Guidelines for Stoner Theatre Usage Civic Center Contacts Booking, Contract, Rental Rates Bill McElrath Business Director Access Schedule, Staffing, Party Rental, Cleanliness, Safety, Climate Control Joel Cox Guest Services Manager Technical Questions, Needs, Requirements Jamie Stepp Production Supervisor Ticketing Questions, Needs, Requirements Julia Duvall Ticket Office Director Access to Building Supervised access to the building is provided during contracted times. These times will be the basis of the schedule for door staff. Changes can be made to these contracted times with at least 24 hrs. notice to the Guest Services Manager. Labor charges will apply for all hours worked by the door staff. Rental charges may be affected by the addition of days to the contracted period. Access to the building is also available during ticket office hours, which are 9am 5pm Monday Friday. Please notify the Guest Services Manager if you are in the building. If you choose to be in the building during this time, card keys are available to access the Stoner theatre entrance door. Cards may be requested from the Guest Services Manager. Alcoholic Beverages All alcoholic beverages must be obtained through the Civic Center. Bringing in of outside beverages is a violation of state liquor license laws and may result in no further rental to your organization. If you wish to purchase liquor, see the Guest Services Manager. If renter is found to be in violation of this policy a $100 fine will added to show settlement costs. Cleaning The Civic Center will provide the space clean and expects it to be returned to such a state upon move out. Dressing rooms will be cleaned regularly throughout the performance run; personal property will not be moved during such cleaning. Therefore, countertops will not be cleaned. If after all load-out activities have concluded, it is deemed additional cleaning is necessary, additional costs are the responsibility of the renter at current rates.

Concessions The Civic Center will usually operate a concession stand during performances in the Stoner Theatre. If you will have an audience for a dress rehearsal or private performance you may request a concession be opened. When a main hall event occurs on the same evening as a Stoner event, a main hall concession will be kept open to accommodate guests of the Stoner event. The Civic Center reserves the right to not open a concession stand if there is no intermission, or if attendance does not warrant. Decision Maker For each event, renter should provide ONE contact to be the decision maker for the event. This person will be responsible to confirming all requests from the renters that may result in additional charges. Display Cases The display case in the lobby by the Stoner Theater is for displaying information for current and future events in the theater. Items to be displayed in the case should be given to the Guest Services Manager at least 24 hours in advance of the performance. Items should be provided ready to hang and any pictures should have captions already attached. Event Emergency Contact Phone Anyone who needs to contact someone in the building during a performance can call (515) and dial 0. Between 5pm and 9am this will ring an emergency phone. We will make every effort to locate the audience member or staff member to deliver the message. Food and Drink Food and drink are not permitted near equipment in the theatre. Otherwise, food and drink are allowed in the theatre seating area. Stoner renters are not allowed to consume pop, water or Civic Center food products unless purchased. Lighting Equipment / House Lights The lighting console in the booth is an ETC Express 72/144 with 94 Strand CD K dimmers. If you are unfamiliar with this type of console a manual is provided. A variety of ETC Source 4 equipment is available. Upon move in all lighting instruments are hung on the bars closest to the north wall of the stoner. Upon move out all lighting instruments should be restored to these locations. If during the run of the performance you need replacement lamps, please contact Production Supervisor. House lighting instruments are located just to the side of the red tape marks on the bars. If any house instruments are moved, they should be restored to their exact position to the side of the red tape.

Main Hall Equipment Renter may not use any equipment from the Civic Center main hall area or any area other than the Stoner Theatre. Any equipment found in the Stoner that was taken from other areas of the Civic Center may be removed without further notice to the renter. Charges may apply for removal of equipment and usage until removal takes place. Move Out All materials must be removed during the contracted move-out period. No materials can be left at the Civic Center without advance permission of the Guest Services Manager. Failure to remove all pieces by the end of the contract period will result in additional rental charges. Movement in the Civic Center All actors, technicians, and volunteers should remain in the Stoner theatre area. At no time should anyone be in the concession area immediately adjacent to the Stoner, or in the basement area connecting to the Stoner Theatre. Painting and Scene Building Renters are to ensure that any painting and scene building that takes place at the Civic Center be done in a manner that does not damage or deface the Stoner Theatre. Parking No parking spaces are provided with the rental of the Stoner Studio Theatre. Specifically no one is to park in the area just outside the Stoner door. This space is reserved for the President of the Civic Center, and should always be kept clear. Temporary parking to unload scenery and other items is often done on the south side of the building, but all vehicles must be moved immediately after items are unloaded. Parking on the sidewalk could result in ticketing by the City of Des Moines. Permanent Modifications Permanent modifications to the Stoner Theatre are not allowed. Piano A piano is available for rent for events in the Stoner Theatre. The condition of the piano will be noted upon move in and move out. Any damages to the piano will be charged to the show. Pre and Post Rental Check Prior to move in to the Stoner Theatre the Guest Services Manager will conduct a prerental check of the facility. Pictures may be taken and notes will be made on the condition of the theatre. A representative of the production may be present for this check if requested.

The same inspection will be done upon move out of the theatre. Any charges for damage and/or extra cleaning will be noted and forwarded to the Business Director to be included in final show billing. A representative of the production may also be present for this check. Risers / Riser Carts It is highly recommended that the risers not be moved or reconfigured. If your use of the theatre requires them to be moved in any way, they must be restored exactly as they are found upon move in. Riser storage carts are to be located under the risers in their current setup configuration. Maps and diagrams are provided with riser storage locations on the wall in the back stage area. If risers and riser carts are not restored properly at the conclusion of load out, the renter will be charged for a minimum stage labor call at current union rates. Running Times The Civic Center requests that an approximate running time be provided to the staff as soon as it is known. This will help to schedule staff and coordinate intermissions on nights with main hall events. Safety Riser guardrails are installed and must remain on all risers in the seating area. It is highly desired that risers not be reconfigured. All exit lights must be visible and lit at all times. If you believe a light to be out, please inform the Guest Services Manager so it can be replaced. Seating area aisles have been setup to meet local fire code mandates please do not adjust them. Seating Maximum seating capacity of the Stoner Studio theatre is 200 seats. The theater will be setup for this capacity upon move in, and should be the same upon move out. Setup diagrams are posted in the back stage area of the Stoner. Once the set has been constructed and just prior to the opening performance the Guest Services Manager will check for appropriate fire code regulations and inform the Ticket Office Manager of the seating capacity for that performance run. Renter may remove seats if they deem necessary for set restrictions and sight lines prior to this final check. All seats must be returned to their original location upon load out. Seating capacity changes made in the duration of the performance run must be approved and inspected by the Guest Services Manager before the capacity will be increased. Capacity may not be adjusted by the renter on event nights.

Smoking Smoking is not allowed in the Civic Center at any time. A smoking area is provided for guests outside the Stoner entrance. If a smoking area for performers is necessary, they may use the exterior area on the East Lobby so as not to be seen by guests during a performance. If smoking needs to occur as part of the performance, permission must be obtained from the Guest Services Manager. Renters found in violation of this policy will have a $100 - $500 fine added to their event settlement expenses. If evidence of unauthorized smoking is found your organization may be prohibited from further rental of the facility. Sound Equipment The sound console in the booth is a Yamaha MG2414FX. There are (4) JF80 speakers hung to give good sound coverage to the audience area. The sound equipment in Stoner Theatre is for the use of renters only. The system is designed so that additional speakers and monitors may be added to the system. The audio console is an 8 mic/4 line console with 2 auxiliary sends, 2 stereo outs and 4 group outs. If a larger console is needed, it must be provided by the renter at their expense. An extensive patching system allows microphones and other equipment to be routed to the lighting/sound booth without the use of snakes. Additional cabling and patch cords can be provided free of charge if necessary. Additionally, there is a 20-channel patch bay located on the east side of the theatre in the catwalk if a renter chooses to set up sound in that location. Two channels of intercom are also available and can be patched to various locations around the theatre. Intercom is currently hard-wired to the lighting/sound booth and the east side of the catwalk. Belt packs and headsets are located in the lighting/sound booth. Please refer to the sound system guide and audio console manual located in the lighting/sound booth in the Stoner Theatre. House sound equipment must be restored to its original condition upon move out. All cabling and intercom headsets/belt packs must be neatly coiled and put away properly. Charges may apply if this is not done. If equipment fails during a rental period, please contact the Production Supervisor immediately. If it is deemed that damage to the sound equipment has occurred due to abuse or neglect, the renter will be charged for the repairs or replacement at current rates. Staff Schedule A schedule of staff assigned to open the building and be present during the event run will be provided to the show contact prior to load-in. If the building is not open for a contracted time, contact the Guest Services Manager. Storage At no time can anything be stored in the tunnel connecting the Stoner to the basement area. This is an evacuation and emergency shelter route. (Updated 8/11)
