3 CISCO 7940/7960 PHONE OVERVIEW The Csco IP Phone 7960G or 7940G s a full-feature telephone that provdes voce communcaton over the same data network that your computer uses, allowng you to place and receve phone calls, put calls on hold, speed dal numbers, transfer calls, make conference calls, and so on. In addton to basc call-handlng features, your phone supports specalzed or advanced telephony features that can extend and customze your call-handlng capabltes. 5 CONNECTING YOUR PHONE Your system admnstrator wll lkely connect your new Csco IP Phone to the corporate IP telephony network. If that s not the case, refer to the graphc and table below to connect your phone. 6 PHONE SCREEN FEATURES Ths s what your man phone screen mght look lke wth an actve call. The table below provdes a basc overvew of phone screen features. DESCRIPTION FUNCTION 1 Prmary phone lne Dsplays the phone number (extenson number) for your prmary phone lne. 2 Programmable button labels Indcate the confguraton for programmable buttons on your phone: Phone lnes Each corresponds to a lne button. You mght have one lne or multple lnes assgned to your phone. Speed-dal numbers Each corresponds to a speed-dal button. See Phone servces Each corresponds to a web-based phone servce. (For example, a Personal Address Book button). Phone feature Each corresponds to a specfc feature. (For example, a Prvacy button.) 3 Softkey labels Each dsplays a softkey functon. Actvate a softkey by pressng (the correspondng softkey button). 4 Status lne Dsplays audo mode cons, status nformaton, and prompts. 5 Call actvty area Dsplays current calls for the hghlghted lne and ncludes detaled nformaton such as caller ID, call duraton, and call state. 7 SELECTING CALLS Many phone features requre that you select the calls you want to use wth a partcular feature. For example, f you have four held calls, but only want to jon two of them to a conference call, you can select the calls that you want to add to the conference before actvatng the feature. Hghlght a call Use the Navgaton button to scroll through the call lst. Hghlghted calls appear slghtly darker than other calls. Select a call Hghlght a connected or held call and press Select. Selected calls are ndcated wth a next to them. Verfy selected calls Use the Navgaton button to scroll through the lst of calls. Selected calls are ndcated wth a and are grouped together n the call lst. VIEWING CALLS AND SWITCHING BETWEEN CALLS These tps can help you swtch between calls on one or more lnes. If the call you want to swtch to s not automatcally hghlghted, use the Navgaton button to scroll to t. Swtch between calls on one lne Hghlght the call you are swtchng to and press Resume. The other call s placed on hold automatcally. Swtch from a connected call to answer a rngng call Press Answer or press for the lne wth the ncomng call. Dong so automatcally places the frst call on hold. Swtch between calls on dfferent lnes Press for a lne that has a call on hold. (The lne dsplays the call-on-hold con.) If there s a sngle call holdng on the lne, t wll resume automatcally. If there are multple calls holdng on the lne, scroll to the specfc call (f necessary) and press Resume. See a all calls on a specfc lne Press or then mmedately press the lne button. Dong so shows call detals but wll not mpact the call state; t s therefore useful f you are talkng on one lne and want to vew held calls on another lne. See an overvew of lne actvty (one call per lne) Press for the hghlghted lne. (A lne appears hghlghted when the calls assocated wth t are dsplayed on the phone screen.) Dong so prompts the phone to swtch to call overvew mode and dsplay one call per lne. Ths call s ether the actve call or, f all calls are on hold, the held call wth the longest duraton. To return to the standard vew, press or then mmedately press the lne button. TIPS Only one call can be actve; other calls wll be placed on hold automatcally. When you have multple calls on one lne, calls wth the hghest precedence and longest duraton dsplay at the top of the call lst. Calls of a smlar type are grouped together n the call lst. For example, calls that you have nteracted wth are grouped near the top, selected calls are grouped next, and calls that you have not yet answered are grouped last. 8 BASIC CALL HANDLING Ths secton covers basc call-handlng tasks such as placng, answerng, and transferrng calls. The features you use to perform these tasks are standard and avalable on most phone systems. PLACING A CALL To place a call, pck up the handset and dal. Or use one of the other optons outlned n the table below. Dal on-hook (no dal tone) Enter a phone number and do one of the followng actons to go off-hook: Lft the handset Press or Press Dal Press (a lne button) Dal usng the speakerphone Press New Call and enter a phone number. Or, you can press before or after dalng, re-dalng or speed dalng a number. Redal the most recently daled number Speed dal a number Many of the actons that you can take to dal wll automatcally trgger speakerphone mode, f the handset s n ts cradle and These actons nclude pressng Redal or a speed dal button. Press Redal. By default, Redal uses your prmary lne. However, you can open a secondary lne and then press Redal. To open a lne, press. Do one of the followng: s not lt. Press (a speed-dal button) before or after gong off-hook. Place a call when another call s actve (usng a new lne) Place a call when another call s actve (usng the same lne) Enter a speed dal ndex number (1-99 on the keypad) whle on-hook and press AbbrDal. Press for the new lne. Dong so automatcally places the frst call on hold. Press Hold, next press New Call, then dal, re-dal, or speed dal a number. Or, contnue to talk on the actve call whle preparng to dal from a call log or corporate drectory. (See the next two rows n ths table for detals.) Dal from a call log Choose > Mssed Calls, Receved Calls, or Placed Calls, then scroll to a lstng and go off-hook. To add a prefx or other dgts, press EdtDal. If you want to dal from a call log whle on an actve call, scroll to a lstng and press Dal. Then choose a softkey to handle the orgnal call: Hold Puts the frst call on hold and dals the second. EndCall Dsconnects the frst call and dals the second. Transf Transfers the frst party to the second. (Press Transf twce.) Dal from a corporate drectory on the phone Confrn Creates a conference call wth all partes. (Press Confrn twce.) Choose > Corporate Drectory (name can vary). Use your keypad to enter letters, then press Search. To dal, scroll to a lstng and go off-hook. If you want to dal from a drectory whle on an actve call, scroll to a lstng and press Dal. Then choose a softkey to handle the orgnal call: Hold Puts the frst call on hold and dals the second. EndCall Dsconnects the frst call and dals the second. Open a web browser and go to your company drectory. Clck on a phone number n the drectory. Clck Dal to place the call. Clck Hangup to end the call. See the Customzng Your Csco IP Phone on the Web gude for more detals: Do one of the followng: If s unlt, press t before or after dalng, re-dalng, or speed-dalng a number. If s lt, press New Call, Redal, or (a lne button or speed dal button). Or, enter a phone number and press Dal. Call the number and press CallBack whle lstenng to the busy tone or rng sound. Hang up. When the extenson becomes avalable, your phone wll provde you wth an audo and vsual alert. (The callback to ths number s not automatc; you must place the call.) CallBack s a specal feature that your system admnstrator mght confgure for your phone. Note that CallBack wll fal f the other party has call forwardng enabled. Enter the MLPP access number (provded by your system admnstrator) followed by the phone number. Choose > PAB servce or Fast Dal servce (exact names mght vary). To dal from a lstng, scroll to t and go off-hook. For help subscrbng to the PAB or Fast Dal servce, see the Accessng Your User Optons Web Pages secton on page 40. Dal a number and enter a clent matter code (CMC) or a forced authorzaton code (FAC) when prompted by a dstnctve tone. Your system admnstrator wll tell you f you need to enter CMC or FAC codes and can provde you wth detaled nstructons. Make sure that you are logged n to Extenson Moblty (EM) on the phone that you are tryng to use. Choose > EM Servce (exact name mght vary). Then use your keypad to enter logn nformaton. If you are usng a phone n a shared workspace, you mght need to log n to EM before you can access certan features or complete a call. EM s a specal feature that your system admnstrator can assgn to phones and phone users. Refer to Customzng Your Csco IP Phone on the Web: TIPS If you make a mstake whle enterng a phone number, press << to erase one or more dgts. Press Cancel to ext the dalng attempt. If you are dalng wth the phone on-hook, you cannot use * or # as the leadng dgt. If you need to use these keys, dal wth the phone off-hook. If you cannot hear a dal tone or complete a phone call, one or more of the followng factors mght apply. If necessary, ask your system admnstraton for more nformaton. You need to log nto the Extenson Moblty servce from the button on your phone. You need to enter a clent matter code or forced authorzaton code after dalng a number. 10 ANSWERING A CALL To answer a call, go-off hook by pckng up the handset. Or see the table below for more optons. Answer wth a headset Press, f unlt. Or, f s already lt, press Answer or (the lne button for the ncomng call). Answer wth the speakerphone Press, Answer, or (the lne button for the ncomng call). Swtch from a connected call to answer a rngng call Answer a call usng call watng Automatcally connect an ncomng call after a rng or two Retreve, or allow someone else to retreve, a held call on another phone (such as a phone n a conference room) Use your phone to answer a call that s rngng on another phone Answer a prorty call Send an ncomng call drectly to the voce messagng system Press Answer or (the lne button for the ncomng call). Dong so answers the new call and automatcally places the frst call on hold. Ask your system admnstrator to set up the Call Watng feature for your phone. When ths feature s enabled, you wll hear a call watng tone and see caller ID nformaton f a new call comes n whle you are on another call. To answer the call, press Answer. Ask your system admnstrator to set up the AutoAnswer feature. Use Call Park. Use Call Pckup. Hang up the current call and press Answer. Press Dvert. The call s automatcally transferred to your voce message greetng. ENDING A CALL Hang up whle usng the handset Return the handset to ts cradle or press EndCall. Hang up whle usng the headset Press. If you want to keep headset mode actvated (keep the button lt after hangng up), press EndCall. Hang up whle usng the speakerphone Press or EndCall. Hang up one call but preserve another call on the same lne Press EndCall. If necessary, remove the call from hold frst. USING HOLD AND RESUME Want to put a call on hold Want to remove a call from hold on the current lne Want to remove a call from hold on a dfferent lne Make sure the call you want to put on hold s hghlghted and press Hold. Scroll to the specfc call (f necessary) and press Resume. Press for the lne that has the held call. (The lne dsplays the call-on-hold con.) If there s a sngle call holdng on ths lne, the call wll resume automatcally. If there are multple calls holdng on the lne, scroll to the specfc call (f necessary) and press Resume. TIP Engagng the Hold feature typcally generates musc or a beepng tone. For ths reason, avod puttng a conference call on hold. SNET: CISCO 7940/7960 REFERENCE GUIDE 10

11 USING MUTE Mute dsables the audo nput for your handset, headset, speakerphone, and external mcrophone. Wth Mute enabled, you can hear other partes on a call but they cannot hear you. IF YOU... Toggle Mute on Press. Toggle Mute off Press. TRANSFERRING A CONNECTED CALL Mute dsables the audo nput for your handset, headset, speakerphone, and external mcrophone. Wth Mute enabled, you can hear other partes on a call but they cannot hear you. Transfer a call wthout talkng to the transfer recpent Talk to the transfer recpent before transferrng a call ( consult transfer ) Transfer two current calls to each other ( drect transfer ) Press Transfer and enter the target number. When you hear the call rngng, press Transfer agan. Press Transfer and enter the target number. Wat for the transfer recpent to answer. If the recpent accepts the transferred call, press Transfer agan. If the recpent refuses the call, press Resume to return to the orgnal call. Scroll to hghlght any call on the lne and press Select. Repeat ths process for the second call. Wth one of the selected calls hghlghted, press DrTrfr. (You may need to press the more softkey to see DrTrfr.) The two calls connect to each other and drop you from the call. TIPS You cannot use the Transfer softkey to redrect a call on hold. Remove the call from hold before transferrng t. If you want to connect two calls to each other usng drect transfer, the calls must be on the same lne. If the calls are not on the same lne, transfer one call to the other lne, then use DrTrfr. FORWARDING YOUR CALLS TO ANOTHER NUMBER You can use Call Forward All to redrect your ncomng calls from your Csco IP Phone to another number. Note: Enter the Call Forward All target number exactly as you would dal t from your desk phone. For example, enter an access code such as 9 or the area code, f necessary. Set up call forwardng on your prmary lne Cancel call forwardng on your prmary lne Verfy that call forwardng s enabled on your prmary lne Set up or cancel call forwardng for any lne Press CFwdALL and enter a target phone number. Press CFwdALL. Look for ths con above the prmary lne target number.. Also, check the status lne near the bottom of the phone screen; t dsplays the call forwardng Log n to your User Optons web pages, choose your devce, then choose Forward all calls... from the man menu. You can set up or cancel call forwardng for each lne on your phone. When call forwardng s enabled for any lne other than the prmary lne, your phone does not provde you wth any confrmaton that calls are beng forwarded. Instead, you must confrm your settngs n the User Optons pages. TIPS You can forward your calls to a tradtonal analog phone or to another IP phone (although your system admnstrator mght restrct the call forwardng feature to numbers wthn your company). You must confgure ths feature per lne; f a call reaches you on a lne where call forwardng s not enabled, the call wll rng as usual. SNET: CISCO 7940/7960 REFERENCE GUIDE 11

12 MAKING CONFERENCE CALLS Your Csco IP Phone allows you to jon three or more people nto one telephone conversaton, creatng a conference call STANDARD CONFERENCE CALLS In standard (or ad hoc ) conference calls, the conference organzer must call partcpants to add them to the conference. Usng your Csco IP Phone, you can create standard conference calls n dfferent ways, dependng on your needs and your phone s confguraton: Confrn Use ths softkey to establsh a standard conference by callng each partcpant. Standard conference callng s a default feature avalable on most phones. Jon Use ths softkey to establsh a standard conference among several calls already on one lne. STARTING AND JOINING A STANDARD CONFERENCE In standard (or ad hoc ) conference calls, the conference organzer must call partcpants to add them to the conference. Usng your Csco IP Phone, you can create standard conference calls n dfferent ways, dependng on your needs and your phone s confguraton: Start a standard conference call by callng partcpants Partcpate n a standard conference Invte current callers to jon a standard conference End your partcpaton n a standard conference Durng a connected call, press Confrn to add another party to the call. (You may need to press the More softkey to see Confrn.) Enter the conference partcpant s phone number. After the call connects and you have spoken to the conference partcpant, press Confrn agan to add ths party to your call. Repeat to add addtonal partcpants. Answer the phone when t rngs. You do not need to do anythng specal to partcpate n a standard conference call. Wth two or more calls on a sngle lne, scroll to hghlght any call on the lne and press Select. Repeat ths process for each call you want to add to the conference. From one of the selected calls, press Jon. (You may need to press the more softkey to see Jon.) Note that the actve call s selected Hang up or press EndCall. If you dd not ntate the conference call, hangng up wll not dsrupt the connecton for the remanng partes. If you ntated the conference call, hangng up mght end the conference (dependng on how your system admnstrator confgured your phone). To avod ths, you can transfer the conference to another caller before hangng up. That caller then acts as the vrtual controller for the conference. A vrtual controller cannot add or remove partes; however, the conference contnues wth the establshed partcpants. TIPS Calls must be on the same lne before you can add them to a standard conference call. If calls are on dfferent lnes, transfer them to a sngle lne before usng Confrn or Jon. If you get an error statng, No Partcpant Info when attemptng to use Jon, be sure that you have selected at least one call n addton to the actve call, whch s selected automatcally. Dependng on how your phone s confgured, f you leave a conference after creatng t, the conference mght end. See the last row of the above table for more nformaton. 13 STORING AND RETRIVEING PARKED CALLS You can park a call when you want to store the call so that you or someone else can retreve t from another phone n the Csco CallManager system (for example, a phone at a co-worker s desk or n a conference room). Call Park s a feature that your system admnstrator must enable for you. Store an actve call usng Call Park Retreve a parked call Durng a call, press Park. (You may need to press the More softkey to see Park.) Ths prompts your phone to store the call. Note the call park number dsplayed on your phone screen and hang up. Enter the call park number from any Csco IP Phone n your network to connect to the call. You have a lmted amount of tme to retreve the parked call before t reverts to rngng at ts orgnal destnaton. See your system admnstrator for ths tme lmt. TIPS To Park a call Dal #700# and a voce recordng wll gve you an access key. Dal access key to retreve the parked call. REDIRECTING A RINGING CALL TO YOUR PHONE Call PckUp allows you to redrect a call that s rngng on a co-worker s phone to your own phone so that you can answer the call. Call PckUp s a specal feature that your system admnstrator mght enable for you, dependng on your call-handlng needs and work envronment. For example, you mght use ths feature f you share call-handlng responsbltes wth co-workers. You can handle calls for co-workers who are n your call pckup group, whch s defned by your system admnstrator. Answer a call that s rngng on another extenson wthn your group Answer a call that s rngng on another extenson outsde of your group Press (an avalable lne button) and *8+ext for party beng called. The call now rngs on your phone. Press (an avalable lne button) and *88+ext for party beng called. The call now rngs on your phone. USING A HANDSET, HEADSET, AND SPEAKERPHONE The table below descrbes how to use these devces. Use the handset Lft t to go off-hook; replace t to go on-hook. Use a headset Press to toggle headset mode on and off. You can use the headset n conjuncton wth all of the controls on your phone, ncludng and. Use the speakerphone Press to toggle speakerphone mode on or off. Swtch to the speakerphone or headset (from the handset) durng a call Swtch to the handset (from the speakerphone or headset) durng a call Many of the actons you can take to dal a number or answer a call wll automatcally trgger speakerphone mode, assumng that the handset s n ts cradle and s not lt. 14 USING AUTOANSWER WITH A HEADSET OR THE SPEAKERPHONE You mght use AutoAnswer f you receve a hgh volume of ncomng calls or handle calls on behalf of others. Your system admnstrator confgures AutoAnswer to work wth ether your speakerphone or headset. See the table below for detals. Use AutoAnswer wth a headset Keep headset mode actve (n other words, keep llumnated) even when you are not on a call. To keep headset mode actve, press EndCall to hang up (rather than pressng to end the call), then press NewCall or Dal when placng new calls. If your phone s set up to use AutoAnswer n headset mode, calls wll be answered automatcally only f normally and you wll need to manually answer them. s lt. Otherwse, calls wll rng Use AutoAnswer wth the speakerphone Keep the handset n the cradle and headset mode nactve (n other words, keep unlt). If your phone s set up to use AutoAnswer n speakerphone mode, calls wll be answered automatcally usng the speakerphone only f the above crtera are met. Otherwse, calls wll rng normally and you wll need to manually answer them. CUSTOMIZING PHONE SETTINGS You can personalze your Csco IP Phone by adjustng settngs, as descrbed n the tables below. Keep these tps n mnd: Most settngs are accessble on your phone, but a few are accessed onlne from your User Optons web pages. If you want to revert to settng values that were orgnally coded nto the phone at the factory, choose > Default. (You may need to press the more softkey to see Default.) Volume levels and values n the Contrast and Rng Type menus wll be affected. If s not responsve, your system admnstrator mght have dsabled ths button on your phone. Ask your system admnstrator for more nformaton. ADJUSTING THE VOLUME Adjust the volume level for a call Press durng a call or after nvokng a dal tone. You can press Save to save ths volume settng for future calls. Note: volume settngs for the handset, speakerphone, and headset must be adjusted separately. Adjust the volume level for the rnger Press whle the handset s n the cradle and the headset and speakerphone buttons are off. Contnue pressng the button to ncrease or decrease the volume. 15 CUSTOMIZING RINGS AND MESSAGE INDICATORS You can customze the way that your phone ndcates an ncomng call or a new voce mal message for each of your lnes. Customzed rng sounds and other ndcators can help you quckly dfferentate between multple lnes. For example, you can choose a chrpng sound to ndcate an ncomng call on Lne 1 and a drumbeat to ndcate an ncomng call on Lne 2. Change the rng sound Choose > Rng Type. Select a phone lne or the default rng settng. Use the Navgaton button to scroll through the rng types. Press Play to hear the selected rng type. When you fnd a rng sound that you want, press Select, then press OK. Change the rng pattern (flash-only, rng once, beep-only, etc.) Change the way that the voce message lght on your handset works You can apply the default rng settng to a selected phone lne by pressng Default. Log n to your User Optons web pages, select your devce, then choose Change the Rng Settngs for your phone from the man menu. Typcally, the default system polcy tells your phone to always lght when you receve a new voce message. CUSTOMIZING THE PHONE SCREEN You can adjust the contrast and the language for your phone screen. Change the phone screen contrast Choose > Contrast. Press Up, Down or, then press OK. Or press Cancel to revert to the prevously saved settng. 16 SETTING UP SPEED DIAL FEATURES Speed dal features allow you to press a button or enter an ndex code to place a call. You can set up speed dalng for your phone n two ways: Speed dalng wth a button You can assgn a speed dal number to any avalable programmable button on your phone that has not already been confgured as a lne, feature, or servce button. Press the settngs button on your phone. Scroll down to number 6 for Call Preferences and push on select. On Call Preferences scroll down to number 9 for Speed Dal Lnes and push select. On the Speed Dal Confguraton select your desred lne to put a speed dal number. Enter the name and the number and push on Accept. Speed dalng wth an ndex code usng the Abbrevated Dalng feature, you can enter an assgned ndex number (1 to 99) rather than dalng the entre phone number. Set up both types of speed dal features from your User Optons web pages, as descrbed n the table below. Add speed dal numbers to phone buttons Add speed dal numbers to use wth Abbrevated Dalng Remove a speed dal number Log n to your User Optons web pages, select your devce, then choose Add/Update Speed Dals from the man menu. In the Speed Dal Settngs on Phone secton, enter a phone number and label for each avalable speed dal button. Enter the number exactly as you would dal t from your desk phone. For example, enter an access code such as 9 or the area code, f necessary. The label you enter appears next to the speed dal button on your phone. Log n to your User Optons web pages, select your devce, then choose from the man menu. In the Speed Dal Settngs Not Assocated wth Phone button secton, enter a phone number and label for each avalable speed dal button. Enter the number exactly as you would dal t from your desk phone. For example, enter an access code such as 9 or the area code, f necessary. Delete the phone number and label from ether of the speed dal web pages. ACCESSING VOICE MESSAGES Your company determnes the voce message servce that your phone system uses. For the most accurate and detaled nformaton about ths servce, refer to the documentaton that came wth t. To access VM remotely usng a dfferent extenson, dal *124 and you wll be asked for a vocemal pn number. For a general overvew of voce message servce features, refer to the table below. Set up and personalze your voce message servce See f you have a new voce message Press and follow the voce nstructons. If a pop-up messages menu appears on your phone screen, choose an approprate menu tem. Look at your phone for the followng ndcators: A steady red lght on your handset. Lsten to your voce messages or access the voce messages menu A flashng envelope con and text message on your phone screen. Press. 17 USING CALL LOGS AND DIRECTORIES Your phone mantans logs of your mssed, placed, and receved calls. You can use the Drectores button to vew and dal from call logs. You can also access a corporate drectory (f applcable). Vew your call logs Choose > Mssed Calls, Placed Calls, or Receved Calls. A maxmum of 32 records s stored n each of these logs. Dal from a call log Choose a lstng and go off-hook. If you need to edt the number dsplayed n the log, press EdtDal followed by << or >> to move the cursor or erase dgts. Use the keypad to enter dgts. If you want to dal from a call log whle on an actve call, scroll to a lstng and press Dal. Then choose a softkey to handle the orgnal call: Hold Puts the frst call on hold and dals the second. EndCall Dsconnects the frst call and dals the second. Transf Transfers the frst party to the second. (Press Transf twce.) Confrn Creates a conference call wth all partes. (Press Confrn twce). Erase your call logs Press, then press Clear. Dong so erases your Mssed, Placed, and Receved call logs. Dal from a corporate drectory Choose > Corporate Drectory (exact name can vary).
