1 ECA Guide to Health & Safety within Minto & Adam House Introduction. Adam House became part of the ECA campus for the academic year, though it reverts to being part of the Universities Estate which is used during the Edinburgh Festivals over the summer period, so whilst we occupy the building for part of the year, we do so in such a way that we can leave the building in a neutral condition at the start of the summer. During our use, Adam House provides studio space for Undergraduate programmes within ESALA as well as a lecture theatre. The building itself is Listed and of historical interest, and this imposes certain restrictions on how we use the buildings, and the activities we can carry out there. Minto House remains part of ECA throughout the year, and as well as teaching spaces, houses a specialist library, offices for administration and teaching staff as well as workshop, research labs and IT services. General points. As part of ECA, this guide should be read in conjunction with the general Health & Safety guides relevant to all areas of ECA (available on-line at: ) It is particularly important that no workshop type activities are carried out within Adam House which could impact on the fabric of the building. Full workshop facilities are available within Minto House, just along Chambers Street (as well as several on the Lauriston campus). Within the Minto House workshops you ll find full workshop facilities for wood, metal and moulding / casting projects as well as laser printing and spray painting facilities. Signage is in place throughout Adam House to remind users that there are no facilities for casting, moulding or spray painting within the building. Anyone caught carrying out such activities within the building without prior agreement of technical staff will be dealt with in line with ECA s student disciplinary procedures. Assembly of models (card/timber etc) is of course allowed in studios, but particular care must be taken not to impact on the floors / walls with paint. Care must also be taken when using scalpels / craft knives and hot glue guns, to address the risks of fire, cuts (our biggest cause of injuries in ECA) and damage to desks, so make sure you use a cutting mat. 2 In line with the rest of ECA, the access hours within Minto and Adam House are from 07:00 23:00 Monday to Friday, and from 10:00 23:00 Sat & Sun. At certain times of the year these hours may be extended for those preparing for degree critical assessments. Such extended arrangements will be notified in advance. Failure to abide by the building opening hours by individuals or groups may result in reduced access hours for everyone. Anyone working in the buildings beyond 18:00 hrs Mon Fri or anything at the weekends MUST be signed in at the books at the entrances. This is vital as a live record of building occupancy levels in the event of an emergency. The signing in book is located at the main door. YOU MUST GO AND SIGN IN AT 18:00 EVEN IF YOU CAME IN EARLIER IN THE DAY. If you are working alone in an area you should contact University security to let them know, and ring them again when you leave. The number is displayed at the entrance to the buildings. Anyone working in the building in the evening or at the weekend is limited to carrying out low risk activities only this means desk based study / computer use, and does not include work at height, workshop like activities etc. Full details are available on the ECA H&S webpage. The only access door to Adam House is the main door on Chambers Street. The emergency exits are marked (one either side of the main door and one to the rear of the building) but should only be used in an emergency. Minto Main door is to the East of the building, but later access is via the ramped West entrance to the Maltings. This is where the signing in-out book is located. If you happen to get locked in a building, phone security and they will come and open the door DO NOT just open an emergency exit and leave as these cannot be secured from outside. Fire safety arrangements. alarm tests / drills / exit routes / PEEPs / Fire doors ures%20% %29.pdf#overlay-context=healthandsafety Unlike other areas of ECA, staff presence is limited within Adam House, so for much of the week there will be no staff members on site to act as Fire stewards. A servitor will be on shift during building opening hours, but will divide their time between Adam House and Minto House. This Servitor will serve as Fire Marshal to whom Fire stewards should report, and who will liaise with the emergency services. The weekly fire alarm test will be carried out on Friday mornings by Malcolm Cruikshank, Workshop Senior Technician. Minto House is tested at 09:05, and Adam House at 09:20. The statutory annual fire drill will be carried out by the University Fire safety unit in line with UoE procedures. Weekly monitoring of fire safety compliance will be carried out by ECA s Health & Safety Officer.

3 In the absence of full time staff based in the building, Adam House fire Stewarding will be provided by suitably trained students. It is anticipated this will be entrusted to 3 rd / 4 th year students who will be based in the upper studios. They will be instructed that in the event of the alarm sounding they will leave the building, but on their way down from their studios they will sweep the other studios to check that they have all been cleared. On having completed this process, one will take the signing in book and inform the emergency services of the evacuation status of the building. On evacuating the building, the muster point is at the front of the building on Chambers Street, away from the front of Adam House. DO NOT CONGREGATE AT THE FRONT DOOR AS THIS WILL IMPEDE THE EXIT OF OTHERS. DO NOT CONGREGATE ON THE ROAD. If exiting by the rear stairs, make your way to the front of the building and report to the Fire stewards. Any students who may have difficulty in evacuating should make themselves known to the ECA H&S Officer via ESALA office so that a Personal Emergency Evacuation Plan (PEEP) can be put in place in advance. 0Guide%20to%20Access.pdf Displaying work in studios and atrium areas. e%20preparation%20of%20the%20display%20of%20works_0.pdf As ESALA only occupy Adam House for part of the year we must ensure that the fabric of the building is not compromised by the preparation and display of the work during our occupation. Any work (in either building) should only be affixed to walls in areas where appropriate boards are in place (those in studios or available for weekly crits) or the mobile display boards. Where work is displayed in the atrium areas it should be of non-flamable materials (the atriums are fire exit routes) and must not impede exit routes through their size / stability. ECA H&S Officer has the authority to move / remove any work which is in contravention of this. In short, limit the display of work to the studio areas. If there is a specific project need to display outwith these areas, please discuss your plans with ECA H&S Officer in advance. Use of atriums for break out activities Where atriums are used for group discussions, crits etc these activities should not impinge of the safe exit routes in an emergency, so work and any seating should be concentrated away from exit routes. Where seating is provided it should be grouped together so it doesn t become obstructive. It should be removed at the end of the activity.

4 Food / drink in studios Ideally there should be NO food or drink in studios (if only to avoid damage to work from spills). The preparation of food is specifically banned in studios throughout ECA, and as such there should be no toasters / grills / Microwaves etc as these present both a fire risk, and create smells which can cause discomfort to others. Basic facilities are provided within the tea points in various studios in Adam House and studio 3 in Minto, and these must be maintained in a fit and hygienic condition. If not, they may be locked off. It is not the cleaner s jobs to clean up after your mess in such areas or do your washing up. If these areas and the studios are not treated with suitable respect, the provision of these facilities may be reviewed. Work at Height studios / Atriums installing Suspended works For general guidance on working at height, please see the specific ECA guide, but within Minto and Adam House there should be no need for high ladders as the display boards should be capable of being reached from the low level steps provided. On no account should you balance on wheeled office chairs to pin up work. No work or other items should be suspended from the chandelier, and NO work at height should be carried out adjacent to the balustrades around the feature voids in the atrium areas when in these areas, your feet must remain on the floor! If for any reason you need a step ladder to install work, speak to the technicians in the workshop and follow the Belly button guide (attached to the ladders) Use of lecture theatre The lecture theatre in Adam House has recently been re-fitted and should be treated with the same care and respect as all other areas of the building. When attending lectures or other events in this area, please keep isles and exits clear Smoking No smoking is allowed anywhere within UoE / ECA premises. Personal security. One of the significant risks of late working is that of personal security both for yourself and others in the building. You must not allow ANYONE into the building who does not have right of access. If you have any concerns regarding security whilst in the building, or when arriving or leaving, call security on IMMEDIATELY, tell them who you are, where you are, and what your concerns are and someone will attend ASAP. Do not put yourself at risk if you don t feel comfortable, leave the building, then phone.

5 Don t allow people to tail gate through doors, even if you recognise them their card may have been de-activated for out of hours use. Permissible activities in the evenings / at weekends. 6%20weekend%20activities.pdf Activities undertaken should be low risk only so studio work such as CAD, writing, drawing & light modelling only. Access is NOT provided to allow somewhere to socialise, eat, drink or party etc. There are plenty other facilities across the city for that. Any such activities by any individuals may result in reductions in studio access for all. Visitors. You should not invite others into the studios out with the core hours of the normal hours of the working day (07:30 18:00 Mon-Fri ) and they should be accompanied at all times
