3 Page 3 I. Overview The ABS Inventory Control System s EXPORT function creates an ASCII transaction file of all ABS receipts and/or usage activity. The transaction file can then be processed by various in-house accounting, database, and reporting systems. The EXPORT function eliminates the necessity of having to enter material receipts or usage information more than once. One typical use for this feature would be to update an in-house material inventory system. This function also allows ABS to provide transactions for use by third-party ERP systems. The Material Editor s IMPORT function is primarily used to import raw material information from an outside source (i.e., another computer) into your ABS raw material database. You can import either all data fields or partial data. When performing a full import, the records being added will first be checked against the existing material database. If the record already exists, the import function will not update or modify the following fields: 1) Furnace Codes, 2) Date Last Changed, 3) Date Last Used, and 4) Quantity Reserved. All other fields will be replaced with the imported values. 1. Read data record from import file. 2. Look for material name in average file. 3. If there s no match in the average file, reject the import. 4. If there is a match in the average file, pull all average data and replace with user supplied information. 5. Add data to the appropriate material inventory file. 6. If added to active material file, update the month-to-date file. 7. Log import to detailed receipts file.

11 Page 11 IV. Inventory Adjustments Each month, ABS Software creates an adjustments file named "ADmmyyyy.KSI" (where mm=month andyyyy=year). This file contains a history of all changes made to raw material records. The following transaction codes are referred to as "accounting adjustments" since reconciling the ABS Software book quantity and values to an in-house system is affected by these transaction types. When a full export is performed, multiple records of types 04, 05 and 06 shown on the next page may be created. An 09 record will automatically be created as a separator for each record. 17 Page 17 Appendix B - Material Import File Layout The Alloy Blending System has the ability to import material receipts from an externally created data file. Examples where this feature might be used are: 1) when the current in-house inventory system is used for receiving materials, then passes quantity and cost data to the Alloy Blending System; 2) when a bar code data collection system is used for incoming and recycled scraps. Material receipts can be imported into either the active inventory or the scrap inventory. Imported receipts are processed by the material import program MATIMP.EXE. MATIMP can be activated via a batch file or interactively. The import file name for importing to active material file is MATEXP.EXP, and must be located in the user s working directory (i.e., \ABS\USER1). The import file name for importing to the scrap file is SCREXP.EXP, and must also be located in the user s working directory. Most often used when you want to refresh the ABS inventory from another source. 11 Material Receipt Adds a quantity to an existing material file record. Creates a new material if not found and Name matches Name in the AVERAGE file. If importing to the Scrap System (input file is SCREXP.EXP ), T/C 11 will create a new record if the name is found in the Scrap Average file. 12 Scrap File Receipt - Adds a quantity to existing material. Creates a new material if not found, and Name matches Name in the SCRAP AVERAGE file. Transaction Code 12 was developed to allow mixing of Material Receipts and Scrap Receipts within the same import file. Transaction Code 12 will always add to Scrap files, regardless of the import file name.
19 Page 19 Appendix C Detailed Receipts File Layout The Detailed Receipts File is updated when 1) new material receipts are entered via the Inventory Material Receipts function, 2) material is imported from a user-supplied import file, 3) scrap receipts are entered via the Scrap Control System s Receipts function, and/or 4) material is released (transferred) from the Scrap Control System s Scrap Holding File to the active inventory via the Scrap Transfer function. Each of these activities are indicated in postion 112. The Detailed Receipts File is an ASCII file called REmmyyyy.KSI where mm equals the month and yyyy equals the 4-character year (i.e., 1999). A new file is automatically created each month. The receipts file is located in your home directory. Your home directory is defined in record #1 in your ABS.INI file, and is normally the [drive:]\abs\data\ directory.
