Organizations use ActiveView Content Management to streamline their processes and share information stored in the enterprise content management database with their employees, business partners and clients. ActiveView Content Management stores and delivers consumer information, reports (such as general ledger, loan, deposit, ATM), statements (such as checking, savings, loan, trust), items (such as check images, deposit tickets, loan payment coupons), and documents (such as signature cards, loan, deposit, human resource) for viewing in PDF format using free Adobe Reader. ActiveView Content Management uses services to constantly watch for and process new content so that human interaction is not required to make content available to your users. Content is classified into a hierarchical categorization structure based on the content type and configured rules. ActiveView Content Management is a browser-based enterprise content management system. It runs on a Microsoft Windows server platform to deliver items, reports, statements and other documents via a single user interface and integrates with multiple D+H software systems. It provides users the ability to personalize their view into the archive by creating specialized searches to quickly find the information they need. User access is granted only for the resources that the user is authorized to access. From the backroom to the boardroom, ActiveView Content Management has redefined enterprise content management expanding access and accountability. ActiveView Content Management comes with a standard implementation for financial institutions, but the system can be tailored specifically to meet your financial institution s needs. 3 Choices We realize enterprise content management is not a one-size-fits-all solution. That is why ActiveView Content Management enables you to tailor a solution using a full suite of modules, including: Items Item Exchange Documents Reports Statements Statement Delivery Integration Items Items for ActiveView Content Management is used to research items stored from virtually any capture source. Whether you outsource item processing or run your own operation, Items offers flexibility and speed. Search results can be saved giving users the ability to personalize their view into the archive. By creating private searches, you view only the information that is important to you. Complete teller transactions are reconstructed from single item matches. And personal viewing preferences for image size lets users view images the way they want to. Users can activate a View Signatures window that will display a consumer s signature card right next to the check image for electronic viewing and signature verification. Item data can be exported directly from the results grid to either a printer or Microsoft Excel. Because Items delivers images for viewing in PDF format, your customers images can be delivered to them for viewing using free Adobe Reader. As a result, Items is an efficient, cost-effective tool for responding to requests from customers or internal personnel for information related to transactions. Item Exchange Item Exchange for ActiveView Content Management allows your institution to exchange images electronically with the Federal Reserve or other correspondents. It works with the Federal Reserve s various image exchange services, including FedReceipt, FedForward, FedReturn and FedReceipt Plus for Returns. Fast and efficient, Item Exchange allows operators to review totals before generating the image cash letters for a given day. The system will then automatically archive cash letter reports in the Reports module, providing an instant electronic record of cash letters that have been created each day. Through simple configuration options, Item Exchange can create separate cash letters for local correspondents so that images from other local financial institutions do not have to go through the Federal Reserve first, increasing the availability of images between you and your correspondents. For large businesses that handle
4 their returns centrally, Item Exchange can be configured to create a cash letter of that business s images that will route them back to the central office for returns processing, rather than those images being routed back to your financial institution. Item Exchange for ActiveView Content Management is an easy-to-use, flexible, efficient solution for all your Item Exchange needs. Documents Documents for ActiveView Content Management allows you to store, retrieve, view, print, and have instant access to all of your critical business documents. technology allows users to search for specific text inside of a report quickly and easily. Automatic formatting allows reports to be viewed with an ideal font size and orientation that allows as much data as possible to fit on a page while minimizing the amount of empty space around the borders. Through Smart Reports, a user can view a report and then view images related to the transaction information in that report. Users can quickly and easily retrieve the related items relevant to a customer s concerns. The results can then be sent to Adobe Reader, Excel or printed for more conventional delivery. Documents offers several methods of retrieval, including customer name, account number, tax identification number, document type, and other userdefined indexes. The private searches feature allows highly specific, frequently used searches to be saved by any user for future use. The automatic crossreferencing feature enables users to select an open document and automatically retrieve related content. The scanning software allows you to scan multiple pages at one time. Depending on the type of scanner you have, you can load a stack of paper documents into an auto document feeder for rapid processing. Reports Reports for ActiveView Content Management allows you to replace traditional COLD client server systems with a robust report archive. Reports is a powerful tool for managing, storing and retrieving your important reports from any source, including your host system, ATM vendor, item processing system and many others. Reports can retrieve and view reports related to department, officer, location or any other designation that meets the needs of users. Users can define their own views of reports, streamlining the tasks before them. Reports uses unique technology that allows the system to categorize your reports automatically. Full text indexing Statements Statements for ActiveView Content Management allows you to archive various types of statements from your host system, as well as third-party applications that generate statements. Whether you outsource statements or render them in your own back office, Statements is for you. Statements is for more than just checking and savings statements. It includes account analysis statements, trust statements, loan statements overdraft notices and more. If there are images Lending Payments Core Channel Optimization
5 associated with the statement(s) you are searching for, the appropriate images will be automatically attached to them for viewing and printing. Statement Delivery Using statement files provided by your host system or other third-party statement-producing vendor, Statement Delivery for ActiveView Content Management automatically matches images in the archive with the appropriate statements. Images for secondary accounts on a combined statement can also be linked to the appropriate statements. Statement Delivery then renders those images on pages immediately following the statement. This delivery can be in the form of conventional paper or electronic statements that may be stored on CD ROMs or made available to customers online over the Internet. Its online capabilities make Statement Delivery a good complement to any branch network or Internet banking system. The flexibility of Statement Delivery rendering options distinguishes it from competing products. Of course, you get the options you would expect like account level preferences for image size and delivery options, but, Statement Delivery also allows for the customization of the standard text statements allowing formatting changes such as bolding, underlining and shaded boxes. vendor access to your content is completely controlled by the security configuration at your institution allowing you to specify which content can be retrieved via Integration. For types of content a vendor does not have access to, the system will simply return no results in response to an Integration request. Whether your needs are simple or more complex, Integration is a module that will allow other vendors simple, flexible and fast access to the content you choose. Support for Customer Searching Customer searching is available to help you take advantage of your ActiveView Content Management system in order to find customer information faster. It automates the linking of the content you store in ActiveView Content Management to your customer contact information. Following up with customers and staying on top of their information needs can make the difference between success and failure. Customer searching can help you better manage your customers content in one familiar place. Traditional CRM applications have been designed to manage the sales process for new prospects and opportunities, not for current customers the most important source of revenue for most institutions. Customer searching enables you to quickly and easily display and deliver your customers information, whether items, statements or documents. Integration Integration for ActiveView Content Management allows other vendors to connect to your archive in order to retrieve content. For basic image and statement retrieval only, vendors can access URLs on your ActiveView Content Management server and send simple parameters within the request, such as date, account number and dollar amount in order to retrieve the relevant statement or image. For more robust Integration needs, an API is available using Web services that allow for complex searching, the retrieval of any type of content stored in the archive (including reports and documents), and customized delivery options such as specifying the number of images per page as part of a statement request. Third-party Paperless New Accounts and Lending Support New accounts originated from DepositPro and loans originated from LaserPro, as well as documents signed in ProSign can all be archived in ActiveView Content Management automatically. No longer will your personnel have to print deposit or loan documents, acquire the consumer s signature and then scan them back into the system. Aside from the cost savings and environmental benefits associated with a paperless account origination and lending environment, this integration also helps eliminate paper trails subject to human errors in scanning or missing document signatures.
6 Implementation Options D+H offers a standard implementation of ActiveView Content Management for institutions wishing to implement the solution more quickly; however, ActiveView Content Management can also be optionally tailored to meet your financial institution s specific, more sophisticated needs. Additionally, individual users can customize preferences and save searches that will follow users to any PC they work on.
