The following is a step by step comprehensive guide to organizing an essay contest. 3 The Spelling Bee ac.vity is designed to support Phi Beta Sigma Fraternity, Incorporated Interna.onal Educa.on Council s Ini.a.ves
4 Planning The planning for a spelling bee should be thorough. It should include the pre- event and post- event prepara.ons. The pre- event prepara.ons include gecng sponsors, and adver.sing the event to the community through various means such as fliers, newspapers, radio, school or community bulle.n.
5 Planning The age requirement of the par.cipants The mechanics of the registra.on and registra.on fee (if there should be) Study materials if you plan to provide one Official word list for the par.cipants Official word list copy with pronuncia.on guides, and sample usage in sentences Sea.ng arrangements Name tags (op.onal) Official rules and rules of appeal Panel of Judges. Local celebri.es are good choices. Pronouncers and emcees Prizes for the winners as well as cer.ficates Sound system Chairs Whether the contest is wriqen or oral or a combina.on
6 Funding Decide how the Chapter will underwrite basic expenses for promoting and staging the spelling bee. Ask community members and businesses to become event co-sponsors by contributing cash or in-kind donations to cover basics like prizes, venue, chair rental and printing.
7 Implementation The Chapter should conceive a game plan that lists the goals and objectives your spelling bee expects to meet. Figure out how much room you'll need to hold the event---ideally, a theater setting that physically elevates participants so they're easily followed during the bee.
8 Implementa.on Recruit a commiqee of volunteers to help you set up, prepare for and run the bee. Ask volunteers to choose their preferred support role from such categories as "set up and tear down," "word selec.on," "judge" and tasks associated with running the bee as a fundraiser, if appropriate. Determine the types of prizes you'll present- - trophies, cer.ficates or medals- - and shop around for the best pricing.
9 Implementa.on Publicize your spelling bee. Post flyers and no.ces in appropriate places. Provide all of the details necessary to recruit par.cipants: date,.me, venue, qualifica.on parameters) and contact informa.on in the form of a phone number or address. Add a deadline date for registra.on.
10 Set the stage for your spelling bee. Rent chairs for participants and spectators if none are available at the location you've chosen. Construct your own or seek a donation of printed signs with bold numbers and cord attachments so each participant can be identified and tracked throughout the bee by the number he's assigned. Design a spelling-bee program and have it printed. Include mention of generous donors as well as listing all of the participants in the bee so there's a souvenir of the event.
11 Host the spelling bee. Award prizes to as many winners as you like and thank everyone for helping and/or participating. Follow up the bee with a press release so local media have an opportunity to interview and write about the winners and the folks who were generous enough with their time and money to make your bee a resounding success.
