures: configuring multiple Communication Managers assigning ACUs to Communication Managers Before you begin we suggest that you pre-plan so you know how many Communication Managers to configure and their panel assignments. Please be sure to try and adhere to the 12 panels/100 readers per Communication Manager ratio as closely as possible. These instructions are for running the Communication Manager as an application. To run the Communication Manager(s) as a service, refer to the Client on-line help. The illustration below shows an example of a 5 Communication Managers on a dedicated PC on a multiple PC network configuration. 56

Multiple Communication Managers Configuration Communication Manager PC (with installed comms) File Name Panel Setup - Keyscan7CommWindow.exe (Main Communication) - Keyscan7CommWindow1.exe (Communication 1) - Keyscan7CommWindow2.exe (Communication 2) - Keyscan7CommWindow3.exe (Communication 3) - Keyscan7CommWindow4.exe (Communication 4) Clients Network Hub/ (TCP/IP) Switch NETCOM2 (Main Communication) to ACUs (1-12) NETCOM2 (Communication 1) to ACUs (13-24) Database - SQL Server 2005 Express (Dedicated PC) Notes - For a single PC setup, the same convention applies except all Keyscan VII modules are on 1 PC. - Direct serial connections from PC to panel(s) require dedicated comm port for each Communication Manager. NETCOM2 (Communication 2) NETCOM2 (Communication 3) NETCOM2 (Communication 4) to ACUs (25-36) to ACUs (37-48) to ACUs (49-60) Note Please remember this ratio of 12 access control units (ACUs) or 100 readers per Communication Manager is intended as a general guideline and is mitigated by reader/acu activity and geographic ACU locations. Steps to Configure Multiple Communication Managers Whether this is a new installation or an upgrade installation, a single or a multiple PC configuration, you must perform the Steps to Setup Multiple Communication Managers if you are going to run multiple Communication Managers. If you have a multiple PC configuration you must be at the PC with the Communication Manager. You will already have installed a Communication Manager (Keyscan7CommWindow.exe which is indicated by the Keyscan VII Comms Manager in the tray in the lower right 57

corner of the screen. 1. Right click on start and select Explore from the pop-up menu. 2. Navigate to Program Files > Keyscan7 or the location where you installed your Communication Manager exe files if you installed them in a different folder from the default installation location. 3. Be sure the Communication Managers are configured in numerical sequence. (As an example, if you were going to use 3 Communication Managers, you would add Keyscan7CommWindow2.exe, which would be the last Communication Manager added.) Important For multiple PC configurations there are no licensing restrictions on Communication Managers. You can configure multiple PCs with Communication Managers providing that each PC has no more than 5 as outlined at the beginning of this section. Steps to Assign ACUs to Communication Managers If this is a new installation, whether it was on a single PC or multiple PCs, first setup the panels as outlined in the Client On-line Help before assigning panels to Communication Managers. If you upgraded, the System V to System VII conversion utility will have retained your Communication Manager assignments as specified in System V. If you have changed PCs or wish to alter communication assignments, follow the Steps to Assign ACUs to Communication Managers. If your setup has not changed from System V, you do not have to perform these procedures. You can use the Display Software Connections in the Client's 58

Setup Communication Managers as a Service The Keyscan Communication Managers can be configured to run as a service. Generally, to run as service, the Communication Managers should be installed on a server which is inaccessible to end-users. Configuring the Communication Managers as a service is reviewed in the Keyscan System VII Client help. You can access the help from anywhere in the Client by pressing F1 on your keyboard or from the menu at the top of the Client s main screen. Select the Contents tab in the upper left of the help screen, double click on Setup the System > Setup Communication Service. Click on the Communication Service Setup topic as shown in the screen image below. If you are configuring the Communication Manager as a service at a separate location, you can print a copy for reference at a PC with a Keyscan System VII Client. System VII Help Instructions on Communication Service Setup 61

SETUP A SITE After you install the Keyscan System VII Access Control Management Software, the next task is to set up your site using the Client software to make the Keyscan access control system functional. The following illustration shows the types of information required to get a site operational. The configuration of your site and the level of security will determine which software screens must be completed. As indicated on the previous illustration there are 12 general sets of procedures to make a site functional. Obviously, if you don t have elevators, have CCTV 62

integration, or don t plan on using the alarm notification you don t have to input settings for those options. The remainder of this chapter attempts to give you some guidance on setting up your site. Pre-planning Before you open the Keyscan Client software module and commence to input your site data, you may wish to take some time and pre-plan how you are going set up the access control system so it will do what it is designed to do regulate and monitor access within your premises based on your organizational structure. Some of the things you will have to take into consideration are: departmental work schedules so you can create corresponding time zones for access organizational structure so you can create groups that correspond to departments determine who can or can t enter various system controlled doors/elevators determine which days/hours authorized individuals may access system controlled doors/elevators determine if certain doors are to lock/unlock on a time zone or connected devices need to be turned on/off by a time zone determine who will be assigned administrators to oversee and monitor the access control system who would be contacted in case of an alarm or emergency These are just some of the things you will have to bear in mind before you attempt to begin setting up the system software. Setup Assistance The following support documents are available on the Keyscan Software Installation CD in the Keyscan Documents folder to help you set up the system software: a set of Programming Worksheets to draft site data and settings a PDF User Guide which you can print for convenient reference ( refer to the chapter entitled Setup the System) Don t forget the on-line help in the Keyscan Client can be accessed from the menu on the main screen or press F1 on the keyboard. Methods of Setup There are two methods to setup your site: Manually Setup a Site use the menus and quick buttons for accessing the screens to configure a site Site Wizard automatically opens a pre-determined set of screens to configure a site My Site The Keyscan software creates a default site called My Site. Whether you elect to use the Site Wizard or manually setup a site, you have the option to use the system-named My Site or you can name your own site. You cannot change the Site ID of My Site. If you are setting up multiple sites, you may wish to name your sites rather than use the My Site since it may not be sufficiently descriptive to indicate a precise location. 63

Manually Setup a Site If you elect to setup a site manually, the on-line help has a group of topics entitled Setup the System as shown in the image below. If you follow the order of topics as they are listed, they will assist you in getting your site functional. If you prefer a hard copy for reference, you can print the PDF User Guide in the Documents folder on the CD. Client On-line Help Steps to Access the Client Help Setup the System 1. From the Client main screen, do one of the following procedures: Press F1 on the keyboard Select the Help menu > Index 2. Select the Contents tab in the upper left corner of the Keyscan System VII Client Help screen. 3. In the left panel of the Help, double click on Setup the System. 64

Site Wizard The Site Wizard automatically opens a pre-determined set of Client interface screens in successive order to setup your site. Enter the information and save your data as you progress through the screens. If you require assistance at any point with any screen, press the F1 key to open the System VII help. The help reviews the purpose of the screen with step-by-step instructions to complete it. Site Setup Wizard screen Before You Start Before you start, you must be familiar with your particular setup to complete the screens in the Site Wizard. You may require assistance from your dealer/installer regarding the hardware component of the setup. The Communication Manager(s) must be running and communicating with the access control units. You will be prompted to switch from these instructions to the on-line help instructions to complete each screen. We recommend that the Client PC you are working from has a connection to a printer so you can print a copy of the help instructions for each screen so you have a guide to follow. Also, the Site Wizard only provides a basic setup. For a more comprehensive site setup and to capitalize on all the great access control tools and features in System VII, refer to the Client help and review the full spectrum of topics listed in the Contents pane. Remember, the Site Wizard is intended as a quick setup instrument. You can edit and amend site settings at any time after the initial setup. Steps to Open and Use the Site Setup Wizard 1. If you have already logged on to the Client, go to step 5 otherwise select start > All Programs > Keyscan System VII > Keyscan System VII Client. 65
