2 INTRODUCTION TO GOLD COAST GYMNASTICS CLUB FIRE PROCEDURE Welcome The Gold Coast Gymnastics Club was established in It is a community based, non-profit organisation which aims to enable children and adults of all ages and abilities to experience gymnastics to their fullest potential. Gymnastics offers many physical, emotional and intellectual stimuli which benefit a growing child, and our club caters for all levels of ability and aspiration from toddler to high level competitive gymnastics. Gymnastics activities promote strength, flexibility, balance and coordination and provide an excellent grounding for many other sports. The whole-body weight bearing activities involved in gymnastics help to prevent bone disease in later life. The gymnastics training environment also introduces goal setting, discipline, cooperation, teamwork, listening & comprehension skills, taking instruction & criticism, performing to an audience and concentration. Our club has the best equipped facility on the Gold Coast with a full complement of the Olympic gymnastic apparatus, as well as trampolines, foam pits, safety harnesses and many other teaching aides. In addition to our excellent facility and equipment, GCGC also employs some of the most highly qualified and experienced coaching staff in Queensland. Our proven systems and programs have resulted in us becoming Australia s biggest gymnastics clubs. Having so many gymnasts mean that we have children of similar ages and abilities in each group which ensures appropriate lesson content for your child throughout their gymnastic pathway. Phil Hanson General Manager GCGC MISSION STATEMENT To encourage every gymnast to maximise their gymnastic potential, reaching the highest levels of artistry and performance to which they are capable and to which they aspire. CLUB MOTTO Active Body - Active Mind Our motto reflects the relationship between a healthy active body and intellectual development. 3 Our staff are trained to evacuate the participants from the building quivkly and efficiently should the need arise. If required, please evacuate yourself and any others from the viewing area directly to the designated meeting point for your venue. Specific evacuation procedures and maps are posted at each venue indicating the exits and designated meeting point. Please familiarise yourself with these procedures at any venue you attend. OUR CLUB PERSONNEL The Management Committee The Management Committee is elected by the members at the club s Annual General Meeting. It oversees the club s business and financial strategies according to the club s constitution, and employs staff with specific gymnastics qualifications and experience for the day to day management and operations of the club. The committee meets bi-monthly. Administration The Miami office is attended from 9:00am-6:00pm weekdays and from 9:00-1:00pm on Saturdays. Holiday office hours are 9:00am-4:00pm Monday to Friday. The club employs administration staff to manage the accounts, enrolments, events, and funding applications. All enquiries about your account events, or enrolments should come to the administration office. Parent Fundraising Group This group of volunteers raises funds to support the club and the gymnasts with equipment, facility development and travel expenses. The Parent Fundraising Group can be contacted via: fundraising@goldcoastgymnastics.com 4
3 Coordinators Coordinators oversee each of our program areas which include: Under 5 s, Pre- Levels, Levels, Schools, WAG, MAG, and the Tweed & Coomera. Coordinator s responsibilities include: scheduling, staffing, programing and the progress of all gymnasts through the curriculum. All gymnastics specific questions about your child should be directed to the appropriate coordinator. If you would like to speak to a coordinator or a coach you can make a request at receptions or them directly. Coaching Staff All coaches hold accreditations through Gymnastics Australia s National Coaching Education Framework or are in the process of gaining their accreditation. Coaches who are in training are under the supervision of qualified coaches. Many of our coaches also hold tertiary qualifications in Physical Education or Sport Coaching. Our coaches also hold a current senior First Aid certificate or equivalent. Surprisingly, many of our younger coaches possess high levels of up to date technical expertise in gymnastics as a result of many recent years of intensive training and competition. Don t be fooled by their size as most gymnasts are older than they look. Junior Leaders This is a volunteer leadership program for gymnasts 14 years and over. Under this program participants learn about coaching, judging, administration and events management. This program can lead into coaching and traineeships. Blue Card All staff and volunteers are required by law to hold a current and valid Blue Card (working with children suitability card), issued by the Queensland Government s Commission for Children and Young People and Child Guardian. These coaches are under the supervision of our own coaching staff. We often have coaches and gymnasts from other clubs visiting to take advantage of our facility and experienced coaches. 5 6
4 YOUR GYMNASTICS PATHWAY Other Programs We Offer Adult Classes Beginners to advanced level. Work at your own pace. Popular with exgymnasts, parents, dancers, entertainers and stunt worker. Schools & Specialised Groups Many groups with special needs or interests use our facility and coaching staff such as the Special Education Units, Child Care Centres, Stunt workers, Entertainers, Athletes from other sports, Preschools, Primary schools and High school groups. Private Tuition Available by consultation with your coach, subject to availability. Suitable for accelerated learning, problem solving, routine choreography, competition preparation and special needs. 7 8
5 Day Camps Day Camps are offered during the school holidays for members and nonmembers ages 3 years old and up (under 5 s day camp programs are only held in the mornings during the holidays on specified days). Our days include a wide variety of gymnastics activities and games, including the use of our foam pit and trampolines, children will also have the opportunity to get creative with crafts and take part in different themed activities. Our coaching teams are trained in the art of having fun and are accredited gymnastics coaches. Drop off is at 8:00am and pick up is no later than 5:00pm and all meals and snacks are included in the cost. Full payment must be made at the time of booking. Please check our website for more information. Birthday Parties Come along and bring your friends for 2 hours of cake, games and 2 fun filled gymnastics. Contact the office for further information. CLUB GUIDELINES, RULES AND POLICIES Acquiring Images of Children In keeping with our child protection policy, it is strictly prohibited to take photos or videos of children in the gym without a permit. Please see office. Please Leave the Coaching to the Coaches Our coaches have spent many hours, weeks, months and years gaining their accreditations and spend many hours each year updating them by attending coaching conferences and seminars. As such, they are well prepared and qualified professionals and appreciate being left to do their job without interference. Notification of Changes to Medical and Contact Details Please immediately notify the office of any changes in address or telephone contact details or any medical or disability information which may be significant to the coaching of the child. You may be required to fill in a new membership form indicating the new conditions. All potentially serious medical conditions require an action plan. Please collect a form with registration. Having an address and mobile phone number on file will enable you to receive more information and earlier notification. Illness, Injury & Special Circumstances Gymnasts, may at some time, be required to produce a medical certificate confirming their fitness for classes or their general health status prior to being permitted to participate. Please do not bring sick children or siblings to the gym. The club reserves the right to refuse entry to any persons that show signs of illness. Gymnasts are entitled to two make up classes per class each term, subject to availability. Any persons attending class that have pre-existing injury or special needs must notify administration at time of booking. Children who have a fever or high temperature should not participate in physical activity. Punctuality Please ensure you are on time for your child s class. Children arriving late for class may be refused entry due to missing all or part of warm up. Your child will only be permitted to join in if there is a coach available to take your child through a proper warm up. This will be at discretion of your child s coach. 9 10
6 Dropping Off and Picking up Gymnasts Parents are requested to come into the foyer to drop off and pick up their children. Please remind your children to wait inside the holding bay. Please be on time to pick up your children. If you will be late to pick up or drop off, please contact the office and advise your expected arrival time. A fee may apply if your child is left in our care outside their class time. This fee will be $10 for every quarter of an hour over the time the child should have been picked up. If somebody other than usual will be picking up your child, please notify the office. If there is a specific person/s not permitted to pick up your child, please notify the office in writing. Please ensure you park in designated places only and adhere to the 5km/h speed limit. For the people leaving the parking area, visibility is reduced greatly by people parking on the yellow lines either side of the entry to the car park. Please find a safer option when parking at our facilitieis. Foyer & Courtyard The courtyard is intended to be an pleasant and safe place for parents and children to relax. Animals are not permitted anywhere within the club grounds including the courtyard. Playing any ball games, skate boarding, doing gymnastics, riding bikes or scooters and climbing trees in permitted in the courtyard. Clothing Club training uniforms are recommended but not compulsory. They can be purchased through the front office. Clothing manufacturers occasionally visit the club at Miami to allow parents to place orders for optional leotards etc., you will deal directly with the manufacturer and must pay for and collect the merchandise yourself. Some recreational children do compete in competitions. When and if they do, they are expected to wear a competition leotard which may be purchased through the office. For uniform clothing and equipment information specific to your child, please consult with your coordinator. Communications Most communications are by or text message it is vital that we have up- to-date and accurate details. Other communications can be found on the noticeboards in the foyer, in our newsletters, online on our members portal Facebook page, and website Administrative & Payments Related Matters In the first instance, such matters should be discussed with the Club s Administrator. If the matter is not resolved to your satisfaction then you may contact the General Manager and if after that the matter is still not resolved you may write to the Management Committee who will consider you case. Coaching Related Matters In the first instance, such matters should be brought to the attention of the Coordinator/Head coach of your child's program. If the matter is not resolved to your satisfaction then you may write to the General Manager to express your concerns. No complaint or request will be considered unless the correct grievance procedure is followed. GRIEVANCE PROCEDURE Gold Coast Gymnastics Club Member Protection Policy This policy has been developed to ensure that our members are provided with a safe and respectful sporting environment whilst participating in activities run by this club. Gold Coast Gymnastics Club is committed to providing a safe environment for children that is free from harassment and abuse for everyone, and promotes respectful and positive behaviour and values. This policy provides a code of conduct forming the basis of appropriate and ethical conduct which everyone must abide by. This is an essential part of our organisation s proactive and preventative approach to tackling any inappropriate behaviour. The management of the organisation is committed to ensuring that everyone associated with Gold Coast Gymnastics Club complies with this policy at all times. The full policy can be found on our website or by request from reception
7 FEES POLICY Club membership and registration The club membership package includes: Club Membership, Gymnastics Queensland registration, sports insurance and a club T-shirt. The membership and registration package is non-refundable. The Gymnastics Australia registration and sports insurance component is transferable between clubs but not from one gymnast to another. The club membership and Gymnastics Australia registration is valid from the date of payment until the 31 st of December of that calendar year. A 50% discount applies for the 2 nd and subsequent children from the same immediate family, during terms 1-3. Membership & registration fees are renewable from 1 st January and must be paid prior to your child s enrolment in a class, event, or activity. Memberships for one term only and for remote members (those training at HPC s) are available for a 50% discount, however do not include all benefits. All questions regarding fee amounts should be directed to the administration office via on admin@goldcoastgymnastics.com during business hours. Please do not approach coaches regarding fees. Questions related to payment of fees, outstanding fees etc. need to be directed only to the administration office. Re-Booking Information Our rebooking system is very important. Every term you need to rebook into your class, this enables us to be well prepared by knowing who is going to be there in advance. Rebooking first has a priority period for all those already in a class, then after that, rebooking is open to those changing classes and then finally new members. This ensures that you don t lose your place in the class to a new person who books in before you. If you leave it past the end of priority rebooking however, you could lose your spot to a newcomer. Full payment must be made at the time of rebooking. Missing Classes If gymnasts miss classes, leave early or arrive late this does not entitle you to a discount on fees. Your fees pay for a position in a class and the cost to the club remains the same whether you attend or not. 13 Make Up Classes Gymnasts are permitted two make up classes each term per class. You must inform the club that your child will not be attending prior to their class starting to be able to claim a makeup. Make-up lessons are offered only if a position is available in that particular type of class and must be taken during the current term. If a child is unable to attend for two or more weeks due to illness or injury, a refund for missed classes can be obtained by presenting administration with an appropriate medical certificate for the missed period. Public Holidays No recreational classes are held on public holidays. This does not entitle parents to a refund for a missed lesson as the account has already been adjusted at the time of booking. Other Activities Competitions, private lessons, extra training sessions, day camps, sleepovers, etc. are to be paid for at the time of booking, however club fees must be completely paid up to date in order to book for one of these activities. Ceasing At Your Request If you decide not to continue with your child s gymnastics program please advise us in writing, or complete the Ceasing Gymnastics form available from administration. There will be a two week cancellation fee and a credit will be given for the remainder of the term fees, unless a medical certificate is given. When customers advise the club in writing that they will be ceasing gymnastics any credit on the customers account will be refunded. If a customer has been inactive but still has credits remaining on their account and no notice has been provided to the club, these credits will lapse and be written off where the customer has been inactive for more than 365 days on the 30th of November each year. Term Fees Fees are calculated on a term basis, with typically 9-11 weeks in each term and approximately 40 weeks per year, generally aligned with the public school terms. New gymnasts starting partway though the term are charged on a pro rata basis for the remaining weeks in the term. 14
8 Event Entry Costs In order to organise an event, which includes: the sessions, groups, rotations, coaches, judges and support staff, the event manager needs to begin with the number of competitors in each level and division. For this reason we have strict closing dates and maximum numbers. If an event is not full after the closing date, in some cases, the event manager may accept late entries from a waiting list, with a late fee in addition to the entry fee. Event Refund Policy Refunds after the closing date will be given at the discretion of the Event Manager and will require a valid and relevant medical certificate. Refunds will be calculated to exclude any expenses incurred by the club on your behalf, which cannot be recovered. Specific refund policy information is published with each event s information. Coaching Staff Changes On some occasions your child s regular coach may be unavailable to take their class. While we do our best to keep consistency of coaches, we reserve the right to change coaching staff without notice Progress through the Recreational Curriculum Gymnasts in recreational classes work on our club s progressive, developmental curriculum. Classes of Pre-Levels and above are tested each term on their progress and a report is ed at the end of the term. We reserve the right to place gymnasts in the program we believe is the most suitable for their skill level and maturity. We ask parents to remember that this is always done with the child s best interest in mind. Selection to Competition Teams or Squads Our staff always keep an eye out for suitably talented children for the competition or squad programs. If you would like your child assessed for this please contact your Coordinator. Communication with Coaches If you need to ask a question, give information or gain feedback about your child's participation in our program, it is important that you do so at the appropriate time, and with respect to the rules of the club. For small, quick matters you may talk to coaches immediately before or after class, but please ask administration. Once class start time has passed however, all coaches are required to supervise their gymnasts and are no longer available to speak with parents. We strongly encourage parents to call the gym to arrange an appointment with your child s coordinator. This way careful thought and consideration can be given to the topic to be discussed and the discussion can be held without interruption and without compromising the privacy of any party. Many of our coaches work long hours that see them finish late in the evening throughout the week, we ask that parents be considerate of this fact and do not try to have long discussions with coaches after class, rather make an appointment for a more suitable time. Feedback, Questions or Concerns Parents are encouraged to give constructive feedback via admin@goldcoastgymnastics.com Safety GCGC reserves the right to refuse or rescind a position in any group or class without a warning or counselling where a coach feels that an individual presents a risk to the safety of him/herself or others. Failure to follow instructions or act in a reasonable, sensible way may constitute such a risk. Physical or verbal abuse of a gymnast or staff member may constitute such as risk. Assumption of Risk Like any sport or physical activity, participation in gymnastics carries inherent risk of injury. Because many gymnastics activities require inversion (turning upside down) of the body, the sport by it s nature carries a risk of head and spinal injury. This risk is greatly controlled in a supervised class with a qualified and experienced instructor. Parents should explain this risk to their children prior to accepting membership
9 Spotting of Gymnasts Spotting is the physical assistance or correction of a skill through the use of the coach s hands or specialized spotting equipment. It is a very important part of gymnastics and it is important that parents are aware that coaches will be physically assisting your children in the performance or correction of skills from time to time especially in the early learning phases of a skill. Spotting is also used during flexibility training to ensure correct body alignment, posture, and to assist gymnasts in improving their range of motion. Lost property Miami lost property is placed in the lost property basket in the foyer. Items may not be removed from here unless they belong to you. At the end of each term the lost property is donated to charity. Remember that if your child has a gymnastics T-shirt there is a great likelihood that there are identical shirts owned by other gymnasts in the club. We strongly suggest that you label all clothing and equipment with your child s name. Sometimes valuables such as watches, rings, hand guards etc. may be kept in the Miami office by the Administrator. The club accepts no responsibility for any items left behind at the gym. We strongly advise that you do not leave valuables unattended in the foyer, holding bay, toilets or car park. Gymnasts should not bring valuables to the gym. Jewellery & Lost or Stolen Items It is the responsibility of the parents to ensure no jewellery (except small stud earrings) are worn into the gym hall at any time due to dangers associated with jewellery catching on coaches, equipment or clothing and causing injury to gymnasts or becoming lost or misplaced during class. The club and its staff take no responsibility for any item brought into the gymnastics hall and under no circumstances will the club replace lost or stolen items. Please do not allow your child to bring valuables into the gym hall. Viewing From Inside The Training Area For safety reasons we do not allow viewing from within the training area. Viewing from inside the Miami holding bay is also not permitted at any time. This area is strictly for gymnasts waiting before or after ca class, or Smarties and Mini Movers parents awaiting a class to start. Your cooperation regarding this helps us to better look after the personal safety of the children. Foyer Etiquette The foyer is provided for the quiet, peaceful viewing of classes of all parents. Parents should not make any comments related to the skill level, performance or ability of gymnasts or coaching staff while in the viewing area as this maybe offensive and hurtful to other parents or children within the area. Incessant chatting can be annoying to others, so if you prefer to chat more than view, please do so outside the foyer. Fundraising All fundraising activities at the club must be approved in advance by the General Manager. If you are interested in fundraising or have fundraising ideas, please consider joining the Parent Fundraising Group. They can be contacted via: fundraising@goldcoastgymnastics.com Sponsorship & Advertising Packages Our club has many benefits to offer a potential sponsor or advertisers. If you would like to advertise your business in our newsletters, website, signage or if you know of any business owners or companies who may be interested in sponsoring the club or a gymnast, please contact reception. Parents who are seeking sponsorship for their child should contact administration regarding the procedure for approaching sponsors. Media Liaison All media liaison which mentions the club name, its programs, gymnasts, staff or management may only be instigated by club management
10 PRIVACY POLICY In accordance with the Privacy Amendment (Private Sector) Act (2000), the information we collect about you will be used primarily for matters specifically related to participating in gymnastics and/or if a secondary purpose is related to the primary purpose and one could reasonably expect such use or disclosure. To assist in providing our services, the organisations to which we disclose information include: Outsourced service providers who manage the services we provide to you, including: Gymnastics QLD, Gymnastics Australia, Insurers, Sport Education Section (ASC). Our professional advisors including our accountants, auditors and lawyers, government and regulatory authorities and other organisations, as required or authorised by law.
