1 EdPlan Scanning Troubleshooting Guide This guide was created to assist EdPlan leadership teams in troubleshooting the most common scanning issues. Ensuring that Scan Sheets Were Printed Correctly 1. When printing your scan sheets, you must make sure that your printer settings are set to actual size or no scaling. Do not select fit or shrink to page. This will shrink or enlarge the image and the location of the bubbles will be off. This will cause the answer documents to scan incorrectly. 2. (Instructions on how to pre-slug an answer documents is found in the Assessment I User guide pg. 21) Verify test has been released from the Student Tracking Tab 1. From the Main Menu, select Student Tracking. 1. On the left-hand screen, expand folders to locate the class or classes you wish to check release status for. 2. A table will appear in the tab that launches to the right. Look for the test name in the column header. The names of the tests on the columns reflect tests that have been released to this class or course. HISD-Student Assessment Updated -10/03/13 1

2 * If a test name is not present in the Student Tracking screen, then the assessment has not been effectively released. Helpful Hint: If you are trying to scan but cannot submit the results in the PCG Scanning App you have not properly released the assessment to your students. When you try to scan and submit, you will see that your students names remain gray and the status will say new. Releasing Assessments to New Students 1. From the Main Menu, select Student Tracking. 2. On the left-hand screen, expand folders to locate the class or classes you wish to check release status for. 3. Look for the test name in the column header and look to see if you have 0* or (-). An 0* indicates that the assessment has been released to student but the data has not yet been scanned in. (-) Indicates that the assessment has not been released to this student. 4. To release the test to new students, right click on the assessment name in the Student Tracking screen. 5. Select Release to New Students. 6. If your pop-up blocker is off, a release options screen will pop up listing the new students names. Select all of the new students names. 7. Click on the save diskette icon on the top right corner. Test Name 0* means released waiting for data (- )means test has not been released student HISD-Student Assessment Updated -10/03/13 2

3 Releasing/Assigning Assessments as a Campus Administrator 1. From the Main Menu, select Release/Assign Assessment. 2. Open a content area folder in the navigation tree to see the grade level folders. 3. Click on the desired grade level. The Select Release Options information will display classes in the subject area and grade level selected. Note: You can also click a teacher s name in the navigation tree to show only that teacher s classes. a. Click the Lookup icon to select the test you wish to release. b. When the test selection window opens, open either the group of Quick Tests or Question Based Assessments. c. Click on the test title. The title of the test will turn red to show that it is selected. d. Click the green check mark. The window will close and the test title will show on the Release QBA screen. 4 4. Click Select All to select all classes shown, or click on the classes you wish to select individually. 5. Click the Next button. 6. Select the Scoring Category and Grading Period from the drop down lists. You can leave everything else as is. Additional selections only affect online testing: When you are sure you have the correct selections made, click the Save icon at the upper right. You will see a message as each class has the test released and see Done when the process is finished. The system will also display the number of students for whom the test was released in each class. A test may only be released to a student one time. If you see the test is released to 0 students, the test has already been released to the students in another class. Important Note: If you are getting an error message during the release process, make sure the naming convention is less than 50 characters in length. HISD-Student Assessment Updated -10/03/13 4

5 Setting up Scanning Reference Defaults 1. Launch the PCG Assessment Tool. 2. Log in to EdPlan website. 3. From the Main Menu, click Scanner and then Reference. 4. In the URL line, type your EdPlan TM web address: This should already pre-populate for you. 5. Under Scanner Settings: a. Click on the Scanner drop box and select your scanner type: Select MFP if using a multifunction printer or scanner used for plain paper scanning b. Click on the COM Port drop box and select how the scanner is connected to the computer (usually COM1). c. Click the Browse button and select the form most commonly used. The dynamic form is now available so leave the Scan Form box blank. d. Click the OK button. HISD-Student Assessment Updated -10/03/13 5

6 Setting Advanced Default Scanner Settings 1. From the home screen, click the Barcode Scan button. 2. A screen will pop up. Select the scanner from dropdown list. Note: Check the Show MFP Scanner UI box if you have not set the default brightness threshold for your HP scanner. For more information on the recommended threshold settings for your particular scanner model, please refer to the Scanner Reference Default Guides located on the HISD EdPlan website. 3. Load the scan sheets into the hopper and click Scan to begin scanning the answer documents. Note: Barcode scanning allows scanning to occur for any test, any subject, and any grade at one time. 4. Once scanning is complete, click the Submit button to submit the assessment for grading. HISD-Student Assessment Updated -10/03/13 6

7 When the tests have been graded, the rows will turn green and the scores will show in the Score column. If students grades don t submit note pg. 2 of this guide. 5. Repeat the steps to scan answer documents for another campus or test. Note: The scores are immediately uploaded to the web application. To view the scores, log in to the web application, go to Student Tracking screen and select the class you wish to view scores for. Scores will be displayed in the viewing screen. You can run reports based on this assessment using the Reports module. HISD-Student Assessment Updated -10/03/13 7
