2 2016 Shipping Instructions Issued by EFI Logistics, Official Freight Contractor NEW REGULATIONS FOR 2016: PLEASE READ CAREFULLY The organisers have introduced a number of changes to on-site operations for These are in response to the traffic congestion and delays experienced last year. DELIVERIES TO PALEXPO FOR VITAFOODS All trucks, cars and vans need to book in using the vehicle booking system Details of this will be sent directly to all exhibitors and contractors separately. The organiser will assign move-in times according to size of stand and location in the hall UNLOADING OF FREIGHT AND STAND MATERIALS ON OFFICIAL BUILD-UP DAYS: Thursday 5 th May (Bank Holiday) Official Contractors ONLY approved by the organiser Friday 6 th May space only stand builders Freight handling only* Saturday 7 th May space only stand builders Freight Handling only* You must book your unloading service with EFI BEFORE you can book your truck in General freight/ groupage shipments will be received by EFI/ IEL at hall 6 All material on these days must arrive on pallets/ in crates for unloading by forklift EFI/ IEL will unload all deliveries on these days. See the exhibitor manual rules & regulations CARS/ VANS/ SMALL TRUCKS DELIVERIES Sunday 8 th May small trucks/ vans/ cars contractors and exhibitors Monday 9 th May small trucks/ vans/ cars contractors and exhibitors General freight/ groupage shipments will be received by EFI/ IEL at hall 6 ADVANCED RECEIVING FREIGHT COMPANIES ONLY Small shipments (one or two pallets) will be received by IEL from Monday 2 nd May onwards Shipments will be held by IEL and moved to the exhibit hall during regular move-in Shipment arriving before 2 nd May 2016 will be refused 1

3 OFFICIAL FREIGHT HANDLING COMPANY EFI Logistics are appointed by Vitafoods Europe/ Finished Products Europe as the sole official logistics company for this event. Our partners at Palexpo, IEL, are the only company permitted to operate handling equipment in the halls for this event. No other freight company is sanctioned by the organiser to provide freight services to this event or will be permitted to operate equipment on the show floor. Any trucks not booked in will not be permitted access to the unloading area. Orders received after the order deadline or on site will attract a late order surcharge above the standard handling tariff. Please use the FREIGHT ORDER FORM sent with this document to order your service with EFI. If you do not have an existing account with EFI you need to complete the credit card section. Incomplete orders cannot be accepted. 2

4 All-inclusive Collection Service EFI provide a total door-to-stand, all-inclusive transport service Contact our team with details of what you want to send and we ll do the rest. We ll provide you with everything you need documents, shipping labels etc; we ll pick up your shipment and send you confirmation when it s delivered on your stand. Official Forwarding Agent in your country We have a worldwide network of freight forwarders experienced in the movement of goods to and from exhibitions. To get the best rates and service we recommend that you book all services directly with EFI. 5 Couriers Courier companies are unable to clear customs and deliver goods to your stand at Geneva Palexpo. They will only deliver to Geneva Airport or Geneva Palexpo site (uncleared). To keep costs to a minimum we strongly advise that you consign your goods as per airfreight above. On payment of appropriate customs and handling charges EFI/ IEL will deliver your goods to your stand. We will not release courier shipments until the respective charges have been paid in full by bank transfer or credit card (VISA, MASTERCARD or AMEX). Do not attempt delivery before Monday 2 nd May your carrier will be sent away Delivery terms All consignments must be sent freight prepaid. Customs It is the responsibility of the Exhibitor to ensure the products and materials they will be exhibiting are lawfully brought into Switzerland and used and displayed only in accordance with the terms and conditions governing the entry of the products and materials into Switzerland and the use of such materials in Switzerland. If your product required a health/ import license please make sure a copy is attached to your shipping documents. Booth fitting material and exhibits can be imported duty-free on a temporary basis against either ATA carnet or a Customs Bond which EFI/ IEL will supply against payment of a bond fee. Printed matter such as catalogues for free distribution at the show can be imported duty-free. This also refers to CD-ROM catalogues. Giveaways such as pens, lighters, T-shirts, etc. are subject to the payment of duties and VAT. So are any kinds of foodstuff or alcoholic beverage. Please contact EFI before shipping such goods for details of the charges you will have to pay. Documents Commercial invoices and packing lists (they can be combined on one document) fold, indicating quantity and nature of goods, gross and net weight and value for each item shipped, as well as weight and dimensions of each package in the shipment. A separate invoice is needed for printed matters and giveaways. 4

6 Case Markings Please make sure each package, case, pallet or parcel is clearly marked with the following information: Insurance EXHIBITOR NAME: STAND No. VITAFOODS EUROPE 2016 GENEVA PALEXPO C/O EFI LOGISTICS/ IEL 1 of (total number of packages) Handling of stand material and exhibits at Geneva Palexpo is performed and goods left in the halls at the exhibitors risk. We strongly recommend that insurance is taken to cover these risks. Empty cases All empties will be removed from the stand as soon as they are tagged and ready to move and placed in storage. After the show they will be returned to the stands. Please note return of empty cases can only start when the halls are cleared of visitors and it is safe to do so. All empties will be removed from the halls band stored on trailers. Our on-site team will provide you with empty case labels on request. Make sure the exhibitor name and stand number are clearly marked on each item to be stored. Un-marked pallets and cases will be treated as trash and removed for recycling. We provide the following levels of storage service: Standard storage for stand materials, pallets and general empty packing Priority storage for exhibitor s cases, pop-ups and items needed back first Full/ Tool storage for contractor s tools, equipment or full cases Emergency for exhibitors only high rate, for must-have delivery at close of show Return transport Return transport will be organized by EFI. Please make sure you give your return/ outbound instructions to EFI before the close of the show. You can do this at our service desk or by to our team at any time. On-Site Facilities EFI have a fully staffed service desk in the exhibit hall. The Customs office is situated upstairs above hall 1. 5

This is a security measure. You must book this service in advance simply check *TIMED SERVICE* on the order form There is an additional charge for this, see our tariff of charges General terms All transactions undertaken on site by our on-site team are carried out under the general conditions of the Swiss Freight Forwarding and Logistics Association (SPEDLOGSWISS) latest edition. (Copy of which is available on request). All goods are placed at the stand at the exhibitors risk even in the absence of him/ herself or the exhibitors representatives. Payment terms All invoices are payable on receipt. You will be invoiced on receipt of your order. Payment can be made by wire transfer or credit card. There is a 3% service charge for credit card payments. All charges must be paid in full before service/ delivery. Any customs duties or other fees paid on your behalf will be added to our charges and must be paid on receipt. Orders/ Late Order Surcharges All orders for freight services should be received not later than 11 th April 2016 Orders received after this date are treated as late orders and surcharges apply (see tariff of charges). This does not apply to orders changed after the deadline. Orders are accepted only on receipt of a completed service order form.
