3 Kanban Management System The purpose of the kanban management system is to automate the recording of pulled kanbans and take specific actions based on the setup of a particular kanban. The Kanban setup screen consists of two interrelated screens. The first screen, shown in Figure 1.1 provides the means to add or change kanbans. The second screen, shown in Figure 1.2, shows the transactions that have been posted to this kanban. The kanban can be up to 8 characters in length. It is associated with an item, bin, warehouse and specific kanban quantity. There is a PO flag which can be set to automatically create a Draft PO when a transaction for this kanban is posted. There is also a PDO flag which can be set to automatically create a planned production order (PDO) when a transaction for this kanban is posted. Figure 1.1 Kanban Maintenance By click on the specific kanban and then the Kanban Transactions button, the transactions associated with this kanban are shown Figure 1.2. 4 To review the transactions for a specific warehouse or kanban, choose the kanban review menu option. The screen shown in Figure 1.3 is displayed. Choose the warehouse, status, kanban (leaving it blank is okay), and sort sequence for the review. The result is the report shown in Figure 1.4. Figure 1.3 Kanban Review Selections Figure 1.4 Kanban Review Periodically, kanban transactions can be purged from the system. Figure 1.5 shows the purge date selection screen. All transactions prior to the date entered will be purged. The system does not look at Kanban Processing Page 4
5 open or closed transactions. It simply purges all transactions prior to the date entered. Figure 1.6 shows the message upon completion of the purge. Figure 1.5 Purge Kanban Transactions Selection Date Figure 1.6 Purge Kanban Transactions Completion Message When initially defining the kanbans the screen shown in Figure 1.1 can be used to create the list of valid kanbans. Alternatively, the kanbans can be imported from a CSV file. To accomplish this, create a CSV file in the format shown in Figure 1.7. The data will be checked as it is imported. The checks are: The kanban must not already exist in the file The item must be a valid inventory item The warehouse must be a valid warehouse The quantity must be an integer greater than 0 Kanban Processing Page 5
6 This CSV file must be saved in the Import directory as defined in the DCMSetup file (select u_xmlimport from use this query to find the directory. If it is not set up, access the setup file and initialize the field with the directory where the data is to be found on the server. Normally this is a directory similar to B1_shr\SAP\Import. After the data has been loaded, the results are displayed as shown in Figure 1.9 Figure 1.8 Loading Kanbans from CSV File File Name Input If you are using Bar Tender label printing software, the Kanban functionality includes a Kanban.btw file with the kanbans printed as shown in Figure Kanban Processing Page 6
7 Figure 1.9 Imported Kanbans Printing Kanbans from SAP From within SAP, access the File Launch Applications and the screen shown in Figure 1.10 will appear. Highlight the Bar Tender to print labels. The screen shown in Figure 1.11 will appear. The Bar Tender will begin and will ask which label to print. There are two identically formatted labels to choose from: Kanban.btw and KanbanbyKanban.btw. The first label will ask for the warehouse to print and will print all kanbans for that warehouse. The Second program will ask for the starting and ending kanban to print and will print the range of kanban labels selected. When the labels print, they will be in the format shown in Figure Kanban Processing Page 7

9 Figure 1.13 Kanban Labels Avery Standard 3264 Labels Alerts are available for the kanbans that have been initiated. For instance, a user scans several kanbans. Periodically, an alert is sent to the manager(s) to alert them to the kanbans that have been opened. Since there are two types of Kanbans order card and expedite, a second alert is required for just the Kanban Processing Page 9
10 expedite kanban types. The first type of Kanban alert simply reports the kanbans that have not been processed (Order card type). The second alert informs the user of the kanbans that need to be expedited AND closes the kanbans to be expedited automatically. The result of the alert is shown in Figure Figure 1.14 Alert for Open Kanbans The minimum stock level for the items is often used to define the kanban quantity. If this is the case, then there are two programs available to facilitate the use of the minimum stock field. The first is simply a display of all of the item warehouses with minimum stock levels differing from the kanban quantity. Figure 1.15 shows these. The second program will move the minimum stock field quantity in the item master to every kanban for that item warehouse where the quantity differs from the minimum stock level. Figure 1.16 shows the resulting output from this program a list of the kanbans that have been updated with this function. Kanban Processing Page 10
