9 TERMS AND CONDITIONS OF REGISTERING WITH COMMUNITY ACTION WIRRAL Community Action Wirral s aim is to ensure that volunteers are placed in a supportive and safe working environment, in an opportunity which is mutually beneficial to the volunteer and the recruiting organisation. To further this aim, Community Action Wirral will provide the following services: - 1. Register your opportunity on our local database in accordance with data protection legislation. 2. Promote your opportunities on a local level and, if instructed to do so, to all individuals interested in volunteering. 3. Hold informal discussions with prospective volunteers to explore their skills, knowledge, experience and aspirations to refer them to opportunities of interest. 4. Provide prospective volunteers with the information you have given us if they have expressed an interest in your opportunities. 5. Provide advice and support to your organisation on good practice in managing volunteers, assisting new and current organisations in putting together policies and procedures, including those as set out below. Community Action Wirral does not: - 1. Undertake formal interviews in substitution of your own recruitment processes. 2. By referral, recommend a volunteer. It is the responsibility of your organisation to assess the suitability and capability of a potential volunteer. 3. Accept responsibility or liability resulting from the actions or conduct of volunteers recruited via referral from Community Action Wirral. By registering with Community Action Wirral, your organisation agrees to have in place or be working towards the following: (The first three points are the minimum requirements for registering an opportunity with Community Action Wirral). 1. Active promotion of equality of opportunity. A statement of intent is the minimum requirement, but organisations should look to support this with a full policy. Organisations should seek to make their premises / working environment as fully accessible as possible to people with limited mobility, a visual impairment and/or a hearing impairment. 2. Provision of a safe volunteering environment including a health and safety policy and insurance cover appropriate to the tasks being undertaken by volunteers. 3. All volunteer roles are to be complementary and additional to staff roles. Community Action Wirral will not refer individuals for roles that could be considered as job substitution. 4. A written Volunteer Policy & Agreement. This should include at least: - - Recruitment and Selection how volunteers apply to get involved with your organisation and how they are selected. - What, if any, references or disclosure checks will need to be taken. - An approximate expected time before volunteering can begin. - Clearly defined procedures to resolve any disciplinary or grievance matters which may arise. 10 5. A Safeguarding Policy (where applicable). 6. Realistic expectations of potential volunteers. You should have: - A flexible approach to volunteers time, bearing in mind personal commitments they may have. Realistic expectations of volunteers commitment, given that many volunteers may be seeking paid employment or are waiting to start college courses etc. 7. Providing new volunteers with an induction to the organisation, so that they are fully aware of the work involved, the range of services that you provide and the arrangements for their support and supervision. 8. Offering additional training as appropriate to complement volunteers experience. 9. Reimbursing travel and other actual expenses incurred by volunteers whilst carrying out their volunteering. This is good practice and is recommended. 10. Providing monitoring information on volunteer numbers and development needs when required.
