1 Policies and Guidelines for Rep Team Players & Parents Parent Acknowledgement and Acceptance Form As a parent/guardian of, who has registered as a Youth Rep Team player with the Bracebridge Soccer Club for the 2011 season: I hereby confirm that I have read and understood the information contained in these Policies and Guidelines. I have completed the Rep Team Player Forms identified below: Bracebridge Soccer Club Player Registration Form Ontario Soccer Association Participation Agreement Bracebridge Soccer Club Medical Release Form I acknowledge the right of the Bracebridge Soccer Club to establish policies and guidelines governing the behaviour of parents and family members in relation to Club programs and activities. I hereby agree that I will abide by these policies and guidelines, including: Fair Play Code for Parents (Canadian Soccer Association) Expectations and Rules for Parents (Bracebridge Soccer Club) Additional Policies and Guidelines as published by the Bracebridge Soccer Club I acknowledge that my child will be expected to abide by all of these policies and guidelines, and will be required to sign a Rep Player Code of Conduct form, and return it to the Club. 2 Fair Play Code For Parents I will not force my child to participate in sports. I will remember that my child plays sport for his or her enjoyment, not for mine. I will encourage my child to play by the rules and to resolve conflicts without resorting to hostility or violence. I will teach my child that doing one's best is as important as winning, so that my child will never feel defeated by the outcome of a game/event. I will make my child feel like a winner every time by offering praise for competing fairly and trying hard. I will never ridicule or yell at my child for making a mistake or losing a competition. I will remember that children learn best by example. I will applaud good plays/performances by both my child's team and their opponents. I will never question the officials judgment or honesty in public. " I will support all efforts to remove verbal and physical abuse from children s sporting activities. 3 Expectations of Parents/Family Members Expectations and Rules for Parents Encourage good sportsmanship by demonstrating positive support for all players, coaches and officials at every soccer event. Focus on players efforts and performance, rather than whether games were won or lost. Place the emotional and physical well being of the players ahead of any desire to win. Support a safe, healthy and fun environment for players to develop in. Support a drug, alcohol and tobacco free environment at all youth soccer events. Treat other players, coaches, fans and officials with respect, regardless of race, gender or ability; and encourage youth players to do the same. Rules for Parents/Family Members at Soccer Activities Do not coach your child or any other players from the sidelines. Offer positive encouragement. Parents, family members and all other spectators remain on the sideline opposite from players. Smoking forbidden at Bracebridge Soccer Club fields Dogs, whether leashed or unleashed, are not allowed at Bracebridge Soccer Club fields. Spectators are responsible for removing all litter from field after any soccer activity. Team officials are responsible for the behaviour of spectators, and their directions and requests must be followed. Referees have the authority to suspend games because of spectator behaviour. Team and Club officials should be supported in public, and any concerns should be dealt with through the appropriate process identified below. Verbal abuse of game officials will not be tolerated. Procedures for dealing with concerns about Harassment, Discipline & Dispute Resolution The Club has developed policies and procedures relating to Screening of Volunteers, Harassment, Discipline and Dispute Resolution. These polices are available on the Club s website. In general, these are the procedures that should be followed in dealing with concerns: Allow a 24-hour cooling off period before taking action. First approach is to Team Manager to register concern, and identify appropriate next steps. If Manager has not satisfied concerns, put concerns in writing to Club Vice-President, Programs. If concerns have not been appropriately addressed, contact Club s Director responsible for Screening, Harassment, Discipline & Dispute Resolution. 4 Additional Policies and Guidelines for Rep Team Players/Parents Injuries Medical Treatment and Clearance to Return to Play Team officials may choose to require a player to seek medical attention for treatment of an injury. Players requiring on-going (more than one occasion) treatment for injuries may be required to get written medical clearance to return to training/playing with the team. Injuries and insurance A designated team official must maintain a log of all injuries requiring medical treatment that is beyond any first aid treatment provided at the field. Injured participants may be eligible for insurance coverage, and a copy of the Club/OSA insurance policy and Injury Report forms are available on the Ontario Soccer Association website. It is the responsibility of the player, parent or guardian of any player requiring medical attention to have appropriate Injury Report and Insurance Claim forms completed, with the cooperation of team officials. Rep Teams Responsibilities for Expenses Any League fines incurred during the season, i.e. game sheets, results, no shows* Maintaining level of supplies in first aid kits, and returning full at season end Tape and pre-wrap for injuries Weekly ice and extra water at games Training T-shirts for all players Team officials apparel beyond what Club provides Optional team wear track suits, bags, tops Tournaments *Should any individual teams incur fines from their leagues for defaulted games or other problems, the payment of these fines will be the collective responsibility of the team, and may be allocated on a per player basis across the team. Exemptions may be granted by the Club Technical Committee in mitigating circumstances. Tournament Play and Procedures All Club traveling teams are expected to participate in the Club s annual tournament, which is for both competitive and recreational teams, in an appropriate division as determined by the Technical Committee. Bracebridge teams do not have to pay the entry fee to participate in the Club s tournament, but each team must provide a minimum number of volunteers for the tournament, as determined by the Club s Tournament Chair. The expense of participating in non-club tournaments is the full responsibility of the team. Entry fees may be paid by the Club, but a per player fee will be levied by the team to enable the costs to be covered by all participating players, and it is the responsibility of team officials to collect player fees for that purpose. Tournament Fees and Team Levies Each rep team will establish its own plan for tournament participation during the season. Each team will be responsible for collecting fees from players to cover all costs associated with tournament entry fees. Team officials will establish a policy for payments of the tournament fees. 5 Playing and Participation Procedures Indoor & Outdoor tryouts/training policy Season Schedule Club policy is that only registered players may participate in any team tryouts or training sessions. Team officials may keep registration documents and may accept registration monies from new players at the field. The registrar must be notified the next business day. Players will not be allowed to participate in any Club training or games if the appropriate fees and levies have not been paid in the current season, or players are under Club suspension. The coach or other team official should obtain a list of eligible players from the registrar or team Convenor prior to the planned tryout session. Try-outs/training for outdoor teams may commence the week following the March school break (per Trillium Lakelands District School Board calendar) at indoor (gymnasium) facilities. Indoor training and/or try-outs for indoor teams may commence the week following the Thanksgiving holiday. It is strongly recommended all Rep team players U11 and younger also play House League. Coaches scheduling such sessions should discuss their plan with any coach who may be working with prospective players and the selected dates should be mutually agreeable and respectful of players commitments in the current season. The coach or other team official should consult the appropriate Club Convenor the teams is assigned to, prior to making any commitment for activity such as a tournament which may overlap the defined indoor and outdoor playing seasons. Eligible Participants In each season, eligible participants must be registered for the indoor or outdoor season prior to participating on the field or in a gymnasium. Players competing against teams outside of the Bracebridge soccer club require player books. These books are the property of the player and if held by the coach (for convenience) will be surrendered to the player at their request, once appropriate registration changes have been made by the club. Player books are arranged through the Registrar for all players registered to teams that compete outside the Club. A designated team official should be aware of all requirements for presentation of player books according to the rules of league or tournament competition. Game Cancellations In most cases, the Club is liable for League fines if a team forfeits a League game. If this occurs, all players registered to the team may be equally responsible for sharing in the payment of the fine. In extreme situations, the Bracebridge Soccer Club reserves the right to cancel games and training sessions due to waterlogged or unplayable fields, as determined by the Vice-President, Operations. 6 Uniforms and Team Accessories The Club will provide for all players the basic uniforms for games, including socks, shorts and shirts. All Rep Teams will be provided with a second colour of jerseys. Players are responsible for maintaining this equipment over the duration of the season, and responsible for replacement costs if uniforms are lost or damaged. Players are required to return team jerseys at the conclusion of the season, while team shorts and socks can be kept. A $50 post-dated cheque (for September 15 th ) will be collected for each jersey at the time of Registration. Goalie equipment, including shirts, shorts/pants, socks and gloves will be provided; and socks and gloves can be retained at the end of the season. Rep Teams have the option as a team to purchase Club designated track suits and equipment bags, which are to be brought to every game. In such instances, the team will also bear the costs of track suits for Team Managers. The costs for these accessories are not part of the registration fee, and must be paid for separately by the players. Any club members are welcome to purchase Club accessories at their discretion. Players with outstanding fees related to equipment and purchases will not be allowed to participate in any Club activities in the next immediate indoor or outdoor season after the costs have been incurred. Car Pooling Team officials for Rep Teams may elect to make arrangements for carpooling, in order to ensure appropriate travel arrangements for all players to away games. All parents are required to cooperate with Team officials in organizing and implementing such a carpooling system if it is being implemented on a team-wide basis. The guiding principle should be to ensure that all players have an equitable opportunity to participate in all games. It should be recognized that there may be occasional and unfortunate circumstances at away games, where players are injured to the extent that they require treatment or hospitalization in a community away from home. Team officials will have the ultimate responsibility for ensuring the needs of the player are given priority, and a cooperative spirit needs to be present to ensure the interests of all players are addressed. Registration Information, Fees and Refunds The Bracebridge Soccer Club has specific published rules pertaining to Registration Fees and Refund Policies. These rules will be distributed at Registration Sessions, and are available on the Club website, Refunds are only available in very limited circumstances. Volunteer Commitment for Rep Team Players Each Youth and Adult Rep Team player or a designated family member/supporter is required to provide a minimum commitment of volunteer time to the Club during the course of the season. If the minimum commitment is not provided, a Volunteer Fee will be payable. The amount of the Volunteer Fee will be collected by Club officials at the time of registration, in the form of a post-dated cheque (September 15th), which will be cashed by the Club on that date if the Volunteer time commitment has not been met. Cheques will be destroyed once the commitment has been fulfilled prior to September 15th. In 2011, the minimum commitment time for each player is 4 hours, and the Volunteer Fee is $50.
