1 District/School Administration and Test Coordinator(s) Two Weeks Before Assessment Window Work with the MCESA Data System Specialist to verify the teachers and classes that will be testing and that they are imported to the PCG system. Read the Test Administration Manual. Schedule computer labs for testing. Prepare lists of log-in user names and passwords and distribute to teachers. o Student user names =SAIS ID o Student passwords =SAIS ID+mmdd of birthdate. Distribute available tools to teachers and review the teacher checklist with participating teachers. o Test Administration Manual o Power Point of Student Instructions o Teacher Proctor Security Agreement o Teacher Checklist for Implementation o Guidance Document for New User Interface Optional - Send letter to parents regarding MCESA assessments. (See sample communication at the end of this document.) Communicate to teachers the testing schedule so that they are certain which test their students will take when arriving in the lab. (See sample communication at the end of this document.) Visit the computer lab to determine if any posters containing information that could assist a student on any of the tests needs to be covered up or removed. Prepare a plan for removing disruptive students from the testing environment if needed. Prepare a plan for make-up testing. Testing Day(s) Monitor that testing is occurring to schedule. Assist teachers and proctors with technology troubleshooting. Notify MCESA in the event that all make-ups cannot be completed in the designated testing window. For Technical Support with PCG Call the ADE Help Desk at After Completion of Testing Schedule any make-ups for students who could not complete or participate in their scheduled session. Verify that all eligible students have completed their testing before the close of the testing window.

2 Teacher Checklist One Week Before Testing Read the Test Administration Manual. Sign the Teacher-Proctor Security Agreement. Review list of student log-in user names and passwords provided by your Test Coordinator. Check for missing names and/or extra names. Notify Test Coordinator of any discrepancies. Consider recording student log-in user names and passwords on individual index cards to provide to students on testing day. Check IEP s for any accommodations related to on-line assessments for Special Education students. Identify students that do not have a signed Internet Usage Agreements or have had their internet access revoked. Prepare an alternate activity or assignment for students that finish early or have a restriction from internet usage. Be sure this activity is not an incentive to rush through the test. Prepare students by showing the Power Point presentation for taking an on-line test provided by your Test Coordinator or available on the REIL website. Decide if you are going to have assigned seating for testing and if so, determine assignments. Day Before Testing Review the Test Administration Manual. Log into PCG: EdPlan via ADE Connect and verify that the class list includes all students and that the test has been released, indicated by 0*. If students are missing, notify the person responsible for entering students in the student information system. Testing Day Before Testing Begins Take the Test Administration Manual and list of passwords to the testing location with you. Follow campus secure testing procedures regarding student backpacks and electronic devices. Write the name of the test on the board at the beginning of the test session.

3 Testing Day During Testing Communicate to students their log-in user name and password. If this information was transferred to index cards, distribute cards to students. If students do not have a shortcut on the desktop, the log-in page to take the assessment can be accessed by going to the following website (Note: New URL- may need to update Firewall) For district name, insert the actual name of your district. See the Test Administration Manual for the exact URL. Monitor the class during testing to ensure students are on the appropriate site, are taking the correct test, have not submitted their test prematurely, and are working independently. Announce to students when they have 10 minutes and 5 minutes left in the class period in order to allow students to pace themselves and complete as many items as possible with the time provided. Testing Day After Testing Ensure that all completed tests have been submitted prior to leaving the computer lab. Make note of students who have not completed the test and need a make-up session. Give this information to your Test Coordinator. These students should not submit their test, but should save it instead. Refer to the Test Administration Manual for complete directions on this. Ensure that all students have logged out prior to leaving the computer lab.

4 Information Technology Create URL shortcut on student workstations prior to testing windows. Review the FAQ list for on-line testing in the Appendix of the Test Administration Manual. This will provide helpful troubleshooting tips. Provide technology support as needed during testing windows. Teachers may need guidance identifying internet vs. hardware vs. software application issues. 5 Sample Communications Checklists for Implementation of MCESA Sample of Teacher Directions It is acceptable to copy and/or customize to your needs. Dear Teachers: You are scheduled to take your class to the computer lab on insert date and time to take the insert test name. Please print the attached teacher checklist for handy reference on test day and also have the Test Administration Manual with you. Please be sure that students have viewed the power point about how to access their test prior to their actual test day. When you go to the lab, be sure that students have their log-in user name and password. You should also have a master copy of the students log-in user name and password to take to the testing session. Please read the scripted directions from the Test Administration Manual at the beginning of the testing session. Sample Parent Communication It is acceptable to personalize and copy onto district /school letterhead or post on district /school website. Dear Parents, We are pleased to share with you information regarding the assessments your student will be taking this year. In 2011, the Arizona Legislature revised the criteria used to evaluate teachers and principals. Student academic achievement is now used to account for a portion of each educator s evaluation rating. In cooperation with Maricopa County Education Service Agency, (name of district or school) will be using assessments in previously non-tested subject areas such as physical education, fine arts, and social studies. During this school year, your student will be asked to take one or more on-line assessments that are being designed to measure student achievement and inform educator effectiveness models. The test(s) your student will be taking are designed to assess the Arizona State Standards for each subject area.
