3 Welcome to Cregan Library! This guide should provide you with all the information you need to access key resources provided by the Library in support of distance learning programmes. We offer a range of services to distance learners, including a postal service and a number of online resources, as well as research support through the information service. 4 Frequently Asked Questions What is my loan allowance? Ten main-lending books at a time. (PhD students get thirty main-lending books). What s the loan period for main-lending items? Six weeks. (One semester for PhD students). How do I search for books? Search in the Library Catalogue to see if a book is available. Click on the title for information about the Library s holdings. How do I access e-books? Through the Library Catalogue from home - you will need your username and password to read them (see p.6 for more information). How can I renew loans? If your loans are not overdue and are not reserved by someone else, you can renew them twice (see p. 7). What if a book I want is out on loan? You can reserve two books at a time (see p.7). How do I order books to be sent to me? You can use the forms provided in the Distance Service section of the Library website to request books or print journal articles or contact Genevieve Larkin by phone or with your requests. Who pays for postage? We pay for postage out and you pay for return postage or drop books in. How much are overdue fines? 50c per day for main-lending books. Can I borrow whole journals? No but the majority of journal articles are available in full-text via the Library website. We can also photocopy articles from print journals and send them on to you. Can I borrow a thesis? Reference material, 3Hour loans and theses are not available for borrowing. 4
5 Pin Numbers and Passwords Your Library Account In order to manage your Library account online you will need your student number and your Library PIN. These enable you to renew your books online, reserve books online, check your loans, fines, and due-dates. Your student number is the eight digit number on your student card (which also functions as your Library card). Your PIN is a four digit number which Library staff will issue to you on request. To access your Library account: Go to: Click on Catalogue Click on My Account at the top of the screen Enter your numbers as requested. You will now see a list of your loans, reservations, fines, etc. From this screen you can renew your loans (see p.7). Username and password for using Online Resources Your username and password are the same for : Moodle: Access to Library Online Resources (journals, e-books & databases): Student online course note: Student courses College computers on campus 5
6 Ordering books and articles The Catalogue should first be checked to confirm that the book is in stock. Books or journal articles held by the Library can be ordered online using a form, or by /phone. From the Library website click on the Distance Service option, then: Click on either Order a book or Order a journal article Fill in the form, making sure to include your student number and address, and submit. You will receive confirmation via when your order is being processed. Requests are usually processed within a day or two. Books must be returned on or before the date stamped on the inside cover of the book. Return postage is the responsibility of the borrower. An address label for attachment on return items will be provided at the time of issue. Using e-books When browsing the Catalogue from home, you can click the e-books button to see a list of all SPD e-books. Go to the DCU Library Catalogue to access all of DCU s e-books. If you click on the link Access this title online here within the Catalogue record for an e-book title you will be asked to sign in using the username and password you use for Moodle, and for all online resources (see p.5). You can choose to read the e-book online (which will allow you to print/ copy up to 5% of it), or download (in which case the book will stay on your computer for two days and then disappear, but you won t be able to copy/ print from it). You can go straight to the page you want, flick through the pages, take notes as you read, and search the e-book for a particular keyword. 6
7 Reserving books If all copies of a book are out on loan you can either place a reservation yourself (if you can pick it up within four working days) or Genevieve.larkin@spd.dcu.ie to reserve the book for you (if you want it posted out). To reserve yourself: Go to Click: Catalogue and seach for book by author or title Click on the title of the book, and then on Reserve. Enter your student number and your PIN Reservation details will be displayed. Click Confirm to place the reservation. To keep track of your reservations go to My Account via the Library website. When the book is returned t o the Library you will automatically receive an letting you know that it is waiting. Renewing books Go to Click: Catalogue Go to My Account Enter your student number and PIN (see p.5) A list of your current loans will appear on the screen. Click the box beside each title you want to renew. Scroll down the page and click Renew. Please note: You must renew your loans before closing time on the duedate. It is not possible to renew if: 1. You have overdue loans 2. You have outstanding fines 3. Items have been renewed twice already 4. A reservation has been placed on the book by someone else. 7
8 Journals It is possible to access most of our journals from home through the Library website. To access a list of journal holdings go to: and click on Journals. This will bring up an A-Z list of journal titles. If a journal article is not available online but we have the print journal in the Library, Genevieve.larkin@spd.dcu.ie with the details, or fill out an Offcampus request form (see p.6) and a photocopy of the article will be sent to you. Articles do not need to be returned. Electronic journals Electronic access is available when journals are listed in blue. If you roll the mouse over a journal title, you will see how far back the online archive goes. Go into Journals in the Library website and pick the journal title you want. Log in using your username and password for online resources. Search by year, then volume and issue number for the article you want. When you have read the abstract you can save the article to your desktop or a reference manager (for help with Refworks contact the information service). You can also browse a journal for recent articles etc. As a student of St.Patrick s College you also have access to thousands more e-journals through the DCU Library website. If you can t find a journal through our A-Z list, always check there. To search DCU s e-journals In the Journals A-Z list there is a link called Serials Solutions. This will bring you to DCU s A-Z list of journals. Type the name of the journal you want into the search-box beside Title begins with. You will then see a list of the databases which provide access to that journal and how far back the online archive goes. Select whichever database gives you access to the right year. Don t forget to login! You can now: Browse the journal volumes Search within journal (this button is on the left) for a key-word Search by year, then volume and issue number for the article you want. 8
9 Databases To search across many journals at once, choose Databases from the Library website. if you don't know which one to use look in Subject Resources for databases that will be useful for your subject, or try using Summon, DCU s federated search engine which will let you search across 20+ databases at once (the link to Summon is in our Databases web-page). Once you ve picked a database, you can choose what you want to search for, i.e. a particular author, subject-area or keywords. Choose from the dropdown menu or leave it blank if you re doing a keyword search. If you add another keyword in the second search-box, your results will be narrowed. You can also limit your search by date, by publication type (i.e. academic journals) or to those article which are full-text. Tips for managing your research Create subject folders on your desktop and save articles to them as you search, renaming articles to keywords (such as author/date) which will help you to remember what each article is about. Alternatively ask us about Refworks which is a web-based personal database for managing your research. Try not to read whole articles as you come across them instead read the abstracts and collect a number of articles for reading later. Note the keywords given in your search results these can help you to improve your search technique using the phrases/words a database will recognise. Look at article citations and reference lists/bibliographies (usually given at the end of an article) to find more material that might interest you. Each database is different check the help menu of whatever database you re searching for tips on what kind of language to use. If you re stuck or would like further information ring, or call into the Library information desk and speak to Gen, Ben, or Victoria (for contact details see p.3). 9
10 Interlibary Loans Material not held in Cregan Library may be requested through the Interlibary Loan Service, which is available to all College staff and all Postgraduate students. We offer three requests free of charge per academic year. On the fourth request and thereafter the following charges apply: photocopy of an article/chapter of a book Book loan Simply fill out an InterLibrary Loan form (listed under Library services on the Library website) and post it in, or hand it in at the desk. If you have questions about Interlibray Loans, contact: Mary Sheehan Ph: Interloan.Library@spd.dcu.ie Please note: We are happy to post articles requested through InterLibrary Loans, but please be aware that sometimes books ordered from other libraries may have to be consulted in the Library (theses in particular are strictly reference material and can t be sent to borrower s homes). ALCID cards ALCID cards are available to students reading for taught or research Masters degrees/doctoral degrees and allow access to participating academic libraries such as DCU, DIT, Mary Immaculate College, Sligo, TCD, UCC, UCD, and UL. Please note: ALCID cards do not convey borrowing rights to the holder, but allow the holder to access various libraries for consultation purposes. ALCID cards are NOT available to undergraduates or students studying for a postgraduate diploma. Please ask in the Library for an application form. 10
