4 Overview The GRE Search Service is a powerful, one of kind database that provides graduate and business schools a cost efficient way to reach individuals from around the world who have taken a decisive step toward pursuing an advanced degree and who personally opted in to hear specifically from graduate, business and fellowship programs like yours. Depending on your recruitment and admissions goals, you can use the GRE Search Service to reach a broad diverse group of prospective applicants or refine your search to identify specific characteristics you are seeking ranging from detailed geography selections, gender, ethnicity, academic performance and more. The Search Service database, containing 18 months of prospective student data, is updated weekly and will provide you with the most current prospects. Appendix A provides data on the characteristics of students who participated in the GRE Search Service in a recent 18 month period. The system is available 24/7, and you can perform unlimited volume projections or place an order anytime. Electronic delivery orders are usually available within two hours of the order and no later than the next business day. Participation is currently available for eligible institutions and organizations within the United States, Canada, the European Union and many other countries. Because of international privacy laws, participation may not be available to institutions in certain locations. For further details, please contact Customer Assistance. If your institution currently receives GRE scores, the institution code you were assigned will also be used for the purposes of the GRE Search Service. 5 Overview (continued) Terms of Participation Institutional Participation Participating institutions agree to the following: The information provided by the GRE Search Service will be used only by a participating institution and will not be released to other agencies or to individuals that are not acting directly for an institution. GRE Search Service information will be used only and exclusively to identify potential applicants and to bring to their attention the educational and financial opportunities available to them through the institution. They will inform potential applicants in their communications that the applicants are being contacted as a result of their participation in the GRE Search Service and they will give the applicants the option of being removed from future mailings. They will not use names provided by the GRE Search Service to discriminate against potential applicants on the basis of race, color, national origin, religion, or gender. They will not copy, release, use, lend, sell, rent, or otherwise make available student information to any other institution, organization, or individual without the written consent of the GRE Program. Any inappropriate or secondary use of the GRE Search Service is prohibited. Violations of this agreement will lead to a cancellation of future service and will be subject to penalty. Student Participation Prospective graduate and business school students are given the option to be included in the Search Service when they register for a GRE test. Additionally, anyone considering graduate study, whether or not they are registered for a GRE test, may sign up for the GRE Search Service. 5

Note: You may want to target prospects by their current mailing addresses, found under geographic information. The regions outside the United States are Canada, Africa, Asia, Australia/New Zealand, Europe, Latin America. Have Reported GRE Scores to Your Institution You may choose to exclude individuals who have requested that their GRE scores be sent to your institution. 9 GRE Search Service Criteria (continued) When using overall UGPA, choose each UGPA that you want to include in your search. For example, if you want students whose UGPA is between A and B, you must select A, A, B+, B, and B. If you select only A and B to attempt to create a range, you will not include students whose UGPA is A, B+, or B. Self reported UGPA in Major When using UGPA in major, choose each UGPA that you want to include in your search. For example, if you want students whose UGPA is between A and B, you must select A, A, B+, B, and B. If you select only A and B to attempt to create a range, you will not include students whose UGPA is A, B+, or B. Academic Performance Enhanced Insight GRE Score Bands You are able to search the student database by GRE revised General Test score bands or GRE Subject Test score bands in combination with self reported UGPA. The GRE Board made the decision to include GRE score bands in combination with UGPA to ensure that GRE test scores are not the sole determining factor in identifying students to recruit for a graduate program. Candidates who meet either the criteria for the GRE score bands OR the UPGA score range you select will be included in the output for your order. When using GRE score bands to create a search criterion, you must first select values for Overall UGPA, or UGPA within Major. You will need to choose each UGPA that you want to include in your search. Once that information is included, you will be presented with options for GRE score bands based on the sections of the GRE revised General Test or for the Subject Tests. GRE score band is a search only criterion. While GRE score bands can be used to build custom mailing lists, neither score band data nor individual test score data will be included in the output file format. The score bands for each of the sections of the revised General Test and the Subject tests follow. Please note that you must first select the self reported grade point average range before you can access the score band selections. NOTE: Scores from the computer based GRE revised General Test are reportable within days after the test date. Scores from the paper based GRE revised General Test and Subject Tests are reportable within six weeks after the test date. You may type in the desired dates or double click dates on the calendar (accessed by clicking on the clock/calendar icon to the right of the text box). Names are kept in the database for 18 months. The test date range should be determined based on the goal of the campaign. For the most recent end date, we recommend that you use the link for Today on the calendar. Other Criteria Have an Address If you are exclusively conducting an marketing campaign, you should select the box Exclude Search Service registrants Who Do Not Have an Address under Special Options to exclude Search registrants who do not have addresses. If you plan to use the names for phone calls or print mailings, you should not click on this box because it will eliminate prospects who do not have addresses but who may have provided a phone number or postal mailing address. 10
11 Fees, Payment, and Billing Policies FEES, in U.S. Currency Per name fee per order for electronic output = US$0.43 per name Annual participation fee = US$250. The annual participation fee is billed on a rolling 12 month calendar. It will not be due again until your first purchase that is at least 365 days from the date it was last paid. Payment/Billing Policies You may pay by credit card (American Express, Discover, JCB, MasterCard or VISA ), ACH electronic payment, wire transfer (a transfer fee may apply outside the U.S.), or use the bill me option. If you choose to be billed, we require a purchase order number. In most cases, invoices will be mailed directly to your accounts payable office. Payments are due upon receipt and checks should be made payable to ETS GRE Search Service, 4987 Collection Center Drive, Chicago IL 60693, USA. If your account is overdue by 90 days or more, we will not process your order. Marketing We require that when you a GRE Search registrant, you indicate that you obtained the address through the GRE Search Service. When contacting a list of candidates received from a GRE Search via , your s should be sent using software or sent individually to each prospective student. This approach will keep the list of addresses from being available to all prospective applicants and assure that the information is not being inadvertently shared. To learn more, contact your institution s local administrator or tech support. Important: Do not send s to Search registrants by placing all registrants in the to field. This is a violation of our Authorization and Use Statement and is subject to penalties. 11
12 Using the GRE Search Service Open a New Account To open a new account, click on the New User? Create and Account link from the login screen. Figure 1: Institution user sign in screen You must read and accept the Terms and Conditions in order to create a new account. Accounts are required to perform online volume projections. When you place your first order with the GRE Search Service, the US$250 annual participation fee will be added to the cost of your volume projection. The annual participation fee is billed on a rolling 12 month calendar. It will not be due again until your first purchase that is at least 365 days from the date it was last paid. If you decide to register for a new account, you will be required to provide some basic information, such as your name, your GRE institution code, address, and mailing address. If you are searching for your institution code but can't find it, try leaving out common words such as university, college, institute, and words like the, of, and, at, etc. For instance, if you are searching for University of Nebraska at Lincoln, try using only the keywords Nebraska Lincoln. Once you log in to the site, you will have access to a number of administrative and search features. You can choose to create a new volume projection, manage existing volume projections, view orders, and view order results. You can easily reorder or review previous volume projections or orders. You can modify customer information, such as your contact address, shipping address, or password, from the Update Account Info link on the Home Page. 12
13 Using the GRE Search Service (continued) Create Volume Projections and/or Orders Volume projections can be created on a single page. From the Home Page, click on Create a new volume projection. Select only the criteria from the criteria groupings that will help you narrow your search. Once you have selected your criteria, enter the Registered Test Date Range for the search registrants you desire. Indicate if you want to exclude examinees whose GRE scores were sent to your institution or search registrants who do not have an address. Click on Test to see approximately how many registrants were found. You can then select the Estimated Cost link to receive an estimated price. At this point, you can modify your criteria, save and place the order, or cancel your order. Helpful Tips for Creating Volume Projections/Orders: To help your volume projections run faster, select only criteria that will help you narrow your search. We recommend that you do not select anything as a search criterion that does not narrow your search. Simply bypass the criterion and its selections. It should not take longer than a few minutes to test a volume projection. If the projection takes longer than ten minutes, click the Stop button on your web browser. Then click the Test button in Step 2: Test (Volume Projection) to run the projection again. Copy Volume Projection and Edit Criteria The GRE Search Service allows you to create a new volume projection from an existing one without having to recreate your entire selection criteria. The Copy Volume Projection and Edit Criteria function allows you to duplicate an existing volume projection and change your selections within the copy of the original projection. This feature will save you time and allow you to keep a history of past order criteria in your account. To copy a volume projection, select number 2, Manage existing volume projections from the Home page. From the Volume Projection Navigator, simply select the projection you wish to duplicate by placing a check mark in the box to the left of the projection. Then click on the Copy Volume Projection and Edit Criteria button at the top of the Volume Projection Navigator page. You will then receive a copy of the volume projection within your account. The new volume projection will be named Copy of (Old Volume Projection Name). At this point, you can select the copied volume projection and make your edits to the criteria. You may also save the Copy of volume projection with a new name. 13
14 Using the GRE Search Service (continued) Building Multiple Levels of Search Criteria The GRE Search Service gives you the ability to create multiple levels of search criteria for each section. To do this, simply select the additional criterion you would like to add from the drop down box located at the top of Step 1: Define Criteria. The choices include Personal Information, Educational Background, GPA with GRE Score, and Educational Objective. Select the criteria you would like to add from the drop down box to the right of the Add Additional Criteria button. Then click the Add Additional Criteria button to add another row to that section of the search criteria. Once the additional criterion is added to the volume projection, you can narrow your selection within a criteria grouping even further. In this example, we have chosen to narrow the search by adding Intended Graduate Major as a criterion to the Educational Objective section. Once you have made your selection(s), you can test the volume projection to see the effect the change has had on the number of test registrants returned. Test Volume Projection Once you have completed adding to your selection criteria, you can test your volume projection to determine the number of GRE test registrants the projection will return. To see your results, simply click on the Test button in Step 2. You can also click the link to see an estimated cost of your projection. When you are satisfied with the results, you should type in a name for the volume projection. Use a name that you will easily recognize or remember. You can then click Save and Place Order, Save and Place Order Later, or Cancel (if you wish to discard your changes). You may also change the search criteria to include more or fewer GRE test registrants in the results. If you choose not to place an order immediately, we highly recommend that you click Save and Place Order Later. This will allow you to access your volume projection at a later date and save you the time of having to reenter all of your selections. Volume Projection Results If a selection is not relevant to the needs of your search, you do not have to use that criterion in your Volume Projection. For example, if Degree Objective is unimportant to your recruitment efforts, do not use that criterion in your search. Only make selections that will help narrow your search. If you select all of the available choices, it will slow down the query and it will take longer for you to get your results. In order to remove an unwanted selection from a search criterion with multiple levels of search, simply check the box to the left of the unwanted selection, and click on the Delete Criteria button at the top right of Step 1. If you wish to delete the criterion from the first level of selection/top row when there are no additional levels/rows added, simply click the drop down arrow to the right of the criterion and select the blank row. You cannot delete the entire criteria grouping; however, the system will not filter your projection based on that criteria grouping if you leave the selection box blank. 14
15 Using the GRE Search Service (continued) Limiting the Results If you are placing an order, you have the option to randomly reduce the number of prospects you receive by entering the desired number of prospects in the Order Wizard. You must click on the box in Step 4 in order to be able enter the maximum number of registrants for the search. The Order Wizard allows you to select the type of output you wish to receive and in what format you would like the data sorted (alphabetical, postal code, or intended graduate major). Selecting the Format for Your Purchase The GRE Search Service has a user friendly format for exporting data fields in a flat file format that can then be imported into most student management systems. Most often this type of export will automatically open as a *.csv formatted spreadsheet. You have the choice to export only the fields you wish to receive and name the fields to easily match the format of your current student management system. This will save time you may have previously spent going through the data cleaning it up to remove unnecessary entries and rename columns. If you do not wish to include a specific field of data, click the arrow on the drop down box and select Do not export. If you want to rename a field, simply type over the existing name in the text box. 15
16 Using the GRE Search Service (continued) Name/Value Data Export Actual names of locations and majors, among other options, can be exported. This means that you will not have to decode or translate values before using them to complete recruitment campaigns. Export Names is the default to receive the user friendly output of data. If you prefer to receive the values, that option is available by selecting Export Values. You can also select Export Names (Values) or Export Values (Names) in order to receive both formats in a single export. In the example in the screen capture here, selecting Export Names (Values) would result in the following data output: English Language and Literature (2501). Submitting Your Order Before submitting your order, you will receive a confirmation message displaying the total amount due. If you need to make any changes to your order, you will need to do so before proceeding to the payment screens. Note: Once you have submitted a Search order, it cannot be canceled. Picking Up Your Electronic Order When your electronic order is ready (typically within two hours of placing the order), you can pick up your results from the Order Results Navigator. From the Home Page, select View: Order Results or click on Order Results from the navigation bar. Select the appropriate time frame in which the order was placed. Then select the Download link to the left of the appropriate order. The file will download in a *.csv file format, and will open as a comma separated value spreadsheet. See Appendix F for the Default Comma Delimited Record Layout. Recurring Orders Recurring orders allow the option of scheduling orders to recur weekly, monthly, yearly, or for a specific time range in the future. If you are traveling or just want to save time, this feature should be especially appealing. You can use an existing order/projection or create a new one. If you provide us with a blanket purchase order or credit card to cover the cost of your recurring orders, we will automatically send your output on the schedule that you have specified. A feature prevents the duplication of output so that you only receive the names that were added to the system since the last time the recurring order was run. A recurring order cannot be processed until a single order has been placed during the initial subscription year. In subsequent subscription years, if you use a recurring order from the previous subscription year, the system will recognize that your recurring order is still in effect and will send you only the updated names since your last purchase. You will then be charged the US$250 annual participation fee on the first recurring order of the subscription year. 16

Once your order is placed, you can choose to have subsequent orders recur weekly, monthly, yearly, or for a specific time range in the future. You will need to provide a blanket purchase order number or credit card number. If you provide a blanket purchase order that covers the entire cost of your recurring orders, we will automatically send your GRE Search Service output on the specified schedule and debit your blanket PO accordingly. Recurring orders are valid for as long as they are scheduled in the system. If you need to cancel a future recurring order from being processed, select View Orders from the Home Page, or select Orders from the navigation bar. From the Orders Navigator, select the order you wish to cancel and select the box to the left of the Action column. Then click the Remove Schedule button. This will remove the data from the Run Dates and Schedule columns to cancel the order. To stop an order from occurring, it must be canceled prior to the day it is scheduled to be processed. Reorder/Review Previous Volume Projections or Orders Select Manage existing volume projections or View orders from the Home Page. You may also select the Volume Projections link or the Orders link from the navigation bar. Accessing existing volume projections 17
18 Using the GRE Search Service (continued) or orders saves you from having to reenter all of your selections. Click the appropriate hyperlink to view your previous orders or volume projections. If you simply want an updated count, select Manage existing volume projections or Volume Projections and enter the updated beginning and end dates for the projection, and then click on the Test button in Step 2: Test (Volume Projection). If you want to make a change to the criteria, select the appropriate search grouping and make the necessary adjustment. Be sure to save the change, and then test the new volume projection. Please note that when an existing order is repeated, the system will only return new test registrants that have been loaded into the database since the last time the order was run. Print Order Receipt You can print a copy of your receipt directly from the GRE Search Service system. Select View Order Results from the home page or Order Results from the navigation bar. Once you are directed to the Order Results Navigator, select the appropriate time frame for the order you are seeking from the drop down box next to View. In the example here, we have selected to view all orders. Select the order number link below the order name. You may now print your receipt. Modify Customer Information To modify information, such as your contact address, shipping address, or password, click the Update Account Info link from the top of any page in the system. To add alternate shipping contacts, click on the Add button in the Shipping Contact Information section. When the window opens, enter the new information. Please note that it can take up to three business days to verify a new shipping address. Forgotten Username or Password Retrieval If you have forgotten your username or password, you can retrieve your information automatically through the GRE Search Service and your provider. Simply go to the login page, and select the Forgot Username or Forgot Password? link to the right of the Username and Password boxes. You will either be prompted to enter your GRE Search Service Username and the that you used to create your account, or you will be prompted to enter your Password and the that you used to create your account. The system will automatically create a new password for your account and send it to your address. The next time you log into the system, you will have the choice of keeping the new password that was ed to you, or changing your password from the Update Account link (shown at the top of this page). Simply select Change Password, and you will be prompted through the process. 18
19 Output Output Sequence You can choose from alphabetical order, zip code order, or intended graduate major order. Print Format For each output medium, choose uppercase only or uppercase and lowercase print formats. Output Medium Electronic Delivery is in IBM ASCII format and available as a comma delimited file. See Appendix E for the Default Comma Delimited Record Layout. If you order electronic delivery, we will send an order confirmation followed by a second that indicates your order has been processed. Log in to the Service at and select the link for Order Results from the navigation bar, or View order results from the Home Page. See page 16 for additional details on picking up electronic orders. Electronic delivery is typically available within two hours of placing the order. Name/Value Data Output Format Actual names of locations and majors, among other options, can be exported. This user friendly output means that you will not have to decode or translate values before using them to complete recruitment campaigns. You have the choice to export your data in either the names or values format. You may also alternatively choose to export the data with both names and values in one output. In this case you will receive one format following the other in parentheses. For example selecting Export Names (Values) for Intended Graduate Major would result in the data being delivered as English Language and Literature (2501). Selecting the names format delivers results in plain text. In choosing to export data in the names format, you will receive your data ready for immediate use. Export Values is generally the default selection for data output. However, this can be changed by following the instructions on page
20 Appendix A Student Characteristics The following information is based on 18 months of GRE Search Service student data and is provided for your planning purposes. It is a snapshot in time of the data in the GRE Search Service database, and it is important to note that counts fluctuate throughout the year.
