1 Q360 Technical Staff Mobile Application The objective of this document is to outline the steps to manage tasks in the Q360 mobile application for a new customer installation. 3 NAVIGATING THE MOBILE APPLICATION The mobile application will give you access to active projects that have been assigned to you. From the mobile application, you can manage your project tasks, time bill against the project sub tasks, view documentation pertaining to the project and run reports. LOGGING INTO THE MOBILE APPLICATION Contact your Administrator to obtain your user ID and password. Go to the website You may want to create a shortcut on your main screen for easy accessibility At the login screen, enter your user ID and password Touch Submit
4 Once you have logged into the web portal, you are brought to the Dashboard view which displays a calendar view of your assigned sub tasks Under the File menu, you have access to the following: Home My Tasks view Add Admin time allows you to add a time bill entry for time not pertaining to a project Documents
5 Under Projects you have access to the following Projects list Tasks list Events list Under Technician you have access to various menu items Dashboard gives you a calendar view of your tasks Calls Active, Closed or New Customers Sites Products Contacts Calls Search - Call History Search - Knowledge base
6 Under Reports you have access to various reports that you can run The My Time Billing Portal will give you a report of all the time bill entries you have created for a specified time frame This report can be sent to payroll as your timesheet Under your name, you have access to the following: Change Password Sign out
7 To navigate out of the screen you are in, on the left touch the drop down list on the back arrow and select the screen you would like to view from the list CHANGING YOUR PASSWORD To change your password, touch the menu icon in the top right corner Touch your name to show the drop down list of selections
8 Touch Change Password Enter your current password Enter your new password Re-enter your new password Touch Submit Your password is now changed and you are returned to the main screen
9 LOGGING OUT To log out, touch the menu icon in the top right corner Touch your name to show the drop down list of selections Touch Sign out You will now be signed out of Q360 and returned to the login screen
10 REFRESHING DATA ON A SCREEN To refresh data in the web portal, touch the Refresh icon This will refresh the data in your view SWITCHING YOUR DATA VIEW Data is displayed in detail view by default Detail view displays the main information about the record on your screen like a form List view displays the records in a list To switch from the detail view to the list view, touch this icon The icon then changes to this Touch the icon to switch from list view to detail view
11 FILTERING INFORMATION IN Q360 To filter data in the web portal, touch the Filter icon The filter selection drop down will appear Select the column you want to filter The columns will change depending on what screen you are on
12 Select or enter the filter criteria Once you have entered your criteria, touch Apply Touch the red X to clear the filter content screen
13 You will now see only the data that matched your criteria selection If the screen does not change, then your data did not match the criteria you selected To clear an existing filter, touch the filter icon Touch Clear
14 VIEWING A PROJECT To view a project, touch the menu icon in the top right corner Touch Projects Touch Projects from the drop down list The data will be displayed in detail view, but you can change to list view if you wish Touch the project number of the project you wish to view to open the project
15 You are now viewing the project Details tab which lists the following information: Project Title Company Name Project Leader Project Number Start & End Dates You also have access to the following tabs: Team/Events Tasks Documents On the Team/Events tab you can view the team members assigned to your project You can also view any Events that were created An event is a comment or note that is created on the task or sub task
16 The Tasks view will list all tasks and sub tasks created on the project Swipe your screen to the left and right to view more columns or turn your phone sideways to see more data at once Completed tasks/sub tasks are removed from view once they are marked Completed To view all tasks, including Completed tasks in the list, tap the Show inactive box to check it The Documents view will list all documents attached to the project Tap the view icon next to a file to download it to the phone for you to VIEWING THE DASHBOARD
17 To view the Dashboard, touch the menu icon in the top right corner Touch Technician Touch Dashboard from the drop down list This displays a calendar view of your task assignments You can change the view and look at the data for today, by week, by month or by year by touching the applicable orange box ADDING EVENTS TO A TASK OR SUB TASK Events are created at the task or sub task level. Events are used to keep track of issues or actions on a project such as an sent to a customer. They can also be used to track project notes. Events are visible on the task or sub task that it belongs to. All project events are visible in the Team/Events tab on the project.
18 To add an event, open the task or sub task that pertains to the event by tapping on the task name Touch the Events tab Click the sign on the right to add an event
19 A new event is created Complete the fields: Select the date Select the Contact No. Select the Type Enter a comment Click Save Your new event is now visible on the Events tab of the task
20 It is also visible on the Team/Events tab on the project BILLING TIME AGAINST A TASK OR SUB TASK In order to analyze profitability and labour, you must bill your project time on the project itself as a time bill entry. You create time bill entries on your assigned sub tasks. These time bill entries are visible on the project. You can review time bill entries by running the My Time Billing Portal report. When you are ready to begin the task, go to your Tasks list and touch the Start link for that task
21 Adjust the start date and time if required Touch Save Exit out of the task Your time billing entry has been started and you can begin working on the task The active time bill entry will show in yellow When you are done the task, either for the day or permanently, touch the Stop link
22 When asked if you are sure you want to stop billing, touch OK The system will send your stop request and stop the billing for that entry If you need to work on the task later or the next day, just touch the Start link on the task in your My Tasks list to create a new time bill entry against the task and stop it when finished ***Note: Time spent in project meetings should be billed against the Project Meetings sub task. Time spent travelling for the project should be billed against the Project Travel sub task. All other work on the project should be billed against the applicable assigned sub task.
23 BILLING TIME FOR A NON-PROJECT RELATED TASK There is a place to put your time bill entries for every type of activity and they all appear in your My Tasks list. Time spent working on a project task goes against the project task. Time spent working on a call goes against the call. Time spent taking training is billed against the Unity Staff Training task. All other activities such as administrative time, on call time, etc are billed against the Unity Admin task. Your travel time should be booked against the applicable activity. For example, if you have travel time for the call you were assigned, you would apply that time against the call. If you have travel associated to the training you took, you would apply that time against the Unity Staff Training task. When you are ready to create the non-project task, tap the Menu icon in the top right corner
24 Touch File Touch My Tasks Touch the Start link on the applicable task or call
25 A new time bill entry is created Adjust the Start Date and Start Time if required If this task has already been completed, adjust the End Date and End Time; otherwise skip this field Change the Category to reflect either Remote or Onsite Change the Sub Category to REG Click Save When you are finished the task, go to your My Tasks List and touch the Stop link
26 Click OK to confirm that you wish to stop billing VIEWING TIME BILLING ON A PROJECT To view your time bill entries, run the My Time Billing Portal report
27 VIEWING REPORTS To run a report, touch the menu icon in the top right corner Touch Reports Touch the report you wish to run from the drop down list Each report will have different criteria to select Once you have selected your criteria, touch Run Report
28 The report is generated and displayed on your phone You can export your report and it will be downloaded as a file to your phone where you can then it if required
