1 FORM ENTRY INSTRUCTIONS FOR THE RESEARCH SEMINARS AND EVENTS WEB PAGE ABOUT THE RESEARCH SEMINARS AND EVENTS WEB PAGE The RESEARCH SEMINARS AND EVENTS web page was created to provide a one stop internet site for biomedical researchers (faculty, staff, and students) to locate relevant research seminars and events at OSU and Nationwide Children s Hospital. Research meetings are an integral part of the dissemination of research findings and scientific collaboration. Departments, centers, and institutes devote significant amounts of time and resources in coordinating these events. We hope that by centralizing the promotion of these events, we can increase the awareness and participation and reduce scheduling conflicts. The research events are currently categorized into 4 types: (1) Research Seminars, (2) Scientific Meetings, Conferences, and Poster Sessions, (3) Student Presentations and Defenses, (4) Journal Clubs, and (5) Career Development/Tools of the Trade/Research Administration. ENVIRONMENT The RESEARCH SEMINARS AND EVENTS web page was created in SharePoint, a web application platform developed by Microsoft. The SEMINARS web page features a table style listing of current and future seminars (Figure 1). Filter boxes at the top of the page allow for the selection of specific seminars series, categories of events, and open ended term searches. Events will only be displayed from the current date forward, but past events will be archived. Each event can be selected to provide more information, such as registration details, contact names, flyers, and event hosts. By selecting the +ADD to Calendar button, the specific event can be added to your Outlook Calendar. Note that if the presentation information is revised/updated the calendar appointment will correspondingly change. Events appearing on the RESEARCH SEMINARS AND EVENTS web page will also appear on the College of Medicine calendar ( The view displayed on the College of Medicine calendar contains a subset of the basic title information that is displayed on the Office of Research RESEARCH SEMINARS AND EVENTS web page. 2 LOGGING IN Go to 1. Sign In (if prompted) with your medical center account. Contact for system access. 2. You should now see a calendar view of the events (Figure 2): FIGURE 2 ENTRY FORM In the Calendar view, wave the curser over the specific calendar date that you will be adding your presentation to. Either double click the day or select the image +Add which will produce the form page shown on in Figure 3, with the following fields: Title: presentation displayed on the College of Medicine Calendar. See the examples on page 3. Location: room number, full building name Start Time End Time Description: presentation display on the COM Office of Research Research Seminars and Events web page. See the examples on page 3. Series Title : drop down selection. To request addition of a new series, contact Elaine Wakely. Sponsor: drop down selection. To request an additional department or group, contact Elaine Wakely. Category: drop down selection. All Day Event Recurrence Audience: while attendance is open to everyone, the optimal audience can be selected. Distributed: selection allows display on the College of Medicine Calendar. If the presentation has already been added directly to the College Calendar or via One Source, CCME (Center for Continuing Medical Education), or another source, do not check the box this will create double entries on the College Calendar. 2
3 Seminar Contact: seminar coordinator contact information, such as , and telephone number. Searchable terms* can be added here. For example: Key words: cardiology, infectious disease, apotosis, micro RNA, etc. Attachments: event flyers, abstracts, building maps. The attach file icon will be visible at the top of the form page, along with other editing tools. Host: faculty member or a secondary sponsor of the event *KEYWORD filter options: Since the Search filter on the main page is an open search mechanism that captures terms in any of the above fields, the Seminar Contact form field can be used to add key words, such as microbiology, wound healing, personalized medicine. EMPHASIS As more seminar series are added to the RESEARCH SEMINARS AND EVENTS web page, the user will be challenged to quickly assess which events are pertinent to their own research interests and are important to attend. The key factors in this selection will be seminar series title, speaker name and stature (also if an outside visitor), and presentation title/topic. The use of key words will also enable the user to identify seminars topically. While the form fields were created to capture these factors, the seminar coordinator has some degree of flexibility within some of the fields to highlight and promote the most critical aspects of the presentation, with the target audience in mind. The above examples are intended to standardize the display of the seminars, but not restrict more meaningful depictions of the information. In general, the speaker names and title of the presentation/event should be in bold face type. Minimize the use of special type, except in rare circumstances. The College of Medicine Office of Research reserves the right to edit events for brevity and clarity according to editorial and style guidelines and to decline presentation information that is not within the scope of the web page.
