2 Introduction The SWMP Tracker is an online tool that allows users to collate, aggregate and analyse data from their Site Waste Management Plans (SWMP). Users upload their SWMPs to the SWMP Tracker, select which SWMPs they wish to analyse and then download an Excel SMWP Analysis Report allowing them to analyse the consolidated data. Data can also be sent directly to WRAP s Halving Waste to Landfill Reporting Portal. The SWMP Tracker will allow you to perform the following standard analyses on your waste data: The quantity, cost management option and fate of waste arisings Amount of waste sent to landfill Recovery rates Project level KPI s (waste arisings, waste to landfill, cost of waste and waste recovery rate) SWMP Practice level (i.e. the extent to which different projects have achieved Good or Best practice as defined by WRAP)* Compliance (i.e. the extent of compliance with the requirements of the SWMP Regulations for England)* Actions taken to prevent, reduce and recover waste* Forecast waste arisings (from SWMPs completed before construction) * requires the use of the WRAP SWMP template, v2.0 onwards. The SWMP Tracker accepts WRAP SWMP Templates (version 2.0 and 2.1) and also non-wrap Templates (see below for further information). This user guide gives a quick overview of how to get started, outlining the main functions of the SWMP Tracker. Further help is provided both within the tracker and in the reporting spreadsheet. 1.0 Welcome page Go to the SWMP Tracker Welcome Page at The Welcome Page contains links to this user guide, further information on WRAP s site waste management resources and to a data template that can be used to adapt non WRAP SWMPs to make them compatible with the SWMP Tracker (see section 3.3). 2.0 Register and login If you have not used WRAP s resource efficiency Tools before, you will need to register as a new user to create your personal profile. If you have previously registered for WRAP s other tools 1 these registration details can be used to access the SWMP Tracker. 2.1 Register New Users This is in the middle section on the screen. Clicking on the register button in this section takes you to the Register screen. Once registered, you will be prompted to begin using the Tool. You need only register as a user the first time you use the Tool after this your profile will be saved, along with any projects that you have entered. You will also be sent a confirmation with details of your registration. 2.2 Login Existing Users If you have already registered as a user within the Tool, you simply need to login using the form at the left of the page, by entering your login name (the address you specified when first registering), and password. If you have forgotten your password, a reminder can be sent to your address. 3.0 Uploading your WRAP Site Waste Management Plans Once you have registered with the SWMP Tracker you can start uploading your SWMPs. 1 Such as the Net Waste Tool and the Waste to Landfill Reporting Portal. 2
3 3.1 Uploading SWMPs After logging in to the SWMP Tracker, you arrive at the Upload SWMP Projects screen. Follow the notes on screen to click the Browse button to select the SWMPs you wish to upload. You can select multiple files by holding down the CTRL key on your keyboard, or by dragging a selection around multiple files with your mouse. After you have selected your SWMPs to upload, click the upload button on screen to begin uploading your SWMPs. See note 3.4 below if you have a version 2.0 SWMP Template. Figure 3.1 Uploading sheets 3.2 Upload speed and zipping files Upload speed dependant on speed of your internet connection. A normal broadband connection should take around 5 seconds to upload one SWMP Template. If you wish to upload many templates at once, the time required to upload them to the server could be reduced by zipping your files. This can be easily done by following these steps: Navigate to the folder on your computer that contains your SWMP templates. Hold CTRL as you click to select the files you would like to upload. Right-Click and select 'Send To' > 'Compressed (zipped) Folder. A new file will be created in the format 'MY_FILES.zip'. This file will contain each of the SWMP templates that you selected in step 2. Click Browse for SWMP Templates and select the new 'MY_FILES.zip' file. The file containing your SWMP templates will be uploaded and managed by the server once complete. If you are unsure, please contact your local system administrator for help with creating zip files. 3.3 Uploading non-wrap SWMPs The SWMP Tracker will accept waste data 2 from non-wrap Site Waste Management Plans provided they are Excel based and use standard waste classification codes (i.e. the Environment Agency s List of Wastes codes). 2 For other analysis such as the waste actions, good / best practice level of the SWMP or level of regulatory compliance the WRAP SWMP template must be used. 3
4 In order for the SWMP Tracker read data from your templates, you will need to insert the following new worksheets into your existing SWMP: project details actual waste forecast waste (options) The inserted, you should link these worksheets to your existing data by referencing the relevant cells. The spreadsheet can then be uploaded to the SWMP Tracker and waste data added to the system. 3.4 Version 2.0 WRAP SWMP Templates If you are using a version 2.0 SWMP Template (see the SWMP Template Homepage it will say which version you are using at the top of the page in the middle) you need to unlock the Excel Workbook before you upload the SWMP to the SWMP Tracker. This is easy to do: In the Excel SWMP Template click Tools menu from the toolbar at the top Move down to Protection Click on Unprotect Workbook Enter password wrap01 when prompted You have now unlocked the workbook (individual sheets will still be protected) and it can now be uploaded to the SWMP Tracker. You are strongly advised not to unlock the individual sheets in the SWMP because changes to the template structure may prevent the tracker from extracting the data. 3.5 Adding additional labels to project records To help identify your projects, you may wish to add free text tags or labels to individual projects. You can enter these by clicking edit for the relevant project and then typing the label(s) you wish to add. When filtering projects you can search for projects containing these labels. 4.0 Online element of the SWMP Tracker After you have uploaded your SWMP Template, you will arrive at the My Projects page. 4.1 My SWMP Projects The My SWMP Projects page shows you all of your uploaded SWMP templates, which is ordered by the date of the last upload. This page will allow you to check the box in the Project Complete? column to signify if the SWMP is a completed plan. If you want to upload more SWMP Template, click on the Upload New SWMP Templates button. If you want to generate an Excel report, click on the Generate Report button 4.2 Filter data There are two options here. If you want to aggregate all of your projects into one report, check the select all projects checkbox and click the filter data button to proceed. Alternatively, you can filter projects to be included in your excel report. You can filter by the following fields: Location Post code Cost Project type Completed / non-completed projects Client name Contractor name Project title Additional labels these are other descriptors you can add to help identify your projects. These can be added in your SWMP template (under the heading Project reference) or online by clicking on the edit link for the relevant project Reporting period (i.e. the time range over which waste movement information will be selected, or in the case of KPIs, for data for projects completed within the reporting period) 4
5 After you have entered your filter terms, click the Filter data button to proceed (see Figure 4.1). The next screen shows the results of your filtering, so you can check which SWMPs have been selected. Figure 4.1 using the project information filter You can save filters that you would like to use routinely (i.e. for a specific business unit or project type) in a list of saved filters (see Figure 4.2) these can then be selected to quickly apply the same range of filter criteria. 6 4.3 Filter results This page shows the result of your filter. If you clicked select all my projects then the page will display all of your SWMP projects. You have the opportunity to deselect specific projects and thereby exclude them from the reporting (see Figure 4.3). Figure 4.3 Filter results Clicking generate report will provide a report with all items listed in Section 4.0 below. However, if you are only interested in high level data, you can select from the following items on this page to limit the amount of analysis presented in the generated report. You can select to include any of the analysis sheets shown in Table 3.1 within the report. Table 3.1 Sheets that can be included within your SWMP Analysis Report Sheet name Waste analysis KPI Waste over time (t) Waste cost over time ( ) Practice level Content This sheet contains information on the total waste, cost of waste and waste destination. You can use the quick filters (click 'show quick filters') to undertake routine analysis or click 'go to data' to view and apply more detailed filters to the source data. This sheet contains information KPI performance for individual projects that have completed within the reporting period. This sheet provides information on the quantity of waste generated for the period covered by the data. Use the drop down filters to the left of the results graph to filter the dataset. This sheet shows the percentage of projects (completed using WRAPs SWMP template) that have been assessed as meeting Good or Best practice standards. Projects for which no information is available (either because the information was not completed or because non-wrap templates were used is excluded. This sheet provides a list of the waste prevention, reduction and recovery actions recorded for projects completed in the reporting period. Project actions can be filtered to determine the range of actions applied to similar projects or wastes. Waste ac This sheet contains a consolidation of forecast waste arisings for projects where WRAP's SWMP template has been used. The data can be filtered to provide forecasts of future waste arisings. You can also click the submit data to the W2L Reporting Portal to send the data from all the projects listed on this page to the WRAP Reporting Portal (useful for signatories to WRAPs Halving Waste to Landfill Commitment). 5.0 Downloading the SWMP Analysis Report When you download the Excel analysis spreadsheet you will be presented with the sheets you selected online (see section 4.3). When a new analysis sheet is opened for the first time, the sheet will need to run a sequence of macros to configure the sheet, because of this it is important to save the sheet to your computer/network before opening it. 6.0 Working with the SWMP Analysis Report The SMWP Analysis Report will contain all of the waste data selected online. The report has been designed to facilitate several routine types of analysis and comprises both graphical and tabular outputs. The report comprises both traditional data tables and pivot tables, both of these dataset can be filtered to further refine your analyses or to rapidly investigate different options. The two main analytical sheets (Waste analysis and KPI) incorporate a Quick Filters these can be used to quickly apply standard filters to the downloaded dataset, it selecting for projects within a certain value range or for specific clients. More detailed filters can be applied by clicking on go to data and using excel s Autofilter functionality.
