2 Creating a new presentation PowerPoint will open as a blank presentation. If the Task Pane is not open, open it by clicking on View and then clicking on Task Pane. Task Pane Task Pane The task pane is the control center for PowerPoint from the task pane you can change layout, background, colors, and more. Use the dropdown arrow at the top of the task pane to access the different areas. Click on the category to activate the area. Clip Art Search for and insert PowerPoint clip art Slide Layout Change the layout of the slide from a variety of choices Slide Design Choose from a variety of templates that have coordinated background graphics, text, text colors, and bullets Slide Design Color Schemes Change the basic color schemes of a presentation. This does not have coordinated background graphics or fonts. It only changes the color of the background and font. Slide Design Animation Schemes Allows you to set animation to each piece of an entire slide. Custom Animation Allows you to set animation for one part of a slide Slide Transition Allows you to set motion to a slide when moving from one slide to the next. 3 Inserting a new Slide PowerPoint will always being with a Title slide. To insert a new slide click on Insert, New slide. A new slide will appear. It will be in the Title and Text layout (you can change the Slide Layout in the Slide Layout area of the Task Pane). To add text to any slide just click where it tells you to Click to add Text/Title and start typing. Clip Art and Pictures Insert ClipArt You can add clip art any where on any slide, but the quickest way is to use the Slide Layouts called Text and Clip Art (clip art on the right) or Clip Art and Text (clip art on the Left). The clip art you insert in this process is from the packaged clip art that comes with PowerPoint. You can add text and you normally would by clicking in the box and typing. To add Clip Art double click on the clip art area. Depending on which slide style you chose it will either be the left box or the right box in this case it is the left. A box will appear. You can search for a picture by typing in a word in the Search Text: box, or by scrolling through the pictures. When you find a picture you want click on it and then click on OK. Your picture will appear on the left side of the screen. If you do not find what you are looking for you can insert graphics from you own files. 4 Insert your own picture Your own picture can be inserted any where on any slide by clicking on Insert then Picture then From File. The Insert Picture dialogue box will open. Find the picture you want to insert. Click on the file name and then click on the Insert button Working with Graphics Any picture or clip art can be resized or moved by clicking on it. To Resize Move you mouse to one of the corners and look for the two-sided arrow. When you get the two sided Arrow, click and drag it to the size you want. To Move Move your mouse over the picture until you get a foursided arrow. Then click and move the picture or clip art. Adding Color Applying a Color Scheme Right now you have a black and white presentation with some clip art and pictures, let s jazz it up. There are different ways to create a colorful presentation. You can apply color by changing the background colors, or using color schemes, or you can apply a template. NEW Partnership for Children and Families University of Wisconsin - Green Bay Page 4 of 8

5 To apply a color scheme, go to your task pane and change it to the Slide Design Color Schemes area. Use the scroll bar to find a color scheme you like. Click on it to apply it to all of your slides. Avoid using white or yellow backgrounds for long presentation, they can be hard on the eyes for long periods of time. Dark colors with light font is more soothing. Applying a Design Template If a plain color scheme isn t exciting enough, PowerPoint comes with many pre-designed templates that create very professional looking presentations. They all have a coordinated backgrounds graphics, bullets, and text styles and colors. To use these templates change your Task Pane to the Slide Design area. Find the template you want by scrolling up or down. Click on the template to apply it to your presentation. Animation and Timing There are several different types of animation in PowerPoint the two most often used are animating the content of the slide and slide transition (animation when moving from one slide to the next). You can use these options to time your presentation by setting the bullet points and slides to appear automatically. Text Animation There are two ways to animate text. The first is an Animation Scheme, these are animation that is applied to the entire slide. The second is Custom Animation which is used to apply animation to parts of a slide. To use an Animation Scheme change your Task Pane to the Slide Design Animation Schemes area. Click on an Animation Scheme to apply it to just one slide. To apply it to all slides click on a scheme and then click on the Apply to All Slides button. Avoid animation that is fast moving. They can cause problems for people with epilepsy. 6 Click on the area you want to animate. To use Custom Animation change you Task Pane to the Custom Animation area. Then Click on the Add Effect button. Choose the effect you would like from the menus. Entrance - occurs right after you click Emphasis - occurs after you click Exit - occurs after you click to move to the next Slide Transition To animate the transition between slides change you Task Pane to the Slide Transition area. There are different types of transitions to choose from. Click on a transition to choose it and apply it to one slide. When using transitions be consistent and use one style. To apply a transition to all slides, click on it and click on the Apply to All Slides button. Caution some transitions can be distracting. The least distracting transitions are the Cover series, Fade series, Push series, Uncover series, and the Wipe series. Be careful some transitions can cause problems for people with epilepsy. Choose the speed that you want to transition by clicking on the dropdown arrow and choosing the speed. Use Slow or Medium, never Fast. 7 Standards General rules for overheads and PowerPoint presentations Never use a font size below 18 pt. Don t use red Use one color for a background and one or two for accent colors, overusing color can be distracting and confusing. Only use animation as an accent Avoid using flashing animation. Use one or two fonts consistently. The general rule is to use one font for content and another for titles and accent. Use a standard font, fonts similar to Arial or Times New Roman Use sentence or title case, avoid using all caps. It takes more time to read All caps than a combination of caps and lower case. Running a PowerPoint Presentation Now that you have a presentation and your machines are all hooked up, it s time to run your presentation. Make sure you test it before your audience sees it. It s a good idea to test it each time you run it, the setting on the projector or the laptop may have changed. Also remember that in order for your presentation to run properly you need to have all of the pieces on the machine you are working on, this means all the video, audio and the internet access to view the links. Move your presentation to the computer The most effective way to run a presentation is to have it on the computer you are working with and not run it from disk. If you have it on disk I recommend copying it to the hard drive of the computer, to do this Click on the My Computer icon. Double click on the A: drive (if your presentation is on a floppy), click on your presentation. Go up to the menu bar and click on Edit then Copy. Click on the Back button located in the upper left of the screen. Double click on the D: drive (if the computer doesn t have a D: drive use C: ) and then go up to the menu bar and click on Edit then Paste. This will paste your presentation to the computer so you don t have to use the disk. Remember to move all the pieces of the presentation over (audio, video, linked documents, etc.) or your presentation won t work properly. 8 To run a PowerPoint Presentation Open PowerPoint and open your presentation from the computer. Go up to the menu bar and click on Slide Show and then View Show. Your presentation should appear on the screen. To maneuver in the presentation There are several ways to maneuver within your presentation. 1. Use the arrows on the keyboard. - the down arrow or the right arrow advances the presentation forward - the up arrow or the left arrow goes back - the Esc key (on the upper left corner of the keyboard) can be used to exit the presentation at any time 2.
