3 Ready for your worksite to be a well-being leader? In August 2011, Governor Branstad announced Iowa s goal to become the healthiest state in the nation by Improving well-being is critical to the economic viability of our state, and a healthier population will allow Iowa to redirect billions of dollars toward economic development. THE BLUE ZONES PROJECT TM is a vital part of reaching the goal. Brought to Iowa through an innovative sponsorship by Wellmark Blue Cross and Blue Shield, in collaboration with Healthways and Blue Zones, the Blue Zones Project is designed to make healthy choices easier through permanent changes to environment, policy, and social networks. EVERY WORKSITE IN IOWA IS ELIGIBLE TO BECOME A BLUE ZONES WORKSITE TM. Businesses play a key role in helping improve their community s well-being. The actions listed in this toolkit to become a Blue Zones Worksite are designed to create a work atmosphere that inspires, encourages, and promotes well-being in the workplace, and in the communities your employees live and play. To achieve this designation, you will need to complete well-being improvement actions from a menu of evidence-based options that can help create a healthier work environment for your employees. MOST OF THE ACTIONS ON THE BLUE ZONES WORKSITE PLEDGE HAVE LITTLE TO NO COST FOR YOUR BUSINESS beyond the initial time necessary to set them up. The criteria are designed to be flexible so that you can choose the options that work best for your company culture and employees. THRIVING EMPLOYEES ARE VITAL TO YOUR BOTTOM LINE. Pursuing Blue Zones Worksite designation not only demonstrates your commitment to making your company a healthier place to work, but also has tangible benefits including: > Improved health of your employees through risk reduction > Improved engagement of employees leading to collaboration and innovation > Improved productivity and reduced absenteeism > Reduced turnover by becoming an employer of choice in your community GETTING STARTED IS EASY. All the tools you need for this well-being journey are included in this guide and at BlueZonesProject.com. To maximize the effectiveness of these strategies, we encourage you to gather a team of health-minded employees to review the options, choose those that work best for your company, and get started! 4 Let s get started! CONGRATULATIONS! Just by opening this toolkit you ve demonstrated your commitment to improving well-being in your workplace. Now, simply follow the steps to begin making the changes in your work environment so that the healthy choice becomes the easy choice. Whether you become a designated Blue Zones Worksite, or choose a handful of the principles that work best for your organization, you are making meaningful change in your workplace and in your community. STEP ONE Designate a person to act as your administrator. This person will have access to all the tools, reports, and account information for your business as you pursue designation. Although you can add additional administrators, initially, your company information will be available only through this person s personal profile, so give some thought to who best to manage this effort. 4

5 STEP TWO Have your designated administrator sign up as an individual, take the Blue Zones Personal Pledge, and complete an action. 2a Go to bluezonesproject.com 2b Click JOIN AND PLEDGE TODAY 2c Complete the pledge/registration form Do not check the I have an organization code box at this time. You will set one up later for your worksite. 2d Click Complete Registration 2e 2f 2g Hover over MY TOOLS in the top right corner and select My Pledge Actions from the drop-down menu. Explore actions that will improve your well-being from the following categories: Move Naturally, Eat Wisely, Connect, Habitat, and Right Outlook. Then pledge to take action by clicking Pledge To Do This in the orange box to the right of the item description. One you ve completed a pledge item, make sure to click the I Did it! box to get credit for your action. Then, pledge to complete new actions to improve your well-being! 2h Once you ve completed your action, navigate back to the My Tools drop-down menu and select MY PLEDGE ACTIONS. 2i 2j Once you ve completed a pledge item, make sure to click the I Did It! box to get credit for your action. Then, pledge to complete new actions to improve your well-being. Explore the other activities and tools the website has to offer and keep going on your journey to well-being. 5 5

6 STEP THREE You are now ready to register your worksite! 3a Go to bluezonesproject.com and click LOG IN in the upper-right hand corner. 3b Hover over the COMMUNITY TAB and choose Involve your organization from the drop down menu. Click the orange REGISTER NOW button to register your worksite. 3c Complete the form by entering the information requested. Create an organization code that s easy for employees to remember. NOTE: Remember to go back into your personal profile and add your organization code. 3d When answering the final question What type of organization do you represent, always select WORKSITE even if you see your organization type listed. STEP FOUR Complete Worksite Assessment and Worksite Pledge. After completing your individual and organization s registrations, click the orange SEE YOUR ORGANIZATION S PAGE button. Here, you will complete the Worksite Assessment and Worksite Pledge. This tool helps you understand your organization s current well-being status and determine next steps toward achieving designation. 4a Go to bluezonesproject.com and login. Hover over MY WORK in the upper right hand corner and choose Organizational Progress from the dropdown menu. 4b You ll see designations available for your organization in the dark blue box at the top of the page. Click Take the Worksite Assessment. 4c Review the content to learn more about the assessment then click Take the Assessment. 3e Click Complete Registration. 4d You ll be taken through a series of questions on Leadership, Purpose, Environment, Social, Policies and Well-Being. Please answer the questions as they apply to your organization. 4e 4f Review the results then click Pledge Now. Review the worksite pledge agreement and fill in the requested information. Click Commit to Worksite Pledge. 6

7 STEP FIVE Motivate and inspire engagement. Once you ve completed the Worksite Assessment and Pledge, you are ready to begin work toward improving well-being. Actions you can do right away may include: > > Talk to your leadership team about the Blue Zones Project. Leadership should take the Blue Zones Personal Pledge and complete the online well-being leadership training. You ll need to flag your leadership team as leaders in the system to open the leadership training. For the purposes of the Blue Zones Project, your organization can determine how you define a leader or who in your organization fits the criteria. Communicate with your employees about the Blue Zones Project so they know why you are participating and how they can engage. Provide your organization code so when they take the Blue Zones Personal Pledge and complete actions, their participation will not only improve their well-being, but will also help you reach your goal of having 25 percent of employees pledge and complete an action from the personal pledge. > An online approach not ideal for engaging your workforce? BlueZonesProjectUSA@Healthways.com for alternatives. Track your progress! To reach your organization s page, your Administrator will log in as an individual, and focus on the MY WORK section. See next section for details on each tab in the MY WORK section. 7 7

8 Managing your progress Now it s time to continue your work toward improving well-being for your employees. All the tools and resources you need are available in the MY WORK section of BlueZonesProject.com. Remember, as the employee administrator, your personal commitment to the Blue Zones Project is also tracked when you are logged in, but the MY WORK section is primarily for your organization. Here s a quick description of the tools you ll find under each section of the MY WORK tab. 1 ORGANIZATION PROGRESS Shows at a glance how you re doing towards reaching designation. Also offers links to additional resources that might help on your well-being journey. You can add others to manage your organization s account. Also, you can track progress toward your employee participation goal, see who has registered and completed an action, and send yourself templates to customize and forward to employees to encourage participation ORGANIZATION ACTIONS Shows what your worksite pledged to do during the worksite assessment and tracks what has already been completed. To keep track of actions your worksite is committed to pursuing, click the PLEDGE TO DO THIS TAB. Then, each time your organization completes an action on the Blue Zones Worksite Pledge, be sure to click I DID IT! to get credit toward designation for your efforts. 8

9 3 BEST PRACTICES Links to resources for each area of the worksite pledge that might provide ideas, insights, etc. You ll also find the link to the LEADING FOR WELL-BEING videos that are part of the pledge options in the Leadership section. 4 COMMUNICATIONS LIBRARY Get access to materials to help you communicate with your employees about the Blue Zones Project. You can download a fact sheet as well as newsletters to help inspire them to practice Blue Zones principles. More communication materials are available under the MY WORK ORGANIZATION PROGRESS tab including templates you can customize and forward to employees to encourage participation. 7 EMPLOYER ASSESSMENT RESULTS This is an administrator dashboard for your worksite s well-being assessment progress and results. After at least 25 employees have participated in the well-being assessment, you will be able to receive a customized report for your worksite that can help focus your well-being improvement efforts. 8 LEADERSHIP TRAINING This is a series of short videos that can help get your leadership engaged in the Blue Zones Project and help guide the organization to improved well-being. These are the LEADING FOR WELL-BEING modules that are part of the Leadership section of the worksite pledge. 5 ORGANIZATION PROFILE Shows details for your worksite based on how you set it up during registration. 6 WELL-BEING ASSESSMENT This is your personal well-being assessment. As your employer s administrator for the project, we encourage you to take the wellbeing assessment. 9 9

10 validation Once you have completed all of the required actions on the Blue Zones Worksite Pledge and met criteria to achieve designation, the next step is validating all of your great accomplishments. Here s what you can expect: 1 BLUE ZONES PROJECT TEAM CONTACTS YOU. The system will automatically notify the Blue Zones Project team once you ve reached this important milestone. Shortly thereafter, you will be contacted by a member of the Blue Zones Project team who will walk you through the validation process. 2 SUBMIT REQUESTED SUPPORTING MATERIALS. The validation process will address the six categories of the worksite pledge and will require supporting documents/pictures as required in the criteria. Remember, validation and designation are just the beginning of your worksite well-being journey. You are encouraged to tackle new pledge items, and keep promoting Blue Zones principles to continue engaging your employees for the long-term. If you need help along the way, just BlueZonesProjectUSA@Healthways.com. 3 BLUE ZONES PROJECT TEAM REVIEWS. Once you have submitted your materials for validation, the Blue Zones Project team will review your documentation and notify you whether designation has been achieved, or whether additional information is required. 4 ELECTRONIC SIGNATURE REQUEST. Once completion has been validated, you will be sent a link to the Blue Zones Project Brand Guidelines and a licensing agreement requiring your electronic signature. 5 CONGRATULATIONS! When your signed licensing agreement has been received, you will be awarded Blue Zones Worksite designation and sent a certificate recognizing your accomplishment. 10
