1 Application Process 88 HOW TO APPLY Applicants must complete an Application for Admission to Bow Valley College on pages 90 and 91 of this Academic Calendar or online at and make payment using Visa or MasterCard. (Applicants may also choose the PAY LATER option and come in person to the Office of the Registrar with Cash, Debit, Cheque or Money Order.) Continuing Education applicants do not pay an application fee and should complete a Continuing Education Course Registration form at bowvalleycollege.ca/coned. ALBERTA STUDENT NUMBER Applicants must have an Alberta Student Number (ASN) to apply to Bow Valley College. This number can be found or created at: (Applications submitted without an Alberta Student Number will not be accepted.) WHEN TO APPLY Most programs have a limited number of spaces available. Admission to a program is determined by the rule of first-come, first-qualified, first-accepted. Applications to the program will not begin until all required documentation is provided and/or admission requirements have been met and the file is deemed complete. Applicants who require funding assistance are encouraged to apply early to ensure all necessary documents are submitted prior to the start of classes. International applicants are advised to apply three to six months in advance in order to obtain a student visa and are encouraged to contact the International Education Office prior to application at: ADMISSION REQUIREMENTS Bow Valley College admission requirements are designed to accommodate mature students. Applicants to Bow Valley College programs or courses must be 18 years of age or older, or able to demonstrate to the Registrar the maturity to benefit from a selected program of study. It is not mandatory to have a completed high school diploma to apply to programs or courses at Bow Valley College. Admission requirements are listed under each specific program. Applicants should familiarize themselves with the specific requirements of the program they are applying to. In some cases, pre-program requirements or additional admission requirements are also listed. Applicants must provide proof of successful completion of the admission requirements for the programs or courses selected. Applicants whose first language is not English must also fulfil the English Proficiency Requirements to the program applied for prior to final acceptance. OFFICIAL TRANSCRIPTS Applicants must: Arrange for an official copy of any high school transcripts Arrange for an official copy of transcripts from each post-secondary institution attended As part of the online application process, applicants may choose the free electronic transcript transfer between institutions participating in Apply Alberta. Transcripts may be requested from Alberta Education (for high school transcripts) as well as from other post-secondary institutions currently using the Apply Alberta application site. Official transcripts requested from high schools or institutions who are not members of Apply Alberta must be: 1. Original academic documents bearing the seal and signature of the institution or agency, and 2. Mailed directly to the receiving institution in a sealed envelope by the Office of the Registrar from the sending institution. An exception to copy originals may be made for applicants educated outside of Canada who receive only one set of original official transcripts. Evaluation of academic documents will only be assessed for Bow Valley College applicants. In some cases, applicants will be asked to write a placement test and/or attend an interview. 2 Foreign Transcripts Applicants educated outside of Canada and applying to Bow Valley College for full-time career programs will be required to produce their original academic documents. Please contact the International Admissions Officer at for specific details. The Test of English as a Foreign Language (TOEFL) or the International English Language Testing System (IELTS) Academic may be used for admission into most programs (only valid within a two-year period) to fulfill the English Proficiency Requirement. Note: Applicants to programs other than career programs at Bow Valley College may provide Unofficial Transcripts or Statements of Courses and Marks. PRE-PROGRAM REQUIREMENTS 89 Police Information Check (PIC) Some Bow Valley College programs include clinical placements in agencies where employers require a police information check as part of the entrance requirements. Results of this check may restrict opportunities for placement in a practicum. The PIC must be obtained before the start of the program and may need to be renewed more than once while enrolled in a program. Students are responsible to apply for and obtain their own PIC record and to understand the implications on work or clinical placement and licensure and/or employment prospects. In addition, applicants in some programs must request a Vulnerable Sector Screen on their PIC. Vulnerable Sector screening provides screening of individuals who intend on working or volunteering with the vulnerable sector. A vulnerable person is defined as a person who, because of their age, a disability, or other circumstances, whether temporary or permanent are (a) in a position of dependence on others or (b) are otherwise at a greater risk than the general population of being harmed by a person in a position or authority or trust relative to them. For information on how to obtain a PIC, please contact your local police district office. Learners who have not submitted their PIC by the start of the program will have their Letter of Admission withdrawn. Immunization Requirements for Heath Care Workers Programs Some programs at Bow Valley College require students to have certain immunizations completed prior to the program s first clinical or work experience. These include: Practical Nurse Health Care Aide Hospital Unit Clerk Dental Business Assistant Medical Office Assistant Pharmacy Technician Veterinary Office Assistant Upon acceptance into a full- or part-time program, applicants will receive immunization information as part of their acceptance package. Applicants must follow the directions provided in this information. WAITING LISTS If a program or course is full, qualified applicants are automatically placed on the program or course waiting list. The wait list is determined by date of acceptance so early application is advised. Every effort is made to contact individuals if a space becomes available. Please be aware that other cancellations may result in short notice for full acceptance into a program, therefore funding applications should be submitted early if applicable. OTHER IMPORTANT INFORMATION Transfer Credit / Prior Learning Assessment and Recognition (PLAR): Bow Valley College recognizes applicants with equivalent coursework completed at other recognized or accredited post-secondary institutions or with relevant work experience. Transfer Credit applications and information on completing a PLAR assessment are available at the Registrar s Office. Learners with Disabilities: Learners requiring academic accommodations must contact the Counselling and Specialized Support unit of Learner Success Services at least four months prior to the commencement of their scheduled classes at Bow Valley College to establish an academic accommodation plan. Reasonable effort will be made to provide suitable academic accommodation; however there is no guarantee that services will be available and it is possible that in order to provide required accommodation, we may have to defer start dates. While BVC will attempt to facilitate all learner requests for accommodation, please be advised that there is a current shortage of sign language interpreters. Student for a Day/Tours: Prospective applicants have the opportunity to spend a day attending classes and meeting students and instructors in their area of interest. Prospective applicants may also participate in a tour of the Campus based on need and area of interest. 5 TUITION and Fee Information 92 Paying your tuition There are a number of ways to pay your tuition at Bow Valley College. Tuition fees must be paid in full when registering. Specific tuition fees are listed under the Tuition and Fees Schedule online at bowvalleycollege.ca/fees. For fee deadlines for semester-based programs, please see the Important College Dates section of the calendar. Tuition fees can be paid at the Office of the Registrar (1st Floor, South Campus). Bow Valley College accepts: Cash Interac Direct Payment Visa or MasterCard Money order Certified cheque Purchase order Personal Cheques (no post dated cheques will be accepted) By Phone To make your tuition payment by phone, please have your Visa or MasterCard number and your Bow Valley College student number ready. The Office of the Registrar and Enrolment Services Bow Valley College Avenue SE Calgary, AB T2G 4V1 STUDENT SERVICES FEE The Student Services Fee replaces many of the existing fees at the College. This fee includes your Student ID Card, transcripts (official and unofficial), confirmation of enrolment letters, graduation and other registration items. MATERIALS FEE The Materials Fee is attached to full-time programs and some part-time courses for the materials instructors use in their classes. Below is a summary of the items the Materials Fee covers in each program area: The Centre for Excellence in Foundational Learning The Materials Fee for these students covers the costs of handouts and tests for students, lab supplies and materials, student information materials, and subsidization of field trips. Students are not generally required to print out their own course handouts in Academic Foundations courses. School of Business These programs fees cover materials distributed in class (course outlines, program booklets, exams), as well as assignments printed in computer labs at the request of the instructor. Medical Office Assistant Certificate fees also cover dressing materials, gloves, cleansing solutions, distilled water, etc. Interior Decorating program fees also cover paints, fabrics, design materials and accessories for displays. Note: Materials fees do not include costs for printing instructor presentations materials used during class lectures (such as PowerPoint presentations), or of any electronic reference materials. Instructors are not expected to provide their presentation materials to students. English Language Learning and International Fee covers the costs of one workbook per terms as well as other class resources, such as newspapers and magazines. School of Health, Justice, and Human Services Pharmacy Technician Diploma: covers lab supplies and supplies required for doing prescriptions in class. Practical Nurse Diploma and Health Care Aide Certificate: Materials Fee covers lab kits and lab supplies Human Services Programs: Materials Fee covers printing the student handbook and all materials used in class TECHNOLOGY FEE The Technology Fee provides new or ongoing improved technology services to students. These fees are levied on all Bow Valley College online and ecampusalberta courses. STUDENTS ASSOCIATION FEE Full-and part-time students are considered members of the Bow Valley College Student Association (BVCSA), and are subject to fees for this membership. Bow Valley College collects these fees on behalf of the BVCSA. HEALTH AND DENTAL FEE All members of the Students Association in programs of 26 weeks or longer are subject to fees for a health and dental plan. Opt-out options are available upon proof of alternative coverage within 30 days of program start. Students who are funded through the Student Finance Board or through EI are not eligible for coverage. See the Students Association Office or visit mystudentplan.ca for additional information. 6 WITHDRAWLS, CANCELLATIONS AND REFUNDS Fee and Refund Schedule To find Fee Deadlines, Cancellation Deadlines, Drop Deadlines, and Withdrawal Deadlines visit the Important College Dates section of the calendar. Minimum Full Time Loads Students in most Bow Valley College programs will have their pace determined and fees assessed based on their credit load. Students who are at or above the Minimum Full-Time Load for their program will be assessed full-time fees; students who fall below will be assessed parttime fees. Please note: Your pace may affect your funding eligibility. Refund Information Credit Courses/Programs Students withdrawing from a program or course may be eligible to receive a refund of their tuition based on the refund guidelines and fee schedule, provided there are no outstanding financial accounts and the student has followed the formal withdrawal/cancellation procedure of the College. To withdraw from a credit course of program students must notify the academic department. Failing to report to class or ceasing attendance from a course or program does not constitute withdrawal and no refund will be assessed under these circumstances. The period of enrolment is calculated from the day on which the program commences to the last day of attendance. Approved refunds are issued within two to three weeks of notification of student withdrawal or cancellation. Payments originally made by cash, cheque, debit, or money order are refunded via cheque. Payments originally made by Visa or MasterCard are refunded back to the credit card originally used for payment. Any outstanding fees will be deducted from the total refund amount. Confirmation fees are non-refundable. Please see the list of Mandatory fees for other non-refundable fees available at bowvalleycollege.ca/ fees. Compassionate grounds may be considered with official documentation (i.e. medical certificate). Provide documentation to the Office of the Registrar and Enrolment Services. Students who receive advanced or transfer credit for courses will be automatically refunded 100% of tuition paid for those courses, according to the refund payment guidelines. No administration fee will be assessed. Cancellations Bow Valley College reserves the right to cancel programs or courses due to insufficient enrolment or other unexpected circumstances. Any courses cancelled by Bow Valley College will result in 100% refund with no administrative fees. Important Information for Funded Students If a funding application has been completed and submitted, your statement of account may indicate an ESTIMATED FINANCIAL AID AMOUNT. If there is no estimated financial aid amount noted on the invoice, no funding application has been submitted. If funding is not approved, the student will be responsible for immediate payment of the entire balance of tuition and fees. Material fees are not paid directly to the College as part of funding. Students are to pay the materials fees by the fee deadline. Outstanding Fees/Accounts Unpaid or outstanding fees may result in program/course withdrawal and denial of future registration, as well as denial of access to transcripts and certificates. Students will receive an Overdue Notice to pay any outstanding fees once the fee deadline has past. If payment is not received by the date indicated on the Overdue Notice, students may be automatically suspended from classes. Permission to attend class will be suspended until payment is received by the Office of the Registrar. If payment is not received by the date indicated on the Suspension Notice, the student may be automatically withdrawn from their academic program/course. Funding will also be cancelled and future registration will be denied. If a student has been withdrawn and pays the outstanding tuition/ fees, they may receive permission to be re-instated. Re-instatement is not guaranteed. Any fees that remain outstanding will be sent to collections. Fee Deferrals Payment deferrals may be requested at the Office of the Registrar. Deferrals are not guaranteed. The College does not accept payment plans. Fee deferrals that are approved, will have one payment deadline. Fee deferrals may be approved for the following reasons: Student loan funding has not yet been processed by the government An offer of acceptance into a program is made less than one week prior to the start of the program For extenuating circumstances which may include illness or accident.
