1 Church Ministry These pages provide users access to information related to the churches in the camp territory. Included is the ability to add and edit churches as well as manage church activity. Access is also available to run several church ministry reports, and to View Churches and Church Presenters. All members can view church data. Officers will have access per their role to make changes to churches, pastors, church presenters, etc. This document includes instructions for officers to make those changes. These instructions will step through each of the icons available on the main church ministry page. A church ministry help video is also available and can be viewed by selecting the link at the bottom of the page. The Church Ministry page is accessed by selecting Camp Activities > Church Ministry from the Camp Activities menu.

2 Churches: A list of churches will appear Selecting any of the column titles will resort the column Along the top left corner of the page, there s an Export List option to download the information shown in this list into a spreadsheet. The system allows the file to be viewed or saved In the right corner, Select Add Church to add a new church. A new window will appear. Complete these fields: Church Name, Pastor First Name and Pastor Last Name Choose either Save, Save and Add Another (church), or Cancel. View or Edit Church Detail: Select the blue Church Name to drill down into more church details. Use the different tabs to make changes like adding or editing information 2

3 Delete (or Restore) a Church: Click or select the blue Church Name In the bottom, right corner of the screen, select Hide Church Are you sure you want to hide the church? OK Your screen returns to the list of churches, scroll down to the bottom Select Hidden Churches (this does not appear unless there are hidden churches) To the far-right column of the church name, choose the icon in the Delete column To Restore the church, choose the Restore icon. Notice the tabs along the bottom of the church details: Address: To edit or delete the church address, select the blue Address Type (Business for example) o Make and save any edited changes needed. Select Add Address to add a new church address o Enter the information o Click in the Make Primary box to make the address the Primary church address o Choose Save, Save and Add Another church address, or Cancel Communications - NOTE: when adding church phone or fax numbers, enter only numbers To edit the church phone number, select the blue phone number, type changes and save the changes o Choose Delete to remove the church phone number o Choose Cancel to return to the previous screen Select Add Phone/Fax to add a new church phone or fax number o To change the option from Phone to Fax, click in the phone or fax circle o Click in the Make Primary box to make the number the Primary church number o Choose Save, Save and Add Another, or Cancel Select Add to add a church address o Add the address, type, and check Make Primary, if needed o Choose Save or Cancel Contact A contact is someone you contact within the church, i.e. a pastor, staff member, associate pastor, or Gideon Church Representative. If a pastor or church contact leaves a church, they should be deleted from that church s record, then the new contact should be added to the church. 3

4 To add a new church contact: o Select Add Contact o Type the First Name, Last Name, and Title then use the drop-down arrow to choose the Relationship like Pastor o If this contact is the Primary contact, select the Make Primary box to make the contact primary o Select Save To Add a Gideon Rep: o Select Add Gideon Rep option o If the Gideon is a member of your camp, use the drop-down arrow for the Name field and select the member s name. o Gideons Church Rep. will automatically prefill as the Relationship o If this contact is the Primary contact, select the Make Primary box to make the contact primary. o Select Save To edit a contact profile, select the blue Contact Name o Use the links for Address, or Contact Info to make changes. Save the changes. To edit the Title or Relationship of the contact, choose the small blue box containing the pencil located to the far right of the contact name. Make changes and Save. To remove a church contact: o To the far right of the Name, select the small box containing the pencil o To remove the Contact, choose Delete, or choose Cancel. To edit the Title or Relationship of the contact, choose the small blue box containing the pencil located to the far right of the contact name. Members/Friends: Members churches are added thru their profile. Friends are automatically added by the International Headquarters as they enroll in the program. Miscellaneous: This page contains a summary of information related to the church. Choose Edit Miscellaneous to make any changes to this data, then Save or Cancel. An Other Information field is found at the bottom of the Miscellaneous page. Information entered here will appear on the Form 202, but will not appear in your Notes. Notes: Add Notes: choose to add and save a new note Edit a note: choose the blue date, then edit or Delete the note, Save or Cancel Notes will appear in Visits icon or print the Notes Manager Report. 4

5 Presentations/Services: There are two columns on this page. Service on the left, Presentations on the right. Add Service: Use drop down arrows to enter Service Type, Day, Attire. Place your cursor in the Service time field, choose the proper time from the pop up window. o o Choose Save, Save and Add Another, or Cancel Edit Service time: choose blue service time to edit, Save, Delete or Cancel. Add Presentation: o Select Add Presentation, then add the information or use drop down arrows the data. Once a Service Time has been selected, a Speaker can be added. o Choose Save, Save and Add Another, or Cancel o Edit an existing presentation: choose blue date to edit, Save, Delete or Cancel. o Additional information regarding presentations can be found under the Presentations icon on page 8. Print Presentation Envelope: o Select the blue presentation date, scroll to the bottom then choose Print Presentation Envelope, open or save, then Print. Along the very bottom of the church details page, there are more options: Edit Church edit and save the Church Name or Cancel Print Church The Church Detailed Report file is available to be opened, saved, cancelled or printed. Form 202 This file can be opened, saved, or printed. The 202 form and reports are designed to pull the address that has been selected as Preferred. There is a blank Downloadable 202 Form found on the Forms and Logos page, by going through Resources, it is designed to be able to be filled in. However, the 202 Form available on a specific Church s Details page is populated by the basic information entered and contained on that page. The 202 Form is designed and provided to be an aide and completed manually (by hand) as the Presentation is being discussed with the Pastor, so that it can be entered in the system for setting up the Date of Presentation. It will NOT preprint the upcoming service information on the form. Hide Church To hide, delete or restore a church: In the bottom, right corner of the church listing, click the Hide Church button You will be asked Are you sure you want to hide the church? choose OK. The page will return to the list of all the camp churches. To restore or delete a church, scroll to the bottom of the church listing page. Choose the Hidden Churches button, then choose either Restore or Delete 5

6 Touch Points: This icon will open the list of churches in your camp, with special emphasis on key areas for church relations. These Touch Points allow us to measure our engagement with churches and pastors. Key measurements include Gideon Member, Presentation, GideonCard, In Budget, Video Presentation Only, Life Book, Friends, and Advocate. These are included in our new Church Representation initiative. Add Church: This icon will not appear at first, until you ve added a church, then it will appear. Select the Add Church icon to add a new church Complete these fields: Church Name, Pastor First Name and Pastor Last Name Choose either Save, Save and Add Another (church), or Cancel. Visits: Notes are added to each individual church on the Notes tab. Once a Note has been added to an individual church, it then appears on this list as a visit. Select Export List to download the list to a spreadsheet. Select the blue church name in this list to view a specific church s information. If you do not see your Notes in the Visits section, that usually means they were added by the user to the Miscellaneous tab of the church into the Other Information section. 6

7 Reports: Church Reports are available from this icon. There are two types of reports available: pdf and Excel. Click the report s icon located in the right Run Report column. Specific criteria can be chosen, then Run Report or Cancel. If the file doesn t open, please adjust your pop up blockers. Missing your Where We Are Going, Where We Have Been information? Please refer to the Church Summary Report now available in the Reports section. Church Notes Manager Report Remember notes are added to each individual church s Notes tab. The Church Notes Manager Report icon is a quick link to view a printable report of you camp s church notes. (you can also view that report from the Reports icon). Enter the Begin and End date, then Run Report. 7

8 Presenters The Presenters tile will open the list of church presenters in you camp, and allow you to navigate through the specific presentations done by each presenter. Choose Export List to send the data to a spreadsheet. Choose Add/Edit Presenter to update church presenters. Make necessary changes, and Save. Presentations The Presentations tile will open the list of churches in your camp, with special emphasis on the presentations conducted. Choose Export List to export the shown data to a spreadsheet. Choose Add Presentation to add a new presentation to a selected church, the Add Presentation option appears. Use the drop-down arrow to select the new church to add the presentation. The Add Presentation page will appear. Select Service Time/Speaker, use dropdown arrow. Once the time is selected, the Speaker may be chosen from the drop-down menu. For a Speaker outside your camp, click the small magnifying glass. Either enter the First and Last Name of the Speaker OR Enter their Member Number Select Search When the data is found, click on the speaker s info, it will prefill the Speaker box. Complete the information and Save it. Print Presentation Envelope: the envelope is prefilled with information added to the presentation date After the presentation data is added and Saved, select the blue presentation date, scroll down, select Print Presentation Envelope. Choose File > Print, or place your cursor over the document, right click your mouse, choose Print. 8

9 Program Materials The Program Materials includes documents, PowerPoint files, videos, Annual Pastors Event materials, Speakup materials, Life Book Saturations and other materials pertinent to the Church Ministry program.
