1 Using Multimedia in PowerPoint 2007 PowerPoint offers a number of options for adding video, audio and image files to your presentation. You can find these types of files online, or create and upload your own files to use. The media files will play directly in PowerPoint, allowing you to create engaging presentations to use in the classroom or post to Blackboard for students to view at home. This guide provides an overview to adding multimedia files to your PowerPoint For additional information, FCLD has handouts available on its website: Downloading images to your computer You can download images from the Internet to use in your presentation, including ones you find in a Google search. Here s how to do it: 1. Locate the image you would like to add to your presentation. 2. Right-click on the image and select Save image as or Save picture as (depending on your browser). 3. Decide where you would like to save the image and give the file a name. 4. Click Save. Some important notes about downloading images: If you are searching in Google images or an image database (such as istockphoto or ArtSTOR), you will see a small thumbnail (preview) image first. Be sure to click on that image to view and download the full-size version. Be sure to check the copyright limitations of the images you are downloading. If you are using the images in a public/commercial presentation (one that will be recorded or downloaded), it is recommended that you either create your own images or use ones from a paid graphics site. It is easier to make a large image smaller than to make a small image larger. Small images will look grainy and blurry if you try to resize them larger. Insert images from file 1. Go to Insert Picture. 2. Browse to the image on your computer. 3. Select the image you wish to insert. 4. Click Insert. PPT Faculty Center for Learning Development

2 Adding a Slideshow of Images If you would like to show a series of images in your presentation (what PowerPoint calls a Photo Album ), you can insert and edit all of your photos in one step. Here s what to do: 1. Go to Insert Photo Album. 2. Click on File/Disk to select the photos you would like to add. Repeat until all photos are added. 3. Optional: Click on Text Box to add title pages between images. 4. Use the Up and Down arrows to adjust the order of the images. 5. Under Album Layout, select how you would like the images to be displayed. By default, PowerPoint will show one image per slide, but there are options to display more. 6. Click Create. You can edit individual slides and add animations or text as needed. Editing Pictures When you insert a picture into PowerPoint, the Picture Tools tab should appear at the top of the screen. If you do not see it, click on the picture you inserted to make the tab appear. There are several tools on the picture toolbar you can use to crop your image, adjust brightness and contrast, change an image to black and white, grayscale, or washout (watermark), change a background color to transparent, etc. Float your cursor over each icon to see what it can adjust. Managing Image File Sizes To keep your presentation size small and running smoothly, you will want to compress the images in your presentation. 1. Click on an image to select it. 2. Click on the Picture Tools tab. 3. Select Format, then Compress Pictures. 4. Be sure the first box labeled Apply to selected pictures only is deselected. (We want all pictures to be compressed.) 5. Click on the Options button. 6. Under Compression options, make sure both boxes are checked. 7. Set the resolution to Screen. 8. Click OK. Now view your presentation to make sure that there is no loss of quality after compressing your images. PPT Faculty Center for Learning Development

3 Add Animations to Pictures You can use PowerPoint animations to cause images or other slide objects to appear, move, and disappear either on click or as part of a sequence of events. This allows you to can focus on important points, control the flow of information, and add interest to your presentation. 1. Select an image by clicking on it. 2. Click on the Animations tab. 3. Select an animation style from the menu. You can click the down arrow button (circled above) to view additional styles. 4. Use the options to the farthest right of the menu to set the speed and transition sound. Use Advance Slide to control the animation s timing. 5. Custom Animation may be used to change the order of the animations (if you have more than one animated element per screen), as well as change the other settings. 6. Click the Preview button on the left to view how your animation will work. Inserting a Movie into PowerPoint 1. Click on the Insert tab at the top of the screen. 2. Locate the Movie button on the right hand side of the ribbon menu and select Movie from File (Be sure to click on the word Movie rather than the video icon.) 3. Browse for the file you would like to add. 4. Select the file and click on OK. You can choose how you want the movie to start in the presentation: Automatically (when you open the slide) or On Click (when you click on the movie). 5. Use the handles on each corner to resize and position the movie where you want it to be on the slide. PPT Faculty Center for Learning Development

4 6. If the movie is selected, you should see a Movie Tools option on the menu, along with an Options tab (see below). If the menu is not appearing, click on your movie to make it appear. 7. Use the menus to select playback options for your video. 8. Resize and position the move where you want it to be on the slide. 9. Use the Preview button to view the movie. Insert Non-compatible Video (.mov or.rm) Before you can insert a QuickTime (.mov) or Real Media movie (.rm), you need to insert an object such as button, text or a picture that will activate the movie when clicked. The object or text acts as a hyperlink to the movie file, which will play in its own viewer on top of the PowerPoint slide. 1. Go to Insert Picture From File. 2. Browse to the file. 3. Select file and then click on Insert. The file is inserted onto you slide. While the file is still selected, do the following: 5. Go to Insert Action. 6. In the Action on Click Section, click on Hyperlink To. 7. Select Other File from the drop down list. 8. Browse and select the QuickTime or Real Media file. 9. Click OK to close the Hyperlink to Other File dialog box. 10. Click OK to close the Action Settings dialog box. QuickTime/RealPlayer movies may take a few seconds for the supporting software to load. Insert a YouTube Video 1. Click the Office Button at the top-left of the screen. 2. Click PowerPoint Options at the bottom of the menu. PPT Faculty Center for Learning Development

5 3. Check the Show Developer tab in the Ribbon checkbox and click OK. Adding the Developer tab to the Ribbon menu 4. Click the Developer tab on the PowerPoint menu. 5. Click the More Controls button (highlighted below). 6. Locate Shockwave Flash Object and click to select it. 7. Click and drag the cursor to create a Shockwave Flash Object box, which will be used as a frame for the YouTube video. Note that the size of the box will match the size of the video. If a full-screen video is desired, create the box so that it fills the entire slide. 8. Open your browser and navigate to the desired YouTube video. Click on the Share button to find the URL of the video. 9. Highlight the link to the video and copy it. PPT Faculty Center for Learning Development

6 10. Return to PowerPoint and right-click on the video box and select Properties. 11. Locate the movie cell and paste the previously copied URL into the empty cell directly to the right. 12. Edit the URL: a. Delete the watch? Section of the URL. b. Replace the = with a / The video will now play when clicked in PowerPoint. Adding a Narration Create your PowerPoint presentation as you would normally do, or find an existing presentation you would like to narrate. Click on Slide Show Record Narration. Use the Set Microphone Level to test your audio and adjust the settings on the Record Narration window as needed. Typically, you will not need to select the Link narrations option. Click OK. Note: If you are not on the very first slide, PowerPoint will ask where you want to start the narration, the current slide or the first slide. While recording your narration, click on the mouse to advance the slides. Important Note: You will need to stop speaking while you advance the slide. PowerPoint records the narration as an individual audio file for each slide, so anything you say while advancing the slide will get cut off. PPT Faculty Center for Learning Development

7 When you are finished recording, right click on your mouse and select End Show. A new window will open, asking if you want to save the slide timings. Choose Save. Save the presentation.
