1 Linked Cross References The Linked Cross Reference tool allows you to quickly and easily navigate between two locations in a PDF file. 1. Linked Cross Reference feature incorporates two icons in the TTC Toolbar a. Linked Cross Reference Icon: Used when moving between related items or references. For example, use cross reference markers when linking an amount on a source document to an organizer page. There are three color references available: i. Red ii. Blue iii. Green b. Refresh Cross References: The Refresh Cross References tool will refresh and keep track of used cross references in a.pdf file. You can easily select the next available cross reference and/or delete a cross reference in a subsequent.pdf session. IMPORTANT: When opening a document that has existing cross references ALWAYS use the Refresh Cross Reference icon before continuing work. (800) extension 200 1
2 2. Rules when using the Linked Cross Reference Tool IMPORTANT: Read these rules before using the Linked Cross Reference feature. a. Set up/page Orientation: Go through the scanned source document to make sure all pages in the.pdf file are organized the manner you want the final work papers presented. If you place a linked cross reference and subsequently rotate the page, it will interfere with the integrity of the hyperlinked cross reference. b. Only Cross Reference on the same document: Linked cross references can only be used within the same.pdf file. It is recommended that you close any other.pdf files or start a new instance of Acrobat. i. If you have Adobe Acrobat v 8.0 select Start new instance of Acrobat on the TTC tool bar or menu to open.pdf files in separate instances. ii. If you have Adobe Acrobat v 9.0 or above it will automatically open.pdf files in separate instances. (800) extension 200 2
3 3. Linked Crossed Reference Preferences a. Selecting a default color and size of cross references i. Select TTC Preferences in the TTC toolbar. ii. Tickmarks and Cross References window appears. iii. Select the default color radio button. (800) extension 200 3
4 iv. Click on the drop down arrow to select the size of the cross reference icon. v. Click on the drop down menu arrow to select the Click Behavior or zoom when clicking on cross references vi. Click OK. (800) extension 200 4
5 4. Adding Linked Cross References a. Locate the origination point of cross reference (i.e. first item you want to link) b. Left mouse click on the Linked Cross Reference icon i. For Adobe Acrobat X and Acrobat XI Click on the drop down arrow and select the Cross Reference number. (800) extension 200 5
6 c. The mouse cursor will turn into the corresponding reference number. d. Place the linked Cross Reference by left mouse click on the page to place the origination point of the cross reference. e. Mouse cursor will remain the same until you place the corresponding (2nd) destination location. (800) extension 200 6
7 f. Place the corresponding (2nd) Cross Reference by left mouse click on the PDF file. Mouse cursor will turn back into the original arrow. g. Once Linked Cross Reference has been placed, click on the reference number to switch between the two locations in the PDF file that are hyperlinked. h. The Linked Cross Reference icon will automatically increment to the next reference number and the previous placed cross reference number will change its status to Delete Cross Reference in the drop down menu. 8 i. The status change of Delete Cross Reference allows you to keep track of the cross reference number that has been used in the PDF file. j. To cancel the placement of a cross reference on your mouse cursor, simply hit the ESC key k. You can place a cross reference in a different color by selecting it from the alternative color expansion drop downs. i. Clicking on the drop down arrow next to the Linked Cross Reference icon. ii. Select the cross reference in the color of your choice. Your default color will be listed in the drop down. To select another color, place the mouse cursor over the color of your choice and it will expand the cross reference in that color. Select the next available cross reference. (800) extension 200 8
9 IMPORTANT: Once a Cross Reference is placed in a document you CANNOT move the placement with mouse curser. If you do, only the picture that is the Cross Reference will move, not the embedded hyperlink. If you do not like the placement of a Cross Reference you will need to delete it and replace. 5. Deleting Linked Cross References a. Select the drop down arrow next to the Linked Cross Reference icon and it will show a list of cross references. Once you place a Linked Cross Reference on the source document, the status will change to Delete Cross Reference. b. Simply select the reference number you want to delete. (800) extension 200 9
10 c. The following confirmation window will appear, select Yes. 6. Refresh Linked Cross References a. When returning to a PDF file in a subsequent session or when deleting a cross reference when you have multiple.pdf files open, this tool is required. Click on the Refresh Cross Reference icon. b. This refreshes the list of used Linked Cross References in the.pdf file and shows the next available Cross Reference number. c. This will display all Cross References previously added to the.pdf file, allowing you to easily delete a cross reference in a subsequent.pdf session. IMPORTANT: Before you delete a Cross Reference (especially if you have multiple.pdf files open simultaneously), select this toolbar icon to refresh the Cross Reference list in the.pdf file you want to delete the Cross Reference from. Otherwise you might delete a Cross Reference in a different.pdf file. (800) extension
