1 1 COORDINATOR, COMMUNICATIONS LEADERSHIP & INFRASTRUCTURE JOB DESCRIPTION Title: Coordinator, Communications Type of Position: Full- Time Location: Langford, British Columbia Rugby Canada (RC) is the national sport organization committed to the domestic development and international success of Rugby for Canada. OBJECTIVE OF COORDINATOR, COMMUNICATIONS The Coordinator, Communications will assist in the daily operations of Rugby Canada s Communications Department. The primary function will be to create relevant content, assist in website management and help leverage Rugby Canada s stories, brand and reputation as laid out in our Strategic Plan, specifically as it related to National Programs and Domestic Events. ROLE OF COORDINATOR, NATIONAL PROGRAM COMMUNICATIONS The Coordinator, Communications will be based out of the Canadian Rugby Centre of Excellence in Langford, BC. The Coordinator will provide communications assistance providing day- to- day communications support of all on- field events (domestically and internationally), communications for all National Teams, maintaining media relations around teams and events and supporting all National teams and programs, coaches and support staff. The Coordinator will serve as Rugby Canada s secondary point of contact for all external media concerning National Programs and will work closely with full time and part time managers of Rugby Canada s National Teams and Programs. It is the responsibility of the Coordinator to help manage and maintain Rugby Canada s Communications platforms while working with the established team of volunteers, contracted service providers and interns to support the needs of the organization. This team will ensure the National Program communications requirements of Rugby Canada are delivered in the most efficient and cost effective manner, while adhering to Rugby Canada policy and strategic / operational plans. Reporting to and working with the Manager, Communications and Media Relations, the Coordinator is responsible for leveraging communications activities to enhance Rugby Canada s growing presence in the local, regional, national and international media and rugby community. As an event based organization, there is a high level of importance placed on the promotion of athletes, teams and programs participating in Rugby Canada hosted events as well as participation based events hosted by other organizations.
2 2 CORE RESPONSIBILITIES AND PRIORITIES The Coordinator, Communications will be responsible for performing the following roles and/or delivering the following outcomes. Internal and External Communications Video Capture and Editing Content Creation and Aggregation Website Management Media Relations Team/Program Reporting Archives and Records Social Media Administrative and Commercial Support Key Activities 1. Internal and External Communications Develop and maintain various communication plans for Rugby Canada teams, programs and their respective camps, tours and competitions referencing the Rugby Canada Communications Plan Help raise the profile of Rugby Canada s athletes, teams and programs Coordinate regular updates, player profiles and external outreach to player s hometown communities Work with Rugby Canada National Team & Program Managers to identify suitable candidates to fulfill the role of Press Officer for their respective programs Work with Rugby Canada National Teams and Program Managers and any approved press officers to maintain national team player profiles. Such profiles will be required in up to date electronic/hard copy as well as maintain a presence on the RC website and any League website and Competition websites. Increase the traffic on all Rugby Canada websites as well as all social media environments by developing new and innovative features on the Rugby Canada website and social media environments including live broadcasts, calendar of events etc. Work with variety of departments within Rugby Canada as well as partners and sponsors to fulfill all video and photo requirements, with the support of the Lead Photographer. Should be comfortable and knowledgeable with all aspects of video capture, video post- production and editing and video distribution/broadcast Provide support in creating instructional sport videos/promotional videos Marketing and Event promotions for events/host organizing committees sales and promotions 2. Video Capture and Editing Working with the Manager, Communications and Media Relations, the Coordinator will capture and edit video features and highlights in the build up and following National Team competitions.
3 3 Where required, the Coordinator will help create exciting video content for corporate, event and national team initiatives to help further Rugby Canada s brand 3. Content Creation and Aggregation Working with the Manager, Communications and Media Relations, the Coordinator will create quality and consistent content for Rugby Canada s communication platforms. Work in conjunction with Event Staff to ensure a consistent approach towards media accreditation at special events and high profile matches 4. Website Management Maintain Rugby Canada s websites with up- to- date and relevant information on National Teams and Corporate Events Work with Rugby Canada s Program Managers to keep athlete s online bios up- to- date and informative 5. Media Relations Working with the Manager, Communications and Media Relations and Public Relations/Media Consultant, maintain a database of regional, national and international media contacts Work in conjunction with Event Staff to ensure a consistent approach towards media accreditation at special events and high profile matches 6. Archives and Records Develop and maintain a complete archive of video highlights, interviews, photographs (supporting Lead Photographer) and other media content. This should include online storage and file sharing of the above media Work with the Manager, Communications and Media Relations and Alumni Relations staff to develop a historical culture that promotes an awareness of our alumni, our victories and other achievements The Coordinator will be in charge of keeping all stats, records, scores, schedules and player/team information up to date on all online website and on organizational records The Coordinator will also need to devise a plan for keeping/organizing all Rugby Canada records 7. Social Media Implement the social media strategy, coordinating with stakeholders across Rugby Canada to ensure its effectiveness and encouraging adoption of relevant social media techniques into Rugby Canada s National Programs and Domestic Events Assist social media campaigns and day- to- day activities for all National Team activities and domestic events. Duties include event / team / athlete promotion, community- outreach efforts, promotions, etc. Become an advocate of Rugby Canada in social media spaces, engaging in dialogues and answering questions where appropriate
4 4 8. Administrative and Commercial Support Maintain any ancillary event websites All other duties as required. LEVEL OF AUTHORITY A. Structure Reports to: Manager, Communications and Media Relations Number of Direct Reports (if applicable): Communications intern(s) and Freelance / Volunteer Contributors (writers / video) Works closely internally with: National Programs (Teams and Athletes); All departments staff Works closely externally with: World Rugby (formerly IRB), Provincial Unions, National and Local Media, etc. B. Decision Making Authority The Coordinator, Communications has sufficient authority to take measures that are necessary in addressing media / communication matters in accordance with budgetary limitations, policies and programs in force. Beyond these limits, decisions must be approved by the Manager, Communications and Media Relations. DESIRED QUALIFICATIONS / SKILLS Undergraduate degree or diploma, preferably in Communications, Media / Public Relations or Journalism, Sports Management or a related field supplemented with a minimum of two (2) years experience working in a related field Experience in demonstrated sports writing skills. Experience with forms of media (video editing will be an asset) A comprehensive knowledge of website operations and designs Familiarity with the sport of Rugby, the Rugby community, and Rugby friendly media would be an asset A background that demonstrates the ability to open doors to new communication outlets for the sport in Canada Demonstrated evidence to work independently without supervision but in accordance with documented policy and procedure guidelines A record of working as a team member, as well as a history of performing in situations that require self- leadership and initiative
5 5 A background that displays people management and people leadership skills and attributes A background that displays excellent customer relations and workplace cooperation skills Demonstrated evidence of high quality control and presentation standards Bilingualism will be considered a major asset GUIDELINES FOR APPLICANTS The appointed individual must be able to display an ability to be flexible in their time commitment, as the person will be called upon to work during periods of extended hours including weekends and evenings. Travel may be required from time to time. A valid drivers license and passport are essential.
