Please read these instructions carefully and if you have any questions at any time do contact out customer service team. Please note EFI will send full shipping instructions to all registered exhibitors via . If you are working with stand sharers, stand building contractors or other supplies sending materials the show please pass copies of these instructions to them. Failure to comply with these instructions could result in late or non-delivery of goods for which EFI and its partners cannot be held responsible. 3 SERVICE ORDER FORM All exhibitors need to complete and return a Freight Service Order Form to EFI Logistics by latest Friday 19 th December Please note late orders will carry a surcharge and only pre-booked services will be handled first on our FASTTRACK SYSTEM ARRIVAL DEADLINES SEA freight shipments to DUBAI Port by Monday 5 th January 2015 AIR freight shipments to DUBAI Airport by Monday 12 th January 2015 Arrival after these dates will incur additional costs. Whilst every effort is made to ensure the timely arrival of materials to the show, EFI do not guarantee delivery to the event of any late arrival shipments. To avoid delays it is imperative that all documentation is checked in advance of shipment; please send copy documents to susan.barton@efilogistcs.com at least 1week prior to shipment departing destination. INTERNTIONAL SHIPMENTS EFI is represented throughout the world via our Service Partner Network. Our agents are fully experienced in handling exhibition cargo and will be pleased to help you. For further details of our agent nearest to you, please contact the EFI Customer Services team. We strongly recommend that you keep your shipment within the EFI system. Our system delivers a complete package of quality services designed to save you time and money. Please bear in mind that when you arrive at the show only an EFI representative will be on site and available to assist you directly. If you re already in our system we can track and trace its movement on the spot. CONSIGNMENT INSTRUCTIONS All International shipments for this show must be consigned as follows, we cannot clear shipments that are consigned in any other manner. 4 SHIPPING DOCUMENTATION AND PRE-ADVICE For all shipments, copies of documents including air or ocean bills of ladings, airwaybills, invoices and packing lists and other required documentation must be ed to EFI Logistics prior to arrival of goods in Dubai Please indicate name of show representative, their office phone and mobile numbers and addresses. Please send this information to DOCUMENTATION Commercial invoice & Packing List EFI can supply a Combined Commercial Invoice and Packing List for your usage. All Commercial Invoices should be in Originals printed on the company letter head or bear company logo, stamped and signed in original (preferably in blue ink) Scanned copies are not accepted as original are needed by the UAE Customs authorities. Shipment without original invoices also can be custom cleared on copies of documents but are subject to USD customs fee per document. All invoices shall be made out as follows: Invoice Number Make /model /serial number where applicable HS Code (customs harmonized code) Quantity Unit Value and Total Value Invoice must show CIF value for each item preferably in United States Dollars (USD). A separate invoice is required temporary goods and consumable items, ie. give-aways and literature. All items must have a realistic value incl. giveways items. If customs do not consider values to realistic they will determine the value they think appropriate. PACKING LIST If not using EFI s combined invoice /packing list then a separate packing list must be issued showing the following details Contents of each case Weight of each case Dimensions of each case Serial /model numbers where applicable CERTIFICATE OF ORIGIN A certificate of Origin is only required for Sea Freight Shipments and need only to be certified by the Chamber of Commerce. It does not require legalization by the UAE Embassy or Consulate. 3

Whereby exhibitors can ship to the following warehouse by deadline dates given below for either consolidated ocean freight or air freight. We can also collect from your premises in advance; for details of your latest collection date please contact us. 6 WOOD PACKING REGULATIONS Wood packing controls apply to all wood packaging and material used in the packing of containers, including Wooden pallets, Wooden packing cases, Crates, Dunnage (packaging used to secure loads in containers) All imported wood packaging materials should be treated by Heat Treatment (HT) or Methyl Bromide (MB) fumigation at the origin, and bear the Mark of the IPPC on two opposite sides of the wooden packaging material. The Mark should contain the valid symbol approved by IPPC, country code, unique number of producer / treatment designated by the National Plant Protection Organization (NPPO) of exporting countries and treatment methods (HT, MB). Where wood packing material arrives without the approved mark or with approved mark but is found to contain live harmful pests the cargo will be disposed of or returned to origin at the cost of the shipper. TARIFF OF CHARGES TARIFF PACKING Exhibitors are advised to use strong, sturdy, reusable packing cases for the transportation of the exhibits which can withstand the rigors of international transport and unpacking and repacking operations. For main exhibits, we recommend bolted returnable type of cases and crates where exhibits can be unpacked and re-packed safely. Cardboard cartons are not recommended; especially for goods requiring return to origin /onward shipping. If cardboard cartons are used for one way shipment we advise lining the boxes with plastic wrapping or securing and wrapping onto a pallet. All cargo will be opened, inspected and the contents matched against the items listed on your combined commercial invoice and packing list. Discrepancies in paperwork and actual contents will cause delays and possible additional costs and fines and may lead to confiscation. IF YOUR CASES ARE LOCKED it is imperative that we have a set of keys or the lock combination to allow Customs to inspect the contents. 7 CUSTOMS DUTIES Customs 5% of CIF value will be charged on all items that remain in UAE after the exhibition. This includes all giveaways, stand materials and exhibits. Customs duty will be charged on the reduced weight (difference) of the shipment at the time of re-export on a pro rata basis. This applies for complete return shipments. The shipment will be subject to customs duties and penalties if the weight of the shipment exceeds the incoming weight due to wrong declaration on import or due to addition of merchandise such as hand carried items by the exhibitor CUSTOMS DUTY DEPOSIT REFUNDS All goods imported into UAE on temporary basis are subject to a customs duty 5% on CIF value of goods (rounded off to the nearest '00) Reclaim of duty deposit can be done only after re-export of goods subject to a minimum of 3 months. Goods and documents must show a serial/ model number which are either embossed or plated to the exhibits without which the temporary import cannot be done and shall be custom cleared on permanent basis (non-refundable). RESTRICTED CARGO All restricted cargo such as weapons, ammunition, explosives, missiles, rockets etc should either be dummy/cutaway model or inert. All wireless, telecommunication and defense equipment are subject to approval from the respective authorities. All restricted cargo imported should have End User Certificate under D1 /D1A forms. We offer competitive rates for exhibitors travelling from show to show and recommend that you keep you shipment within our system. COURIER SHIPMENTS We do not recommend using normal courier services for shipping exhibition materials. Courier companies are unable to provide customs clearance on a temporary basis; therefore you may find shipping in this way will incur expensive additional costs in duties and taxes. When in a couriers system it is very difficult for EFI to intervene. Therefore only use a courier service for small one way shipments, ie. boxes of literature etc. For further info. contact EFI. TARIFF EFI Logistics will send all exhibitors a Full Tariff of all services for this event. We are also happy to offer complete quotations to exhibits to suit your requirements, please us with details of your shipment. 6

8 OUTBOUND/RETURN SHIPMENTS All materials returning to their country of origin will be subject to UAE export clearance. Return transit times are affected by mode of transport, customs status, security and congestion on services selected. HAZARDOUS GOODS Shipments containing hazardous goods require special handling and documentation. Many steamship lines, airlines and trucking companies have strict regulations which dictate that such shipments be moved separately, properly documented and packed in strict accordance with current laws and regulations. If you plan to ship hazardous materials, please notify EFI Logistics. INSURANCE We recommend that you have your goods fully insured against loss or damage for transit and the duration of the show. EFI is only covered for your goods under our BIFA 2005A Terms and Conditions which is limited and may not provide the full cover you expect. We therefore recommend that you insure your goods fully or extend any cover you may currently have to include transit and duration of the event. PAYMENT TERMS All charges must be paid prior to final clearance and delivery to the Congress Centre. Charges will be issued and sent out via by EFI as soon as shipping documents have been received and approved. Outbound charges are due in full prior to goods being released for final destination. TERMS AND CONDITIONS All business of whatsoever nature shall solely be conducted in accordance with BIFA 2005A standard trading conditions. These conditions have clauses that may limit or exclude our liability.
