2 Quick Start Guide Welcome! You're about to begin processing student transcripts with Secure Transcript. You'll find that this paperless service is simple, easy to use, faster and more reliable than sending out transcripts by hand. In the four steps below you should find everything you need to start using Secure Transcript. If you still have questions after you've tried the service with the Quick Start Guide, look in the Frequently Asked Questions at the end of the guide. If these don't help you, please contact Docufide Customer Service at Log in Use your Web browser to go to Then, under the Sign In link, log in using your address and the password provided in the Welcome from Docufide. 2. To Do List This page shows all the students who have recently ordered transcripts through Docufide. Click on a student s name to see more information. As you look down the list, you have a choice of three options for each student: Approve Once you approve a student's request and retrieve their record, Docufide can send official transcripts to each recipient selected. Hold If there's a problem with a particular student's record, choosing Hold will notify the student and let you resolve the issue for approval later. Process Manually Choose this option to approve a student whose transcript must be run manually. For example, it may require special attachments, or isn't available on your computer. When you've approved or held all the requests on the To Do List, click Continue to move on. Who should use this Guide? If you are your school s registrar, or if you share the job of sending student transcripts to colleges, this Quick Start Guide is for you. Everything ready? Before you can use Secure Transcript, you need to set up the software that moves the student records from your computer to our data center. If you haven t already done this, please download the Setup Kit from Docufide and follow the Setup Guide you ll find inside. 3. Process Transcripts This page shows a checklist of the requests you've just approved. Approved Transcripts will be sent through Secure Transcript ; Transcripts that you have chosen to process manually need to be printed and mailed from your office with any special handling they require. -Continued on next page-

Retrieve records In the last step, you'll review the student records for accuracy and send them to Docufide for delivery. Using the checklist from step 3, retrieve one transcript for each student you approved from your school's student information system. Select "Print" as if printing the files normally, but choose the Docufide print driver on your network instead of an actual printer, and "print" each record to that driver. Remember to print and mail a hard copy of any record that you ve approved to process manually. We will notify these students that their transcripts were approved and will be sent directly from your office. As your partner in managing student records electronically, we'd like to thank you for your time and effort. However, the system has many other features to help you improve your workflow and better serve students, and more are coming soon. We've listed some important ones below. Keep an eye on your for new features and helpful hints from Docufide. Post messages on the Web page where students log on, such as college advising news or important dates. Search past orders to find just one or sort them all by criteria such as destination college or order status. Don't forget! Your students need to get their transcripts out on time and Docufide needs your help to make it happen. Make sure you retrieve and send all the records on your daily checklist.

4 Communications Guide Spread the Word: Telling students about Indiana e-transcript. Now that your students will be making many of their transcript requests online, you need to get the word out. Students will love the 24/7 convenience, the confirmation and knowing that their transcripts are being sent to Indiana colleges and universities electronically. But they can t get started until they know it s available so you ll need to tell them. To make sure they get the message, we suggest that you: Advertise! To help, we ve provided the materials in the Communication Guide which follows. You ll find a range of communication tools that you can print out, put up, pass around, mail, or send home. It s up to you do whatever works best to reach your students. Just remember that as soon as they start requesting their transcripts through Secure Transcript, you will start saving time and money. Get ready Before you start your communication campaign, make sure that the software is set up and everything is ready. It s easier to get familiar with the system before the orders start coming in. Have your school s webmaster post the Indiana e-transcript link on your school s website, so students can link directly from the school web site to request their transcripts. Go! Here are some ways you might use the elements of the Communications Guide. You will find the following tools to help you get the word out. Staff/Counselor Letter Distribute this letter to everyone on your school s counseling or college advising staff. It provides all the information they need to tell students how and why to send transcripts online. You can also give them copies of the e-transcript Benefits Summary included in the Welcome Kit. Student Flyer This brief introduction tells students all they need to know about requesting their transcripts online: what Secure Transcript is, how it works, how to use it. Send it home, pass it out at advisory meetings or college nights, hand it out in the school office Student News Copy Give this press release to the staff of your student newspaper, and to any school staff who send out newsletters or regular communications to families. Make sure to get it into issues that will come out before the next round of transcripts is due. Local News Release A state-wide press event will take place October 17 th, after which time you may choose to use the included release, designed to be shared with any local press that covers school issues.

5 Attention All College Counseling Staff Transcript requests to participating Indiana colleges and universities can now be made online This year the college admissions process will get a little easier for your students. That s because our school administration has joined the Indiana e-transcript Initiative to handle student transcript requests for Indiana colleges and universities electronically, with Docufide s Secure Transcript. This is a free service to our school and students, funded by ISM Education Loans, in partnership with the Indiana Commission for Higher Education and Indiana Department of Education. Our students will now order these transcripts online, with the ease and 24/7 convenience of the web. That s how they prefer it - and as you know, that s how they re already applying to many colleges. And because our school registrar won t have to sort through paper requests, print, address and mail hundreds of records, the office with save time and money as well. What can you do to help? You can help make Indiana e-transcript a success for everyone by telling our students how to use it. Direct them to the high school s web site for transcripts, not the registrar s office. Pass out the flyer that is included in the Welcome Kit materials; in take-home packets or college nights. And know what they need to know to use the system. The phone isn't ringing, students aren't coming in the door, and the forms for ordering transcripts are gone. Why? Because the high school office has put the system for ordering transcripts where students want it: on the Web. Thanks to a new state-wide initiative called Indiana e-transcript, you can now request transcripts online and have them sent electronically to participating Indiana colleges. All you'll have to do is look for the Indiana e-transcript link on the high school website and log in. This service is provided free to schools and students - funded by ISM Education Loans, in partnership with the Indiana Commission for Higher Education and Indiana Department of Education. Indiana e-transcript takes care of sending out official transcripts to the participating Indiana colleges you choose. You'll get an when each transcript is sent, and, best of all, when they receive it. 12 Answers General Questions Q: What is Indiana e-transcript? A: Indiana e-transcript is the name given to the state-wide initiative designed to provide a myriad of benefits to all participating Indiana public and private secondary and post-secondary schools and their students by implementing the ability for these institutions to exchange electronic transcripts. The first phase of this multiphased initiative is focused on supporting the electronic delivery of transcripts from Indiana s high schools to Indiana colleges. E-Transcript is provided as a service to Indiana students and families by ISM Education Loans in partnership with the Q: Who are Indiana e-transcript participants? A: A high school becomes an e-transcript participant by completing the online registration form and having the Superintendent sign and return the Secondary School Agreement provided during registration. All secondary and postsecondary schools in Indiana (public and private) are eligible to become Indiana e-transcript participants. Colleges and universities become Indiana e-transcript participants by signing-up online, completing a similar registration and Receiving Institution Agreement online. The delivery of electronic transcripts between Indiana e-transcript participants is free. Q: Who is Docufide? A: Docufide is the service provider who has been selected to manage the development and ongoing operation of Indiana s customized electronic transcript delivery services. Q: What is Secure Transcript? A: Secure Transcript is Docufide s core transcript delivery service. Versions of this service are currently operational in numerous states. These high schools will have the additional option to sign up for Docufide s Secure Transcript-Nationwide service. This extended service will allow their students to pay a $5 fee to have transcripts sent to any other authorized destination in the continental United States. A: A student at a participating high school visits Secure Transcript through an Indiana e-transcript link placed on their high school s website, registers, and chooses where they want to send transcripts. These transcript requests are presented electronically to the high school s administrator, who approves the request and uploads the student's records to Docufide. Docufide processes these student records and delivers official transcripts, electronically or on paper, according to the receiving college's preference. The student receives confirmation when the transcripts are approved, when they are sent, and, if delivered electronically, when received as well. All Indiana colleges and universities participating in the Indiana e-transcript Initiative will receive transcripts electronically. Q: Are these transcripts official? A: Yes. Schools participating in Indiana e-transcript sign the Secondary School Agreement with Docufide legally appointing them as their "agent," allowing Docufide to send official school transcripts on their behalf. Q: How is personal information kept safe? A: Every sending and receiving institution is authenticated by Docufide, and all transmissions between them are carried over secure channels. Docufide employs the same data security technology that powers today's on-line banking solutions. When the transcript is to be delivered via mail Docufide prints it on security paper with the address of the college or university automatically printed on the other side assuring it goes to the right destination. Q: How soon after transcripts are ordered are they sent? A: After a transcript order is placed by the student, the school registrar must approve the transcript order and electronically send the transcript information to Docufide. Docufide sends out electronic transcripts immediately, upon receipt of transcript information from the school registrar. Mailed transcripts are typically sent out within one business day after receiving transcript information from the school registrar. A delay at the school in approving transcript requests, and/or uploading transcripts will delay the delivery of transcripts. Q: What institutions accept transcripts from Docufide? A: All participating Indiana colleges and universities will receive transcripts electronically from Docufide. If a high school has chosen the Secure Transcript-Nationwide service, transcripts can also be sent to any accredited college or university, NCAA Clearinghouse, military and selected scholarship funds that require transcripts. Docufide regularly updates the list of accredited agencies in response to suggestions from schools and students. Q: Are student signatures required? A: No. While signatures are typically required to release transcripts to students, they are not required for transcripts being sent to colleges in which the student may enroll or scholarship funds that may consider providing aid to the student. Click here to start!, then enter your school name to find out whether Secure Transcript is available at your school). Q: Can I order transcripts to destinations outside of Indiana? A: The Indiana e-transcript is a state-wide initiative which allows students at all participating Indiana secondary schools to order official transcripts online and have them sent electronically for free to participating Indiana postsecondary schools. If your school selected to extend this service to Docufide s Secure Transcript- Nationwide, you will be able to order transcripts sent out of state for $5 per transcript. If you are unable to select destinations outside of Indiana, your school did not choose to extend their service to Secure Transcript- Nationwide, therefore see your high school counselor to request these transcripts. Q: What are the benefits of participating in the Indiana e-transcript Initiative? A: Your school has decided to participate in Indiana e-transcript to provide you with the convenience of ordering transcripts online and the security of confirmation by provided by Docufide s Secure Transcript. Also, your school saves staff time and postage costs, and the colleges you select receive the transcript in the format they prefer. Q: How much does this cost? A: As part of the Indiana e-transcript Initiative, Secure Transcript service is free to all participating Indiana high schools and colleges. There is no fee to students for transcripts sent to participating Indiana colleges and universities. Schools choosing Docufide s Secure Transcript-Nationwide option make out-of-state destinations available to their students which carry the normal Docufide transaction fee. Q: Are electronic transcripts official? A: Yes. Under the Indiana e-transcript Initiative all transcripts sent by Docufide are official. Your school has legally appointed Docufide as its exclusive "agent," allowing them to send official school transcripts on its behalf. Electronic transcripts are sent only to those colleges who specifically ask to receive transcripts in that format. Q: What do I need to order my transcripts online? A: All you need is an address and, if sending transcripts to a non-indiana college or university, a credit or debit card for payment. Q: How do I track my orders and see if they have been received? A: Click on the Indiana e-transcript link on your high school s website to log on to Secure Transcript with your username (the address you used when you registered) and your password and select Order Status. Here you will see all the transcript requests you have placed along with the status of each. If the order is complete, it will say Order Complete, otherwise the order status will inform you where your request is between approval, upload, and delivery. Q: What if I don't have an address? A: You can get a free web-based account from many service providers. Some examples include and among others

Docufide regularly updates the list of accredited agencies and appreciates your suggestions for colleges not currently available on the site. Q: How is the personal information I provide through the Secure Transcript Web site used? A: We ask you to enter your full name, date of birth, gender, graduating class and school for two reasons. The registrar at your high school uses this information to identify you in their system, and if they have any questions, they will you for more information. Docufide then uses some of this information to confirm that the records sent from your school match your request. Social security number, when provided, is used to transmit to the college to aid matching your transcript to your application and other records. No personal information is used for any other purpose without your explicit permission. Q: Do I have to do anything after I place my order? A: No, we will send out your order and a confirmation to you. However, you can log on to Secure Transcript at any time to check on the status of your order. Simply login through the Indiana e-transcript link on your high school s website and select Order Status from the Options menu at the top of the screen. Q: How soon after I order my transcripts are they sent? A: Your school typically takes 1-3 business days to approve your request. We will notify you via as soon as your request has been approved and electronic transcripts will be sent immediately. Paper transcripts are typically mailed within one business day of receipt of the transcript information from your school. Q: How soon after they are sent will colleges receive my transcripts? A: All transcripts sent electronically will be available moments after we receive them from your high school. All participating Indiana colleges and universities will receive your transcripts electronically. For colleges that do not yet accept transcripts electronically, Docufide will deliver your transcript through the mail. All mailed transcripts are optimized for quick processing by the postal service. Please note, however, that many colleges take up to several weeks to process transcripts, once they are received (even when received electronically). Q: How will I know my transcript was received? A: If your transcript is sent electronically, we'll send you delivery confirmation by as soon as we receive confirmation that it was downloaded by the college. If your transcript is mailed, we can confirm that it was sent, but cannot confirm delivery. We encourage you to follow up with the recipient in this case and ask that you keep in mind that it can take up to 3-4 weeks, after it was mailed, for a college to receive a transcript and record it in their system. Q: Can I use Indiana e-transcript to have a copy of my transcript sent directly to me? A: Not at this time. For security reasons, we are only permitted to send transcripts to accredited colleges and scholarship funds. This feature may be available in the near future, however. Q: Can I send a transcript to a college that's not listed on your site? A: If your high school has signed up for Docufide s Secure Transcript-Nationwide and you find that a college, or college location, is not listed on our site, you can request the addition of a new college or scholarship address on the search page. Once Docufide validates the destination, we will add your requested address to our database and notify you within two business days. If your school has not signed up for Secure Transcript- Nationwide, the full list of currently participating Indiana colleges and universities are provided. Q: Who sees my transcript? A: Only staff at your school and the receiving institutions that you select will see your transcript. We do not send documents to students, parents or other non-validated recipients. Additionally, a limited number of Docufide staff may have access to your transcript as it is processed

You can also log in again at any time to request transcripts for additional institutions. Q: Can my parent or guardian order a transcript for me? A: If you are under 18, your parents or a guardian can order transcripts for you. Q: Does Docufide offer financial assistance for those that can t afford to pay for a transcript? A: There is no fee for transcripts sent electronically within the state of Indiana. If your school offers Secure Transcript-Nationwide, Docufide makes fee waivers available to students who have qualified for and received a fee waiver from The College Board (the organization responsible for the SAT), or ACT. To apply, register at and notify your school registrar, who will authorize your fee waiver. A credit for two transcripts will be issued to your Secure Transcript account and you will be notified by . Q: I m an alumnus, can I use Secure Transcript? A: This service is available to you if the year that you graduated is available in the pull-down menu during registration

A: All high schools in Indiana are eligible to participate in the Indiana e-transcript Initiative. Indiana colleges and universities who have signed up for Secure Transcript as part of the e-transcript Initiative are now ready to receive transcripts electronically from high schools in Indiana. The Indiana e-transcript Initiative will be rolled out to all public and private high schools in Indiana over a five quarter period (approximately 100 high schools per quarter) starting in October To join, your school superintendent simply clicks on the registration link provided on the Indiana e-transcript Initiative website to complete the process. Q: How much does this cost? A: As part of the Indiana e-transcript Initiative, Secure Transcript service is free to all participating high schools and colleges. There is no fee to students for transcripts sent to participating Indiana colleges and universities. Since ISM Education Loans (ISM) has paid for this service for students in Indiana, no additional local fees may be charged to students for processing transcripts. There is a $5 fee for each transcript sent to receiving institutions outside the state (or those in the state not participating in e-transcript initiative). This fee is paid to Docufide by the student via the online system. Q: What is Secure Transcript-Nationwide? A: Students at any high school participating in Indiana s e-transcript Initiative can order transcripts online for electronic delivery by Docufide s Secure Transcript to Indiana colleges and universities participating in the e- Transcript initiative, free of any charge. In addition, these high schools can optionally sign up for Docufide s Secure Transcript-Nationwide service, in which case their students can also order transcripts to be sent to any other authorized destination in the continental United States and will be delivered by Docufide, electronically or via the mail. The transcript fee of $5 per transcript is identified when the order is placed. Q: Who can order transcripts with the Secure Transcript system? A: Any current student and all past students whose records are in your school s online Student Information System (SIS) and whose transcripts appear in the same format as current students when printed. Schools signed up for Secure Transcript-Nationwide service may allow all alumni to place their requests online, benefiting from online ordering and confirmation, though alumni requests whose records predate the current SIS format must be processed manually. Q: Who at the school can use the Indiana e-transcript Secure Transcript system? A: Anyone designated, typically including the registrar and/or the guidance counselor. Everything needed to use Secure Transcript is in the downloadable Welcome Kit, which provides step-by-step instructions. Q: Do I need special software? A: The only thing you need is the Secure Transcript software, a small application which sends student record data to Docufide's servers over secure connections. Your IT support personnel will download the software from our website and install it on the computer where you process transcripts, in the same manner in which you would install a software driver for a new printer. Note: Secure Transcript software is PC and Mac compatible. Q: How long does the Secure Transcript software take to set up? A: Setup typically takes just 10 minutes. A: Certainly, but a primary address and password are required for security reasons. Docufide will contact this designated primary contact with information, updates, or questions. Q: We manually add SAT or ACT scores to our transcripts (through stickers or writing on the printed transcript), what do we do when using Secure Transcript? A: There should be no need to manually attach SAT or ACT test scores to your transcripts as students can have these scores sent directly to the college which they apply. This is how these testing organizations and most colleges prefer to receive them. Q: What about ISTEP+ scores and Core 40/Academic Honors stickers? A: ISTEP+ scores and Core 40/Academic Honors information that is stored in your student information system and currently represented on your transcript report will be included on the transcript. For schools that do not currently maintain this data in their system, they will need to enter these data into a comments field on their transcript report. Q: How can I best educate the faculty and staff at my high school on the benefits of Indiana e-transcript? A: There are some useful tools provided in the Welcome Kit that are available to help you spread the word about the many benefits of Secure Transcript, not only to your faculty, but students as well. There is a High School College Counseling Staff Letter that we provide you that you can distribute, as well as a Student Flyer that you can post around the school and pass out to students. Q: Where can I find the Welcome Kit? A: The Welcome Kit is located in the Download Center. Once you have been installed and are logged into your account, select Download Center on the top blue toolbar. Then click on Welcome Kit. Follow the prompts for a quick and easy download. 19 Colleges Q: We ve signed up for Secure Transcript as part of the Indiana e-transcript Initiative, what does that mean? A: Indiana colleges and universities who have signed up for Secure Transcript as part of the e-transcript Initiative will begin to electronically receive a growing number of high school transcripts from high schools in Indiana. You will also receive transcripts in the same manner from students outside of Indiana who are attending schools that use Secure Transcript. These transcripts will initially be downloadable as PDF files. They are expected to also be available in XML in the second quarter of 2006 once a national standard is adopted. Q: How can I verify that your transcripts are official? A: Each participating school has signed an authorization agreement with Docufide, appointing us as their exclusive agent for ordering, processing and delivering official transcripts. These agreements can be viewed after you register and/or log in to the Secure Transcript Web site. Q: How did our institution get listed with Docufide? A: Docufide delivers to all colleges and universities in the United States, initially through the mail on security paper to those that have not yet registered. Your institution has signed an agreement with Docufide authorizing the delivery of transcripts in an electronic format. Q: Our institution s mailing address is incorrect as it appears on your site. How do we fix it? A: While Docufide works hard to maintain an accurate database, your input can help improve services to students, schools, and receiving institutions like yours. During registration, you ll have the ability to review and if necessary update your address in the system. You may also update this information at Q: Some high schools formerly provided us with profiles, are they still available? A: Yes, you can view available school profiles by registering/logging in and going to 'school information'. The footer of each transcript indicates if a profile is available for that school. Q: How can we receive electronic transcripts? A: As an Indiana post-secondary institution, you are eligible to automatically receive electronic transcripts, at no cost to you by registering with Docufide. If not already registered, you may do so at Q: What formats are currently available for electronic transcripts? A: Docufide's Secure Transcript service will deliver transcripts in a variety of electronic formats. Transcripts are currently available as Acrobat PDF image files (which require no integration to receive). Q: What additional formats are planned for electronic transcripts? A: Docufide will soon begin delivering transcripts in XML formats using the emerging PESC (Post Secondary Education Standards Council) standard for high school transcripts. Q: Can more than one person download transcripts for our institution? A: Yes. Docufide recommends that a backup administrator be assigned to the account, in addition to the primary administrator. This will ensure that transcripts are always downloaded promptly, even when the primary contact is out of the office. Q: How often should I check my Secure Transcript account? A: During the busy admissions season we recommend that you check your Secure Transcript account several times a week to download transcripts. By downloading transcripts and confirming the download the students receive an automated informing them that their transcript was received which should reduce the number of calls your office receives checking on transcripts. Under Preferences you can customize the confirmation by including a paragraph of text. If you do not regularly check your Secure Transcript account, we will automatically you when there are transcripts to download

20 Colleges - Continued Q: How do I confirm that transcripts have been received? A: When you download transcripts from Docufide you will automatically be taken to a webpage that summarizes what has been downloaded and requests that you confirm the download. If not confirmed, you will receive an asking you to return to Docufide to confirm the download, or download the transcripts again (if not properly received the first time). Docufide does not consider the transcripts delivered until the download has been confirmed. Q: How do I locate a transcript that I already downloaded? A: Once a transcript has been downloaded and the download confirmed, it is no longer in your To Do list. By going to Reports you can locate a record of that transcript (by searching on any combination of transcript ID number, student last name, high school, or date range) and re-download the transcript when it is 30 days or less from the initial download. After 30 days from delivery, a record of the transcript delivery stays on file, but the transcript itself is no longer available for download
