1 GSLC User Stories For each of the different aspects of the website, there are user stories per role. The roles go from general public to admin. All of the user stories are inherited from general public to admin. For example, as a Ministry Team Leader, I should be able to do everything that the general public can do, plus the things I can do as a church member, plus what I can do as a Ministry Team Leader. Calendar As a general public user, I would like to: See the general church calendar. See what the various ministries are doing and what they have done in the past. Send a request to use the church facilities (for example, HOA meetings and weddings). Search the website for various things. From the calendar, find a particular event and see the details of it Beginning and ending time Location If on campus, what room, link to campus map If off campus, link to a map Short description Link to more details, if needed Who created the event/who to contact with questions Who is attending the event Who is on the waiting list What is the maximum number of attendees What to bring Pay for the event RSVP (without having been invited) (being rejected if appropriate) Be reminded of the event one day before one week before one month See what is happening for a particular group or multiple groups for A day A week A month All year Print the calendar I see.

2 Send a calendar event to someone or a group of people. The recipients can simply click on it and add it to their calendars. (Would this be by , ical, or ics?) See church members birthdays (month and day only) and baptismal anniversaries Be able to sign-in for the event I see. As a team leader of a ministry, I would like to: See what rooms are available and be able to reserve and update a particular event for that date Be able to add recurring events. Be stopped from double booking. Be able to restrict the viewing of this event (public, church, ministry). Be able to set up multiple reminders for an event. For example, month of, week of, or day before. See if certain church resources are available and be able to reserve and update a reservation on a date: Rooms - see the capacity or each room in # people and dimensions Church bus A/V equipment Kitchen Sanctuary Tables and Chairs Others??? Create a private calendar just for a specific ministry All ministry members can add/edit events. For example, for choirs and who is/is not attending a specific rehearsal. These entries are not displayed on the main church or public calendars. See who has/has not paid/rsvp for an event. As an admin staff person, I would like to: Process calendar requests from church members with one button (this would be an approval of a calendar event). A moderator. Process paid event requests like HOA meetings, wedding receptions, etc. Overwrite any calendar entry made by others View all calendar entries even private ministry calendars. As a pastor, I would like to: Be able to view counseling appointments. Ministry Pages As a general public user, I would like to: View the description of the ministry

3 Know what restrictions apply to membership in ministry (for example, age or gender) See a calendar of events to know when they meet and that they are an active group Contact the ministry team leader (do not expose personal contact info except name and a generic address like heartsong@gslchurch.org) View a wish list of needed items for donation purposes, if applicable Know how to donate needed items Be able to make a monetary donation. I should not be able to see the details within a ministry page. Request to join this ministry team with a one button click (send a notice to the ministry team leader that I would like to join and will be approved based upon restrictions) Request to join the distribution list for this ministry team with a one button click (this would allow parents to be informed of happenings even without being a member of the ministry - friends of xxx ) See a short summary of events Past 3 events Next 3 events As a ministry team member, I would like to: Be able to communicate with my team members via s, texting, Facebook. Be able to have read/write access to that specific ministry s calendar View media (documents/audio/video/pictures) current and archived View outgoing s to the ministry team current and archived Be able to view and update the To-Do List and goal tracking. Sign-up for events, complete all necessary forms, and submit payment. Be able to read/write to a ministry blog or comment section Understand how and when this ministry team interacts with the worship services (for example, a choir when they sing, the youth on youth Sunday, or a team gets commissioned/blessing) See how our team is tracking financially: budget vs. actual As a ministry team lead, I would like to: Create To-Do Lists and Goals Upload media Sets limitations on the number of photos Decides which photos are public or private to the ministry team Archive media Make sent s viewable on this page Archive s Create a sign-up list for what to bring to (or do at) an event and have team members sign up for these items. (Like SignUpGenius) Automated sign-off for critical communication via . (i.e. budget input, policies & procedures, council request)

4 Be able to create a survey and send it out to subgroups of the congregation. Have good data analysis tools. Ministry Engagement As the general public, I would like to: Register myself as a visitor. Note that I would like to speak with a pastor. Note what ministries I might be interested in. Note my attendance at church, like we do in the pew pads Note my attendance at Sunday School Note my RSVP and attendance at an event Prayer requests Add a prayer request. See a list of prayer request. Opt to be notified when prayer requests are added As a ministry team lead, I would like to: See which members of my team have missed xx of our meetings in the last yy days/ months. See what other ministries my team members are involved in. Note someone s attendance at a meeting or an event. Note that someone volunteered for something that my ministry hosted. Thank a group of volunteers via . Have customized, scheduled reports (attendance, financial, RSVPs, etc.) (i.e. The first Monday of each month a series of reports lands in my inbox.) As a Ministry Engagement Team member, I would like to: See who is on what team Select a team and see who is on it Print a report by person, telling me what team they are currently on See what each of the church members whom I am shepherding has done in the past xx week, month, etc. Create a list of my shepherd members who have not attended anything in the past xx. Be able to send this list out to the various/all ministry team leads with suggestions on how to engage them. Create a list of my shepherd members who are not currently part of a Christ Care Group. Create a list of my shepherd members who have missed xx meetings at which they were expected.

5 For a particular church member, be able to keep track of my communication with them: phone calls, s, etc. For a particular church member, set follow-up reminders for me to do various things. Be able to put a follow-up on a pastor s list Be able to send out an to a group of members who meet certain criteria. As the Ministry Engagement Team Lead, I would like to: Assign every church member a shepherd from the ministry engagement team Produce reports based on various criteria As an admin staff member, I would like to: As a pastor, I would like to: Produce a list of who has not attended any worship service in the past xx (weeks/ months). Everything related to pastor visits and care.
