3 Introduction and Installation This User s Guide is intended for the System Administrator responsible for ensuring that their Servers are properly configured to be backed up. The computer Users who use the Servers are not usually aware that their Systems are being backed up. Different Servers may require different files and directories backed up, on different schedules, depending on what data needs to be secured. Some may require backing up more frequently, depending on how the data changes. This Guide will show the Administrator how to select data to be backed up, how to configure the Agents to do that, and how to schedule the backup times. Restores are also covered in detail. This Guide covers the functionality required to perform a Backup and Restore using MBS. The Managed Backup Service (MBS) installation software and documentation is available by downloading only from the intechnology web site. The necessary link to this will have been provided to you by your designated Project Manager or available from the intechnology Support Centre on If required you may download this software to a local server and have it readily available for when the intechnology Consultant contacts you to perform the necessary installation over the telephone or during a site visit installation if this option has been purchased. System Requirements Hardware CPU and RAM - Should meet the basic requirement of your Operating System, as prescribed by Microsoft. HDD - at least 1GB of available disk space. Software OS - 32-bit editions of the following: 2000 Server & Advanced Server (SP4) / XP Professional (SP2) 2003 Server (Standard, Enterprise, & Small Business) (SP1) and 2003 Server Standard & Enterprise R2 How the Windows Agent Works The Remote Agent Console and the MBS Agent comprise a data protection software suite that securely backs up file data from Servers across a network to intechnology Vaults. The applications provide an automated, unattended method for protecting your valuable computer data without the need for tape devices or other Backup media. Each Backup is termed a full backup in that it is possible to restore all the data, if necessary, without using any incremental or differential backups. Each computer (Server) that needs to be backed up must have the MBS Agent software installed and running, and be connected to a network, to be able to access a Vault. The
4 Agent runs on the Server as a background service, and starts automatically when the System is booted. The setup of Agents, Jobs, scheduling, and monitoring is done from the Remote Agent Control website. The actual Backup is done from the Server System with the MBS Agent, to the destination Vault. No (Backup) User data goes through the Remote Agent Console. Once an Agent has been properly configured and scheduled, backups will occur automatically. The Remote Agent Console does not have to be running all the time. It is used for configurations, and to check for successful completion and to view the error logs. Success or failure messages can also be sent by automated s. Agent Software The Agent software runs on the individual computers to be backed up. Backups on the Agent computers are configured and scheduled by the Remote Agent Console website. The Agent then sends its Backup data (optionally encrypted, for security) directly to the intechnology Vault. The Agent consists of the following components: The VV.exe component performs the Backup and Restore functions to the vault. The Agent component ( VVAgent.exe and BUAgent.exe ) handles scheduling, configuration and communication with the Remote Agent Console. It runs as a Windows Service on a supported Windows Operating System. Installation pre-requisites Please ensure that the following steps have been completed before proceeding with the installation process. To install the Agent for Server/2000, Server/2003, or Server/XP Professional, Administrator or equivalent access is required for the target machine. Download MBS agent software from intechnology web site on to the required server url is 1. The Agents will communicate with the vault via port 2546 (TCP) and with the Remote Agent Console via port 8086 (TCP) Depending on your firewall configuration you may need to add rules to allow all outbound traffic. 2. Internet Explorer meets the following Requirements: a. Internet Explorer 5.5 or later b. 1024x768 Screen Resolution c. JavaScript Enabled d. Cookies Enabled e. Pop-up Blocker Disabled
5 Installation Procedures The MBS Agent for Windows is in a self-extracting executable format. It contains all the components necessary to install the Agent under Windows: MBS Windows Agents Open Transaction Manager SQL Server Plug-In Oracle Plug-In MS Exchange Plug-In Cluster Support Plug-In Share Point Plug-In Plug-Ins MS Exchange, MS SQL Server, Oracle, Cluster Support and Share Point Plug-Ins, and OTM can be installed along with the Agent. That is, there is no separate install for individual Plug-Ins. You can always install a Plug-In afterwards by running the installation again, with the Modify option. Please make sure you have purchased the required license for the plug ins prior to setting up the backup jobs as the license is supplied automatically from the vault. Oracle Plug-In If you install the Oracle Plug-In, you must also install the "Oracle Plug-In Support Libraries" after the Agent has been installed. This is a separate installation, called "OraclePluginSupport-5-60.exe". This is not included as part of the MBS Agent installation, and must be run separately. This can be downloaded from the intechnology web site MS Exchange Plug-In The MS Exchange Plug-In is an add-in to the Windows Agent. It allows for full (DR) disaster recovery capabilities on Microsoft Exchange databases as well as for backing up and restoring individual mailboxes and folders with MAPI. MS SQL Server Plug-In The MS SQL Server Plug-In is an add-on to the Windows Agent. It allows a user to perform a database Backup on an MS SQL Server database. The Plug-In is installed on top of the Agent on the database host to perform the Backups. The Plug-In, with ODBC, now supports SQL Server The Plug-In still supports SQL Cluster Support Plug-In The Virtual Server Cluster Support Plug-In is an add-in to the Windows Agent. It allows a user to be able to backup a server that has failed over to another machine (node) in the cluster. The configuration is automatically picked up by the correct server after a failover.
6 MS SharePoint 2003/2007 Plug-In This version of the MS SharePoint Server Plug-In performs backups and restores of SharePoint Portal 2003 and Server 2007 on Windows 2003 Servers. The SharePoint Plug- In enables brick level backups and restores SharePoint items such as webs, lists, libraries, folders and documents. This high level of granularity enables backups and restores of the entire site, down to different individual document versions. You can also restore a document as a document or a document version to the file system. The SharePoint plug-in, on a restore, allows browsing and selection to the file level. You can also search for a file to restore. Installing MBS Agent Windows To install the Agent for Windows using the installation Wizard: 1. Logon to the System either logically or Remotey 2. Double click of the file you downloaded Agent-Windows-X-XX-XXXX.exe and select Run to start the installation process. 3. You are first prompted to select a language for the installation. Choose English. 4. InstallShield sets up the MBS installation process. Click Next> to continue.
7 5. View Release Notes Click Next> to proceed. 6. Software License Agreement for MBS agent is shown. You must Accept this to continue the installation Select I ACCEPT and click Next> to continue.
8 7. Select Install Type You can choose a Typical Install, or a Custom Install. Typical will finish without you having to choose more components and will install the agent directly on to the system drive and create a custom account for vbak to use. If you choose Custom, you will be asked the following steps, before you begin the installation. 8. Agent Management Method Selection This allows you to choose how you want to give the proper credentials for the MBS Agent Service to run on the PC. Note: Use Local System Account, and Create Account automatically supply the correct user rights (in the administrator group). If you select Use custom account, you must ensure that the account (in the administrator group) has act as part of the operating system, and logon as a service user rights. By default select use Local System Account unless you are wanting to backup systems via UNC path. Click Next> to continue.

Select Destination Folder Choose a destination folder for the installation, either System Drive or the Drive with the most free space or accept the default Recommended Minimum free space required for MBS is 1Gb Click Next> to continue. 10. The Custom Setup dialog appears. You may choose these program features, depending on what your system will use to backup its data. They will require a license before you can use them. Note that OTM is optional BUT we recommend an Open Transaction Manager instead which is a separate download, if you require this feature we please contact support Note: You can return to this installation at another time
10 (with Modify) to install these program features, if you do not select them now. You must install at least the Agent. It cannot be turned off. The other features are optional. By default, Windows agent is always installed, this screen is for additional plugin(s), i.e. MS Exchange, SQL etc. Click Next> to continue. 11. Register Agent with Remote Agent Console Select how you would like to manage this agent, Click Next> to continue.
11 10. RAC Account Details Enter RAC details supplied by intechnology. Click Next> to continue. 11. Install the Program If you had selected to install OTM, you will be asked to restart. Select either Yes, I want to restart my computer now or No, I will restart my computer later. Click Finish. If you did not choose OTM, the Ready to install the program message is shown. Click Install to begin the installation. Note: If you had chosen to include the Agent Assistant in a Custom Setup, you will be prompted next for the URL. Enter these details supplied by intechnology.
12 12. Install Wizard Complete Click Finish> to continue. Repeat this process for any additional servers. To Modify or Repair Agent components under 2000 Server/2003 Server/XP Professional: Choose Start > Settings > Control Panel > Add/Remove Programs, and select MBS Agent <version>. Or, instead of using Add/Remove Programs, you can re-run the installation program. Upgrading from earlier versions To upgrade to the latest MBS Agent, your System must meet the minimum requirements mentioned in the start of this Guide. Note: Available free space of the volume that the Agent is installed on should be bigger than the size of all Delta files + the size of the largest Delta file + a reasonable cushion (at least 200MB). Preparing the Computer To prepare your existing machine for upgrading Agent, complete the following Jobs: Back up the previous Agent Files We strongly recommend that you make at least one Backup of your previous Agent files, including all files and subdirectories under the Agent installation directory. Do not attempt an upgrade without a Backup. Clean up Server Profiles in Global.vvc From the Management Console, open up the Agent Configuration that you want to upgrade. Go to Vaults section, check if there is any Server configuration that no longer being used and delete it. Also, highlight every Server configuration and click Edit, and double check the information of this Server Profile is valid. Then click OK to save your changes. Clean up Jobs After the Global.vvc has been cleaned up, check all Backup Jobs to see if there is
13 any Job backing up to a Vault that has been deleted from Global Settings. If so, delete that Job or assign it to a different Vault. Synchronize all Backup Jobs After cleaning up the Jobs, check the Backup logs of each Job to see if any errors show Validation failed:. If so, you need to verify the validation information with intechnology to make sure it is valid. If the latest Backup log shows no errors, do a Synchronize with the Vault and check the Synch log. Upgrading Program Files and Configuration Files We recommend starting the installation when all the Directors in Global Settings are not busy on other Jobs. When the Installation Kit is launched, it detects the previously installed versions of the Agent and starts to upgrade it. IMPORTANT: IMPORTANT: IMPORTANT: IMPORTANT: When the upgrade process starts, you should wait until it finished. Do not run multiple upgrade processes at a time. Always check the log file, after an upgrade process. The log file will be used when troubleshooting in the case of failure. If an upgrade failed, the Global.vvc, Job vvc and Delta files are rolled back to the old version. But they will not work with new executables. You may try to run the upgrade program again. If it still fails, contact intechnology for support. To completely rollback to the old version, you need to manually copy back the previous Backups. We recommend that to do at least one Backup for each Job after upgrading successfully to allow the Agent to upload new configuration files to the Vault. Agent Configuration These steps are described from the point of view of a User on a newly installed System. They will get you going to be able to do a Backup. 1. Connect to the Remote Agent Console web site from any internet based PC. Launch Internet Explorer RAC web address Note the Requirements on the login page Login using credentials supplied by intechnology (same has used for registration of Agent with RAC server) 2. Once logged in you will notice that your server has been added to the RAC during the installation, but is not configured. Click Edit and Select Vault Settings
14 Notice that there are no vault connections. Click Add Input intechnology in to the Vault Name and the IP Address and Credentials supplied by intechnology Click Save Changes
15 Click Close Your server has now been registered with the intechnology vault and is ready for backup jobs to be created. Information on how to create backup job can be found in the MBS Quick Reference Guide.
16 Configuration for Exchange Mailbox backups The following steps must be completed successfully in order to pass the profile validation test provided with the MS Exchange Plug-In and use the Plug-In to backup your MS Exchange Server Create a Windows account Create a MS Exchange mailbox Assign MS Exchange privileges Create a MAPI profile Create a Mailbox and Public Folder backup job Once these steps have been successfully accomplished, you can create your MAPI Backup Create a new Windows account Using Active Directory User and Computers MMC snap-in on the MS Exchange server, create an account for the MS Exchange Plug-In to use. The rights assigned to the MAPI user as documented are those that have been extensively tested and guaranteed the best results with MAPI backup and restore. The following are the minimum requirements, compared with what is in the documented steps, and are expected to work in the vast majority of cases with Exchange 2000 and 2003: Make it a member of the following groups: Administrators Domain Administrators Domain users Exchange Full Administrator at the organization level The above is the minimum requirements that are expected to work in the vast majority of cases with Exchange 2000 and If you find the MAPI test is failing you may be required to add the member to the following groups Group Policy Creator Owners Schema Administrators Use the Domain Controller Security Policy MMC snap-in under Security Settings/local policies/user Rights Assignment. Grant the following user rights to the Windows account created for the MS Exchange Plug-In (created in above) Act as Part of operating system Log on as a service In the Local Security Settings MMC snap-in, go to Security Setting/Local Policies/User Rights Assignment. Confirm that the account created for the MS Exchange Plug-In has the effective policy setting in place for the rights assigned in 2 above. There may be a delay before the effective local policy settings become active. The delay will depend on the Active Directory topology and replication settings.
17 Create an MS Exchange mailbox for the account If the MS Exchange account was not automatically created when the Windows account was added, use the Active Directory Users and Computers snap-in, MS Exchange Jobs option form the Actions menu. Create the MS Exchange mailbox for the MS Exchange Plug-In to use Assign Delegate Control within Exchange The MS Exchange mailbox must now be granted administrator access to the mailboxes that will be backed up using the MS Exchange Plug-In. Depending on the complexity and security in place within the MS Exchange organisation, this administrator access to mailboxes can be granted at different levels in the MS Exchange hierarchy, and will be automatically inherited down. If the entire MS Exchange organisation is controlled centrally, administrative access could be granted at the Organization level. In this example access is granted at the Administrative Group level, providing access to all the storage groups contained within that Administrative Group. 1. Using the Microsoft MS Exchange System Manager utility select the appropriate object in the MS Exchange organization and from the Actions pull-down menu select Delegate Control 2. From the list of users and groups select the MS Exchange mailbox created for use with the MS Exchange Plug-In. Click OK. 3. Under Role, ensure that MS Exchange Full Administrator is selected from the pull-down menu. Click OK Click Next. Click Finish Using Profman2 to create Exchange User MAPI Profile For the MS Exchange Plug-In to function a MAPI profile must be created on the MS Exchange server computer that will run the Plug-In software. In addition, because MAPI profiles are user specific the following steps need to be executed directly on the MS Exchange server computer itself. Logon directly to the MS Exchange server computer using the Windows account created for the MS Exchange Plug-In to use.
18 Using the Microsoft Profile Manager 2.0 which can be downloaded from the internet at the following location Create a new MAPI profile for the user account. From the menu items select New then Profile. In the popup window enter a name for the profile, MBS being the preferred option. Select OK and the profile will appear in the left hand pane Add the MS Exchange Server service to the MAPI profile by selecting New/Service from the Profile Manager Toolbar. Select MSEMS (Microsoft Exchange Server) from the list of providers. Enter the name of your MS Exchange server in the MS Exchange Server field and the name of the MS Exchange Plug-In mailbox created in the Mailbox field. Click the Check Name box and ensure the profile validates. If the MAPI profile does not validate properly, check the setting on the General property page. Retry the validation.
19 Configure and Testing the MAPI Account But before you run a backup job, it is important to configure the agent and check to ensure that the backup job can access all those folders and mailboxes. If not, some or all of the mailbox/folder backups could fail. From the remote agent console interface select the Agent of your exchange server. Cick on Edit and Select Agent Settings. On the MAPI Profile tab enter the detail for the Exchange Plug-in user you created The Test button checks to ensure that the MAPI backup can access all the folders and mailboxes to which it has rights. First you are shown if the MS Exchange information is correct ( OK ) and if the profile exists and the backup account has the correct privileges. Then you may select a verification test, either short (random sampling), or full (complete). If this program produces any errors as it monitors the progress, you should go back and check the Exchange, MAPI and parameters, and retry. See the section in this manual on Testing the MAPI Account.
20 You are now ready to create Mail box backups. Information on how to create backup jobs can be found in the MBS Quick Reference Guide. Installing MBS Agent for Netware 1. The MBS Agent for Netware is remotely installed from a MS Windows workstation rather than running the installation program directly on the Netware Server (NOTE: this workstation MUST have Novell Client for Windows installed this can be obtained from From the MS Windows workstation 2. Double click on the file you downloaded Agent-Netware-X-XX-XXXX.exe and select Run to start the installation process 3. Welcome to the MBS Software setup program. Click Next> to continue.
21 4. View Notes Click Next> to continue. 5. Software License Agreement for MBS agent is shown. You must Accept this to continue the installation Select I ACCEPT and click Next> to continue. 6. Software License Agreement MBS Encryption Software You must Accept this to continue the installation Select I ACCEPT and click Next> to continue.
22 7. Select application(s) Please ensure that the MBS Agent checkbox is ticked. Please ensure that Optional Software checkbox is un-ticked. Click Next> to continue. 8. Select NetWare Server Either Enter Netware Server i. Enter the server name or IP address Or Select Netware Server i. Select the server name from the browse list Click Next> to continue. 9. Set installation path Enter the MBS Agent Installation Path. (a maximum of 8 characters for the name default path is SYS:\INTECH, but the installation requires a minimum of 2% free space for the delta files, in practice most SYS volumes do not have this space, therefore we recommend using VOL1:\INTECH Click Next> to continue.
23 NOTE: If this is an upgrade from a previous version, the Agent binaries must be installed to the same location as the previous version. Otherwise it is likely that the user will continue using the older version, since the older version search path appears ahead of the upgraded version. 10. Setup Status The Setup Status screen appears, to show the installation processing. When the installation has completed, you see a message (NOTE) reminding you If you want to edit autoexec.ncf to load VVAgent automatically, please make sure VVAgent is loaded after [OFM or OTM] programs. Click OK to continue. 11. Autoexec.ncf At this point, if this is a new (first time) installation, the Agent installation is finished. You can now edit the autoexec.ncf, if you wish, or run it from the console (see the steps below in the AUTOEXEC.NCF command). To permanently install the Agent for Netware so that it is started after each reboot of the Netware server, add the commands below to the AUTOEXEC.NCF command procedure. To edit the AUTOEXEC.NCF file, load the EDIT.NLM and open the AUTOEXEC.NCF file. Add the following lines after the point where the TCP/IP stack has been loaded and configured (the end of the file is a good place) and save the changes before closing: > SEARCH ADD SYS:\INTECH\ (the path for the programs) > LOAD VVAGENT (VVAGENT is the program that runs the backups)
