3 Introduction This guide has been prepared to assist the merchant to use price lists in version 6.16 of epages. Price lists are used to implement product pricing for customers when the standard product list price should not apply. For example, when specific customers have preferential pricing or when it is during a sale period. Products are associated with Price lists to setup: Single or Bulk product prices and discounts Product purchase Value discounts Price lists can also be used to implement Shopping basket discounts Each price list specifies the date/time range during which the price list is valid as well as the individual customers or customer groups that may use the price list. The following pages explain the steps necessary for the merchant to use price lists. Page 3
4 General epages has many features which can assist you in creating an online shop that meets your business requirements. Shop administrator(s) can configure your online shop features using the various options in the Merchant BackOffice (MBO). You were provided with an administrator MBO login and password when your online shop was created. It is important that an administrator realises that making changes in the MBO without understanding the consequences can cause unintended effects which may affect the operation of your online shop. The following sections will help you to successfully implement price lists for your online shop. Page 4
5 Customer Groups Customer groups are useful when you wish to limit some feature or capability to a group of customers. For example, you may have some customers to whom you want to give special product pricing. In such situations you need to first create a customer group then allocate those customers to that group. To create or modify customer groups click Customer groups from the Customers tab in the Merchant Back Office (MBO) menu. A new customer group can be named whatever you like but should ideally reflect the purpose of that group. For example, Regular customer, VIP buyer or Authorised dealer. The most common customer group should be made the default for new registration and for ordering without registration. This group would usually be for those customers who do not normally have access to special product pricing (except possibly for any discount sales or clearances that would use separate price lists which would apply to most customers). You can change any customer to another group as necessary. For example, if you decide that a regular customer should be in a VIP buyer group; possibly because of previous sales history. Of course, you can decide to only have one customer group so that every customer has the same product pricing. Page 5
6 Price Lists A Price List is used to offer special product prices to one or more groups of customers or to individual customers. A price list can also specify that shopping basket discounts apply to these customers. To create or modify price lists click Price lists from the Products tab in the Merchant Back Office (MBO) menu. A new Price list requires an ID (a unique identifier) and a Name which can be anything you want to use to describe the price list. If your shop uses multiple currencies then each currency that requires special product pricing will need a separate price list. It s a good idea to name a price list so that it identifies the currency (e.g. March Sale AU, March Sale NZ ). Click the Save button when you have entered all the above information about the new Price list. A Price list which has been created then needs information about product pricing and the customers that can use the price list. Page 6
7 Product Prices To display products click Products from the Products tab in the Merchant Back Office (MBO) menu. Click the Product number of an existing product to display a page showing the product details which includes the list price. Click the Prices tab to create pricelist Bulk and/or Value discounts for this product. Bulk discount The Bulk discount tab allows you to select and display discounts for two price lists side by side so they can be compared (e.g. for different currencies or sales) The icon next to the price list selection shows the price list status. Bulk discount applies to a product only for an active price list. Click the icon to display a page showing the General tab information of the price list. Page 7
8 The quantity textbox is used to specify the number of units of the product which must be in the shopping basket for the Bulk price and/or Discount percentage to apply. If both a bulk price and a discount percentage are specified then the bulk price will be applied and then the discount will be subtracted. If there is to be just a single special price for this product in the price list then enter a Quantity of 1 and set the Bulk price to the required special price. There can also be bulk discounts for multiple quantity ranges of the product in the shopping basket. The bulk price, which defaults to the list price, will carry forward to a higher quantity range unless the value is set for the higher range. The discount percentage, which defaults to no discount, will carry forward to a higher quantity range unless the value is set for the higher range. For the example above the special unit price to the customer will be $95.00 (no discount percentage specified so the no discount default applies). For quantity 2 to 4 there is a 10% discount off a price of $99.95 (which just happens to be the list price). For quantity 5 to 9 the unit price will be $82.80 ($92.00 less $9.20). Since the discount percentage is not specified the discount of 10% is carried forward from the lower range. For quantity 10 to 19 the bulk price of $92.00 is carried forward from the lower range and a further 20% discount applies. The unit price will be $73.60 ($92.00 less $18.40). For quantity 20 and above the unit price will be $65.00 since a zero discount has been specified. The product detail page shows the customer these bulk discount ranges. Note the asterisk which is shown at the end of the price list name. The asterisk marks all price lists which are associated with this product. Page 8
9 Value discount The Value discount tab can be used to specify discounts that apply when the customer reaches certain values of the product in the shopping basket. The total value of the product in the shopping basket which is used to determine if a Value discount applies is based on the product unit price (i.e. the product list price adjusted for any Bulk discount). Click the price list status icon to display a page showing the General tab information of the price list. Price List Advanced Setting Click Price lists from the Products tab in the Merchant Back Office (MBO) menu and then click the Advanced settings tab. By default epages will Use list prices when displaying prices in the merchant s shop. Change to the Show quantity option to display prices which have been adjusted by price list discounts. Page 9
10 Price List Customers Click Price lists from the Products tab in the Merchant Back Office (MBO) menu to display a page of all price lists. Clicking the ID of an existing Price list will display a page showing the basic information of the price list. Customer groups Click the Customer groups tab to specify which customer groups will use the price list. To assign a Customer group to the price list click the required Customer group in dropdown list so that it appears in the text box and then click the Save button Page 10
11 To stop Customer groups from using the Price list click the checkbox of one or more Customer groups and then click the Remove assignment button. Customers Click the Customers tab to assign individual customers to this Price list. You would normally assign individual customers to a Price list when you want them to use a particular price list but for some reason you don t want them to be in a Customer Group which is assigned to that Price list. You can enter either a customer number or address then click the Save button. To remove one or more Customers from being individually assigned to the price list click the Customer checkbox(es) and then click the Remove assignment button. Note: (a) If any of the customers being removed are also in Customer Groups which are assigned to this Price list then they will still use the price list. (b) If a customer is individually assigned to a price list and is also in a Customer Group which is assigned to a different price list then the individually assigned price list will be used for that customer. The different price list associated with the Customer Group will not be used for such customers. When there is more than a few customers that are to be assigned to a price list it can be easier to click the Add elements button which will display a customer selection popup box. The Add elements popup box allows customer selection either by directly by Customers or indirectly by Tray. Page 11
12 Add by Customers Click the checkbox(es) for one or more customers on the displayed page. Alternatively, click the checkbox in the header to select all customers on the page. Click the Apply button to assign the selected customers to the price list. Customers can also be selected using the Search feature. Search can be used to find customers by full or partial match to Customer number, Name or address. Page 12
13 Enter the required characters into the Search text box and press Enter or click the search icon which appears after the textbox. A list of customers which match (fully or partially) will then be displayed. For example, when searching for su Change the textbox characters if you wish to search for different customers. Customers can then be selected and assigned to the price list as previously described. Note that x character which appears at the end of the search textbox. Click x to refresh the Add elements popup box so that it displays the original list of customers. This is different from the x at the right of the Add elements header that is used to close the popup box. Page 13
14 Add from Tray The Tray is like a container into which items can be added so they can be carried and used elsewhere. It s a bit like the familiar computer Copy and Paste feature. Before using the Add elements Tray option the required customers must be added to the Tray. Essentially a cloned copy of the customers is added to the Tray so that the customer information can be used from the Tray. The customers themselves remain unaffected. Click Customers from the Customers tab in the Merchant Back Office (MBO) menu. Click the checkbox(es) for one or more customers and then click Add to Tray. Go to the Price list Customers tab and click the Add elements button which will display the customer selection popup box. Click the Tray option to display the tray information which shows the number of customers in the tray. Page 14
15 To assign the tray Customers to the price list click the Insert elements from the tray checkbox and then click the Apply button. The Customers tab page will then be displayed showing all the individual customers assigned to the price list. Page 15
16 Shopping Basket Discount Click the Shopping basket discount tab to create a shopping basket discount for this Price list. A discount applies for all customers using the price list when the total value of all products in a customer s shopping basket reaches the specified minimum amount. Any delivery and payment charges are ignored. The discount can be an absolute fixed value and/or a percentage of the total value of the products. If both discounts are applicable then the calculation for the discount percentage is based on the value of the shopping basket after applying the absolute value discount. There can be different discounts for different ranges of total product values in the shopping basket. Note that a specified discount (absolute value or discount percentage) will carry forward to a higher minimum amount range unless that discount is set to zero for the higher range. For the example above a customer will get a $7.50 discount when the total product value reaches $100. For $200 and below $300 the discount will be $7.50 plus 10% of the discounted total product value (i.e. 10% of the value of the total products after subtracting $7.50). For $300 and above the discount will be 15% of the total value of the products in the shopping basket. The product detail pages show the customer the shopping basket discount ranges. The shopping basket shows the additional purchase value needed to achieve the next higher discount range. Page 16
17 Summary This document has focussed on the various ways in which the relationships between Products, Customers and Price lists are used are used to implement product special pricing and shopping basket discounts.
