2 Request for Information Future-Ready Collaborative Furniture Page 2 of 5 Purpose: Northside Independent School District ( NISD, Northside, Owner, and District ) is submitting this Request for Information ( RFI ) to gather knowledge and information on the various types of Future-Ready collaborative style furniture that can be provided in a library environment. Furniture must include but is not limited to: Seating and mobile tables for at least 120 students in a variety of collaborative and individual settings Shelving along the perimeter of the area; shelving on casters for open areas: total shelving for 17,000 titles Bistro furniture Flexible, modern furniture, some with charging capability Mobile circulation desk (secondary to the permanent/fixed circulation desk) Library study rooms, conference room, classrooms, workroom, and office Future-Ready Collaborative Library Furniture for Northside ISD: Northside is an accredited K-12 school system serving the northwest quadrant of San Antonio, Texas. Enrollment for the school year exceeds 104,000 making NISD the 4 th largest school District in Texas and the largest of 15 school Districts in Bexar County. Current facilities include 76 elementary schools, 20 middle schools, 10 high schools, 5 magnet high schools/programs, 7 special schools and 20 support sites and transportation centers. Objective: Through this Request for Information (RFI), the District intends to obtain information on the variety of Future-Ready Collaborative library furniture that is available from qualified vendors. Additionally, the District may choose a vendor that has the experience in Future-Ready collaborative libraries to assist the District in the layout, design and recommendation of the furniture to be used throughout the District. Respondents to the RFI must have experience in Future-Ready Collaborative library furniture for comparable size projects. Interested parties should contact the NISD purchasing office to acquire AutoCAD drawings of District project in order to complete the Vision Layout section of this RFI. Finalists shall participate in a one (1) hour meeting consisting of a 40 minute Power Point presentation and a 20 minute Q & A session with the future-ready collaborative library furniture review committee. In this presentation, the committee would like to see layouts of future-ready collaborative furniture in a library setting. Anticipated Project Deliverable: At the end of this RFI process, the District may select a vendor(s) to provide Future-Ready Collaborative Library Furniture for Harlan High School.

You must include Cooperative name, contract # and expiration date with your response. The Northside ISD is a member of the following Purchasing Cooperatives: 2013 Purchasing Cooperative (Region XX ESC) The local Government Purchasing Cooperative (TASB Buy Board) Harris County Department of Education (HCDE) The Interlocal Purchasing System Texas (Region VIII ESC) National Intergovernmental Purchasing Alliance (NIPA) Purchasing Association of Cooperative Entities (PACE) State of Texas Department of Information Resources (DIR) Texas Comptroller of Public Accounts (TXMAS) Texas Cooperative Purchasing Network (TCPN) Format of Submittals: Vendors shall submit 1 original and 10 copies of the RFI. In addition to the paper copies, please provide responses in an electronic version (i.e. CD or USB drive) and include the electronic version with the original RFI response. The original proposal must be labeled ORIGINAL and MUST contain original signatures. The copies of the original must be labeled COPY. Each proposal and copy must be labeled on the outside with the Proposer s name, address, the proposal number and the proposal name. 4 Request for Information Future-Ready Collaborative Furniture Page 4 of 5 Evaluation Committee and Selection Criteria: A committee of NISD staff will evaluate the submitted materials based on: Criteria Points Vision of Layout 25 Warranty 12.5 Installation 12.5 Previous Projects 15 Pricing Methodology 20 References 15 TOTAL 100 NISD staff may take any of the following actions after reviewing the submitted materials: NISD Rights: Contact respondents and request additional materials or supporting information. Contact respondents for an in-person interview. Enter into direct negotiations with a respondent. Re-advertise and/or reissue the original RFI. Determine that responses received are inadequate and/or that the services sought are no longer necessary or desired. References and past customers will be contacted. This RFI does not commit Northside to enter into a contract. It does not obligate Northside to pay for any of the costs incurred in the preparation and submission of proposals or an anticipation of a contract. Northside reserves the right to: Make selections or solicit additional responses based on its sole discretion. Reject any and all proposals and enter into direct negotiations with any, all or some providers whether or not they provided a submittal to this RFI. Remedy technical errors in the RFI process. Enter into an agreement with any provider or negotiate with more than one provider for the provision of any, all, or some of the listed services. SCHEDULE: The following schedule and timelines apply to this RFI, and is subject to change at the discretion of the District. Questions concerning the RFI will be answered only if sent to the NISD Purchasing Department, in writing via to pauline.frisch@nisd.net, on or before June 23, 2016 at 2:00 PM CST. All questions submitted in writing to the Bid Specialist prior to the deadline will be answered in the form of addenda.
