1 CITS Computing & Information Technology Services Converting PowerPoint to HTML This guide is designed to assist designers and instructors in converting PowerPoint presentations to HTML for use in the mycourses learning management system. 2 Using PowerPoint presentations in mycourses Here are your options for posting PPT files to mycourses: 1. Upload your PPT files directly to your course as a native.ppt file. We would additionally recommend providing a link to the free Microsoft PowerPoint viewer to your students. 2. Convert to HTML The ID team recommends converting your PowerPoint presentations to HTML for easy viewing prior to uploading them into your mycourses site, however there are some advantage and disadvantages to consider. The advantages of converting your PPT files to HTML are: students do not need the PowerPoint player/powerpoint software in order to view the presentation the presentation opens within the course site window frame no file download waiting time from the web The disadvantages to converting to HTML are: students are not able to download the presentation to their computer students cannot easily print out presentations 3. Convert your PowerPoint presentation to a PDF file. Attention MAC Users: PowerPoint presentations converted to HTML on a MAC will not view properly from the student view. Here is a link to a repair utility that will allow PPTs to view correctly from within mycourses on a MAC: Another work around would be to convert to html and upload to mycourses from a Windows enabled computer, convert your PPT to a PDF(Portable Document File), upload as a native.ppt file, or convert to Flash using a third party software via the faculty station in Dion 109. Converting to HTML 1. Open your saved presentation in the Microsoft PowerPoint Program. 2. Under the menu File, select Save as a web page or alternatively Save As and then select file type as Web page. 3. Enter a filename. (Be sure to name your HTML presentation with no spaces or special characters in the filename.) Enter a title. This will also be the link title that will appear in your course site. 4. Click the Publish button. 5. The Publish as Web Page screen appears. Select to have the entire presentation converted or a specific set of slides. Leave the Browser support to Microsoft IE 4 or later. 6. Click "Publish". PowerPoint will save your presentation as a single HTML file and create a folder with corresponding graphics and files. Example: sample_powerpoint.html sample_powerpoint_files Important: You will need to upload both the html file and associated folder into your file manager. Page 2 of 11

3 Drag and Drop (files and folders) Using Web Folder Function (easiest method for uploading Converted PPT files and folders) *You must be using Internet Explorer in order to use the web folder feature in the mycourses file manager. When you open as a web folder, you are creating a direct connection to your file manager that allows you to drag and drop folders from your computer directly into your course file manager. This is a quick and convenient way to upload multiple files and folders into your course site. 1. From the Build tab, click on the File Manager. 2. Select the action link icon next to File Manager and select Open as Web Folder. 3. You are then prompted to login, enter your mycourses username and password and click OK. 4. A web folder is created and your file manager and files are now visible. 5. You can now drag and drop files to the course file manager.. Page 3 of 11

4 1. Open the folder where your PowerPoint files reside on your computer or external disk. 2. Select the html file, then while holding down the Control (Ctrl) key, select the folder with the corresponding filename. Select both the html file and the folder. 3. Drag both the html file and the folder to the open file manager window. File Manager Page 4 of 11

5 Add the Presentation to Your Course 1. From the Build tab, select where to add your presentation. Files can be added to the homepage, folder or learning module. 2. Click Add Files and then select Browse for Files. The Get Files screen appears. 3. From the Class Files area, click on the title of the PPT presentation folder. 4. Select the checkbox next to the html file and click OK. The converted PPT will now be added to your course. Page 5 of 11

6 The following instructions are for users who are running Windows XP or those who are using the WinZip utility. Zipping your Files Using Windows XP Compressed Files Tool 4. Open the folder where your PowerPoint files reside on your computer or external disk. 5. Select the html file, then while holding down the Control (Ctrl) key, select the folder with the corresponding filename and then right click on your mouse. Select both the html file and the folder and then right-click your mouse. 6. Select "Send To" and then "Compressed (zipped) Folder". Page 6 of 11

7 7. Click "Yes" when the compressed zip folders window appears. 8. A zipped file appears in the same folder as your ppt presentation. Uploading Your Converted PPT to Your Course Site 1. From Build tab within your Vista course, select File Manager. 2. Click Get Files. 3. Select "My Computer", locate the zipped file on your computer and then click Open". 4. The zipped file with your converted presentation is uploaded to the file manager. 5. Select the Action Links icon next to the zip file. Select "Extract." 6. The presentation htm file and corresponding folder will extract into a folder in the file manager. Page 7 of 11

8 The folder that contains your presentation should look similar to the screen below. A folder with files and an html file of the same name should be visible. Add the Presentation to Your Course 1. From the Build tab, select where to add your presentation. Files can be added to the homepage, folder or learning module. 2. Click Add Files and then select Browse for Files. The Get Files screen appears. 3. From the Class Files area, click on the title of the PPT presentation folder. 4. Select the checkbox next to the html file and click OK. 9 The following instructions are for users who using the WinZip utility. Zipping Your Files Using WinZip You will need to use a program such as WinZip (Windows) or Stuff-It (Mac) to zip all your files into one file that can be uploaded into your file manager. If you do not have WinZip installed, you can download a trial version of WinZip at 1. Open the folder where your PowerPoint files reside on your computer or external disk. 2. Select the html file, then while holding down the Control (Ctrl) key, select the folder with the corresponding filename. 3. Drag and drop your presentation files into the WinZip window. 4. Enter a filename for the zip file. 5. Then click "Add". Page 9 of 11

10 6. Your WinZip screen will now look something like the screen below. Be sure to remember where you saved the zip file. 7. Close WinZip. Uploading Your Converted PPT to Your Course Site 7. From Build tab within your Vista course, select File Manager. 8. Click Get Files. 9. Select "My Computer", locate the zipped file on your computer and then click Open". 10. The zipped file with your converted presentation is uploaded to the file manager. 11. Select the Action Links icon next to the zip file. Select "Extract." 12. The presentation htm file and corresponding folder will extract into a folder in the file manager. The folder that contains your presentation should look similar to the screen to the right.
