3 Your guide to services and support in the Brynmor Jones Library Welcome to the Brynmor Jones Library If you have not used the University Library before, this booklet will tell you about our main services and about how you can benefit from them. We are delighted to welcome you to the Library, and we hope that you will enjoy studying here. If you are already a member of the University Library, we hope that the information provided here will still be of assistance to you, and that it will help to keep you up to date with recent changes. This booklet is mainly about using the Brynmor Jones Library (BJL) on the Hull campus. There is another version which concentrates on the Keith Donaldson Library (KDL) on the Scarborough campus. Finding out is what we re all about The Library is here to help you find the information and data you need for your studies or research. We have around a million books and periodicals, large collections of CDs, DVDs and videos, and an important collection of maps. We also provide access to a huge range of digital resources, consisting of electronic journals, electronic books, databases and datasets. In addition to this, all the PCs in the Library give you unrestricted access to the Internet, and the entire building is equipped to support wireless access to the Internet from your own laptop PC. We are here to help you find what you need. One of the best ways to get help is to ask a member of staff. All members of staff wear a name badge, so it s easy to identify us. Always feel free to ask if you need help. Our web pages are also an important source of information. This is where the most detailed information about services and information resources can be found. The web pages are regularly updated, so this is where you can find the most up-to-date information. You can find the Library s web site at: 1

These are given in the relevant places later in this booklet. When we want to contact you When we need to contact you, we will normally use your University address, unless we need to send a letter in the post. We do not send s to private addresses, such as Hotmail accounts. Please make sure you keep your Hull and home postal addresses up to date you can do this yourself through the University portal. Finding your way The Brynmor Jones Library is located at the centre of the campus, reflecting its position at the heart of the academic life of the University. It is named after Sir Brynmor Jones, the University s Vice-Chancellor from 1956 to It consists of a three floor building constructed in 1959, which forms the front part of the Library, and an eight floor tower block opened in Most services, including reception, the service desk (which deals with IT and library enquiries), the library help desk (which deals with enquiries about your library account), the self-service machines, and short loan are located on the ground floor. The books and other printed materials are mainly kept on floors two to seven of the tower block. The main exception to this is material relating to health and medicine, most of which can be found on the second floor of the front part of the building. Current issues of printed periodicals are kept on the ground floor of the tower block. Short loan contains heavily used items available for loan for no more than 24 hours. The reference collection is situated on the first floor and consists of books such as dictionaries, encyclopedias and other reference works. Lifts provide access from the ground floor to all upper levels of the Library. Information about access and other services for staff and students with disabilities can be found later in this booklet. 2

5 The ground floor of the Library accommodates a range of other facilities. These include eight teaching rooms and two bookable group study rooms. You will also find the Miriam Hebron Centre on the ground floor. This provides specialised IT facilities for Library users with disabilities. The first floor of the tower block is dedicated to informal social learning and you will find soft seating, adequate power and WiFi. There is extensive signposting throughout the Library, and there are also plans for each floor of the Library; these can be found just as you come out of the lifts. The Map Collection is kept in the Map Library, which is in the Cohen Building at the front of the University. There is more information about the Map Collection later in this booklet. Opening hours During the semester the Brynmor Jones Library is open for 115 hours per week, and is open every day of the week. Different levels of service are provided during these hours: Fully staffed - a full range of services available Partially staffed - self-service facilities and selected staff services available Self-service - self-service facilities only The normal opening hours during semester are as follows: Monday to Friday Self-service Partially staffed Fully staffed Partially staffed midnight Self-service Saturday and Sunday Partially staffed midnight Self-service Extended opening hours During winter and summer assessment and exam periods the Library is open until 2.00am with self service facilities. 6 Entry to the Library The Brynmor Jones Library operates a controlled entry system. You must have your student, staff or associate member card with you to come into the Library via the entry turnstiles. This applies even if you just want to come in for a teaching session in one of the teaching rooms on the ground floor of the Library. If you forget your card, the staff at the reception desk will check your details and ask you to complete a forgotten card form. Remember that you may be liable to a fine if you persistently forget your card. Your card is important Your staff, student or associate member card is essential if you want to use the Library. Not only does it give you entry to the building, but you will also need it if you want to borrow anything from the Library. Always remember to bring your card with you when you visit us. Do not let anyone else use your card. Finding books and other information resources All the printed, audio-visual and electronic material that is provided by the Library can be identified through the Library catalogue. This is an organised, online list of all these resources. You can search the catalogue in many different ways from any of the terminals and PCs in the Library. You can also access the catalogue over the web, so it is available wherever you have Internet access: on campus, at home, in fact anywhere in the world. The catalogue tells you what we have and where you can find it. The booklet Finding books and other resources in the Library tells you everything you need to know about locating books and other information resources. Copies are available in the Library and on the web site. Borrowing from the Library How to borrow To borrow a book or other item, you can use the self-service machines. All loans must be recorded on the computer and you should retain the receipt which is printed on completion of the transaction. Items may be returned via the selfservice machines; please retain the return receipt. If you require assistance please ask at the library help desk. All items borrowed from the Library remain your responsibility until they have been returned. Lost books should be reported to any of the desks on the ground floor. How many items can I borrow? The number of items you can borrow from the Library (including short loan items) depends on the category of Library membership to which you belong. This is explained in the following paragraphs. 4

7 Members of staff of the University of Hull, recognised teachers of the University, honorary members of staff, and retired members of staff can borrow up to 40 items at any one time, of which up to 3 can be short loan (24 hour) items. Students studying for higher degrees by thesis, including unregistered research students with retained status, can borrow up to forty items at any one time, of which up to 3 can be short loan (24 hour) items. Students studying for higher degrees through taught programmes or by dissertation can borrow up to twenty items at any one time, of which up to three can be short loan (24 hour) items. All other registered students of the University of Hull and registered students of the Hull York Medical School based at York University can borrow up to fifteen items, of which up to three can be short loan (24 hour) items. Associate members with borrowing rights can borrow up to ten main library items. This does not include short loan items. Loan periods The loan periods for books and other items vary according to the demand for them. Some items, such as those contained in the reference collection, may not be borrowed at all. Some items in very heavy demand can only be borrowed for a maximum of 24 hours; these are kept in short loan, and are available from the library help desk on the ground floor of the Library. Other books in demand can be borrowed for just one week. The majority of books can be borrowed by undergraduates for three weeks. The following categories of users can have three week loan items for longer periods: University staff and research students have three set loan periods per academic year; taught postgraduates, undergraduates registered as having a disability with the University's Disability Services, nursing and PGCE students have a four week entitlement. Short Loan bookings You may book short loan items for a specific date and time so that you can plan your work in advance. See the Library web pages or ask a member of staff for more information. Fines Fines are charged on all overdue items. Current fine rates are displayed on our web pages. If you owe more than a certain amount in fines or other charges, you will be prevented from further borrowing. The limit is currently 20, but this may be adjusted at the discretion of the Librarian. All members of the Library are liable to fines for the late return of books. Renewals Books may be renewed for a further period unless reserved by someone else. All seven day and normal loan books can be renewed using the Library catalogue, in person, by telephone, by or by post. The telephone number for renewals is The address is libhelp@hull.ac.uk. If not reserved, items can be renewed up to three days before they are due to be returned. 5

8 Reservations Any seven day or normal loan book on loan to someone else may be reserved. If it is not due back within 28 days it will be recalled from the person who has it on loan, except during the Christmas and Easter vacations. Reservations can be made at any of the desks on the ground floor, by phone, or by using the Library catalogue. The telephone number for reservations is Reserved items must be returned by the due date, or borrowing rights may be withheld. Recalls Books or other items on loan may be recalled if needed by someone else. You must bring books back by the date shown on the recall notice sent to you. Overdue recalled books are fined at a higher rate. Unissued items Users leaving the Library with books which have not been issued to them may be fined up to 50. The Map Collection The Map Collection is housed in the Map Library on the first floor of the Cohen building on the Hull campus. It contains approximately 60,000 sheet maps and is the largest collection of its kind in the region. Its main strengths are: Topographic and thematic maps of most parts of the world Substantial holdings for the United Kingdom and the local region. Rare maps and special collections Facsimile reproductions of early atlases and antiquarian maps from the 15th to the 18th century Atlases and gazetteers Opening hours The Map Library is normally open from 1000 to 1230 (closed for lunch ) and 1330 to 1730 during semesters. Opening hours during vacations are advertised in the Map Library, the Brynmor Jones Library, the Keith Donaldson Library and on our web pages. When the Map Library is closed, it is still possible to request maps; ask at the help desk in the BJL for details. How do I obtain maps? The Map Collection is a closed access collection. This means you need to ask for what you want, and it will be brought to you. Staff in the Map Library will show you how to do this. Finding out about the content of the Map Collection is covered in the booklet Finding books and other resources in the Library. Loans Members of staff can borrow up to ten maps and keep them for the semester. Other users of the Map Collection may only consult maps in the Map Library itself. 6

9 Care and use of maps Maps are particularly vulnerable to damage and care must be taken at all times while handling maps. For correct use of maps, please refer to the regulations displayed in the Map Library. Copying maps Maps may be copied by tracing, subject to current copyright law. Consult Map library staff for details. Contacting the Map Library You can contact the Map Library by telephoning or by ing us at Archives and special collections The University holds the archives of around 200 organisations, families and individuals, dating from the late 11th to the early 21st centuries. In particular these include literary manuscripts (including Philip Larkin), pressure group archives (the most notable being Liberty - formerly the National Council for Civil Liberties), as well as landed family and estate archives and modern political papers. These, together with the extensive collections held by Hull City Archives and Local Studies Library, are located at Hull History Centre, which provides a single point of access for staff, students and members of the public. Archives are not available for loan and can only be consulted in the History Centre. Appointments are not required but are recommended and enable documents to be retrieved for you in advance. You will need to bring some ID to get a free CARN ticket to consult the archives please see Planning your visit from the History Centre website homepage. Some Local Studies Library material is available on loan with a Hull City library card. Opening hours for the History Centre are: Monday Friday Saturday The History Centre will be closed for its annual stock taking Monday 28 th November Saturday 3rd December inclusive. An on-line catalogue to all material held at Hull History Centre can be found at Hull History Centre has a wireless network (called wireless) which can be accessed by using the login username@hull.ac.uk and your usual password. 7

10 You can contact the History Centre by telephoning or by ing us at Special book collections Special book collections can only be consulted within the Library and are not available for loan. These include the Brynmor Jones Collection and volumes whose location is given as BJL Rare Books Room. For access, please enquire at the any of the desks on the ground floor. Please note that the following special book collections are now held at Hull History Centre Philip Larkin book collection Shelf mark P/L Stevie Smith book collection Shelf mark P/RS Getting books from the Scarborough campus If you are based at the Hull campus, you can request books from the Keith Donaldson Library on the Scarborough campus, and if you are at Scarborough you can get books from Hull. The Library catalogue gives you information about the material on both campuses. If the book you want at Scarborough has a status of available on the catalogue, it can be brought to Hull. To use this service, fill in one of the intersite transfer request forms. Books that have been requested from the other campus are transferred three times per week, on Tuesdays, Thursdays and Fridays. Getting books from other libraries The Document Supply Service We aim to meet most of the needs of staff and students from our own stock of books, periodicals and electronic resources. However, we can usually obtain material that we do not own ourselves from other libraries. Nearly all our requests are met through the British Library. The Document Supply Service enables you to obtain items that we do not possess. Who can use the service? The Document Supply Service is available to all members of the Library. There is a charge for each request. This charge is based on national tariffs. In many cases the cost is covered by your academic department, in which case you will need to obtain departmental authorisation. Otherwise you will need to pay yourself. Charges may vary, so please ask staff for details, us at d.supply@hull.ac.uk or telephone Document Supply on Please note that fines are payable for the late return of items borrowed through the Document Supply Service. Speed of service Requests for periodical articles are increasingly being transmitted electronically, and can be delivered to you within 48 hours. It takes longer to obtain printed books from other libraries. We will advise you on delivery times when you make a request. In a very small percentage of cases it is not possible to obtain requested material. 8

11 Making an application Document supply request forms are available from the service desk or opposite the library help desk. Remember to obtain a departmental countersignature unless paying privately. Completed application forms may be left in the box opposite the library help desk, handed to staff, or sent by internal/external post. For further details of the service, please check the Library web pages. Material can be collected from, and returned to, the library help desk during normal service hours. Getting help Contact the library help desk or us at d.supply@hull.ac.uk for advice on document supply requests, or to enquire about the progress of your requests. Using other libraries The Library is a member of the SCONUL Access scheme, which enables you to use other university libraries. If you are a member of academic staff or a research student, you can normally gain access to all university libraries in the UK, and enjoy the same borrowing rights as the members of the other institution. If you are a part-time student, you can also benefit from access to university libraries that may be closer to where you live. Most students can use other university libraries during vacations. Details of these schemes are available from the service desk, from the reception, via , or from our web pages. Services for staff and students with disabilities The Library in collaboration with Disabilities Services provides a range of services to assist staff and students with disabilities. Wherever it is helpful and practicable, we are ready to vary standard conditions for the use of Library facilities. At the entrance to the Brynmor Jones Library there is a slope leading to the doors. The centre door revolves but wheelchair users can use the automatic sensor doors on either side. Inside the main doors there are three entry turnstiles and a disabled gate. Please ask the staff at the reception if you need to use the disabled gate to enter the Library. The Miriam Hebron Centre, located on the ground floor of the BJL, provides a range of adaptive technology. Elsewhere in the Library you will find: Lifts fitted with an audible alarm which sounds when sensors detect anything in the way of the closing doors Emergency phones on all floors, connected directly to the reception desk Hearing loop systems at the reception and circulation desks Colour coded signs and floor plans Disabled toilets Low level catalogue terminal desk In the event of a building evacuation, staff will help wheelchair users onto the fireproof staircases, and will then alert the safety officer and emergency services of the need for further assistance. Staff at the reception desk will be 9

12 happy to note where you are planning to work if you provide this information on entering the building. Services for part-time students Postal loans Part-time students based in the UK or Ireland may request up to 4 books per year to be posted to their home address. You will be responsible for paying the postal charges for returning the book to the Library. Fines will be charged for the late return of books and for loss or damage. We recommend that you use a secure and traceable method of returning books by post. We regret that we are unable to post books to students outside the UK and Ireland. Document Supply We are also able to supply free photocopies of journal articles or extracts from books in stock in either the Brynmor Jones Library or the Keith Donaldson Library to part-time students. Photocopies will be posted to your home address. We will fund four requests per part-time student per year (1 September to 31 August). Additional requests will be charged at the standard rate (5p per A4 page + postage). You must complete a document supply request form for each article, remembering to sign the declaration at the top of each form. This is a legal requirement under the UK 1988 Copyright Act. If we do not have your signature, we cannot process your request. UK Copyright Laws also restrict photocopying to no more than one chapter of a book or 5% of the whole book, whichever is greater, and not more than one article from a single issue of a journal for each user. As UK Copyright Law does not currently recognise electronic signatures, document supply request forms must be posted to the Brynmor Jones Library. Services for students on distance taught programmes Access to electronic resources In addition to the standard services that are available to all students visiting the Library in person, all students on distance taught programmes have full access to the electronic resources provided by the Library, all of which are available over the web anywhere in the world. The Library web pages tell you how to obtain a username and the relevant passwords if you are studying on a distance taught programme at the University. Supply of journal articles The Document Supply Service can supply copies of journal articles or chapters of books either from our own Library or from the British Library. Students on distance-taught programmes are allowed ten requests each year. If you wish to use the service please complete one of the request forms (available from your representative s office or print off from the Library web page). In order to avoid delay, please provide all the information requested. You should attach a copy of your source of reference. When completing the form, please remember to sign the declaration at the top. This is a legal requirement under the UK 1988 Copyright Act. If we do not have your signature, we cannot process your request. When you have completed your request, please post it to the Brynmor Jones Library. The photocopy will then be sent to your home address. 10

13 Photocopying and printing services Self-service photocopying Self service photocopiers are available on all floors of the Library. Self-service photocopying requires you to purchase a card. The first card costs 1 which includes the cost of the first four copies. Thereafter the card can be topped up. Only cards purchased in the Brynmor Jones Library or the Keith Donaldson Library will work with the machines. There is a card dispenser, two top-up machines, and a change machine opposite the service desk in the Brynmor Jones Library, A4 black and white copies cost 5p, A4 colour copies cost 20p, A3 black and white copies cost 10p and A3 colour copies cost 40p. Printer/copiers can also be found in the Exhibition Area, 2nd floor East, 2nd floor and 7th floor. Self-service microfilm/microfiche printer This machine prints A4 copies from microfilm or microfiche. You can find it on the back wall behind the service desk, and it is available for use during staffed hours. A4 copies cost 5p per page. Scanning services There are four self-service scanning machines, located on the service desk, for which there is no charge. Printing services Printers are available on all floors of the Library. If you are using a University PC within the Library, it will automatically print to the printer closest to the PC. Printing costs 5p per A4 page for black ink, 20p per A4 page for colour. You can print in colour by selecting the colour printer located on the ground or 6 th floor. Should you have difficulty finding a vacant PC, there are four quick print PCs located at the service desk on the ground floor available for printing and scanning. You pay for printing by topping-up your University computer account. You can do this yourself by using one of the printer credit machines located on the ground floor of the library. There are additional machines in the Foss and Esk buildings. Alternatively you can ask at the Library reception desk. Copyright Any copying you do is governed by UK copyright legislation. Copyright is an automatic right placed on original work at creation for a certain period of time (normally either 50 or 70 years). Copyright applies regardless of format or published status. For example, books, journals, newspapers, musical scores, films, images, websites, letters, paintings and s are all entitled to copyright protection if they fulfil the original work criteria. Because the emphasis is placed on its originality copyright legislation does not make any distinctions for the perceived quality of the work. 11

14 UK Copyright Legislation In the UK, copyright regulations are governed by the Copyright Designs and Patents Act 1988 and its subsequent amendments. Within the Act members of Higher Education establishments are given additional copying privileges normally referred to as fair dealing. What is fair dealing? Fair dealing is regarded as a defence under law. While dealing is viewed as a right to copy, what is considered to be fair would be decided by a court of law, should a rights holder wish to take action against a suspected infringement. Fair dealing can be used as a defence for copying under the following circumstances only; private study, research for non-commercial purposes, and criticism and review. What am I allowed to copy? The University holds licences to enable staff and students to have a greater amount of flexibility than permitted under the 1988 Copyright, Design and Patents Act (as amended). The responsibility for any breaches in copyright legislation remains with the individual who makes the copies, not with the owners of the equipment. Breaches of copyright may result in penalties being imposed. The basic permissions and defined limits set by the Copyright Licensing Agency (CLA) Licence are: Up to 5% or one complete chapter (whichever is greater) from a book Up to 5% or one whole article (whichever is greater) from a single issue of a journal/print periodical Up to 5% or one paper (whichever is greater) from a single issue of a journal Up to 5% or one paper (whichever is greater) from a set of conference proceedings Up to 5% of an anthology of short stories or poems or one short story or one poem of not more than 10 pages (whichever is greater) Up to 5% or one single case (whichever is greater) from a published report of judicial proceedings. Further details regarding the CLA s permissions and limits on photocopying can be found by each of the photocopiers in the Library. What can I print or download from electronic sources? Any electronic source, regardless of type, may be subject to copyright. Whether an online resource is a paid subscription provided by the Library or freely available via the web, copyright restrictions may apply. As a guide these will normally be within the fair dealing limits. Individual resources often provide further details regarding printing and downloading within their help pages. 12

Disclaimer The information on these pages is intended to provide general guidance on copyright legislation and the corresponding licences held by the University. It does not constitute legal advice. Access to electronic resources The Library provides access to the electronic equivalents of traditional paperbased materials, such as journals, books, indexes, government publications, encyclopedias, dictionaries and newspapers. These resources are normally referred to as e-journals, e-books or databases. This includes sources which enable you to identify the individual articles in journals. We provide access to over 35,000 e-journals, 100 databases, 300 quality internet sites and a rapidly expanding collection of over 13,000 e-books. There are PCs on every floor within the Library, but the majority of our resources can be accessed from any PC with Internet access both on and off campus, or indeed from any webenabled device. E-resources are accessible in two ways. First, they can be located from the home page of the Library web site at You can look at what we have by subject, by title and by type of material. The second way of looking for electronic resources is through the Library catalogue. They are listed there alongside all our printed resources and can be identified in the same ways. Most electronic resources have licences which regulate their use; in particular, only authorised users can have access to them. To check if you are an authorised user, please refer to the Library web homepage and from the Technical support section follow the link to Using electronic resources. Accessing electronic resources Each resource has its own access route which is determined by its provider. Information about how to access each electronic resource is available from the Library catalogue or the Technical support section on the Library web homepage. The majority of our electronic resources require an Athens user id and password which you will automatically receive when you join the University. Please note: If you lose or forget your Athens id and password it is possible to obtain a replacement via the Library web homepage at Follow the link to Get a replacement Athens password in the Using our library section. Not all electronic resources use the Athens user id and password. If you require a generic username and password please ask at the service desk or libhelp@hull.ac.uk 13

16 Alternatively you can access e-resources via the proxy server (for those using the internet or broadband from a commercial internet service provider). For more details about the proxy server see the information on select Access from home and then select Proxy Server. Support is available on any aspect of study on an individual basis by (studyadvice@hull.ac.uk), telephone, Skype or in person. Appointments can be made online using the Myadmin portal: Information Skills Training Learning how to use libraries and find information, especially using electronic information resources, will help you with your academic work and throughout your life. Factsheets and links to other useful resources can be found under How to find information at on the library website. In addition, we are happy to set up on request courses or workshops for students or academic staff on topics of your choosing and at times to suit you. This ranges from a basic introduction for new students to in-depth information-finding skills for students about to undertake a dissertation, and updating sessions for academic staff. It normally applies to groups of five or more. Information skills training for students is normally arranged through academic staff. However, if a session has not been arranged or if you would like a session for your group, contact your lecturer, or us with details of what you need: libhelp@hull.ac.uk. Study Advice Service The Study Advice Service offers free resources and guidance for all full-time and parttime students, at every level of study, on study skills, academic writing, maths, numeracy and statistics. The service runs a programme of free, interactive workshops with student helpers throughout the year on various study skills topics. There are also online versions of the same workshops available for independent study using the University s virtual learning environment, ebridge. Details of how to book a workshop place and how to enrol for an online workshop are available on the service website, along with access to online learning resources and study guides and a comprehensive section on referencing and how to avoid plagiarism. The service is based in the University Library, on the south mezzanine floor. Turn left after the turnstiles and keep walking past the teaching rooms and toilets until you reach the stairs (follow the blue and white signs). The service is at the top of the first flight.
