6 Welcome to Uppsala! If you have any questions you are of course welcome to contact us, but we expect you to have read the information in this booklet first. Many people contact us in the beginning of every semester (August, September, January and February). During these months it might take a while before we can get back to you. Uppsala University Housing Office (UUHO) sincerely hope your stay in Uppsala will be rewarding! More information at: Room reservation Your room at Ekebyvägen has been reserved from 15:00 January 16th until 12:00 (noon) December 31st or 12:00 (noon) June 15th (You might have another agreement with Uppsala University). You must leave your room and return your keys before noon on the last day in your rental agreement. Your rental agreement covers the entire semester or academic year. For example you will be liable to pay rent starting from August 16th, even if you arrive September 3rd. The rooms are rented out for one semester or one academic year. If your rental agreement ends December 31st and you have exams after this date, speak to your coordinator at Uppsala University first to find a solution, and if they can t help you, contact info@housingoffice.se to see if we can find a solution. If you are staying longer than two semesters you must find housing for the rest of the time on your own. 8 About Ekebyvägen On Ekebyvägen 13 we rent 24 student rooms in two corridors. Each room is 20 square meters and includes private bathroom (shower and WC). Each corridor has two kitchens and every kitchen is shared on 6 tenants. Cleaning of the common kitchen and other common areas is the students responsibility and usually specific duty lists are put up for your convenience. The monthly rent includes electricity, water, heating, and access to laundry room. Internet access is provided. The rooms are furnished with: Bed and mattress (90x200 cm) Pillow and quilt Armchair Desk with chair and desk lamp Reading lamp Small cupboard Bookshelf Notice board Window blinds Fixtures for curtains and runners for hanging pictures Closest facilities... 9 Keys, tags and cards All tenants are responsible to keep their keys, tags and cards in a safe place. Never keep any information about your address or room number toghether with your keys. Remember to lock your door when you leave the room. Loss of keys or tags Contact UUHO (workdays and office hours) as soon as possible if you lose your key or tag: Phone: , info@housingoffice.se. If you lose your key during weekends or nights you need to call the Studentstaden after hour service: Phone: +46-(0) If a key is lost or stolen the door lock must be changed. The tenant will be charged of the cost incurred with the new lock, keys and tags. It is very expensive to change a door lock, so for your own sake, keep your keys safe. Guests staying overnight The room that has been allocated to you is the residence of contracted tenants only. You may not house other individuals in the room for extended periods. For guest accommodation please have a look at the website (under Temporary Housing for a list of hostels and hotels in and around Uppsala), or contact Uppsala University Housing Office for special offers. Laundry In your accommodation area there are common washing facilities (Swedish: Tvättstuga). You have to book a laundry session in advance in order to do your laundry. Check with your neighbours on how to use the facilities. The use of the laundry rooms is included in your rent but you must bring your own detergent. Heating The general temperature in your room should be 20 degrees (measured in the centre of the room). If the temperature is lower you should make a fault report to the house owner Studentstaden: Phone: +46- (0) info@studentstaden.se Internet Internet is provided through an agreement between the primary landlord and an external supplier. In order to have access to Internet you must buy/bring your own Net Cable. If you experience problems with your Internet Connection, contact Bahnhof. 10 Maintenance Your room will be your home for some time and you are expected to take well care of it. Sharing a kitchen and other common areas with other students can be very rewarding, but of course also sometimes quite challenging. Cleaning and upkeep of the room is the student s own responsibility. Cleaning of the common areas in the corridor, such as the kitchen and living room is shared between the tenants, normally on a weekly rota. You and the others in your corridor are responsible for buying detergents you need for cleaning. Often the students living in the corridor have a common fund to buy common supplies. Collaborate with your neighbors, be helpful, and clean up after yourself. This also includes throwing away garbage and waste in the opposite garbage containers. There is a garbage facility in the area with special containers for combustible waste, compostable waste, and other kinds of waste. Make sure that your garbage bag is securely closed before you throw it in the right container. If you wish to throw away waste that there aren t any bins for in the garbage facility you must transport it to a recycling center (for more information, visit Furniture must not be removed from the room Posters, tape or other things that may cause damage to the walls are not allowed. Smoking in your room or common areas is not allowed. Only outside the building. Respect your neighbours need for privacy and silence. When using the common kitchen, make sure that you remove your things and clean up afterwards. Remove the garbage and empty packages, bottles and cans regularly, and leave them in the garbage room. Try not to throw away any oil (like frying oil) from cooking, in the sink. The oil can be put in a milk carton and thrown in the garbage bag. Do not store any waste or garbage in your room or in common areas. Before leaving, your room should be thoroughly cleaned, it will be inspected, and if it s not clean you will be charged for the extra cleaning costs. You are personally responsible for furniture and equipment in your room. If something is missing when you move out you will be charged for replacing it. 10
11 Fault Report If anything is missing, malfunctioning or broken you make a Fault Report. Maintenance by the caretakers is free of charge. In the beginning of each semester the wait is a bit longer, so be patient. The caretakers have a lot to do when many tenants move in at the same time. Urgent problems will be prioritized. Make sure that your service request includes your address, room number, address and telephone number, and that your extra key has been placed in the door tube. This will make it easier for the caretakers, and they will fix the problem sooner. All problems concerning plumbing, heating, electricity or other installations in the house should be reported to the house owner Studentstaden: Phone: +46- (0) info@studentstaden.se Problems concerning furniture or kitchen-ware are to be reported directly to Uppsala University Housing Office; info@housingoffice.se Tel: If the light doesn t work you must buy a new light bulb yourself, and change it. If the light doesn t work with the new light bulb make a fault report to Studentstaden. If you experience problems with disturbing neighbors, loud music, or similar, you are welcome to make a disturbance report to: For fault reports regarding Internet Connection, contact Bahnhof Internet Support (Week days 08-18), Phone: support@bahnhof.se. Fire protection and emergencies Every room has a fire alarm installed in the ceiling. You are responsible to regularly check that the alarm is working. If the alarm makes a beep sound every ten minutes it indicates that the battery needs to be replaced. You are responsible to replace the batteries yourself. If the fire alarm seems broken or is missing, you must immediately report this to Studentstaden, phone: +46- (0) info@studentstaden.se Fire alarms triggered by carelessness will be charged to the tenant causing the alarm. Pay attention while cooking, be careful not to cause any smoke that might trigger the fire alarm. Never leave any candle lights unattended. It is strictly forbidden to clog the fire alarm with paper or other items. This kind of behaviour puts the lives of others in danger and is utterly unacceptable. Due to fire safety reasons it is also important to keep the common areas and staircases free from such things as strollers, bikes and garbage. 11
12 Insurance Uppsala University Housing Office does not provide insurance for your room or apartment. Formal exchange students are covered by an additional insurance policy taken by Uppsala University at the Legal, Financial and Administrative Service Agency, Kammarkollegiet called STUDENT IN. If some kind of damage occurs in your room/apartment it is very important that you immediately report to Kammarkollegiet, as well as to Studentstaden and Uppsala University Housing Office. NOTE: Property insurance/theft is not included in the STUDENT IN insurance policy. Students are strongly recommended to purchase a comprehensive insurance policy in their home country. Your home university or your home insurance company might be able to inform you concerning home insurance abroad. The Student Union ( ) can help you to take out a Swedish home insurance at a reasonable price. Information regarding vermin and pests If you suspect your room has got vermin or pests it is important that you report this immediately to Studentstaden; Phone: +46- (0) info@studentstaden.se and to info@housingoffice.se. Anticimex will provide all the information you need about what you need to do to get rid of the vermin. The house owner has their own insurance and there will be no extra cost. Bed bugs travel with luggage, find shelter under beds and are active at night. They are quite harmless and do not spread diseases. The bugs do not survive heat over 45º C., you can put your clothes and bed sheets in the tumble drier and run them in 60º C for at least an hour. Bed bugs? Things you must do before the fumigation appointment 1. Wash All bedlinen, quilts, cushions/pillows, curtains and washable textiles must be washed in a washing machine at a minimum of 60º C. Please follow these steps: Put everything in sealed plastic bags and tie them securely before going down to the laundry. Do not open the plastic bags until you are about to put everything in the washing machine. Put the textiles in the washing machine and wash them at a minimum of 60º C. NOTE: If you have clothes and textiles that should not be washed at 60º C, you must talk to your house caretaker, who will arrange different treatment for your clothes/ textiles. If your quilt does not fit into the machine, you can tumble-dry it instead at 60º C for at 12
13 least 30 minutes. 2. Move things out of the way Move your things so that the fumigation company can apply the right areas with the solution, you must follow these steps: Push all your furniture into the middle of the room so that they are at least 50 cm from the walls. Stand your bed on its end so that Anticimex can apply underneath. NOTE: Do not move any furniture out of the room! Everything must remain inside the room to avoid spreading bed bugs to your neighbours. 3. Clean and tidy up You must clean your accommodation thoroughly before fumigation. Don t forget to do the following: Vacuum upholstered furniture and in your wardrobes, cupboards, drawers etc. Vacuum along skirting-boards, and in all nooks and crannies. Put the dust-bag from the vacuum-cleaner in a sealed plastic bag and immediately throw it in the container for household waste outside the building. Mop the floor. During their visit, the fumigation company applies a special solution to the floor, ceiling, skirting boards, bed and upholstered furniture. This solution is eco-friendly and harmless to humans. Allergy and asthma sufferers, children under two years, pregnant women and pets must however stay out of the apartment/room for 24 hours after the fumigation. 13

15 How to pay your rent An online payment link will be sent to the mail address you stated in your housing application. The payment procedure works like this: 1. Every month you will receive an from Uppsala University Housing Office with your rental specification and a web link. 2. The link transfers you to a secure website, where you will make your payment by VISA or Mastercard. 3. The money will automatically be withdrawn from your account and transferred to our account. NOTE: We only accept VISA and Master Card payments, so please make sure that you have a VISA or Master Card before you arrive in Uppsala. If you absolutely need to pay your rent with cash or bank transfer, there is information at with all the payment details you need. We always charge full calendar months (from the first to the last in a month = calendar month), except for the half months during the arrival months; August and January, and the departure months; January and June. It is not possible to pay rent by day. You are liable to pay rent for the rental period stated in your online application and your rental agreement. There is a twelve-month yearly rent, and there are no rent free months. Rent is charged by month, and is to be paid in advance without notice. For example: The October rent must be paid at the latest on the 30th of September. If you for some reason are late with your rental payment, you will receive a reminder from Uppsala University Housing Office. If we still haven t received your payment after this reminder, we will contact your coordinator at Uppsala University. Your coordinator at Uppsala University will contact your home university if the debt remains. For further information regarding rent, visit our website 15

17 Cancellations After arriving you may find out that your exams finish early and that you would like to leave earlier. Make sure that you cancel your rental agreement as soon as you know that you are leaving earlier. There is a two month notice stated in your rental agreement, counting full calendar months. For example: If you would like to cancel the period June 1-15 the final date for cancellation is March 31. After this date you will be liable to pay rent up to June 15th regardless of when you move out. Remember that cancellations are made by full calendar months, which means that your rental agreement always will end on the last day in a month. For example: If you leave on December 17th, your rental agreement will still end on December 31st. You cancel by sending an to info@housingoffice.se specifying the date you wish to move out. NOTE: We cannot make any exceptions regarding these rules, and it is the student s own responsibility to keep track of his or her exams and take count of the two months notice. Extension of stay You may extend your rental agreement over the summer for rental agreements signed for spring term. You extend by sending an to info@housingoffice.se specifying if you wish to extend until June 30th, July 31st or Mid-August. (This extension is possible only if your room is vacant during the summer monts.) We have a twelve months rent which means that if you extend your stay over the summer months, you will pay the same monthly rent during summer as previous months. For rental agreements ending in December and Short-term agreements there is generally no possibility to extend. If you have exams later than December 31st, and wish to extend your stay, you must send an extension request to info@housingoffice.se before October 31st. Extended exchange period If you are a formal exchange student and your exchange has been officially extended for another semester, we will receive this information from your coordinator at Uppsala University, and your rental agreement will automatically be extended. Short-term Accommodation Short-term accommodation are rooms/apartments booked during the semester, and available for the ongoing semester only. Short-term rental agreements cannot be extended. 17
18 The only way short-term accommodation can be booked or extended is if Uppsala University Housing Office has got vacant rooms during the requested period. There is no specific queue for vacancies, you need to request availability via se. 18

21 Departure Upon departure, clean your room with help from the check list on page 22, and return your keys to Uppsala University Housing Office, Övre Slottsgatan 1, before 12am (noon) on the day of departure. Your last possible Check Out day is the last date stated in your rental agreement.and your keys must be returned on the same day before noon. You are personally responsible for the keys to be returned, and you will be charged for the costs of a lock change if your keys are not returned on time. Cleaning Inspection Before leaving we expect you to make sure that your room is clean and tidy. Follow the check list on next page. Since we do not take deposits for cleaning, we trust our tenants to take responsibility and do all the cleaning that is necessary. The inspection is done after your departure. If you fail to clean properly Uppsala University Housing Office will charge you for the additional cleaning which must take place before the next tenant can move in. Please note that the inspector decides whether a room/apartment has been cleaned properly, not Uppsala University Housing Office. Unpaid Rents Unpaid rents and other debts will be reported to your contact person at the department, who also will contact your home university if needed. Make sure that all your rents are paid before you leave. Return Keys To avoid unnecessary costs: please empty your room and return the keys to before 12 am (noon) on the day of your departure. The keys should be returned to Uppsala University Housing Office, Övre Slottsgatan 1. (See opening hours on the last page in this booklet.) If you leave outside opening hours you are welcome to leave your keys in the key drop outside the main entrance on Övre Slottsgatan 1. 21
22 Check List for Cleaning Bathroom and WC Toilet and basin, don t forget to clean underneath. Polish the taps. Use Citek or some other acid chemical to easily remove calcium. Never use green scotch-brite. Bathroom cupboard and electric fittings. Shower curtain cleaned in washing machine. Drain (floor) cleaned outside and inside (remove balls of hair). Floor cleaned with water Remove stickers and loose details (if there are any). Kitchen (your own or your part of common kitchen) Stove (don t forget behind it), inside oven and equipment belonging to it. Use spray Ugns- och grillrengöring or similar. Never use green Scotch-Brite or such. Floor cleaned with water. Sink and cupboards cleaned, also inside. Cupboards, fridge/freezer and doors cleaned, also on the top and inside. Please remove all your belongings. General Wipe off strips around the floors, windows and doors. Power points, radiators cleaned. Floors thoroughly cleaned with water (except on wooden floors) and rug or similar. Tiles cleaned and if there are decorations remove them. Closets thoroughly cleaned and emptied. Storage rooms (if you have any) must be empty and clean. Windows (and curtains if needed) cleaned. All four sides. 22
