2 Purpose This brief is meant to provide a comprehensive breakdown of the three (3) transcript print and mail services available to Parchment members in Location 100% of Print and Mail Fulfillment Operations reside solely in the Scottsdale HQ under the security and supervision of the tenured Member Services division. Facilities Security Building Security Parchment maintains a secure facility within its headquarters that requires a badge and a PIN code to enter, and access to this room is provided only to the Print Fulfillment staff. All staff have undergone background checks prior to starting work with Parchment. Before close of business each day Monday through Friday, mail is prepared and picked up by Postal Strategies, a local mail company that acts as an intermediary between businesses and the USPS. FedEx mail is dropped in a secure drop box on the first floor of the Parchment office building. Glossary Security Paper Building Security Paper Postal Strategies Print Driver aka Print Client Business Days and Hours Tri- fold Security Paper reflects the special type of paper used for important documents such as transcripts, birth certificates, and money. It must be purchased through a special vendor and is not available in general stores. Parchment builds all of its security paper. Due to the features associated with security paper, the process by which the paper is made is often referred to as being built. Specifically, this includes features like watermarks, anti- copy and anti- scan features that are nearly invisible to the naked eye, heat sensitive ink, etc. These features cannot be printed onto the paper and are meant to prevent counterfeiting via high- powered cameras or copiers. Parchment s dedicated vendor for daily mail pickup (transcripts). The legacy application installed on the institution s computer that allows members to fulfill transcripts both electronically or by printing in Parchment HQ. Monday through Friday, excluding Parchment holidays. 8AM 4:30PM Arizona Time. When a transcript is printed and then machine folded into a traditional business tri- fold so that it fits in a standard envelope used in everyday mail. Used for tri- folded transcripts. Standard #10 Envelope Flat Envelope Used for non- folded transcripts; approximately 9 x 12

3 QDirect Software to support normal 8.5 x 11 sheets of paper. The software layer that allows print jobs to be queued in a variety of ways, including by school, by postage type, by SLA, by printer, and so on. This is essentially an etraffic control software. Parchment s Three (3) Print and Mail Service Options 1. Option 1: Parchment s Standard Transcript Service formerly known as the Docufide Standard Transcript, this option represents the legacy print service. This option utilizes a parsed transcript or an original image of the transcript printed onto generic Parchment security paper. 2. Option 2: Parchment s Replica Transcript Service this option prints institutional artwork and the transcript onto generic Parchment security paper. 3. Option 3: Parchment s Premium Transcript Service this white label option represents Parchment s ability to reproduce and print the transcript onto the school s exact transcript paper as if it were being prepared in the school s Registrar office. It will look exactly the same. Postage and Mailing Capabilities (applies to all service options) Parchment supports the following mail and postage for all service options: 1. USPS regular mail* 2. USPS international mail* 3. FedEx expedited/overnight mail** 4. FedEx international priority mail** *USPS orders cannot be tracked once they leave Parchment HQ **FedEx orders can be tracked once they leave Parchment HQ. FedEx does not deliver to PO Boxes. Service Level Targets (applies to all service options) Non- Expedited Transcript Orders: All transcripts approved and uploaded by the Sending Institution to be printed on Parchment s printers are mailed within one (1) business day. Expedited / Overnight Transcript Orders: All transcripts received by Parchment before 2:00pm Arizona time are guaranteed to be mailed the same day. All orders printed after 2:00pm are guaranteed to be mailed the next business day. Security Paper Features All transcripts are printed with the following security features to prevent unauthorized duplication. These features are meant to withstand high power copier machines as well as state of the art digital cameras. 1. Heat Sensitive Ink: Ex: the seal will briefly change from color to clear when rubbed or warmed. 2. Hidden Seal(s): Visible only under a fluorescent green black light. 3. Anti- Copy Watermark(s): Visible when held at a 45- degree angle or under a black light. 4. Anti- Copy Coin Rub: Rub a coin on the back to reveal the anti copy coin rub security watermark. 5. Photocopy Protection: When photocopied, the word COPY will appear on the transcript.

4 Option 1: Parchment s Standard Transcript Service Attributes This print service is exactly what we ve done since the inception of Docufide Transcripts are converted into the Parchment Standard Transcript format via the print driver Printed on Parchment s generic gray security paper Parchment s Seal included Only black and white ink supported Landscape printing not supported; portrait layout only Automatically tri- folded and inserted into a standard #10 envelope Highly scalable today with minimal impact to space, staff, and hardware requirements Institutional Branding Capabilities The only branding available with this option is to have the institution s seal and Registrar signature in the header, plus the transcript legend for the school. 5 Option 2: Parchment s Replica Transcript Service Attributes Transcripts are converted into a format closely resembling the institution s transcript layout, with color and artwork features to give it a more authentic feel Printed on Parchment s generic white security paper Color printing supported Landscape printing is supported Inserted into a flat envelop; not folded Institutional Branding Capabilities This option allows the institution to control look and feel by printing colors and artwork selected by the institution onto Parchment s generic white security paper. This customization is managed during the implementation. The security paper is designed during implementation and then built by MicroFormat.
