We require 20 KVA UPS with 20 nos of 130/150 AH Exide tubular EL series batteries for minimum 4 hours back up for our existing regional office in Coimbatore. Order for the above number of UPS systems will be placed over the period of 6 months. Accordingly, empanelled vendors having service support centers in the aforesaid district are requested to submit their quotations in sealed covers (Technical and Commercial separately) addressed to The Asst. General Manager, Union Bank of India, Regional Office, 649 & 650, Oppanakara street,coimbatore with remarks on the top front portion (superscribed in bold letters QUOTATION FOR UPS SYSTEMS Technical (or) Commercial as the case may be BY 17 th FEBRAUARY, 2012 on or before 3.00 PM (LAST DATE : 17/02/2012). Price quotation should be inclusive of all taxes, levy, etc. (net price). Quotations for 12V 130 AH/150 AH Exide Tubular batteries on standalone basis should be given separately. Validity of price quotation should be for six months and vendor quoting for validity period less than six months are liable to be rejected at bank s discretion. It is mandatory for the L1 vendor to give quotation for post warranty Annual maintenance contract (PWAMC) and after completion of warranty period, L1 vendor has to execute the PWAMC on bank s prescribed format. PWAMC will cover both UPS and UPS batteries. PWAMC rate quoted by the vendors will be applicable on UPS and batteries, even when the weak and bad UPS batteries are replaced with batteries purchased from third party vendors. Vendors imposing any restrictions at a later stage as regards replacement of batteries need not participate in the tender process. PWAMC will be payable by us on quarterly basis after completion of every quarter and on submission of Preventive Maintenance Report (PMC) for each UPS. It is mandatory to provide four years warranty for UPS. However, if any vendor gives lesser warranty then the PWAMC rate quoted by the vendor will be added to the net UPS price so as to match with the vendor giving 4 years warranty. Similarly, if any vendor gives more warranty, i.e. more than 4 years, accordingly the amount of additional warranty equivalent to AMC rate will be deducted from the net UPS price quoted by the vendor so as to the match with the vendor giving 4 years warranty. Warranty for Exide EL series tubular batteries should be for minimum 4 years. Vendors offering warranty for UPS batteries lower than 4 years, respectively, are liable to be rejected at bank s discretion. Vendors giving delivery period beyond 1 month will be charged penalty as applicable to delayed delivery. 1

2 It may be noted that Bank will not enter into any negotiation except with the lowest quoted vendor (L1). Bank will be arriving at the L1 vendor comparing the offered price with the configuration mentioned above. Commercial quotation of vendors will be opened only after ensuring the Technical quotation of vendor is in conformity with the requirement given in the Annexure attached to this letter. Therefore, it is mandatory that the vendor submit their quotation separately for Technical and Commercial and vendors not adhering to this requirement are liable for disqualification. Bank reserves its right to reject the offer submitted by vendors without assigning any reason whatsoever. Bank s payment terms are as under: 90% on completion of installation. 10% on completion of warranty period or on submission of Bank Guarantee (schedule commercial bank) for the total balance amount valid for warranty period plus 3 months Action period.
