The suite addresses four areas that our customers identify as priorities: enhanced output management, tracking and compliance, workflow automation and postal optimization. The three software platforms in the suite offer base functions and optional features, so they can be configured to match your requirements now or expanded and upgraded to address new business needs in the future. The Critical Communications Solution Suite TotalFlow DocEnhancer ProcessDirector Express ProcessDirector TotalFlow DocEnhancer is an Adobe Acrobat Pro plug-in that allows you to work with all types of print-ready PDF applications without involving a graphic designer. Define changes visually, and display them, before creating new print-ready files. Add capabilities that include postal enablement, document-level verification and cutsheet job ticketing. ProcessDirector Express is a PDF-based version of ProcessDirector that is ideal for midsize and large enterprises and print service providers that have PDF workflow requirements and use Ricoh, Kodak, erox and other PCL, PostScript and PDF output devices. Customize the base solution with optional features that support document-level controls. Upgrade to ProcessDirector when it s necessary to add capabilities for AFP-based workflows. ProcessDirector is modular workflow software that automates and manages processes related to printing for midsize and large enterprises and print service providers that use PCL, PostScript, PDF and/or Intelligent Printer Data Stream (IPDS ) output devices. 6 Turning what if into don t worry Making sure jobs are complete and accurate is a big responsibility. You may rely primarily on people or on a combination of manual and automated processes. Either way, your business is at risk for errors and non-compliance. One mistake in your document workflow can result in the loss of an important client or financial penalties or both. If you want, you can run our workflow software from your laptop. The web-based GUI allows you to monitor and manage your shop from a single dashboard, from anywhere. Meet reporting requirements A Critical Communications solution can produce invaluable and audit-ready reports for compliance and other purposes. For example, a client may ask you for a list of damaged and reprinted pieces that are part of a targeted mailing campaign. Although the pieces were delivered after being manually reprinted, the list confirms to the client that you actually did print and mail the campaign to highvalue clients. Archive jobs as a step in workflow When you need more than temporary job file retention, the Archive feature of ProcessDirector and ProcessDirector Express allows you to archive jobs, and their associated index information, as a step in workflow before or after print. You can quickly and easily search for a document or job using the indexed properties. After you retrieve a job, you can view it, reprint it by submitting it back into the workflow or take other actions. After jobs that need to be archived are moved out of the active job table, your operators can use their time more efficiently because they re managing fewer files on a day-to-day basis. Send production updates to your MIS system The Avanti Slingshot Connect feature enables your MIS system to send jobs and JDF information to ProcessDirector or ProcessDirector Express for production management. Thereafter, our software can provide job status related to specific workflow steps, time duration and pages printed to Avanti. By integrating these systems and automating the reporting process, you can use Avanti to track all jobs in a single system, calculate production costs, manage inventory and use Avanti s advanced scheduling tools. Know when jobs are at risk The Deadline Tracker feature of ProcessDirector and ProcessDirector Express lets you set delivery criteria and associated workflow step attributes. Then, the software tracks and predicts a job s path through a workflow, even with conditional branches, and applies scheduling time to the steps that have occurred or will occur. By tracking and predicting, the software can accurately alert you to jobs that are taking longer than expected and delays that put jobs at risk of missing their deadlines. Color-coded job status information appears on the GUI, providing single-view convenience. Automate the entire verification process A fully automated verification process increases productivity, especially because you monitor and manage all of a job s documents via a single point of control: the web-based GUI. 7 Leverages the power of our server, so you don t need to procure or run a separate server Reconciles completed and non-completed pieces and creates a reprint file Provides an audit trail of how many pieces are printed, reprinted and completed Boost print integrity with cutsheet printer support When you use our workflow software with cutsheet printers from Ricoh, erox, Kodak and other vendors, you can save time, improve asset utilization and achieve shop-wide flexibility by controlling which jobs are printed on which devices. Your operators can set up logic-based ticketing, choose media and finishing options and generate device-specific print-ready files that support the required commands for the target printer. Regardless of printer brand, all output is the same. Jumpstart postal optimization Implement the Postal Enablement feature with any one of the three software platforms, and you can automate a critical early step in workflow and drive down postal costs. The feature extracts address information from fully composed documents so it s ready to be sent to third-party software for address cleansing, address suppression and sorting into postal-ready sequence. You can expedite mail hygiene, avoid wasting postage on invalid addresses and take advantage of postal discounts. When you use ProcessDirector or ProcessDirector Express, address information can be pulled out of jobs and put back automatically as steps in dynamic workflows. Add, hide, update, fix and extract content. Work with the metadata to create lists and reports. Insert production control barcodes and marketing-driven QR codes. Identify the page boundaries of each document within a large PDF file, even if those documents vary in length. Enable document-level controls, by defining edits and instructions based on triggers on the page. Let the software apply the changes, like barcoding, edits or the addition of media/finishing instructions, to all of the other individual documents in the file.
