2 Introduction What is WinZip 8.0? WinZip is a program that creates an archive file from many files. It is much easier to copy and move a single file from folder to folder instead of doing so with many individual files. An archive file compresses several files. The size of an archive file is smaller than the sum of the individual file sizes. WinZip is also used to open or unzip an archive file into its component files. On PCs, zipped files usually have the file extension.zip. WinZip Terms Archive: a file that contains other files. These file are typically compressed. Archives usually have file names ending with ZIP, LZH, ARJ, or ARC, depending on how they were created. Archives make it easier to group files for transport and copy purposes. Zip File: the most common archive format. Compressing / Zipping / Packing / Adding: compressing the file(s) and adding them to the archive. Decompressing / Unzipping / Unpacking / Extracting: decompressing the files from the archive, and saving them on a selected destination. The "Favorite Zip Folders": a feature of WinZip that organizes Zip files into one convenient list that is sorted by date, making it easier to locate all Zip files, regardless of where they came from or where they are stored. Download WinZip You can download WinZip for free from the AUB FTP site when you are on AUB campus. The address of AUB FTP site is When you are outside AUB campus, you can download WinZip from the company website Steps to download WinZip on AUB campus 1. Go to the AUB Homepage, and add pub to the URL. The address becomes: now press ENTER on the keyboard. 2. In the Search box type WinZip and click on the Search button. 3. Scroll down through the results and click the link WinZip 8.0 program. 4. A dialog box appears asking you if you want to Open the file or Save it on your computer. 3 Install WinZip Once you have downloaded and saved WinZip application you can start the installation procedure. On the computer desktop, click on winzip80 to start the installation. The installation begins, the WinZip 8.0 Setup dialog box appears on your screen. Click the Setup button The WinZip Setup dialog box appears. It asks you to specify the installation path to store the WinZip files. Keep the suggested path and click OK button. The next WinZip Setup dialog box is primarily for advertising and help. Click Next to continue the installation. Now, the License Agreement box appears. Click Yes to accept the agreement, or No to end the installation process. If you clicked Yes, the next WinZip Setup dialog box allows you to Print or View Quick Start guides. It is recommended that you print the Quick Start guide for future reference. Click Next. 4 The WinZip Setup dialog box asks whether you want to Start with the WinZip Wizard, or Start with WinZip Classic. If you have never used WinZip, it is recommended that you select the Start with the WinZip Wizard radio button. Click Next. In the next WinZip Setup dialog box, select Quick Search to Search for Favorite Zip Folders, and click Next. In the next WinZip Setup dialog box, WinZip reports on the number of folders added to the favorites list. This dialog box is for informational purposes only. Click Next to proceed. 5 The next WinZip Setup dialog box informs you that the setup is complete. Click Close to exit. Create Zipped Archives with Many Files What is a Zipped File? Many programs that you download from the Internet are in the Zip format. There are two reasons for using the Zip format. The first is that you can archive all the program related files in one file. A zipped file is an archive of many individual files. The second reason is that zipped files have been compressed so that the archive is smaller in size than all the individual files added together. It is much easier to work with a zipped file than with a group of individual files. Opening the Program After installing WinZip on your computer, double click on the WinZip icon found on the computer desktop. An alternative is to launch the WinZip application from the Start menu, select All Programs then WinZip. Create Zipped Files After starting the program, the Thank You For Trying WinZip dialog box opens. From this box you can click on I Agree to begin using the program, Quit to exit, or Ordering Info to get information about how to license the evaluation version. Choose I Agree. There are two ways to zip files: You can use the WinZip Wizard or the WinZip Classic version. Using the Wizard After clicking on I Agree the Welcome to the WinZip Wizard dialog box will open. You can take a look at the different features and tasks related to Zip files. From this window you can choose to change your Favorite Zip Folders. Click on Next to proceed. 6 The next dialog box asks: What do you want to do? Select the Create a new Zip file option button. Click on Next. Now, you must choose a name for the zip archive. It will be directly saved in the default folder specified above. You can browse for the file by clicking on Browse. Click Next. The WinZip Wizard - Select Files dialog box now appears. Click the Add files... button to select files on your computer's hard drive. This will add selected files to the archive. The Add Files dialog box appears allowing you to select files for the archive. Note: To select a series of files, click on the first, hold down the SHIFT key, and click on the last. To select multiple individual files, hold down the CTRL key and click on the files individually. Last Updated: Friday, March 18, of 13
7 You can add any type of file to an archive, including HTML pages, Word documents, program files, images, or multimedia. When you have finished selecting files, click OK. You are returned to the WinZip Wizard - Select Files dialog box. You can add more files, or entire folders, by clicking either the Add files... button or the Add folders... button. When you have finished adding files, click the Zip Now button. Now that you have created a zip file, choose Next to continue working with WinZip, click Close to exit the program. To see the new zip file go to the directory you selected to create the file. Using WinZip Classic Launch WinZip, click Start > All Programs > WinZip. From the WinZip dialog box click on the I Agree button. The WinZip Wizard Welcome dialog box appears. Click WinZip Classic found in the lower left corner. The classic version of WinZip program opens, and you can immediately start using it. First, you need to create an archive to put the compressed files, or you can choose to Open an existing archive to add some compressed files to it. Click on the New button from the list of buttons, or select File > New Archive. Last Updated: Friday, March 18, of 13
8 A dialog box appears asking you to Save the new archive and provide a filename. This is an important step because you need to identify the filename and its location in order to be able to access it later to uncompress or add files. After specifying the location and name of the archive, click on the OK button. The Add dialog box appears asking you to add files to the archive. Here, you can add multiple files by selecting them individually, or you can select the whole folder by typing "*.*" in the File name box. After you have made your selection, click on the Add button. In case you chose to compress the whole folder, make sure to check the Include subfolders and Save full path info options from the Folders section of the window. After clicking on Add, WinZip will start compressing the files into the destination folder. The type and size of files will affect the time needed for the compression procedure to be finished. WinZip Classic gives you a detailed report on the zipping results including the date and time of zipping, size of original file, zipping ratio, size of zipped file, and path of the file if you chose to include it in the previous dialog box. If you want to add more files, click on the Add button, or go to Actions>Add. To delete files, select them and go to Actions>Delete, or simply press the DELETE button on your keyboard. 9 Open/Unzip Zipped Files Find the Zipped file that you want to open. Zipped files are identified by their characteristic icon (see top image) or by the file ending of.zip. Double click the file's icon or the file name to begin unzipping the archive. If you are using an unregistered version of WinZip, you will see a message box announcing that you are using an unregistered version. You can click I Agree to continue, Quit to exit the program, or Ordering Info to find out how to order the licensed version. Choose I Agree. There are also two ways to unzip files: You can use the WinZip Wizard or the WinZip Classic version. Using the Wizard After clicking on I Agree, the WinZip Wizard Welcome dialog box will open. To use the Wizard click on Next. The next dialog box asks: What do you want to do? Click the Unzip or install from "(name of file).zip" radio button, and click Next. Now, you can choose where the files will be unzipped. If there are many files in the zipped archive, it is a good idea to unzip them into an empty folder. Otherwise, the unzipped files become mixed with the old files in the folder. Click the Select different folder button to select the folder. In this dialog box, you can also choose to overwrite any files with the same name by checking the Overwrite matching files automatically check box. When you are ready, click the Unzip Now button. 10 When the archive has been unzipped, the final dialog box opens, as well as a window that shows the contents of the folder to which you unzipped the files. Click Close to end the program. Using WinZip Classic Double click on the zipped file. From the WinZip window click on I Agree. From the WinZip Wizard Welcome dialog box, choose to use WinZip Classic. You will need to open an existing archive to start the unzipping process. Go to File>Open Archive or click on the Open button. Specify the location and file name of the archive from the next dialog box, and click on the Open button. WinZip displays a list of all the zipped files in the archive, and now you can choose to unzip multiple files by selecting them individually or the whole archive if you don t specify any files (WinZip unzips all the files by default). After making your selection, click on the Extract button, or go to Actions>Extract. A prompt box appears asking you for the destination folder where you want to unzip the files. Choose the path. You can also create a new folder by clicking on the New Folder button at the bottom-right corner of the window. After making your selection, click on the Extract button. The files are then extracted into the destination folder, and are ready to be used. Last Updated: Friday, March 18, of 13
11 Make Self-Extracting Files Using WinZip 8.0, you can create Zip files that can automatically unzip themselves when you double-click on them. These files can be unzipped on a computer that doesn't have an unzipping utility installed on it. The resulting file is an executable one (it has the.exe extension). In order to create a self-extracting file, you need to have already created an archive from which you will choose that file. The classic version of WinZip must be used here: Start the WinZip Classic version of WinZip. Go to File>Open Archive, and choose an existing archive. WinZip displays a list of the files existing inside the archive. Without selecting an individual files, go to Actions>Make.EXE File. Note: You can create an executable file from the whole archive, not from individual files. A prompt box appears asking you to select the source archive filename. By default, this is the archive that you have just opened. The Default Unzip To folder lets you specify, if you want, the folder to which the.exe archive files will be unzipped. Once you are done, click on OK. Notes: The destination filename is the same as the name of the archive. The only difference between the two files is their extensions (one is.zip and the other is.exe) If not otherwise specified, the default folder (where the.exe archive will be created, and its files unzipped) will be the same folder where the source.zip archive is found. Then WinZip asks you if you want to test the file, click Yes/No: o Yes: proceeds with testing if the.exe file runs correctly, and actually runs it to unzip the files inside it. o No: skip the testing and keep the.exe file without running it. 12 Spanning Support Removable disks such as diskettes have very limited storage capacity. Sometimes, selfextracting Zip files you create will not fit onto a single diskette. In this case, you can ask WinZip Self-Extractor to save one Zip file across multiple diskettes. This process of creating a Zip file that occupies multiple disks is called spanning. When you span Zip files across multiple disks using WinZip Self-Extractor, no special software is required during extraction. Your users are simply prompted to insert any additional disks in the multiple-volume set at the appropriate time during extraction. The following choices determine whether you want to make use of the spanning feature to create a single Self-Extractor on more than one removable disk, and which method to use. No Spanning: WinZip will not create a.exe that spans removable disks. Safe spanning method: Selecting the Safe method causes WinZip Self-Extractor to put two files onto the first disk: a Zip file with the first portion of your compressed data, and a small.exe file with the executable code that is required to extract your data. The second and subsequent disks contain Zip files with the remaining portions of your compressed data. The Safe method is the default, and recommended, method. Old spanning method: In contrast, the Old spanning method puts a.exe file on the first disk that contains both the executable code used to extract the compressed data and the first portion of that data. The second and subsequent disks contain the remaining portions of your compressed data in files that (even though they don't actually contain any executable code) have an extension of exe. This is potentially dangerous because, if a user inadvertently tries to run the exe file on the second or succeeding disks, random error messages, and even system hangs, can occur. Note: The WinZip Self-Extractor cannot make use of unformatted disks. All of the disks that you use with WinZip Self Extractor must already be formatted. Final Notes You can easily view any of the files stored in an archive by double-clicking on the file in the main WinZip window. WinZip will open the file with the associated application. For example, a Word (.doc) file may be displayed in Word, and a text (.txt) file in Notepad. When you double-click on a program file (.exe), it will run. Or, you can view a file with the built-in viewer or a viewer of your choice by selecting View from the Actions pull-down menu. The WinZip Wizard is an easy-to-use tool that can enable you to compress files by going through a step-by-step wizard that guides you throughout the process. It is best to use the Wizard if you have no previous experience with WinZip. However, the WinZip Classic version is intended for more advanced users, and Last Updated: Friday, March 18, of 13
13 gives them more control over the process of compressing files in terms of the method of compression, the quality of the compressed files, etc. It's very easy to switch between WinZip interfaces: If you are using the Wizard, you can click on the WinZip Classic button at the bottom-left corner of the window to start using the WinZip Classic version.
