1 UAB CERTIFICATION HANDBOOK for Ed.S. STUDENTS Congratulations! You are nearing the end of your preparation to advance your Class A Professional Educator or Leadership certificate to a Class AA Professional Educator or Leadership certificate. You must now finish that process by documenting to UAB and the Alabama State Department of Education (ALSDE) that you ve completed all the requirements for a Class AA Professional Educator or Leadership certificate. In order to do so, you need to submit paperwork to the Office of Student Services in the UAB School of Education to apply for your Class AA Professional Educator or Leadership certificate. We will verify that you meet all degree and certification requirements and then submit your paperwork and recommendation for certification to the Alabama State Department of Education (ALSDE). This handbook is designed to help you through the certification application process. Please read and follow these directions carefully! While lengthy, these instructions are designed to get your certification paperwork to the Alabama Department of Education (ALSDE) in a timely manner after graduation. Please print, read, and follow these instructions carefully. An inaccurate or incomplete certification application is a basis for revocation or nonissuance of a Professional Educator or Leadership certificate by the Alabama State Department of Education (ALSDE). Inaccurate or incomplete paperwork may be returned to you for you to correct and resubmit to the Office of Student Services. CONTENTS: The Certification Application Process. 2 THE CERTIFICATION APPLICATION PROCESS You will receive your degree from UAB, but the Alabama State Department of Education (ALSDE) actually issues your Professional Educator or Leadership certificate. This means you will receive your Education Specialist degree from UAB and a Class AA Professional Educator or Leadership certificate from the state of Alabama. Because graduation and certification are two different things, the processes involved are also different. So how does the certification process work? The times below are not exact and are subject to change. WHO WHAT WHEN YOU turn in certification paperwork to the Office of Student Services in the UAB School of Education during your last semester at UAB ** UAB PRESIDENT hosts Commencement Ceremony 1-3 days after last day of finals UAB REGISTRAR posts grades 1-4 days after commencement UAB REGISTRAR posts degrees 1 3 weeks after grades post UAB REGISTRAR (through Credentials Solutions) prints & mails official UAB transcripts 1-3 weeks after degrees post OFFICE OF STUDENT SERVICES IN THE UAB SCHOOL OF EDUCATION ALABAMA STATE DEPARTMENT OF EDUCATION (ALSDE) ALABAMA STATE DEPARTMENT OF EDUCATION (ALSDE) verifies & mails paperwork to the ALSDE to recommend individual students for Professional Educator s certificates scans certification paperwork into their database issues Professional Educator s certificate 1 week 1 month after official UAB transcripts received in the Office of Student Services in the UAB School of Education 2 weeks after being received from UAB 6 months after being received from UAB **We always recommend that you apply for your Alabama Professional Educator certificate by the mandatory deadline during your last semester at UAB. This will insure that your certification paperwork will be submitted to the Alabama State Department of Education (ALSDE) in a timely manner. The longer you wait to apply for your Professional Educator certificate, the longer it will take for you to receive it from the Alabama State Department of Education (ALSDE). The Alabama State Department of Education (ALSDE) requires that all certification applicants must meet state requirements currently in effect at the time of their certification application. The Alabama State Department of Education (ALSDE) gives you a 60 month time frame from the date of program completion and graduation to apply for your Professional Educator certificate. Applicants who apply for certification after the 60 month time frame must meet all current state requirements in effect at the time of their application. As a result, you may be required to complete more coursework, testing, and/or other certification requirements established by the Alabama State Department of Education (ALSDE). 2

3 THE MANDATORY DEADLINE There will be a mandatory deadline for fall 2013, spring 2014, and summer 2014 graduates. This means that you will need to have your certification paperwork turned in to the Office of Student Services in the UAB School of Education by this date to ensure that your paperwork and recommendation for certification is sent to the Alabama State Department of Education (ALSDE) in a timely manner. The mandatory deadline is set by the Office of Student Services in the UAB School of Education and has no effect on how quickly your Professional Educator certificate will be issued once your certification paperwork is submitted to the Alabama State Department of Education (ALSDE). Certification paperwork received by this deadline will be processed in the order that it is received in the Office of Student Services in the UAB School of Education. Certification paperwork will be submitted to the Alabama State Department of Education (ALSDE) once all degree and certification requirements have been met. THE MANDATORY DEADLINES ARE: Fall 2013: November 29, 2013 Spring 2014: April 25, 2014 Summer 2014: July 25, 2014 THE STATUS VERIFICATION LETTER The Office of Student Services in the UAB School of Education has a process regarding letters for students who apply for certification. The Status Verification Letter is a letter that states you have submitted your certification paperwork to the Office of Student Services in the UAB School of Education. This letter will also list the remaining requirements you have to meet in order for your certification paperwork to be submitted to the Alabama State Department of Education (ALSDE). You must submit your certification paperwork to the Office of Student Services in the UAB School of Education by the mandatory deadline in order to receive a Status Verification Letter. Once you submit your certification paperwork to the Office of Student Services in the UAB School of Education, your Status Verification Letter will be ed to you within two weeks. This turnaround time is not exact and may be longer depending on when you submit your certification paperwork to the Office of Student Services in the UAB School of Education. Only one Status Verification Letter will be processed for each student. The Status Verification Letter will not be released or submitted to a potential employer or any other third party. Once you receive your Status Verification Letter, it is your responsibility to make copies and submit them to potential employers. STEP 1: CERTIFICATION APPLICATION Complete and print out the current Application for Alabama Certification (FORM NAL) at This link will direct you to a list of alphabetical documents on the Alabama State Department of Education (ALSDE) website. To locate the link for the FORM NAL, you will need to click on the link named Alabama State-Approved Program Approach (third link under Document Libraries). This will direct you to the Form NAL link. You will need to click on the FORM NAL link to complete the certification application online, print it out, and manually date and sign the Form NAL. The FORM NAL consists of five pages. You will need to complete the first two pages online that contain your Personal Data, Declaration, Record of Education, Educational Experience, Record of Last Alabama Certificate/License Issued, and Record of Certificates Issued in Other States. Once you have completed these sections, you will need to click Print Preview and then File and Print. Once you have printed out the first two pages, you will need to manually date and sign your Form NAL. The Alabama State Department of Education will not accept an electronic signature. UAB will complete pages 3-5 in your Form NAL as the recommending Alabama institution. There is no need to submit pages 3-5 of your Form NAL with your certification paperwork. 3

4 TYPE TO COMPLETE THE FOLLOWING SECTIONS OF THE FORM NAL: Section For Personal Data: Type in all information required including ethnic origin, race and gender in the For Statistical Purposes Only section. The name you type in this section will be the name listed on your Professional Educator s certificate. Type in a mailing address that will be valid one year after graduation. Check the address you type in this section at least once a week until you receive your Professional Educator s certificate from the Alabama State Department of Education (ALSDE). Section For the Declaration: It is very important that you read the statements and questions carefully and check yes or no to parts 1, 2, and 3 in this section. Part 2 only concerns applicants who are spouses of active duty military personnel. If you are not a spouse of active duty military personnel, you will need to check no for part 2. Under part 3, please read each question carefully and answer yes or no. If you answer yes to any of the questions under part 3, you will need to provide an attached explanation and any additional supporting documentation (i.e., court certified copies of judgment, conviction, and sentencing) in a sealed envelope with your certification paperwork. Section for Record of Education: Type in every school attended after high school, including UAB in the Record of Education section. If you have attended anywhere else other than UAB, you will need to include these schools on your Form NAL. You will need to click on Insert Item to add additional schools. Type in only the city and state of each school attended for the Location section. Type in years (i.e., ) for the Dates Attended section. Type in Education Specialist or Ed.S. degree for the Degree and Major section. Section for Educational Experience: List current and previous teaching experience in the Educational Experience section. Be sure to include all dates, name and location of each school, and the grades and subjects you taught during this experience. Section for Record of Last Alabama Certificate(s)/License(s) Issued: List the last Professional Educator s certificate that the Alabama State Department of Education (ALSDE) issued to you in this section. This will most likely be your Class A Professional Educator certificate. Be sure to complete the valid period of the certificate and the full name under which it was issued. Section for Record of Certificate(s), Including Alternative Certificates, Issued In Other States: If you do not have any certificates issued in other states, you will need to type NONE in this section. 4

5 Read the disclaimer from the Alabama State Department of Education (ALSDE) and review your FORM NAL before you print it. Once you print your FORM NAL, you will need to complete a new certification application if you need to make any additions or deletions. In order to print your application, click Print Preview then File and Print. Once you have printed your FORM NAL, manually date and sign your certification application. The Alabama State Department of Education will not accept an electronic signature on the FORM NAL. STEP 2: CERTIFICATE FEE It is mandatory that you make an online payment for your Professional Educator s certificate through the Alabama State Department of Education Teacher Certification Online Payment System at the link below: The Office of Student Services in the UAB School of Education will not accept cash, personal check, cashier s check, money order, etc. as payment for the certificate fee under any circumstances. Even though the FORM NAL states that your payment may be submitted in the form of a cashier s check or money order made payable to the Alabama State Department of Education, you must make an online payment for the certificate fee for your certification paperwork. The Alabama State Department of Education (ALSDE) charges $30 (plus a convenience fee of $4) for each Professional Educator certificate. If you are completing the Early Childhood/Elementary Education program at UAB, Early Childhood and Elementary Education are considered two separate certificates and require a total of $60 plus the $4 convenience fee. Once you make your payment, do not forget to print out your confirmation page or receipt of your payment. We are required to submit this copy with your certification paperwork as verification of your payment to the Alabama State Department of Education (ALSDE). STEP 3: OFFICIAL UAB TRANSCRIPT Requesting your official UAB transcript is part of the certification application process. However, your official UAB transcript will arrive separately after graduation from the actual paperwork you submit to the Office of Student Services in the UAB School of Education. You must request and pay for an official UAB transcript in order for it to be released to the Office of Student Services in the UAB School of Education for inclusion with your certification paperwork. Please do not send your official UAB transcript directly to the Alabama State Department of Education (ALSDE). The UAB Registrar s Office is now using Credentials Solutions to handle transcript requests. This is the only method that can be used to request your official UAB transcript for your certification paperwork. This official UAB transcript request for Teacher Certification is solely for your certification paperwork. If you need official UAB transcripts sent to a school system or for your own records, you will need to make a separate request for additional official UAB transcripts through Docufide by Parchment. An official UAB transcript will not be released to the Office of Student Services in the UAB School of Education unless you have cleared all financial obligations to UAB. An official UAB transcript on security paper is needed for your certification paperwork. An electronic official UAB transcript will not be accepted for your certification paperwork. 6 STEP 4: SUPPLEMENT EXP FORM The Supplement EXP form is to be completed for verification of satisfactory teaching experience by your school system. The Supplement EXP form is required for applicants pursuing certification in this area: Teacher Leader (three full years of full-time teaching experience in a P-12 setting) The Supplement EXP form can be submitted with your certification paperwork or can be submitted directly from your school system to our office at a later date. The Supplement EXP form is required for your certification paperwork even if you submitted this form at the point of admission to the program. You can find the Supplement EXP form under the Alabama State-Approved Program Approach at this link: STEP 5: CERTIFICATION APPLICATION AUTHORIZATION FORM Completing the Certification Application Authorization Form (page 10 of this certification handbook) is part of the certification application process. Make sure that all requested information is correct and filled out manually on the authorization form. This form allows the Office of Student Services to verify your program and the area of certification you are applying for with the Alabama State Department of Education (ALSDE). Your signature on this form verifies that: 1. You have read this certification handbook and understand its contents. 2. You understand that submission of incomplete, inaccurate, or outdated certification paperwork may result in the return of the entire packet to you. 3. You authorize UAB and the School of Education to submit your certification paperwork to the Alabama State Department of Education (ALSDE). STEP 6: TEST RESULTS ** IMPORTANT: Holders of Alabama Class A Professional Educator s Certificates who are adding a new teaching field or instructional support area are obtaining initial certification in that new field or area and are required to take the appropriate subject assessment for the Praxis II test. You can check with the Office of Student Services in the UAB School of Education to see if we already have your test results on file. The Office of Student Services in the UAB School of Education no longer receives official paper score reports for the Basic Skills and Praxis II tests directly from the testing services. UAB now receives these scores by roster for verification purposes. The Alabama State Department of Education (ALSDE) requires official electronic score reports for all of these tests. The reports are requested by you at test time to be sent electronically by the testing service to UAB and the Alabama State Department of 6

7 Education (ALSDE). Contact information for ETS involving Praxis II score reports can be found on their web site at You can find Praxis II information on the Alabama State Department of Education website at and on the Office of Student Services in the UAB School of Education website at STEP 7: TRANSCRIPTS FROM NON-UAB INSTITUTIONS The Alabama State Department of Education (ALSDE) requires official transcripts from all schools attended. Use the table below to see what s required: IF YOU have not taken any coursework since your Class A was issued except for courses at UAB have taken coursework since your Class A was issued at non-uab institutions and these courses are being used toward your Class AA program THEN you need no other non-uab transcripts sent to the Office of Student Services you need to have all non-uab transcripts that include courses taken after your Class A was issued sent to the Office of Student Services (see Step 8 for mailing address) **We do not have access to transcripts you originally sent to the Graduate School for admission. Transcripts sent to the Graduate School are scanned, shredded, and not forwarded to the UAB School of Education. You must check with the Office of Student Services to verify that our office has your official undergraduate/graduate transcripts on file before you submit your certification application packet. Transcripts must come via mail from an institution in a sealed, institutional envelope in order to be official. The Alabama State Department of Education (ALSDE) will not accept faxed transcripts, photocopies of transcripts, ed transcripts, or transcripts labeled as a student copy. STEP 8: TURN IN YOUR APPLICATION Gather the following documents together and submit in person or by mail to the Office of Student Services in the UAB School of Education during the semester in which you are graduating and/or completing program requirements. Do not submit your paperwork directly to the Alabama State Department of Education (ALSDE)! Keep in mind that requesting your official UAB transcript is part of the certification application process. However, your official UAB transcript will arrive directly from Docufide by Parchment and will be separate from the actual certification application paperwork you submit to the Office of Student Services in the UAB School of Education. 8 Score report showing passing score on the subject assessment for the Praxis II test (if required for certification) Have official non-uab transcripts sent to the Office of Student Services Request an official UAB transcript through Docufide by Parchment ** IMPORTANT: If you are submitting your certification paperwork to the Office of Student Services in the UAB School of Education during your last semester at UAB, the minimum paperwork we can accept is the completed Form NAL (certification application), a copy of the receipt showing online confirmation of your certificate fee payment, and the completed Certification Application Authorization Form. It is your responsibility as the applicant to submit any remaining paperwork when requirements are met. ** IMPORTANT: The Office of Student Services accepts current certification paperwork only in person or by mail. Certification paperwork is not accepted by fax in the Office of Student Services in the UAB School of Education. If you would like to mail your certification paperwork to the Office of Student Services, the mailing address is listed below. A few of these requirements are listed below (but not limited to): Hold a valid state of Alabama Class A Professional Educator s certificate A cleared background check through the Alabama State Department of Education (ALSDE) Pass the appropriate subject assessment(s) for the Praxis II test if required for certification. Results should be sent to both UAB & Alabama State Department of Education (ALSDE) Pass the comprehensive exam and/or portfolio for your program (contact department for information) Complete an application for degree Complete all state-approved program course requirements Clear all financial obligations to UAB Hold a 3.25 GPA at degree 8
